Short answer: Zoom AI Companion is best understood as an AI layer inside Zoom Workplace, governed by Zoom account, group, host, and user settings. It can work with meeting, chat, phone, file, and connected-app context, while custom agents can perform configured tasks. A third-party AI agent may reach a different set of systems or offer different workflow controls, but this comparison cannot assume any competitor’s current features or privacy terms without that provider’s own documentation.

Privacy is the key distinction to investigate rather than a simple “Zoom versus everyone else” score. Zoom says it does not use customer communications-like content to train Zoom or third-party models, yet relevant data can still be processed by model providers to deliver a feature, and generated content can be stored under your organization’s settings. The sections below show how to compare those controls and how to validate them in your own tenant.

What changed about the Zoom AI Companion name?

Zoom’s developer changelog says the AI Companion brand was retired in July 2026 as AI-powered features became more deeply integrated throughout Zoom Workplace. “Zoom AI Companion” remains useful search language and appears in many settings and help articles, but newer product surfaces may present the capability as part of a broader Workplace experience. Legacy AI Companion APIs and SDKs remain for backward compatibility.

This naming change does not, by itself, prove that every feature is available in every Workplace edition. Treat the current admin console, plan entitlement, region, and feature-specific documentation as the authority for rollout.

What does Zoom AI Companion actually do?

Zoom’s documented feature set combines answers about Zoom content with configurable agents and actions in connected systems. The practical experience depends on which features an administrator enables and which sources a user is allowed to access.

Ask questions about Zoom work

AI chat and retrieval can use Zoom meeting summaries, transcripts, notes, and other permitted Workplace context. Example prompts include “What was the disagreement about?” and “Can you tell me the main points being discussed?” These illustrate the kinds of questions the product supports; they are not guarantees that every account has identical retrieval coverage.

Configure custom agents

Zoom’s Custom AI Companion configuration documentation lists custom agents, organization data sources, meeting-summary templates, and custom dictionaries. It also describes AI joining third-party meetings and tasks or workflow integrations that use connected applications. Each item can have separate availability and permission requirements.

Execute configured tasks

The product direction goes beyond summarizing. An administrator can configure a connected-app task or workflow, after which an agent can carry out the allowed operation using the data and credentials exposed to it. “Configured” is important: an agent does not automatically receive broad write access to every connected service.

Use meeting and calling assistance

A July 9, 2025 Zoom announcement described real-time call questions, an in-person voice recorder, and meeting-agenda creation as core capabilities included at no additional cost with paid Zoom licenses at that time. That was a dated product statement, not a permanent pricing promise; confirm current inclusion before budgeting or advertising a feature.

How is access controlled?

Zoom describes several layers of control. Account and group administrators can configure Custom AI Companion features, while meeting hosts and individual users make choices at use time. A feature being visible in the client therefore does not mean every participant can invoke it.

Control layer What it governs Questions to verify
Plan and add-on Eligibility for the capability itself Is the organization on Zoom Workplace Pro or higher, and is the Custom AI Companion add-on purchased?
Account administrator Organization-wide enablement, integrations, and defaults Which features and connectors are enabled globally? Are external data sources restricted?
Group administrator Different policies for departments or user groups Do contractors, regulated teams, or executives have different settings?
Meeting host Whether AI is active in a particular meeting and what outputs are created Can the host turn assistance off, and who receives the summary or transcript?
Individual user User choice and permission within the enabled scope What can a user ask, upload, connect, or delete?

Zoom’s setup page states that Custom AI Companion is a paid add-on requiring Zoom Workplace Pro or higher. Availability can vary by feature and configuration, so do not treat that requirement as universal for every AI function.

A practical enablement sequence

  1. Confirm the edition. Check the organization’s Zoom Workplace plan and whether the Custom AI Companion add-on is assigned to the intended account or group.
  2. Set account defaults. In the administrator controls, enable only the AI features and connected sources needed for the job. Leave integrations disabled until their data paths have been reviewed.
  3. Apply group policies. Separate sensitive or regulated teams from general users when their retention, connector, or meeting rules differ.
  4. Test host behavior. Start a test meeting, verify the visible AI notification, and check which controls the host sees for activation, sharing, and deletion.
  5. Test user permissions. Sign in as a representative user and attempt retrieval from each approved source. Confirm that a user cannot see content outside their existing permissions.
  6. Document the configuration. Record enabled features, connectors, storage settings, responsible administrators, and the date reviewed. Recheck after major product or provider changes.

Which integrations are available, and what is current versus announced?

Zoom has published several snapshots of its integration roadmap. They are useful for understanding direction, but dated counts and “coming soon” language must not be presented as a current inventory.

Publication What Zoom described How to interpret it
July 9, 2025 announcement Custom AI Companion connected to 16 third-party apps, including ServiceNow, Jira, Asana, and Box. A historical count and example list, not a 2026 total. Verify each connector in the current admin console.
December 15, 2025 announcement Retrieval across Zoom meeting summaries, transcripts, and notes plus connected sources such as Google Drive and Microsoft OneDrive; Gmail and Outlook were described as forthcoming. “Forthcoming” did not establish availability at publication. Check present documentation before promising email retrieval.
September 2025 description A custom-agent builder, knowledge bases, tools, and Model Context Protocol support were described as expected capabilities. Expected capabilities are not proof of a completed rollout or entitlement.

The number 16 is therefore a historical product-announcement figure, not an independent measurement and not evidence that every listed app remains connected today.

How does Zoom describe data use and model-provider processing?

Zoom’s current support article makes a specific training statement: it says customer audio, video, chat, screen sharing, attachments, and other communications-like content—including polls, whiteboards, and reactions—are not used to train Zoom’s or third-party AI models. That commitment addresses training use; it does not mean the data is never transmitted or processed.

Processing to provide the feature

Zoom’s AI data-use documentation says interaction data may be accessed, processed, and used to provide and maintain services, troubleshoot issues, and provide support. Its feature table says ZoomMate may use user inputs, Zoom content, connected third-party data, web content, and uploaded local files. The exact sources depend on the feature and the permissions granted.

Third-party model providers

Zoom says features may use third-party AI-model providers, naming OpenAI and Anthropic as examples. When a feature uses such a provider, relevant data may be shared with that provider to deliver the feature. Zoom also says models and providers can change over time, so an old provider list should not be treated as a permanent architecture.

Storage, retention, and deletion

Zoom’s privacy lifecycle documentation says generated content may be saved and that its storage location follows organizational settings. It describes visible notification when AI Companion is active, controls at account, group, and user levels, host controls during meetings, and user choices. Hosts may delete summaries, transcripts, and recordings subject to the account’s settings.

“Not used for training” and “not retained” are different claims. A compliant review should separately record what is sent, which provider handles it, how long prompts and source material persist, where outputs are stored, who can view them, and who can delete them.

What is the difference between Zoom AI Companion and a third-party AI agent?

The meaningful comparison is capability-by-capability, not a single overall ranking. Zoom’s advantage is native context and administration inside Workplace; a third-party agent may be stronger in another company’s systems. The evidence available here establishes Zoom’s side only, so the competitor column identifies what you must obtain from the relevant provider.

How should a buyer evaluate privacy instead of relying on a “no training” label?

Use the same written questions for Zoom and every other agent. A vendor that answers one question clearly but leaves the others vague has not supplied a complete data-use picture.

  • Content scope: Which meeting, chat, file, web, local-upload, and connected-app fields are collected for the selected feature?
  • Provider chain: Which model providers and subprocessors can receive the data, and how are provider changes communicated?
  • Training: Is customer content excluded from model training by contract, product setting, or both? Are prompts, feedback, or de-identified data treated differently?
  • Retention: How long are inputs, retrieved passages, generated answers, transcripts, and diagnostic logs retained?
  • Storage and residency: Where are outputs stored, and do regional controls apply to every connector and provider?
  • Access: Can administrators restrict features by group, connector, meeting, or user? Are existing source permissions enforced at retrieval time?
  • Deletion: Who can delete outputs, and how are copies in backups, exports, or downstream systems handled?
  • Auditability: What event logs show an agent’s prompt, sources, actions, approvals, and resulting changes?

What test plan reveals the real difference?

A controlled pilot is more informative than a feature checklist. Use non-sensitive sample data and test the same tasks in Zoom and any agent under consideration.

  1. Define three workflows. Choose one answer-only task, one retrieval task spanning two sources, and one action that changes a record or creates an artifact.
  2. Map permissions first. Create a test user with access to only the intended meeting, files, and connected-app records. Add a deliberately restricted record to detect leakage.
  3. Run ambiguous questions. Try “What was the disagreement about?” and “Can you tell me the main points being discussed?” Then inspect citations, source visibility, uncertainty handling, and whether the answer exposes restricted material.
  4. Exercise the action path. Require confirmation before any write operation. Check whether the agent explains the planned change, records the actor, and handles a failed or partially completed workflow.
  5. Inspect notifications and artifacts. Verify that participants see the AI-active notice, identify who receives summaries, and locate the storage and deletion controls.
  6. Review logs and retention. After the test, ask administrators and the vendor to show interaction logs, provider routing, retention timers, and deletion results.
  7. Repeat after a configuration change. Disable one connector or move the user to another group and rerun the tests. A reliable system should reflect the new policy without requiring a new account.

What are the most common implementation mistakes?

Confusing an enabled toggle with user access

An account-level enablement does not replace group, host, or user permissions. Test with the roles your organization actually uses, including external participants where relevant.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Treating a dated announcement as a live catalog

The 16-app figure and the 2025 “forthcoming” integrations are historical statements. Keep a dated inventory and verify each connector before committing to a workflow.

Equating no training with no disclosure

Zoom’s training commitment does not remove the need to evaluate provider processing, troubleshooting access, storage, and deletion. Put those separate controls in the vendor review.

Ignoring generated-content storage

Summaries, transcripts, and answers can become records subject to your organization’s retention and access rules. Decide who owns deletion and how exports are handled before rollout.

Granting write access too early

Start with read-only retrieval, then add one narrowly scoped action with confirmation and logging. Expand only after a failed-action and permission-boundary test passes.

Which option is the better fit?

Choose Zoom AI Companion when your priority is AI grounded in Zoom Workplace activity, with administration already tied to Zoom accounts, groups, meetings, and users. It is also the more straightforward starting point when your workflows depend primarily on meeting artifacts and the connected sources that Zoom currently supports.

Choose a third-party agent only after it demonstrates a material advantage in the systems or actions your team needs, and only after its provider, training, retention, residency, deletion, and audit answers are documented for the exact edition and region. There is no supported like-for-like performance or adoption statistic here that would justify declaring one category universally better.

Frequently Asked Questions

Can Zoom AI Companion be used when some meeting participants do not have paid Zoom accounts?

Participation and output access depend on the host’s account settings, meeting configuration, and the participant’s permissions. Test the external-participant scenario explicitly; do not infer access from the host’s entitlement alone.

Does turning off AI Companion delete summaries and transcripts that already exist?

Disabling a feature and deleting previously generated artifacts are separate operations. Check the organization’s storage policy and use the available host or administrator deletion controls for existing content.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can an organization track changes to Zoom’s AI model providers?

Assign an owner to monitor Zoom’s current privacy and product documentation, record the provider list and review date, and require a reassessment when Zoom announces a provider or feature change. Keep that record alongside connector and retention settings.

Is a custom agent allowed to write to every connected application automatically?

No automatic broad access should be assumed. Actions are configured through the enabled integration and the credentials and permissions presented to the agent; validate each write operation with a least-privilege test account.
