To modify Windows 11’s built-in backup choices, open Settings > Accounts > Windows backup. From there you can change which supported user folders sync through OneDrive, decide whether Windows remembers your installed-app list, and select the categories of preferences it stores for your account. You can reach the same controls in the Windows Backup app by searching for “backup” from Start.
These settings are different from File History. Windows Backup and OneDrive are aimed mainly at carrying folders, app lists, and Windows preferences to another sign-in or PC, while File History keeps earlier versions of personal files on an external drive or network location. Choose the configuration according to whether your priority is synchronized setup, cloud folder protection, or versioned local recovery.

The Windows 11 page groups three separate kinds of protection rather than one single “back up everything” switch:
- OneDrive folder syncing: controls the supported user folders that can be synchronized, including Desktop, Documents, Pictures, Videos, and Music.
- Remember my apps: stores an app list so Windows can remember the apps associated with your account. Microsoft says this control is unavailable for work or school accounts, and Windows does not remember apps for those accounts.
- Remember my preferences: lets you select categories such as accessibility, account and Wi-Fi information, personalization, language preferences, and other Windows settings.
The controls are independent. You can synchronize selected folders while leaving app-list backup off, or remember preferences without enabling every folder. Personalization backup requires you to be signed in to OneDrive and to have enough available OneDrive storage.

How do I open Windows Backup in Windows 11?
The primary control surface is Settings > Accounts > Windows backup. Microsoft also provides the same controls in the Windows Backup app.
- Open the Start menu and select Settings.
- Select Accounts in the Settings sidebar.
- Choose Windows backup.
- If you prefer the app, search for backup from Start and open Windows Backup.
If an option is missing, greyed out, or cannot be changed, do not assume that the installation is damaged. Work or school account policy can restrict these choices; Microsoft recommends contacting your IT administrator when organizational settings prevent access.

How do I change which folders Windows 11 backs up?
Folder choices are managed through OneDrive folder syncing. In Windows Backup, use Manage sync settings under the OneDrive folder-sync section, then turn individual supported folders on or off.
Change folder selection from Windows Backup
- Go to Settings > Accounts > Windows backup.
- Find the OneDrive folder-sync area and select Manage sync settings.
- Review the available folder switches.
- Toggle the folders you want synchronized: Desktop, Documents, Pictures, Videos, and Music.
- Close the page after making the selection. Reopen it if you need to confirm the switches show the intended state.
This control is per supported user folder, not a general-purpose folder browser. The documented Windows Backup interface identifies the five folders above; it does not provide a picker for an arbitrary folder elsewhere on a drive.
Change the same setting from the OneDrive client
You can reach the parallel control directly from the OneDrive cloud icon:
- Select the OneDrive cloud icon in the notification area.
- Open Help & Settings > Settings.
- Go to Sync and backup.
- Select Manage backup.
- Toggle the folders that should or should not be backed up.
The two routes expose the same type of folder decision, but the labels appear in different places. If you are following a support instruction that says “Manage backup,” use the OneDrive route; if it says “Manage sync settings,” use the Windows Backup page.
What folders can be selected?
The documented choices are Desktop, Documents, Pictures, Videos, and Music. Select only folders whose contents you want available through the OneDrive-based setup. Folder syncing is not the same as retaining a history of every earlier version of a file; that versioned recovery role belongs to File History, described below.
How do I stop Windows 11 from backing up my app list?
Turn off the Remember my apps control on the Windows backup page. This changes app-list backup separately from folder syncing and preference categories.

- Open Settings > Accounts > Windows backup.
- Locate Remember my apps.
- Switch it off if you no longer want Windows to retain your app list, or switch it on to allow that list to be remembered.
The documented feature is an app-list setting. It should not be read as a promise that an application’s complete installation files, local database, or user data are copied into the backup. Microsoft also states that the control is unavailable for work or school accounts, and that Windows does not remember apps for those account types.
How do I choose which Windows preferences are backed up?
Use the checkboxes under Remember my preferences. Rather than enabling or disabling all preferences as one block, select the categories that fit your privacy and convenience requirements.
Accessibility
Select the accessibility category when you want supported accessibility choices associated with your Windows setup to be remembered. This is useful when you regularly move between PCs and want the same accessibility configuration without re-entering every choice.
Accounts and Wi-Fi information
This category covers account-related settings and Wi-Fi information listed in the Windows Backup catalog. Wi-Fi profiles and web credentials are among the items identified in Microsoft’s catalog, so treat this switch as a convenience setting and review it against your organization’s security rules.
Personalization
Personalization covers the appearance-related choices exposed by Windows Backup. Microsoft notes that personalization backup requires a OneDrive sign-in and sufficient available storage. If the option cannot be enabled, check those two prerequisites before troubleshooting the Windows Backup page itself.
Language preferences
Enable this category when you want supported language choices to follow your account. It is separate from folder syncing, so changing Desktop or Documents does not automatically change language-preference backup.

Other Windows settings
This category is broader than the named groups. When organizational policy permits it, Microsoft says it can synchronize device settings such as printer and mouse options, File Explorer settings, and notification preferences. Because the category can include several device-level choices, review it separately rather than assuming it is limited to visual personalization.
What does “Other Windows settings” include?
“Other Windows settings” is a category for additional Windows configuration that does not fit the individually named groups. Microsoft gives printer and mouse options, File Explorer settings, and notification preferences as examples of settings that can synchronize when policy allows.

The exact availability can therefore vary by account and organization. If you are using a managed work or school account, the switch may be hidden or constrained even when it appears on a personal PC. A missing option is an account-policy question as much as a settings question.
Do work or school accounts change the available backup controls?
Yes. Organizational policy can hide or restrict Windows Backup choices. Microsoft specifically says that Remember my apps is unavailable for work or school accounts and that Windows does not remember apps for those accounts.
Other settings can also depend on policy. Microsoft advises contacting an IT administrator when options are unavailable, so do not work around a blocked control by repeatedly changing unrelated OneDrive settings. An administrator may have intentionally disabled synchronization of account, Wi-Fi, device, or notification information.
Do I need an external hard drive for Windows 11 backup?
You do not need an external drive for the Windows Backup controls that use OneDrive and your account. You do need an external drive or network location if your goal is File History, which continuously saves copies of personal files and lets you browse and restore earlier versions.
| Approach | Storage destination | What it protects | Account or policy requirements | Primary recovery goal |
|---|---|---|---|---|
| Windows Backup folder syncing | Microsoft cloud through OneDrive | Supported folders: Desktop, Documents, Pictures, Videos, and Music | OneDrive availability; account policy can affect controls | Keep selected folders available through the account and across devices |
| Remember my apps | Account-associated Windows backup service | Installed-app list | Unavailable for work or school accounts; those accounts do not have apps remembered | Remember which apps are associated with the setup |
| Remember my preferences | Account-associated Windows backup service | Selected categories such as accessibility, account and Wi-Fi information, personalization, language, and other Windows settings | Personalization requires OneDrive sign-in and sufficient storage; organization policy may limit categories | Carry supported Windows configuration to another setup |
| File History | External drive or network location | Continuously saved copies of personal files | Requires an available external drive or network location | Browse and restore an earlier file version after loss, damage, or accidental modification |
These approaches can complement one another. OneDrive synchronization helps keep selected folders available through the cloud, while File History addresses the separate problem of recovering an older copy of a file.
What is the difference between Windows Backup and File History?
Windows Backup is a configuration-and-account service with controls for folders, an app list, and Windows preferences. File History is a local or network versioning feature for personal files.
Use Windows Backup when your priority is setup continuity
Choose Windows Backup settings when you want selected folders, app-list information, or Windows preferences associated with your account. This is the relevant path when moving to another Windows 11 PC and wanting supported settings to be available without configuring every category manually.
Use File History when your priority is file-version recovery
Choose File History when you need earlier copies of personal files. Microsoft describes it as continuously saving copies to an external drive or network location, after which you can browse and restore versions from before a file was lost, damaged, or accidentally changed.

Use both when the risks are different
A cloud-synchronized folder and a versioned local copy solve different failure cases. Synchronization helps make selected current files available through the account; File History provides a way back to an earlier version. Neither description should be substituted for the other when planning recovery.
How should I configure Windows Backup for common situations?
Start with the recovery outcome you actually need, then enable only the controls that support it.
Moving to another personal Windows 11 PC
- Open Settings > Accounts > Windows backup.
- Use Manage sync settings to select the supported folders you want available.
- Enable Remember my apps if you want Windows to retain your app list and the account type permits it.
- Under Remember my preferences, select the categories you want carried over, such as accessibility, language, or personalization.
- Confirm that OneDrive is signed in and has enough storage if personalization backup is required.
Keeping only work files synchronized
- Open the OneDrive folder-sync controls.
- Select only the supported folder or folders that contain the work material you want synchronized.
- Review the preference checkboxes independently; folder selection does not automatically enable preference backup.
- If a work or school account blocks a setting, ask the organization’s administrator rather than changing account policy yourself.
Recovering an older version of a personal file
- Use an external drive or network location as the File History destination.
- Allow File History to save copies of personal files continuously.
- When a file is lost, damaged, or accidentally modified, browse the saved versions and restore the required one.
This scenario is not solved merely by turning on Remember my apps or a preference checkbox; those controls protect configuration information, not a browsable history of personal-file versions.
How can I verify that the new configuration is the one I intended?
Verification is easiest when you check each control family separately instead of looking for one overall status.
- Return to Settings > Accounts > Windows backup and confirm the folder choices under Manage sync settings.
- Check whether Remember my apps is on or off, keeping in mind that it will not be available for a work or school account.
- Expand Remember my preferences and inspect each selected category rather than relying on the section title.
- If personalization is selected, verify OneDrive sign-in and available storage.
- For folder decisions made in OneDrive, reopen OneDrive cloud icon > Help & Settings > Settings > Sync and backup > Manage backup and confirm the same folder state.
- Keep File History verification separate: its destination must be an external drive or network location, because it is not controlled by the cloud-sync switches.
Why is a Windows Backup option missing or unavailable?
The most common documented reason is account or organizational policy. Microsoft notes that work and school accounts can have different settings and specifically recommends contacting an IT administrator when options are unavailable.
The Remember my apps switch is absent
Check the account type first. Microsoft states that this control is unavailable for work or school accounts and that Windows does not remember apps for those accounts. On a personal account, reopen the Windows Backup page from Settings or search for the Windows Backup app from Start.

Confirm that you are signed in to OneDrive and that sufficient OneDrive storage is available. Both are stated prerequisites for personalization backup.
A folder is not listed
The documented folder controls cover Desktop, Documents, Pictures, Videos, and Music. A custom folder outside those supported locations is not represented by the Windows Backup folder list, so do not expect it to appear as an additional checkbox.

OneDrive and Windows Backup show different labels
Use the path that matches the interface in front of you. Windows Backup uses Manage sync settings; the OneDrive client uses Sync and backup > Manage backup. Both are folder-management routes, but they are presented in different shells.
What should I check before changing the switches?
- Identify the destination: decide whether the setting uses OneDrive or a local/network File History destination.
- Identify the protected item: distinguish a folder, an app list, a preference category, and a file-version archive.
- Check the account: personal and work or school accounts do not expose identical controls.
- Check storage: personalization requires OneDrive sign-in and sufficient available storage; File History requires an external drive or network location.
- Match the recovery goal: use account synchronization for setup continuity and File History for earlier file versions.
Making these checks first prevents a common configuration mistake: enabling a preference category when the actual requirement is recovery of an older document, or connecting an external drive when the requirement is simply to carry Windows settings to another PC.

Change one control family at a time and record the state you want. First adjust folder syncing, then review app-list backup, then inspect preference categories. Finally, verify OneDrive prerequisites or the File History destination according to the feature you changed.
Do not treat turning off a switch as proof that another feature has taken over its job. Disabling a folder-sync choice does not create a File History archive, and enabling File History does not select Windows preference categories. Each feature has its own destination and recovery purpose.
Windows 11 backup configuration checklist
- Open Settings > Accounts > Windows backup, or search for backup from Start to open Windows Backup.
- Use Manage sync settings to select Desktop, Documents, Pictures, Videos, and Music as needed.
- Use Remember my apps only when the account type supports it and an app list is the desired protection.
- Choose individual categories under Remember my preferences.
- Remember that Other Windows settings may include printer and mouse options, File Explorer settings, and notification preferences when policy permits.
- For personalization, confirm OneDrive sign-in and available storage.
- For File History, provide an external drive or network location and use it for earlier personal-file versions.
- If a work or school account hides a control, contact the IT administrator.
Frequently Asked Questions
Can Windows Backup protect a folder that is not in Desktop, Documents, Pictures, Videos, or Music?
The documented Windows 11 folder controls list those five supported user folders and do not describe a custom-folder picker. A folder outside that list therefore is not selectable from the Windows Backup folder panel.
Does Remember my apps copy an app’s files and saved data?
The documented control is for remembering an installed-app list. It does not promise a copy of each program’s installation files, local database, or user-generated data, so keep separate protection for important application data.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsWhy can personalization backup require OneDrive even when I only want Windows settings?
Microsoft lists OneDrive sign-in and sufficient available storage as prerequisites for personalization backup. If either condition is missing, the personalization category may not be available even though other preference categories are shown.
Can File History restore a setting such as a Wi-Fi profile or notification preference?
No. File History is described as saving copies of personal files to an external drive or network location for browsing and restoring earlier file versions. Wi-Fi information, notification preferences, and similar configuration categories belong to Windows Backup preferences instead.
