Google Drive is the best starting point for most people because it combines persistent storage, link sharing and viewer/commenter/editor roles. Choose OneDrive if your household already runs on Microsoft 365 or Windows, Dropbox for mature shared folders or a separate finished-file delivery, iCloud Drive for an Apple-centered setup, Proton Drive when provider-inaccessible file contents are the priority, and WeTransfer for an occasional download that should expire. The right choice depends less on a headline storage number than on whether you need an ongoing workspace or a one-time handoff, how tightly you want to control recipients, and which devices and accounts you already use.

At a glance
Name Best for Key spec Free plan / price Checked
Google Drive General-purpose sharing and collaboration Viewer, commenter and editor roles; restricted or anyone-with-link access Up to 15 GB shared across Drive, Gmail and Photos Oct 2026
Microsoft OneDrive Microsoft 365 and Windows households Files private until shared; named people or links with adjustable permissions 5 GB Microsoft cloud storage; paid allowances vary by market and plan Oct 2026
Dropbox Ongoing shared folders plus separate delivery Shared links; Dropbox Transfer keeps delivery separate from collaboration 2 GB Basic storage; Basic Transfer allows 2 GB and expires after seven days Oct 2026
Apple iCloud Drive Apple-centered households Files app, Mac Finder, Windows File Explorer and iCloud.com access 5 GB shared iCloud storage; iCloud+ plans vary by market Oct 2026
Proton Drive End-to-end protection for file contents Encrypted files and names; passwords, expiry and revocation for shares 5 GB free; paid plans vary Oct 2026
WeTransfer Occasional, temporary one-way delivery Transfer allowance rather than permanent cloud storage Up to 10 transfers or 3 GB total in a rolling 30-day window; Free links up to three days Oct 2026

Which file-sharing service should you use?

Use a persistent drive when people need to return to the same files, add comments or edit together. Use a transfer service when the recipient only needs to download a finished copy and the link should disappear after a short period. Among persistent drives, Google Drive is the broadest default; OneDrive and iCloud Drive make the most sense when your devices and subscriptions already point to them, while Proton Drive puts stronger emphasis on provider-inaccessible content.

Storage figures are not interchangeable. Google’s allowance is shared by several Google services, Microsoft separates cloud storage from Outlook.com mailbox storage, and WeTransfer’s allowance measures data sent during a rolling window rather than space you keep online. The details below explain those differences before you send a link.

Why is Google Drive the best general-purpose starting point?

Google Drive is the easiest all-round choice when recipients may need to view, comment on or edit files over time. Google documents viewer, commenter and editor roles, plus restricted sharing or an anyone-with-the-link option, so you can match access to the job rather than handing every recipient the same rights. See Google’s storage explanation at Google Account storage help.

  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

What the free allowance really means

Google says each account includes up to 15 GB, shared across Drive, Gmail and Google Photos. It is not 15 GB reserved solely for files; a full mailbox or a large photo library can consume the same pool. Treat the number as an account-wide ceiling when deciding whether a permanent folder will fit.

How to choose a permission

  • Viewer: suitable for a reference copy that should not be changed.
  • Commenter: useful for feedback without making the file itself editable.
  • Editor: appropriate only when recipients must change content or manage files in a shared folder.

Editor access can be substantial, especially inside a shared folder, so use it for collaborators you trust. For a single delivery, a restricted link or named recipients is safer than a public link. A work or school administrator may also disable external sharing or limit the available choices.

When is Microsoft OneDrive the better fit?

OneDrive is the practical choice for a household already using Windows devices or a Microsoft 365 subscription. Files remain private until you share them; you can send a link or grant named people access and adjust permissions. Microsoft’s storage FAQ is the reference for current allowances and subscription rules.

Separate cloud and email quotas

The free Microsoft cloud allowance is 5 GB. Outlook.com’s separate 15 GB email allowance is not additional OneDrive file space. Keeping those pools distinct prevents a common mistake: assuming an apparently generous mailbox quota can hold more shared files.

Paid-plan timing matters

Microsoft lists US examples of 100 GB with Microsoft 365 Basic and 1 TB with Personal, but billing, currency and availability depend on market. Microsoft also documents a change to Family and Premium storage: new subscribers receive 2 TB of shared OneDrive storage from October 8, 2026, while existing subscribers receive it at renewal from May 2, 2027. Those dates do not automatically apply to every subscription, so check the plan shown in your account before relying on the larger pool.

When administrators control sharing

Organization-managed work or school accounts can remove sharing options or block external recipients. If a button is missing, the limitation may be an administrator policy rather than a fault with your file or browser. A personal account may be required for an external handoff.

What makes Dropbox useful for both folders and finished-file delivery?

Dropbox separates two jobs clearly: ordinary file or folder links support ongoing access, while Dropbox Transfer is designed to deliver a downloadable copy without turning the recipient into a collaborator. That split suits people who maintain a working folder but occasionally send a final export. Dropbox describes its sharing model at Dropbox sharing.

Shared links versus Dropbox Transfer

An ordinary shared link points to content that can remain available for collaboration according to the folder’s permissions. Dropbox Transfer is a delivery workflow: the recipient downloads a copy rather than joining the working folder. Do not assume the expiry attached to Transfer applies to every Dropbox link.

Basic limits and expiry

Dropbox Basic starts with 2 GB of storage. Dropbox’s help page, updated September 24, 2026, lists a 2 GB Basic Transfer limit and a seven-day Transfer expiry for Basic, Family and Plus. Those are Transfer rules, not a universal seven-day lifetime for shared folders or ordinary links.

Which Dropbox workflow to pick

  • Use a shared folder when a team needs the same files repeatedly or expects updates.
  • Use a standard link for a file that recipients can open without joining your folder, while checking its access setting.
  • Use Transfer for a finished package where download-only delivery is the point.

Is iCloud Drive best for an Apple-centered household?

Yes, especially when most recipients use Apple devices and your files already live in iCloud. Apple documents access through the Files app, Mac Finder, Windows File Explorer and iCloud.com, so an occasional Windows recipient can still reach a shared file. Apple’s current plan information is at Apple iCloud.

Understand the 5 GB pool

Free iCloud includes 5 GB shared across the broader iCloud account, including backups and photos. It is not a dedicated 5 GB file-sharing bucket. If device backups are large, available room for shared documents may be much smaller than the headline number.

Standard protection versus Advanced Data Protection

iCloud Drive is not end-to-end encrypted by default. Under Apple’s standard protection, Apple retains the keys for the relevant data. Optional Advanced Data Protection adds end-to-end protection for iCloud Drive, but it changes account recovery responsibilities and availability; confirm that the feature is enabled for the people and devices that need it rather than treating all iCloud links as equally private.

When iCloud sharing is the least-friction option

Choose it when a family already organizes documents in iCloud and wants them visible in the same Files or Finder workflow. If recipients use unrelated accounts or need a temporary, download-only handoff, a dedicated transfer service may be simpler.

When does Proton Drive make sense for privacy-sensitive sharing?

Proton Drive is the strongest fit when you do not want the provider to be able to read file contents. Proton documents end-to-end encryption for file contents and file names, along with encrypted sharing controls. Its current plan information is available at Proton Drive pricing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Sharing controls beyond a bare link

You can invite recipients or create links, then add a password, an expiration date or revocation. These controls let you issue a link for a specific purpose and withdraw it later instead of leaving an unrestricted URL active indefinitely.

What encryption does and does not cover

Proton says some metadata, including file size, is not end-to-end encrypted. That distinction matters when a project’s existence or dimensions are sensitive even if the contents are protected. Treat the service as strong protection for contents and names, not as a promise that every field around a file is hidden.

Storage and collaboration caveats

The free plan provides 5 GB. Maximum upload size depends on available storage, so the absence of a separate upload-size cap does not mean unlimited free capacity. Proton’s current plan information also mentions document and spreadsheet editors; older descriptions that portray the service as having no collaboration tools are no longer accurate.

When should you use WeTransfer instead of a cloud drive?

Use WeTransfer for an occasional, one-way delivery when the recipient needs to download a finished file and you do not need a permanent shared workspace. The sender uploads a copy; the original remains on the sender’s device. WeTransfer’s current allowance details are in its plan limits help page.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

Free is a transfer allowance, not storage

WeTransfer Free allows up to 10 transfers or 3 GB total in any rolling 30-day window. That 3 GB measures data sent during the window; it is not 3 GB of permanent cloud storage you can browse later.

Expiry is short by design

WeTransfer’s expiry guidance, updated September 30, 2026, says Free and Starter uploads can remain online for up to three days. Ultimate can keep transfers active longer. Tell recipients the deadline and upload again if they miss it; do not describe a Free link as a long-lived archive.

Email or link delivery

An email transfer sends the recipient an invitation, while a link transfer gives you a URL to distribute yourself. In either case, the workflow is delivery rather than collaborative editing. If the recipient must comment on a living document, use a persistent drive instead.

How do you share a file without giving away too much access?

Use the narrowest permission and the shortest useful lifetime. The exact labels differ, but the safety sequence is consistent across the services above.

  1. Decide whether the recipient needs collaboration. If they only need a finished copy, choose a download-oriented transfer. If they will revise or comment, use a persistent drive.
  2. Select named recipients when the material is sensitive. An anyone-with-the-link setting is convenient but easier to forward. Use it only when broad access is acceptable.
  3. Choose the least powerful role. Viewer is enough for reading, commenter for feedback, and editor only for trusted collaborators who must change content.
  4. Set an expiry or password where the service offers it. Proton Drive supports both; transfer products apply their own product-specific lifetimes.
  5. Check the account and organization policy. Work or school administrators can block external links or remove sharing choices.
  6. Send a test-sized, non-sensitive copy first when the recipient is unfamiliar. Confirm that the link opens for the intended account before sending the final material.
  7. Revoke or remove access when the purpose ends. This is especially important for links that were forwarded beyond the original recipient.

What are the main failure modes?

  • The recipient cannot open the link: the file may be restricted to named accounts, or an administrator may prohibit external sharing. Confirm the recipient address and account policy.
  • The service reports no space: check the account-wide pool. Google includes Gmail and Photos; iCloud includes backups and photos; Microsoft separates cloud storage from Outlook.com mail.
  • A transfer has disappeared: Dropbox Transfer and WeTransfer have specific expiry rules. A transfer deadline is not evidence that every shared link from that provider expired.
  • A collaborator changed more than expected: review whether the person has editor access, particularly inside a shared folder, and downgrade the role if they only need to read or comment.
  • A privacy assumption was wrong: distinguish end-to-end encryption for contents from protection of metadata, and distinguish Apple’s standard iCloud protection from Advanced Data Protection.

Offline alternative: when a USB drive is the better handoff

A physical drive can be useful when internet access is unreliable or the recipient needs a local copy immediately. SanDisk’s Ultra Dual Drive Go USB Type-C data sheet describes a dual USB-C/USB-A flash drive for compatible devices. Check the recipient’s ports and device compatibility before choosing it; not every phone accepts every USB drive. A USB handoff is a transport method, not a replacement for backup, version history or controlled revocation.

How we picked these six services

The selection uses provider-documented capabilities and everyday use cases rather than an independent speed or reliability benchmark. The criteria are:

  • Whether the product provides a persistent shared workspace or a temporary delivery workflow.
  • How clearly it distinguishes account quotas from transfer allowances.
  • Availability of named-recipient controls, link settings and role-based permissions.
  • Documented editing support versus download-only delivery.
  • Default and optional encryption arrangements, including metadata limits.
  • Fit with devices and accounts readers already use.
  • Plan, region and expiry details that materially change the decision.

Frequently Asked Questions

Can I use a shared folder for a one-time delivery?

You can, but a folder link is designed for continuing access and may remain available after the recipient downloads the file. For a finished handoff, a dedicated transfer workflow is easier to keep separate from your working material and its permissions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I do if a link was forwarded to the wrong person?

Open the item’s sharing controls, remove the unintended recipient or disable the link, then issue a new restricted share if needed. Services that support revocation make this safer than relying on the secrecy of an old URL.

Are file names protected as strongly as file contents?

Not universally. Proton documents end-to-end encryption for file contents and names but notes that some metadata, such as file size, remains visible; Apple’s iCloud protection depends on whether Advanced Data Protection is enabled.

Why does a service say I have space but still reject an upload?

The account quota may be shared with mail, photos or backups, leaving less room than the headline allowance suggests. Transfer products can also reject a send because a rolling-window allowance or transfer-size limit has been reached rather than because permanent storage is full.
