Short answer: Choose Fathom if you want the strongest free-first option, Fireflies if your priority is cross-platform search and task workflows, Otter for inexpensive live transcription, Granola for bot-free device-audio capture, or Google Meet and Microsoft Teams native tools when your organization already licenses those ecosystems. The right choice depends less on a generic accuracy claim than on where meetings occur, whether a bot may join, how much transcription you need, where action items must go, and what your administrator allows.
Which Zoom AI Companion alternative should you choose first?
Start with the meeting environment and the destination for follow-up work. A free individual user will usually get the most usable package from Fathom; a team connecting several conferencing platforms and task systems should examine Fireflies; a heavy live-transcription user on a budget should examine Otter; and a participant who cannot or does not want a meeting bot should examine Granola. If nearly every meeting is already in one managed ecosystem, the native Google Meet or Teams assistant may create less administrative overhead.

Is Fathom the best free-first alternative?
Fathom is the clearest starting point when unlimited individual recording and transcription matter more than a large integration catalog. Its official pricing lists unlimited recordings and transcriptions, instant AI summaries, clips, playlists and search on the free plan, plus bot-free capture in beta.

What the free plan is good for
An individual can build a searchable meeting library without budgeting transcription credits each month. Clips and playlists are useful when a team needs to share selected decisions rather than an entire transcript. Bot-free capture in beta can also reduce the social friction of adding an automated participant, although beta behavior and availability can change.
When Team or Business becomes necessary
Team is listed at $15 per user per month when billed annually or $19 month to month, with a two-user minimum. It adds AI-generated action items and collaboration, so a two-person minimum costs at least $30 per month on annual billing before taxes or regional adjustments. Business is listed at $25 per user per month annually or $34 monthly and adds CRM field sync and coaching metrics. Choose Business only when those CRM and coaching functions justify the higher recurring cost; the free plan already covers the basic capture and summary use case.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →When is Fireflies the better cross-platform workflow?
Fireflies is the strongest fit when meetings span Zoom, Google Meet and Teams and the output must become tasks rather than remain a page of notes. Its free plan lists support for all three platforms, real-time notes, live transcription, search, AskFred, transcription in more than 100 languages and 400 minutes of team storage.
What Pro adds
Pro is listed at $10 per seat per month with annual billing or $18 monthly. It adds unlimited summaries, action items, a task manager and unlimited integrations. That combination makes it easier to turn a decision into an assigned task and then pass it to another system, instead of asking someone to copy action items manually.
What to check before standardizing it
“400 minutes of storage per team” is a storage allowance, not a promise of 400 minutes for every user. Confirm how your workspace counts storage, what happens when it fills, and whether your preferred meeting capture requires an in-call participant. Also test language, speaker names and search on the accents and terminology your team actually uses; the published language count does not establish equal performance in every language.
Is Otter the most economical choice for live transcription?
Otter is a practical budget choice when people need text while a meeting is happening, not just a polished summary afterward. Basic supports Zoom, Microsoft Teams and Google Meet and includes live transcription, speaker identification, AI chat, workflows and 300 transcription minutes per month.
Free tools Windows power users keep installed
One-click scans. No signup required.
Basic versus Pro
Pro is listed at $16.99 per user per month when paid monthly, or $8.49 per user per month on the annual view. Pro adds advanced workflows, meetings of up to 90 minutes, advanced search and integrations with Salesforce, HubSpot and Zapier. The annual-view figure is a monthly equivalent for annual billing, not a one-month commitment at that rate.
Who should avoid it
Basic can run out quickly for people with several long meetings each week. If you need unlimited summaries or a task manager rather than a live transcript, Fireflies may fit the workflow better; if you cannot allow a bot or any in-meeting capture participant, examine Granola or a native assistant instead. These are workflow distinctions, not claims that one service has universally higher transcription accuracy.

Does Granola solve the meeting-bot problem?
Granola is the most direct option for bot-free capture because it records device audio rather than joining the conference as a visible participant. Its Basic plan includes AI meeting notes, limited history, cross-meeting chat, shared folders and templates.
What device-audio capture changes
Participants do not have to admit an additional automated attendee, and a meeting platform’s bot policy is less likely to block capture. The trade-off is that the application must hear the meeting through the device, so microphone routing, headphones, speaker volume and operating-system permissions affect the result. Bot-free does not mean invisible or consent-free: the people in the room are still being recorded or transcribed.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesBusiness capabilities
Granola Business is listed at $14 per user per month. It adds unlimited history, integrations with Attio, Notion, HubSpot, Affinity and Zapier, plus API and MCP access. Those options are useful when notes need to feed a knowledge base or an automation, but they also increase the number of systems where sensitive meeting content may be stored. Define access and deletion rules before enabling every connector.
Should you use Google Meet or Teams’ native assistant instead?
Use the native assistant when most meetings already run in one platform, the required license is already owned, and administrators want one policy surface. Native tools avoid introducing a separate transcript repository, but they are not automatically free and their compliance behavior is governed by the platform administrator.
Google Meet Take notes for me
Google says Take notes for me automatically captures organized notes in Google Docs, displays “Summary so far” during the meeting and emails the organizer a recap link. It requires an eligible Google Workspace edition or Google AI plan. An administrator may require explicit participant consent for notes, recording or transcription, so publish a standard notice and test the setting in a non-sensitive meeting before broad deployment.
Microsoft Teams intelligent recap
Teams intelligent recap provides AI meeting notes, recommended tasks, speaker markers and timeline markers. Microsoft documents a Teams Premium or Microsoft Copilot license requirement, along with additional policy prerequisites. Copilot prompts and responses may be retained under Microsoft Purview policies even when recording or transcription is turned off; retention therefore needs to be reviewed with the compliance owner rather than inferred from the meeting’s recording icon.
What is the difference between a visible bot, device audio and native capture?
The capture method determines participant expectations, failure modes and administrative work. Choose it before comparing summary features.
Visible or platform-connected capture
A service connects to the conference using the meeting platform’s participant or integration model. This can provide a clean audio feed and centralized processing, but hosts may need to admit the participant, guests may object, and organizational settings can block automated attendees. Confirm the exact join behavior for every platform your team uses.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
Bot-free device audio
The application listens to the computer’s audio path. It avoids adding a participant but depends on local permissions and sound routing. A laptop muted to prevent echo, a Bluetooth device that exposes only microphone audio, or a meeting played on another device can produce an incomplete transcript.
Native platform assistance
The conferencing provider controls capture, storage and recap surfaces. This often simplifies identity and access management, but eligibility, licensing, data residency and retention follow the provider’s enterprise policies. Native does not mean policy-free.
Where do action items and follow-ups actually go?
A summary is useful only if someone can find the decision, owner and due date afterward. Compare the destination, not just the writing style of the recap.
In-app task management
Fireflies Pro explicitly adds a task manager and action items. Fathom Team adds AI-generated action items and collaboration. These are appropriate when the team is willing to work inside the meeting assistant rather than synchronizing every task to a separate system.
CRM and automation destinations
Fathom Business adds CRM field sync. Otter Pro lists Salesforce, HubSpot and Zapier integrations. Granola Business lists Attio, Notion, HubSpot, Affinity and Zapier, as well as API and MCP access. Integrations reduce retyping but can duplicate records, expose confidential notes to additional administrators or create tasks without a clear owner. Start with one destination and a narrow field mapping.
Document-first recaps
Google Meet places notes in Google Docs and emails the organizer a recap link. This is a good fit when the official record belongs in Drive, but a document alone does not guarantee that someone will create and track a task. Add a meeting template with owner, due date and decision fields if your process requires accountability.
How much will these alternatives cost?
Prices below are the figures listed on the vendors’ current pages accessed in 2026. Annual-view prices are monthly equivalents under annual billing; monthly prices can be higher, and taxes, currency conversion, regional availability and later plan changes can alter the checkout total.
| Plan | Listed monthly equivalent | Important condition | What the paid tier adds for this use case |
|---|---|---|---|
| Fathom Team | $15/user/month annual or $19 monthly | Two-user minimum | AI action items and collaboration |
| Fathom Business | $25/user/month annual or $34 monthly | Higher tier | CRM field sync and coaching metrics |
| Fireflies Pro | $10/seat/month annual or $18 monthly | Per-seat billing | Unlimited summaries, action items, task manager and unlimited integrations |
| Otter Pro | $8.49/user/month annual view or $16.99 monthly | Annual-view amount assumes annual billing | Advanced workflows, up to 90 minutes per meeting, advanced search and listed integrations |
| Granola Business | $14/user/month | Billing cadence is not further specified in the cited figure | Unlimited history, listed integrations, API and MCP |
For a five-person team, the annual-view monthly equivalents would be $75 for Fathom Team, $50 for Fireflies Pro, $42.45 for Otter Pro and $70 for Granola Business, before taxes and subject to each vendor’s billing terms. Fathom’s two-user minimum matters only when the team has fewer than two seats; it does not reduce the five-seat calculation.

What should you check about consent, privacy and retention?
Consent and retention are purchasing requirements, not afterthoughts. Every option captures conversation content, and the legal and policy obligations depend on participant location, meeting subject, employment rules and your organization’s notices.
- Tell participants what is captured: identify the note taker, whether audio or video is processed, the purpose and where the output will be stored.
- Use the platform’s consent control: Google documents that administrators may require explicit consent for notes, recording or transcription. Do not assume a meeting invite is sufficient notice.
- Review secondary data: Microsoft documents that Copilot prompts and responses may be retained under Purview policies even when recording or transcription is off.
- Limit distribution: restrict transcript and recap access to attendees or the project group, and avoid sending full transcripts to a broad mailing list.
- Set deletion rules: decide how long raw audio, transcripts, summaries and exported tasks remain available, then verify that the product and connected systems can enforce the rule.
- Check sensitive meetings: exclude legal, medical, personnel, customer-confidential or regulated discussions unless the responsible owner has approved the specific configuration.
The cited plan descriptions do not establish a common security, residency or retention standard across the third-party products. Obtain current documentation for SSO, SCIM, encryption, audit logs, data processing terms and deletion before making a procurement decision.
Recommended Free Tools
How can you deploy a meeting-note alternative without creating chaos?
A short, controlled pilot reveals more than a feature checklist. Use the following sequence for a two-week evaluation.
- Inventory meetings: record which percentage use Zoom, Google Meet and Teams; typical duration; number of speakers; languages; and whether meetings contain confidential material.
- Choose the capture constraint: mark meetings where bots are prohibited, where device-audio capture is impractical, and where a native assistant is already licensed.
- Define the required output: specify whether every recap needs decisions, owners, due dates, risks, unanswered questions or a CRM update. A generic “summary” makes products appear interchangeable when they are not.
- Configure consent: create a spoken and written notice, enable any administrator consent requirement, and tell participants how to request that capture stop.
- Run matched meetings: use the same meeting type, agenda and number of speakers across two candidates. Have a human mark the decisions and tasks so you can compare omissions without claiming a universal accuracy winner.
- Test the handoff: create one task, one CRM update or one document recap and verify the owner, due date, permissions and audit trail.
- Measure operational effort: count minutes spent correcting names, deleting irrelevant text, assigning owners and locating prior decisions. A tool that produces attractive notes but requires extensive cleanup may cost more than its subscription.
- Document exceptions: list meeting types that must remain manual and add them to the calendar or recording policy before rollout.
What commonly fails, and how do you fix it?
The assistant never captures the meeting
Check that the meeting platform allowed the connection, the host admitted it when required, the correct account was authorized and the device-audio application had microphone and system-audio permissions. For native tools, confirm the Workspace, Teams Premium or Copilot license and administrator policy.
The transcript stops early
Look for free-minute or meeting-duration limits, a full storage allowance, a disconnected browser tab, a sleeping laptop or a changed audio device. Otter Basic’s 300 monthly minutes and Fireflies Free’s 400 minutes of team storage are finite allowances, not unlimited service.
Names and speakers are wrong
Use a short introduction with each person’s name, keep microphones close to one speaker where possible and correct the transcript before exporting tasks. Speaker identification is a listed Otter feature, but no source establishes that it is perfect in every room or accent.
Action items are vague
Give the assistant a structured template requiring an owner, verb, deliverable and date. Then have the meeting owner approve the list. AI-generated action items are a drafting aid; they should not silently create commitments in a CRM or task system.
Participants object to recording
Pause capture, explain the purpose and offer a manual-notes path. A bot-free method removes an automated attendee, not the need for informed agreement. Keep a list of meeting categories that require no automated capture.
Best Value
Is one service objectively more accurate than the others?
No apples-to-apples independent transcription benchmark is established by the cited official material. Accuracy changes with language, accents, overlapping speech, microphones, terminology and meeting platform, so choose using a controlled pilot and your own correction time rather than a universal ranking claim.
What was Zoom’s own baseline before switching?
Zoom describes My Notes as capturing conversations on Zoom, in person, on mobile and across third-party platforms. Its Basic tier lists three hosted meeting summaries per month and three My Notes uses per month. The paid ZoomMate tier lists unlimited AI note-taking, custom meeting-summary templates and automated post-meeting deliverables such as Salesforce updates and follow-up emails. This baseline is useful for deciding whether an alternative is solving a capacity, capture or workflow problem rather than simply adding another transcript app.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
How do you make the final choice?
Pick the narrowest product that satisfies your hardest constraint. Fathom is the free-first starting point, Fireflies is the cross-platform task-workflow candidate, Otter is the lower-cost live-transcription candidate, Granola is the bot-free candidate, and Google Meet or Teams is the governance-friendly candidate when the required license is already in place. Revisit the decision when your meeting platforms, retention policy or follow-up destination changes.
Frequently Asked Questions
Can I calculate the cost for a five-person team before buying?
Using the listed annual-view monthly equivalents, five seats would be $75 for Fathom Team, $50 for Fireflies Pro, $42.45 for Otter Pro or $70 for Granola Business. Those figures exclude taxes and assume the vendors’ stated billing conditions remain available at checkout.
Will attendees know that an AI assistant is present?
It depends on the capture method and your configuration. A platform-connected assistant may appear as a participant, while device-audio capture may not add a participant; native assistants can display platform notices or administrator-controlled consent prompts. Establish a consistent verbal notice instead of relying only on an icon.
What should we do if our company blocks meeting bots?
Ask the administrator whether a native Meet or Teams assistant is approved, or pilot a device-audio workflow on meetings where policy permits it. Do not bypass a block by using an unapproved recorder; route the exception through security and privacy review.
