To reconcile UPI payments with a bank settlement, match each payment across your order or invoice ledger, the provider or acquiring-bank transaction report, the settlement or payout report, and the bank statement. A payment app’s “successful” label is only one status in that chain; it does not by itself prove that the merchant received confirmation or that the settlement reached the bank account. For banks and other participants, NPCI’s formal method is a daily three-way reconciliation of the NPCI feed, the UPI switch output, and core-banking-system records.
The practical aim is to locate each transaction, explain any difference, and leave an auditable result. A transaction can be successful at one stage but still await a payout, a beneficiary credit, or a matching bank entry. Keep those stages separate until the relevant records agree.

What does UPI reconciliation actually check?
Reconciliation is a controlled comparison of records from systems that describe different parts of a payment. The goal is to establish what happened to each transaction and whether the related funds reached the expected account—not to copy a single app status into the books.
Keep these four events distinct:
- Transaction status: What the UPI or payment system reports, such as approved, declined, pending, or reversed.
- Beneficiary credit: Whether the intended recipient’s account was credited.
- Merchant confirmation: Whether the merchant’s system or location received confirmation and associated the payment with the right order.
- Bank settlement: Whether the relevant settlement or payout was credited to the merchant’s bank account.
These events can disagree temporarily or remain inconsistent. Record a reconciliation outcome explicitly—for example, matched, unmatched, pending, reversed, duplicate, refund, or exception—instead of treating “successful” as a complete accounting result.

For a merchant, “matched” should mean that the order, provider transaction, settlement line, and bank credit can be connected or explained, not merely that two totals happen to be equal. A net bank credit may cover many customer transactions, while a single customer transaction may appear in one provider report and a later payout cycle. Keep both the transaction-level match and the cycle-level payout comparison visible.
Which records do I need?
A merchant should assemble a record for each leg of the payment: the sale, the provider’s transaction, the provider’s settlement or payout, and the corresponding bank credit. Also gather records that explain differences, including refunds, reversals, chargebacks, and adjustments.

- Order, invoice, or collections ledger: Your own record of what the customer was expected to pay and which order the payment belongs to.
- UPI provider or acquiring-bank transaction report: The transaction-level status and reference reported by the provider or acquirer.
- Settlement or payout report: The lines and cycle that show what was paid out, rather than merely collected or approved.
- Refund, reversal, chargeback, and adjustment records: Entries that may explain why a payout differs from the original collection total.
- Bank statement or bank-credit report: The record of credits actually posted to the settlement account.
For a bank-side reconciliation, NPCI’s UPI/OC No.17/2016-17 calls for a three-way comparison of the NPCI feed, the participant’s UPI switch, and its core banking system (CBS). The guidance covers approved and declined Pay, Collect, and Merchant transactions.
These are separate views, not interchangeable copies. The merchant’s order record identifies what was sold; the provider report indicates how the payment was processed; the settlement report shows what was included in a payout; and the bank statement confirms what posted to the account. Save the original files or exports with their reporting window and version. That makes it possible to revisit a match when a later report includes a reversal, correction, or final status.
How do I reconcile UPI payments step by step?
Use one clearly defined business date or settlement cycle, preserve the original source records, and work from individual transactions to the final bank credit. Exact report names, cutoffs, column labels, and portal steps vary by participant; there is no universal UPI export schema to assume.
- Fix the reporting window. Record the business date or settlement cycle, timezone, provider or acquirer, bank account, and report version. Label the timing when a transaction export and payout report cover different windows. NPCI describes daily settlement reporting and settlement cycles, but participant-specific cutoffs are not universal.
- Collect and retain the source files. Download or obtain the order ledger, transaction report, settlement or payout report, exception-related records, and bank statement. Bank participants should obtain the NPCI feed, switch output, and CBS records for the same reconciliation period.
- Normalize fields without discarding originals. Align dates and timezones, transaction references, amounts, debit and credit signs, status labels, refund references, and settlement-cycle labels. Keep each original value alongside any normalized value so a reviewer can trace how a match was made. Column names and formats depend on the bank, PSP, TPAP, or acquirer.
- Match transaction records. Start with the strongest shared identifier, normally the provider or bank transaction reference. Compare the amount, transaction date or cycle, payer or beneficiary context, and final status. Connect the matched provider record to the order or invoice.
- Investigate missing legs. Put unmatched records into an exception queue rather than silently dropping them. Useful queues include: order present but provider record absent; provider record present but order absent; provider success absent from settlement; settlement line absent from the bank statement; duplicate transaction or payout line; unmatched refund; debit with decline or reversal; and pending or deemed-approved payment awaiting final credit confirmation.
- Match the payout to the bank statement. Sum the settlement report for the applicable cycle and compare the expected bank credit after accounting for refunds, adjustments, fees, and other deductions disclosed by the relevant agreement or report. Do not assume gross customer payments equal the bank credit unless the records and agreement support that conclusion.
- Assign an outcome and keep evidence. Mark each item matched, unmatched, pending, reversed, duplicate, refund, or exception, and retain the source references and any correction history. For a bank participant, compare the network settlement position with internal reports and raise required adjustments for exceptions.
NPCI’s settlement process says banks should reconcile NPCI reports with their own reports and raise required adjustments for exceptional transactions. NPCI also states that merchant funds reach a pool bank account or the merchant’s bank account according to the merchant’s agreement with the acquiring arrangement.
At transaction level, use the provider or bank reference as the first matching key when it is available in both records. If it is missing or formatted differently, compare the other fields together rather than relying on amount alone: multiple customers can make payments of the same amount, and dates can differ across timezones or settlement cycles. Preserve the source values and document why an alternate match was accepted. Where the records do not establish a reliable match, keep the entry in the exception queue for investigation.

For the settlement-to-bank leg, reconcile the cycle total rather than expecting every individual UPI collection to appear as an individual bank credit. Start with the payout lines for the cycle and identify any refunds, fees, adjustments, or other disclosed deductions that affect the expected net amount. Then compare that figure with the bank statement entry or entries. If the report’s net payout and the bank credit do not agree, state the difference and the line items that explain it; do not force the books to balance by changing a transaction status.
How should I treat each UPI status?
A status is evidence about a particular stage, not permission to skip the remaining checks. Keep approved, declined, technical-decline, business-decline, reversal, pending, and deemed-approved records in distinguishable categories.
| Status or exception | Reconciliation treatment |
|---|---|
| Successful or approved | Match it to the order or invoice, then to the applicable settlement or payout line. Keep the settlement leg open if the provider report or bank statement does not yet show the corresponding amount. |
| Business decline | Keep it separate from a technical failure. NPCI describes business declines as customer or business-rule failures, including invalid credentials, an incorrect beneficiary, or a limit breach. |
| Technical decline | Keep it separate from a business decline. NPCI describes technical declines as arising from system or network unavailability. |
| Declined or failed, but the payer was debited | Treat the debit as a reversal exception and check for the corresponding reversal entry; do not file it as an ordinary decline. |
| Pending or deemed-approved | Leave it open until the beneficiary or acquiring side supplies a final outcome. NPCI’s guidance calls for reconciliation immediately after each settlement cycle, credit confirmation when the beneficiary was credited, and a return when the beneficiary cannot be credited. |
| Reversal or refund | Link it to the original transaction and verify the relevant account credit or merchant-side settlement deduction. A reversal file alone does not establish that the account entry or adjustment occurred. |
Do not collapse a pending or deemed-approved item into either “paid” or “failed” before the final outcome is known. Likewise, a business decline and a technical decline point to different kinds of failure, while a debit that remains after a decline needs separate reversal tracking. For every open status, retain the reference and the next evidence needed to close it: confirmation of credit, a return, or an account or payout adjustment.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesA successful provider status should be carried through the rest of the workflow rather than treated as the final result. If the order system is not updated, inspect the provider record and any callback or webhook record, then check the settlement report. This helps distinguish a missing order association from a missing settlement entry, and avoids asking a customer to repeat a payment solely because the merchant’s order display has not changed.
What are the reversal deadlines for a debited UPI payment?
RBI’s failed-transaction framework sets different outer limits depending on what failed: T+1 for a debited funds transfer where the beneficiary was not credited, and T+5 for a debited merchant payment where confirmation was not received at the merchant location. RBI states that these prescribed turnaround times are outer limits for resolving failed transactions.
| Case | Auto-reversal outer limit | Compensation for delay beyond the limit |
|---|---|---|
| Funds transfer debited; beneficiary not credited | T+1 | ₹100 per day beyond T+1 |
| Merchant payment debited; merchant location did not receive confirmation | T+5 | ₹100 per day beyond T+5 |
The ₹100-per-day figure and the T+1/T+5 limits are from RBI’s September 20, 2019, DPSS.CO.PD No.629/02.01.014/2019-20 framework. Apply the category that fits the transaction; do not substitute customer-facing wording from a different source for these transaction-specific limits.
For a merchant-confirmation problem, keep the original payment under review and avoid asking the customer to pay again while the first transaction remains unresolved. A settlement mismatch is not, on its own, evidence that a customer can reverse a completed payment.

These timelines concern the applicable failed-transaction cases; they do not turn every delayed payout or unmatched merchant report into an automatic reversal. Classify the incident first. If the payer was debited but the beneficiary was not credited in a funds transfer, use the T+1 category. If the payment was a merchant transaction and confirmation was not received at the merchant location, use the T+5 category. The relevant limit is an outer resolution time, and the compensation figure applies for delay beyond the applicable limit.
Why might a UPI payment be missing from the settlement report?
A successful transaction and a payout are different records. First identify which leg is missing, then investigate that system’s status and timing rather than assuming the transaction failed.
- Different reporting windows: The transaction export and payout report may cover different dates or settlement cycles. Check the recorded timezone, cycle, and participant cutoff before treating an item as absent.
- Provider success without a matching order: Check the provider status, callback or webhook record, and settlement report before making any decision about collecting again.
- Provider success without a payout line: Keep the item open and ask the provider or acquirer to account for the settlement leg.
- Payout line without bank credit: Compare the payout cycle and expected bank-credit date with the statement, then raise the specific discrepancy with the acquirer or provider.
- Amount difference: Reconcile refunds, adjustments, fees, and other deductions against the applicable agreement and report rather than comparing the bank credit only to gross collections.
- Duplicate or unmatched entry: Compare transaction references and cycle details, preserve both source rows, and document which record is considered the duplicate or exception.
Use the missing leg to route the investigation. An order with no provider record is different from a provider transaction with no settlement line; a settlement line with no bank credit is a payout-to-bank problem. Record what each system says and ask the responsible provider or acquirer to confirm or correct the particular gap. Do not rely on a generic “UPI successful” screen to explain a discrepancy between downstream reports.
Who should I contact about a UPI settlement mismatch?
For a merchant settlement discrepancy, the acquiring bank or payment provider is the practical counterparty because it handles the merchant settlement arrangement. For an individual payment complaint, the usual escalation begins with the UPI app’s TPAP or PSP and can proceed to the customer’s bank, NPCI, and then the applicable ombudsman route if unresolved.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Prepare a compact case file before escalating. Include the transaction ID, date and time, amount, payer or beneficiary details available to you, UPI app or PSP, merchant order ID if relevant, and the pertinent screenshot or report rows. For a provider or acquirer settlement query, send an exception table such as:
| Field | What to include |
|---|---|
| Reference | The transaction or settlement reference used to identify the item. |
| Expected and reported amounts | The amount expected and the amount shown in the relevant provider, payout, or bank record. |
| Settlement cycle | The cycle or reporting window being reconciled. |
| Bank-credit date | The date shown for the corresponding bank entry, or that no matching credit appears. |
| Status by system | The status in the order record, provider report, settlement report, and bank statement. |
| Requested correction | The specific confirmation, adjustment, or investigation requested. |
This makes the disputed leg visible and gives the counterparty enough context to investigate without implying that every participant uses the same portal or file format.
For an individual’s debit or failed-payment complaint, start with the app or TPAP and follow its published escalation path through the PSP and the customer’s bank. NPCI is a further step in that route, followed by the applicable ombudsman channel if the issue remains unresolved. A merchant should route a settlement-report or payout mismatch to the acquiring bank or payment provider rather than treating the customer’s app as the settlement counterparty.

Ask for a specific action: confirmation of the transaction’s final status, identification of the settlement cycle, confirmation of the corresponding bank credit, or correction of an identified adjustment. Quick wins for a faster PC:

Automation is most useful when it can cover the records and exceptions that matter to your operation; importing only transaction rows while ignoring settlement, bank, refund, and reversal records can make a process faster without making it complete. Compare an automated workflow with a manual one against these practical criteria:
- Source coverage: Can it bring together orders, provider transactions, settlement lines, bank entries, refunds, and disputes?
- Exception handling: Can it keep pending, deemed-approved, reversed, duplicate, and unmatched cases open and visible?
- Timing: Can it show same-cycle gaps and monitor items approaching the applicable T+1 or T+5 reversal limit?
- Auditability: Does it retain original references and source files, record adjustments, and support reviewer sign-off?
- Participant fit: Does it support the specific report formats used by your bank, PSP, TPAP, or acquirer?
- Escalation support: Can it assemble the transaction evidence needed for a provider or bank query?
A spreadsheet-based process can be sufficient for a small volume if it preserves source references, separates statuses, and tracks open exceptions through settlement. At higher volumes, automation can reduce repetitive matching, but compatibility with the actual participant reports and a reviewable exception trail matter more than automation alone.
A manual process and an automated process should be judged by the same control standard: can a reviewer trace a match from the original records, identify the unresolved leg, and see who followed up? A manual worksheet needs fields for source references, cycle, status, expected and reported amounts, and exception outcome. An automated tool should preserve the underlying records and make its matching rules and adjustments reviewable rather than hiding unmatched rows in a summary total.
There is no need to buy a device to perform this work. The essential inputs are report and account records. If evaluating a payment-gateway reconciliation or bank reconciliation software category, verify that the product supports the formats and participant relationships you actually use, that it can handle refunds and reversal exceptions, and that its India availability and terms suit your business. Do not assume compatibility or current partner terms from a generic product description.
What should a completed reconciliation show?
A useful close is not just a balanced total. It should show the reporting period and source files used, the transactions matched across the relevant systems, the settlement cycles and bank credits compared, and each remaining exception with its owner or next action. Keep refunds and reversals linked to the original payment, and preserve any adjustment record that changed the expected payout.
For a merchant, that produces a trail from order to transaction to payout and bank statement. For a bank participant, it supports the required comparison of NPCI feed, switch, and CBS records and the adjustment of exceptional items. If an item is pending, leave it visibly pending rather than closing it as paid or failed before final confirmation.

Frequently Asked Questions
Can I ask a customer to pay again when their UPI app shows successful but my order is unpaid?
Do not decide from the app label alone. Check the provider status, callback or webhook record, and settlement leg first; if the original transaction remains unresolved, a second collection can create a duplicate-payment problem.
Can a merchant reverse a completed UPI payment because it is missing from the bank settlement?
A missing settlement match does not itself establish that a completed customer payment is reversible. Raise the discrepancy with the acquiring bank or payment provider and verify the transaction and payout records before promising a reversal.
Are UPI settlement cutoffs and report columns the same at every bank?
No. Report formats, file names, portal workflows, and cutoffs are participant-specific, so use the definitions and timing supplied by your own bank, PSP, TPAP, or acquirer rather than applying another institution’s process.
What records should I compare to match UPI transactions with my bank settlement?
Connect the order or invoice ledger, provider or acquiring-bank transaction report, settlement or payout report, and bank statement. Keep refund, reversal, chargeback, and adjustment records available to explain differences.
What should I do if a UPI payment is debited but the merchant did not receive confirmation?
Keep the original payment under review and avoid duplicate collection while it is unresolved. RBI’s outer limit for a debited merchant payment without confirmation at the merchant location is T+5, with ₹100 per day of delay beyond that limit under the September 20, 2019 framework.

Not necessarily. The transaction report and settlement or payout report describe different stages, and a payout may reflect a settlement cycle. Reconcile the applicable payout lines and disclosed deductions to the bank credit rather than assuming every customer transaction is a separate bank entry.
The Bottom Line
Match UPI payments across the order, provider transaction, settlement or payout, and bank statement; keep pending, reversal, refund, and exception cases open until the relevant credit or adjustment is verified. For bank-side work, reconcile the NPCI feed, switch, and CBS daily. Treat report timing as participant-specific, and use the acquiring bank or provider for merchant settlement mismatches.
