Windows 11 backup preferences are managed in Settings > Accounts > Windows backup. From that page you can choose which standard folders synchronize through OneDrive, whether Windows remembers installed apps, and which categories of settings sync to your Microsoft account. You can also turn each option off later, but removing settings already stored in the cloud is a separate action on your Microsoft Account Devices page.
The controls do different jobs and have different account requirements. OneDrive folder syncing handles files, while Remember my apps and Remember my preferences store recovery information in your Microsoft account. Personal Microsoft accounts have the broadest access; work or school accounts may not show all controls. The guide below explains what each switch does, how to change it, why a control may be unavailable, and how to clear previously stored settings.

Where are Windows 11 backup settings?
Open the Windows Backup page through the Accounts section of Settings:
- Open Settings from the Start menu or press Windows key + I.
- Select Accounts in the left navigation.
- Select Windows backup.
The page is divided into three areas: OneDrive folder syncing, Remember my apps, and Remember my preferences. Expand a category or open its management link to see the individual choices. If an item was already saved, Windows can label it Backed up and show its switch as unavailable. That status means the item is already represented in your account; it is not an indication that the setting failed.

What does each Windows Backup control save?
Use the control that matches the kind of information you want to carry to another Windows 11 device. Files, app records, and Windows preferences are stored or restored through different Microsoft services.
What is OneDrive folder syncing?
OneDrive folder syncing copies selected standard user folders into your OneDrive so the files are available on other devices signed in to the same account. Select Manage sync settings under OneDrive folder syncing to see the folder switches. Microsoft identifies these selectable folders:
- Desktop
- Documents
- Pictures
- Videos
- Music
This option concerns files in those folders, not a complete image of the Windows installation. It also depends on being signed in to OneDrive and having enough available OneDrive storage. If storage is insufficient, personalization preferences are not backed up, so resolve storage capacity before assuming that every selected item is protected.
What does Remember my apps do?
Remember my apps records the apps associated with your Windows experience and helps Windows offer to restore Microsoft Store apps when you set up a new device. It does not create a transferable copy of every program, installer, license, or application data file. Traditional desktop programs may still require their own installers, sign-ins, or migration procedures after a reset or new-PC setup.
What does Remember my preferences include?
Remember my preferences stores selected Windows configuration categories in your Microsoft account. Depending on the account and options exposed on your device, the list can include:
- Accessibility settings
- Accounts and passwords
- Language preferences and personal dictionary
- Personalization choices
- Other Windows settings
The “other” category can include device choices such as printer and mouse options, File Explorer settings, and notification preferences. Use the individual checkboxes rather than enabling the entire category when you want a narrower sync policy.

Choose folders to synchronize
- Go to Settings > Accounts > Windows backup.
- Under OneDrive folder syncing, select Manage sync settings.
- Turn on the switch for each folder you want synchronized: Desktop, Documents, Pictures, Videos, or Music.
- Turn off a folder switch if new changes in that folder should no longer be synchronized through this Windows Backup control.
- Close the management pane and check that the Windows Backup page reflects the choice.
Choose folders deliberately. A Desktop containing large installers, video files, or multiple local projects can consume OneDrive capacity quickly. If a folder contains work data, confirm that your organization’s storage and retention rules allow it before enabling synchronization.
Enable or disable app remembering
- On the same Windows Backup page, find Remember my apps.
- Turn the switch on to let Windows record installed-app information and offer Microsoft Store app restoration during setup.
- Turn it off when you do not want that app list associated with your account.
- Expand the category if Windows displays a status or a list of items already backed up.
Restoration is offered during setup or reinstallation, not necessarily immediately after changing the switch. You must sign in with the same Microsoft account on the destination PC for Windows to identify the saved app information.
Select preference categories
- Open Settings > Accounts > Windows backup.
- Expand Remember my preferences.
- Review the available checkboxes for accessibility, accounts and passwords, language preferences, personalization, and other Windows settings.
- Clear any category that should remain device-specific.
- Leave only the categories you want synchronized, then return to the main Windows Backup page.
Some categories can contain sensitive information, particularly accounts, passwords, and network credentials. On a shared or managed computer, consider leaving those categories disabled unless your account and security policy explicitly permit syncing them.
Crashes, No Sound, or Screen Glitches?

Make the decision by separating the information into files, apps, and settings, then checking where each type is stored and who can access the account.
| Control | Primary data type | Where it is stored | Typical use | Account limits |
|---|---|---|---|---|
| OneDrive folder syncing | Files in selected standard folders | OneDrive | Keep personal files available on another Windows device | Unavailable in the Windows Backup control for work or school accounts |
| Remember my apps | Installed-app information and Microsoft Store restoration data | Microsoft account | Offer app restoration during new-device setup | Unavailable for work or school accounts |
| Remember my preferences | Windows settings and selected preference categories | Microsoft account | Carry accessibility, language, personalization, and device choices between Windows devices | May be available to organizational accounts when the organization allows it |
The table reflects the function of each control, not a promise that every category appears on every edition or account. Windows presents the options that your account, administrator policy, and current configuration support.
Why is Remember my apps unavailable?
The most common reason is account type. Microsoft makes Remember my apps unavailable for work or school accounts in Windows Backup. Sign in with a personal Microsoft account if you need this consumer backup feature and your organization’s policy permits using one.
Do not confuse an unavailable switch with a temporary synchronization delay. If the account is organizational, waiting or restarting will not unlock the control. If the account is personal and the option is still unavailable, verify that Windows is using that account in Settings > Accounts, that the device has internet access, and that the Windows Backup page has finished loading. A managed device can also have policies that restrict consumer backup features; the administrator must change those policies.

Can work or school accounts use Windows Backup?
Support differs by control. The Windows Backup control does not provide OneDrive folder syncing for work or school accounts, and Remember my apps is unavailable for those accounts. Remember my preferences may appear when an organization allows the feature, but an administrator can limit or disable categories.
If you are signed in with an organizational identity, ask which account Windows Backup is using before changing settings. A personal Microsoft account and a work account can both be present on one PC, but data associated with one account will not automatically appear when you later sign in with the other.
How do I stop Windows 11 from backing up folders or settings?
Turn off the relevant switch or clear the specific preference checkbox. Stopping future synchronization and deleting information already saved in the cloud are separate tasks.
Stop OneDrive folder synchronization
- Open Settings > Accounts > Windows backup.
- Select Manage sync settings under OneDrive folder syncing.
- Turn off the switch for each folder you no longer want synchronized.
- Review the remaining folder switches so that only intended folders are enabled.
This changes the Windows Backup preference for synchronization. If you also need to manage copies already present in OneDrive, do that separately in OneDrive using the account and storage controls available to you.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Stop app and preference backup
- Return to Settings > Accounts > Windows backup.
- Turn off Remember my apps to stop recording app information.
- Expand Remember my preferences.
- Clear the individual categories you no longer want synchronized, or disable the category switch if Windows provides one.
A switch change controls future backup behavior. It does not by itself guarantee that previously stored cloud settings have been erased.
How do I delete settings already stored in the cloud?
Use the Microsoft Account Devices page when you want to remove old cloud-synced settings, rather than relying only on the Windows Backup switches.
- Open the Microsoft Account Devices page in a browser and sign in with the same Microsoft account used by Windows Backup.
- Find the section labeled Cloud synced settings.
- Select Clear stored settings.
- Confirm the deletion when prompted.
Clearing stored settings is a separate, broader cleanup action. It removes the settings Windows has retained for synchronization; it is not the same as deleting local files from Desktop, Documents, or another folder. If you only wanted to stop future syncing, use the switches in Settings and leave the stored data alone.

How does Windows restore apps and settings on a new PC?
During setup or reinstallation, sign in with the same Microsoft account that held the backup preferences. Windows can then offer to restore backed-up apps and settings. Files synchronized through OneDrive become available after you sign in to OneDrive with that account.
Recommended Free Tools
- Start Windows setup on the new or reinstalled PC.
- When prompted, sign in with the Microsoft account used on the previous device.
- Review the restore offer and select the available apps and settings you want to apply.
- Complete setup, then sign in to OneDrive to access synchronized files.
- Open Settings > Accounts > Windows backup on the new PC to verify which categories are enabled.
Restoration is account-based. Using a different Microsoft account, signing in only with a local account, or using an organizational account can produce a different restore experience. Applications that are not Microsoft Store apps may still need manual installation, and app-specific data is governed by that application’s own sync or export tools.
What should I check when a backup category is missing?
Work through these checks in order so you can distinguish an account limitation from a storage or policy problem.
- Confirm the account: Open Settings > Accounts and verify whether Windows is signed in with a personal Microsoft account or a work or school account.
- Check OneDrive sign-in: Personalization backup requires OneDrive sign-in and available storage.
- Check storage: If OneDrive storage is insufficient, personalization preferences are not backed up.
- Expand the category: An item marked Backed up may have an unavailable toggle because it is already stored.
- Check administration: Organization policies can suppress or restrict preference categories.
- Allow synchronization time: Keep the device online, then revisit the Windows Backup page to see whether status information updates.
If a setting remains unavailable after these checks, the limitation is likely tied to account eligibility or administrator policy rather than a hidden switch. On a managed PC, contact the administrator instead of attempting to bypass the restriction.
What are the privacy and security implications?
Backup preferences determine what follows your Microsoft account to another Windows device. Accessibility and language settings are generally low-risk, while accounts, passwords, Wi-Fi credentials, and personalization details can reveal more about how you use the PC. Enable only the categories that provide a clear benefit.
Protect the Microsoft account with a strong, unique password and multifactor authentication. Review which devices are listed on the account’s Devices page, especially before clearing cloud settings or handing a PC to another person. On a shared computer, use separate Windows accounts so one person’s preferences are not applied to another user’s profile.

- Decide on app recovery: Enable Remember my apps when Microsoft Store restoration is useful; plan a separate installer process for other applications.
- Document the account: Record which Microsoft account owns the backup so a future setup uses the same identity.
- Review after setup: On each new device, check Windows Backup and OneDrive status rather than assuming every category restored automatically.
This approach keeps the convenience of cross-device setup without treating Windows Backup as a complete disk-image or universal application-migration system.
What is the difference between turning backup off and clearing stored settings?
Turning a switch off changes what Windows will back up going forward. Clearing stored settings removes information that is already retained for synchronization through the Microsoft account. You may need both actions when retiring a device or removing data from cloud storage.
| Action | Where to perform it | Result | When to use it |
|---|---|---|---|
| Disable a folder | Settings > Accounts > Windows backup > Manage sync settings | Stops that folder from being selected for synchronization | You want local-only handling for future changes |
| Disable Remember my apps | Settings > Accounts > Windows backup | Stops app information from being used for backup and restore offers | You do not want app history associated with the account |
| Clear a preference category | Remember my preferences checkboxes | Excludes that category from future preference synchronization | Only selected settings should remain device-specific |
| Clear stored settings | Microsoft Account Devices page > Cloud synced settings | Deletes previously retained cloud-synced settings | You need account-level cleanup after disabling backup |
What are the practical limits of Windows 11 Backup preferences?
Windows Backup is designed to make a personal Windows setup easier to reproduce, not to replace every form of backup. OneDrive folder syncing covers selected standard folders rather than arbitrary directories. Remember my apps focuses on installed-app records and Microsoft Store restoration. Remember my preferences covers listed Windows categories, not every application’s internal database or every system component.
Keep an independent copy of irreplaceable files and use an application’s export or synchronization feature for data that Windows Backup does not cover. Before resetting a PC, verify that important files are visible in OneDrive and that you can sign in to the Microsoft account. A backup preference that is enabled but blocked by insufficient storage, account restrictions, or administrator policy should not be treated as a confirmed recovery copy.
Frequently Asked Questions
Does Windows 11 Backup create a full system image?
No. The Windows Backup page focuses on selected OneDrive folders, app-restoration information, and supported Windows preference categories. A full disk or bare-metal image requires a separate imaging strategy.
Will desktop programs reinstall automatically after I turn on Remember my apps?
Remember my apps helps Windows restore Microsoft Store apps during setup. Programs installed from other sources can require their own installers, licenses, updates, and data migration steps.
Can I use a local Windows account with these backup features?
The restore experience depends on the Microsoft account that owns the saved data. A local account does not provide the same account-based synchronization and restore flow until you sign in with the appropriate Microsoft account.
What happens if two PCs use different Microsoft accounts?
Each account has its own saved app and preference information. Settings and restore offers from one account do not automatically appear when the second PC is signed in with another account.
