Zoom is the stronger choice for recording-centered meeting intelligence, while Microsoft Copilot is more flexible for live assistance inside Teams. Zoom can answer questions during a meeting and turn a cloud recording plus transcript into chapters, highlights, next steps and conversation analytics. Teams Copilot can summarize discussion, identify speakers, suggest tasks and answer questions during or after a meeting; in a supported confidential-meeting mode it can work without recording or transcription, although that live-only session will not automatically produce a later Recap.
The practical decision is not which assistant sounds smarter. It is whether you need searchable, transcript-based records after a meeting or discreet help while the meeting is still happening, and whether your plan, license and organizational policies permit those functions.

Zoom’s meeting AI is organized around in-meeting questions, summaries and analysis of cloud recordings. Microsoft Copilot in Teams combines live meeting help with a broader Recap experience built from meeting artifacts such as transcripts and recordings.
| Decision point | Zoom | Microsoft Teams |
|---|---|---|
| Live catch-up and questions | Participants can ask prompts such as “Catch me up,” “Was my name mentioned?” and “What are the action items?” Custom questions are also supported. | Copilot can answer questions and summarize the discussion, subject to meeting context, organizer settings and licensing. |
| Data needed for post-meeting analysis | Smart Recording requires a cloud recording and a processed audio transcript. | Many Recap functions and questions about spoken content require a supported transcript or recording. |
| Live help without recording | The documented recording-analysis workflow depends on saved meeting artifacts. | A supported in-meeting configuration can generate notes and tasks without recording or transcription, but the interaction remains live-only. |
| Post-meeting outputs | Recording highlights, smart chapters, next steps and analytics such as talk speed, talk-listen ratio, monologue length, filler-word use and patience. | AI notes, follow-up tasks, speaker and timeline navigation, and transcript-based audio recaps. |
| Plan gate | Zoom Workplace Basic has limited meeting summaries and in-meeting questions; Pro and Business list unlimited use for those two features. | Intelligent Recap requires a Microsoft Copilot or Teams Premium license, with additional tenant and meeting conditions. |
Neither product should be treated as an automatic legal or operational record. Microsoft explicitly warns that AI-generated content can be inaccurate, incomplete or inappropriate, and Zoom describes its generated highlights and summaries as assistance that should be checked.

How does Zoom’s meeting AI work?
Zoom has changed its naming. In a June 24, 2026 product update, Zoom said capabilities previously grouped under AI Companion, including meeting summaries and transcription, are now built into Zoom Workplace and may appear under functional names instead. Zoom also distinguishes those built-in Workplace capabilities from its newer agentic product, ZoomMate.
What can participants ask during a Zoom meeting?
Zoom’s in-meeting question feature lets participants ask about the discussion while it is under way. Zoom’s own examples are useful because they show the intended workflow: “Catch me up” can orient someone who joined late, “Was my name mentioned?” can locate references to a participant, and “What are the action items?” can extract work items. Custom questions are supported as well.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Zoom states that meetings, questions and responses are supported in more than 30 languages. Language availability and the exact behavior of a question can still depend on the account and meeting configuration, so multilingual teams should confirm the languages they need before standardizing on the feature.
What does Zoom Smart Recording add after the meeting?
Smart Recording with AI analyzes an eligible cloud recording. It can organize the recording into smart chapters, surface highlights and next steps, and present conversation analytics. The documented analytics include talk speed, talk-listen ratio, monologue length, filler-word use and patience, giving managers or coaches a way to inspect meeting dynamics rather than merely read a transcript.
The prerequisite is important: cloud recording must be enabled, and an audio transcript must be available and processed. If either artifact is missing or processing has not finished, the recording-based features cannot produce their documented results. The host, or a user with recording-management permissions, can edit highlights and chapters. Availability may vary by region or industry.
How should a Zoom team prepare a reliable workflow?
- Confirm the account tier. Check the organization’s Zoom Workplace plan and whether the user is licensed for in-meeting questions, summaries and recording analysis.
- Enable cloud recording. Smart Recording analysis is not the same as a local recording saved only on a participant’s computer.
- Ensure an audio transcript is generated. Wait for processing before expecting chapters, highlights, next steps or analytics.
- Review generated sections. The host or a recording manager can correct chapter boundaries and highlights before sharing the recording.
- Use live questions for immediate orientation. Ask a concise prompt such as “What are the action items?” and verify the response against the conversation.
How does Microsoft Copilot work inside Teams meetings?
Copilot can summarize key discussion points, identify who said what, suggest action items and answer questions during or after a meeting. Its capabilities split into two distinct modes: a live meeting experience and a post-meeting Recap experience that depends on saved meeting data.

When can Copilot help during a live meeting?
In the ordinary meeting workflow, Copilot uses the meeting’s available context to answer questions and summarize discussion. Organizer settings, licensing and whether the meeting produces a transcript or recording affect what is available.
Microsoft also documents a configuration for confidential meetings in which Copilot can produce notes and tasks without recording or transcribing the meeting. This is useful when participants need live assistance but do not want a recording or transcript created. The trade-off is that the interaction ends with the meeting: after the meeting, Copilot is not available in Recap unless transcription or recording was enabled.
Even when no transcript or recording is created, organizational retention policies may still retain Copilot prompts and responses. A no-recording meeting therefore is not necessarily a no-retention meeting; administrators should check the tenant’s policy before using this mode for sensitive discussions.
What does Teams Intelligent Recap provide?
Intelligent Recap combines AI-generated notes and follow-up tasks with navigation aids such as speaker and timeline markers. A Microsoft Copilot or Teams Premium license is required for the intelligent recap experience. Many individual recap functions require a supported transcript or recording, so licensing alone does not guarantee that every control will appear for every meeting.
Microsoft says the generated content is based on the event transcript and powered by GPT and other AI models. Because the output can be inaccurate, incomplete or inappropriate, assign a person to check names, decisions, dates and task owners before distributing it as minutes.
What is a Teams audio recap?
Teams can compile transcripts from up to eight meetings into an audio summary. This can help someone review a project series without opening each meeting separately, but it remains a transcript-based feature and therefore inherits the availability and retention limits of those transcripts.

Do Zoom and Teams require recording or transcription?
The answer depends on whether you need live help or a durable post-meeting result. Zoom’s documented Smart Recording workflow requires both a cloud recording and a processed audio transcript. Teams has a live-only exception, but its richer Recap functions generally need a transcript or recording.
| Use case | Zoom requirement | Teams requirement |
|---|---|---|
| Ask about the current discussion | Licensed access to the in-meeting question feature; questions and responses support more than 30 languages. | Copilot availability in the meeting, with organizer settings and license conditions satisfied. |
| Generate recording chapters and highlights | Cloud recording plus a processed audio transcript. | Teams does not provide an equivalent documented Zoom Smart Recording workflow in the supplied feature set. |
| Create post-meeting notes and tasks | Meeting summary or recording-analysis capability on the applicable Workplace plan. | Intelligent Recap license and, for many functions, a supported transcript or recording. |
| Keep assistance live-only | The cited Zoom recording features are artifact-based; the documentation does not establish an equivalent no-recording Smart Recording mode. | Use the supported confidential-meeting configuration; no later Recap is available unless transcription or recording was enabled. |
Which post-meeting outputs are different?
Zoom and Teams both produce summaries, but their distinctive outputs point to different review habits.
| Output | Zoom | Teams |
|---|---|---|
| Summary or notes | Meeting summaries and AI note-taking are plan-dependent Workplace features. | AI-generated notes appear in Intelligent Recap when the license and meeting artifacts qualify. |
| Navigation | Smart chapters and recording highlights organize a cloud recording. | Speaker and timeline markers help navigate Recap. |
| Tasks and next steps | Smart Recording can surface next steps; in-meeting questions can be prompted for action items. | Copilot can suggest follow-up tasks in live assistance and Recap. |
| Conversation analytics | Documented metrics include talk speed, talk-listen ratio, monologue length, filler-word use and patience. | The cited Teams Recap documentation emphasizes notes, tasks and navigation rather than these named speaking metrics. |
| Audio review | Highlights and chapters point back to the recording. | An audio recap can combine transcripts from up to eight meetings. |
Choose Zoom when the recording itself is the object you want to inspect. Choose Teams when a project already lives in Teams and participants need a recap that combines notes, tasks and transcript navigation.
How do plans and licenses limit these features?
Plan names and entitlements change, so verify the customer’s region, account type and billing option on the current official pages before purchase. The documented comparison is:
| Product and tier | Meeting-summary access | In-meeting questions | Other documented gate |
|---|---|---|---|
| Zoom Workplace Basic | Limited number of meeting summaries | Limited number of in-meeting questions | Recording-analysis features still require their cloud-recording and transcript prerequisites. |
| Zoom Workplace Pro | Unlimited meeting summaries listed on the pricing page | Unlimited in-meeting questions listed on the pricing page | Exact availability can vary by region or industry. |
| Zoom Workplace Business | Unlimited meeting summaries listed on the pricing page | Unlimited in-meeting questions listed on the pricing page | Exact availability can vary by region or industry. |
| Microsoft Teams with Copilot | Depends on Copilot licensing, meeting artifacts and tenant settings | Depends on Copilot licensing, meeting context and organizer settings | Copilot does not work in meetings hosted outside the participant’s organization. |
| Microsoft Teams with Teams Premium | Intelligent Recap is available with a Teams Premium license when meeting conditions are met | Live Copilot questions require the applicable Copilot capability and meeting configuration | Many recap controls still require a transcript or recording. |
Zoom’s pricing page also lists AI note-taking inclusions and limits, but the allowance is plan-specific and time-sensitive. Treat the current account page, not an old screenshot or reseller summary, as the authority for a purchase decision.
What are the privacy and retention trade-offs?
Microsoft documents a concrete retention rule: meeting transcripts expire after 120 days unless the organizer deletes them sooner. That expiry affects transcript-based questions, Recap and audio recap because those features rely on the saved transcript.

Microsoft also warns that organizational retention policies may retain Copilot prompts and responses, including in a live configuration that does not record or transcribe the meeting. Administrators should map those policies to the organization’s legal, HR and confidentiality requirements.
For Zoom Smart Recording, the cited documentation says Zoom does not use customer audio, video, chat, screen sharing, attachments or other communication content to train Zoom or third-party AI models. That statement is specific to the documented feature and data scope; it should not be expanded into a blanket claim about every Zoom product or processing activity.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Which assistant is better for common meeting scenarios?
Choose Zoom for recording libraries and coaching
Zoom is the better fit when meetings are routinely cloud-recorded and the team wants chapters, highlights, next steps and named speaking analytics. It is also a natural match for participants who need to ask concise questions during a call and for organizations that want more than a plain transcript after the meeting.
Choose Teams Copilot for live, sensitive collaboration
Teams is the better fit when participants need live notes and tasks in a supported confidential-meeting mode without creating a recording or transcript. The organization must accept that this mode does not produce a later Recap and that prompts and responses may still be subject to retention policy.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesChoose Teams for an existing Teams-based project archive
If project discussions, transcripts and follow-up work already live in Teams, Intelligent Recap and audio recap can reduce the need to switch systems. Confirm that the organization has the required Copilot or Teams Premium license and that transcripts or recordings will remain available long enough for the intended review cycle.
Do not choose on AI claims alone
The reviewed documentation does not establish an independent accuracy benchmark, measured time savings or a head-to-head laboratory test. Base the decision on artifact requirements, licensing, retention and workflow fit, then run a controlled pilot with representative meetings.

How can a team check an AI-generated meeting record?
Use a human review before treating either product’s output as official minutes.
- Verify decisions. Replay the relevant recording segment or check the transcript for every approval, rejection and deadline.
- Check speaker attribution. Names and pronouns can be assigned incorrectly, especially when people interrupt or use shared microphones.
- Confirm task ownership. Ask each listed owner to acknowledge the task and due date in the team’s normal work system.
- Mark uncertainty. If a summary is ambiguous, link reviewers to the timestamp or transcript passage rather than silently editing the decision.
- Apply retention rules. Keep the approved record only as long as company policy and applicable law require.
What should you verify before switching plans?
- Whether your Zoom account is Basic, Pro, Business or another eligible Workplace edition.
- Whether cloud recording and audio-transcript processing are allowed for the meetings you need to analyze.
- Whether your Teams tenant has Microsoft Copilot or Teams Premium and whether organizers permit the required meeting modes.
- Whether meetings with external organizers are part of your workflow, because Copilot does not work in meetings hosted outside the participant’s organization.
- How long transcripts, prompts and generated responses are retained under organizational policy.
- Which languages your participants need for live questions and generated outputs.
What is the bottom-line choice?
Pick Zoom when your priority is turning cloud recordings into structured chapters, highlights, next steps and conversation analytics, with live questions as a companion feature. Pick Teams Copilot when live assistance and Teams-based Recap matter more, especially when a supported confidential-meeting mode can provide notes and tasks without recording. In either case, licensing and meeting artifacts determine the result, and a person should validate AI-generated content before it becomes the official account of a meeting.

Frequently Asked Questions
Can Microsoft Copilot be used in a meeting hosted by another organization?
Microsoft’s documented limitation is that Copilot does not work in meetings hosted outside the participant’s organization. If cross-organization meetings are routine, test the exact guest and organizer arrangement before promising Copilot coverage.
How many meetings can a Teams audio recap combine?
Microsoft says an audio recap can compile transcripts from up to eight meetings. The meetings still need usable transcripts, and transcript availability is affected by retention and deletion settings.
Does Zoom support meeting questions in languages other than English?
Zoom states that its meeting questions, meetings and responses support more than 30 languages. Confirm the specific language list and account availability for your region before deploying it to a multilingual team.
Should an AI meeting summary be treated as official minutes?
No. Review names, decisions, dates and task owners against the transcript or recording first. Both vendors’ documentation frames these outputs as generated assistance, not guaranteed verbatim records.
