Document a changing startup website as a dated claim ledger, not a folder of screenshots. For each material statement, preserve the verbatim wording, page URL and section, visible dates (or the fact that none appears), UTC retrieval time, archived URL, linked files, and contemporaneous evidence that supports or contradicts it. Keep three findings separate: what the site displayed, when that version was publicly available, and whether the claim was supported when published.
This distinction prevents a common diligence error: treating an archived page as proof that its marketing was true. A reliable record combines the page’s content with its context and structure—its surrounding qualifiers, linked assets, relationships to other pages, and the business event that produced the wording.

A useful record answers three independent questions. Do not collapse them into a single “the company claimed X” conclusion.
- Display finding: What exact words, qualifiers, numbers, and links appeared on the site?
- Availability finding: When does the evidence show that version was publicly reachable?
- Support finding: What contemporaneous records supported, limited, or contradicted the statement when it was disseminated?
An archived capture is generally strong evidence of wording and availability at a point in time. It is weaker evidence of authorship, completeness, the underlying truth of the statement, or why the company later changed it. National Archives and Records Administration (NARA) web-records guidance describes trustworthy web records as a combination of content, context, and structure, with authenticity, integrity, audit trails, and protection from unauthorized alteration.

How do I define the claim universe?
Start with pages most likely to affect the investment thesis, then expand to linked material. Capture claims that are quantitative, comparative, customer-specific, regulatory, or central to a product capability before spending time on cosmetic copy.
Priority pages
- Home, product, feature, and pricing pages.
- Customer, case-study, testimonial, and logo pages.
- Security, privacy, compliance, trust-center, and data-processing pages.
- Leadership, company, impact, and performance pages.
- Press releases, investor pages, terms, and policy pages.
- Linked PDFs, images, product sheets, reports, and downloadable presentations.
Claims that deserve immediate capture
- Revenue, growth, user, customer, retention, accuracy, or performance numbers.
- “Only,” “first,” “largest,” “guaranteed,” or other comparative or absolute language.
- Named customer relationships, logos, endorsements, and case-study outcomes.
- Security certifications, regulatory approvals, geographic availability, and data-handling promises.
- Statements that define what a product can do, which version supports it, or when a feature became available.
Record a claim even when the page has no publication date. The absence of a visible date is itself a diligence fact; do not infer a date from a URL pattern, redesign, copyright footer, or visual style.
What fields belong in a claim ledger?
Use one row for each material claim rather than one row per page. A page can contain several claims with different scopes, evidence, and change histories.
| Field | What to record |
|---|---|
| Claim ID | A stable identifier that remains unchanged across revisions. |
| Verbatim claim | Exact text, including numbers, qualifiers, footnotes, punctuation, and nearby disclaimers. |
| Page identity | Page title, canonical URL, section heading, and the location of the statement on the page. |
| Linked assets | Every relevant PDF, image, spreadsheet, video, downloadable report, or external evidence link. |
| Dates and times | Visible publication or update date; UTC retrieval date and time; archive capture timestamp; and an explicit “no date shown” note where applicable. |
| Copies | Live-page copy, screenshot or printout, saved HTML/PDF where permitted, and archived-page URL. |
| Scope | Geography, customer segment, product version, denominator, measurement period, exclusions, and other qualifiers. |
| Evidence | Support cited by the startup and independent contemporaneous records you located. |
| Version comparison | Added, removed, narrowed, broadened, reworded, metric replaced, date changed, evidence link changed, or unchanged. |
| Status | Supported, partially supported, contradicted, stale, or unresolved. |
| Materiality | Potential effect on revenue, customers, product capability, regulatory posture, ownership, or the investment thesis. |
| Review trail | Reviewer, review date, open question, owner, and follow-up request. |
This field design operationalizes NARA’s content/context/structure model and USPTO guidance to preserve source URLs, archived copies, retrieval dates, and screenshots.
How do I capture the live website without losing context?
Capture the page before interpreting or summarizing it. The objective is to preserve what a reviewer could see, not merely an isolated image of a headline.
- Open the exact URL. Record the URL after redirects settle, plus the page title and section heading. Note login requirements, region-specific behavior, consent dialogs, and any error or maintenance message.
- Copy the surrounding text. Include headings, footnotes, qualifiers, definitions, “as of” language, and the paragraph before and after the claim.
- Record UTC retrieval time. Use a consistent UTC format, and keep the retrieval timestamp separate from any date printed on the page.
- Save linked assets. Follow every material PDF, image, report, or downloadable file and record its own URL, title, visible date, and retrieval time.
- Preserve the page structure. Save a printout or PDF and a screenshot when practical, while retaining the URL and a note about missing scripts, images, fonts, redirects, or interactive content.
- Describe what is not visible. State whether the page has no date, whether a claim is loaded only after interaction, and whether a paywall, login, geoblock, or broken asset prevented review.
NARA’s guidance emphasizes documenting changes to a website and retaining enough context to reproduce the business record. A screenshot without its URL, timestamp, surrounding text, and retrieval details is a weak record.
How can I find earlier versions of a startup page?
Use the Wayback Machine or another reliable archive to locate captures before and after the suspected change. The USPTO describes an archive capture as a web object with a timestamp and the original URL. That timestamp helps establish availability; it does not establish that the statement was accurate.

- Search the exact page URL, then search the domain for related product, pricing, customer, and policy pages.
- Open captures on both sides of the suspected change, not just the oldest result.
- Save the archived-page URL exactly as displayed, along with the archive timestamp and your own UTC retrieval time.
- Compare the archived page with the live page and with linked assets. An archive may omit scripts, images, PDFs, or redirects.
- Record gaps: a date range with no capture is not evidence that the page did not exist, and a missing asset is not evidence that it was never published.
When the publication date is unknown, USPTO guidance recommends relying on retrieval-date or availability evidence rather than inventing a publication date. Social-media accessibility and timestamps require case-by-case scrutiny, and some platforms are not archived reliably.
What belongs in an evidence packet?
For each important version, keep the source and archive identifiers together so another reviewer can reproduce the trail.
- Archived-page URL and original source URL.
- Archive capture timestamp and your UTC retrieval timestamp.
- Screenshot, printout, or PDF, plus saved HTML when lawful and technically useful.
- Notes on missing images, scripts, PDFs, redirects, consent overlays, login walls, and geoblocking.
- Copies or hashes of linked assets, with their own URLs and dates.
- A short description of what a reviewer can and cannot see in the capture.
- Access controls and an audit trail showing who collected, reviewed, or replaced a file.
Retain the current and historical versions together. Historical material should be clearly dated and separated from current copy; simply leaving old text accessible does not automatically mean it was republished.

How should I describe a website change neutrally?
Describe the change before judging its significance. Use labels that tell a reader what moved without implying intent.
| Neutral label | Use it when |
|---|---|
| Added claim | A material statement appears in the later version but not the earlier one. |
| Removed claim | The earlier statement is absent from the later version. |
| Narrowed claim | Scope, geography, customer set, denominator, product version, or time period becomes smaller or more qualified. |
| Broadened claim | The later wording covers more customers, uses, locations, or periods. |
| Replaced metric | The number, denominator, methodology, or measurement period changes. |
| Changed provenance | A citation, report, customer reference, or evidence link is added, removed, or replaced. |
| Reframed claim | Current copy presents a statement as historical, illustrative, projected, or conditional rather than current. |
| Unchanged | Wording and qualifiers remain materially the same across captures. |
Compare six dimensions: wording; scope and qualifiers; quantitative claims; dates and provenance; supporting evidence; and consistency with filings or other primary records.
How do I check the claim against primary records?
Use separate evidence streams instead of treating the website as the company’s complete record. The Department of Defense due-diligence guide identifies archives, website-change artifacts, the Wayback Machine, and SEC EDGAR as useful resources. SEC-related guidance warns that website information can change frequently or disappear, so reconcile it with formal records.
Useful corroboration sources
- Regulatory and corporate filings.
- Signed contracts, order forms, invoices, and customer references.
- Dated product documentation, release notes, and technical specifications.
- Independent test reports and methodology documents.
- Dated internal records supplied during diligence.
- Customer or market evidence obtained independently.
Rank evidence by proximity to the claim and its date: contemporaneous primary records first; the startup’s own dated documents next; archived captures after that; then independent customer or market evidence and secondary commentary. Keep the sources separate in the ledger so a later document cannot silently replace what was available when the statement was made.

Was the claim backed by evidence when it was published?
For advertising and performance statements, ask what substantiation existed before dissemination. The Federal Trade Commission states: “The reasonable basis doctrine requires that firms have substantiation before disseminating a claim.” Evidence assembled later may help evaluate the statement, but it does not substitute for the prior basis required at publication.
- Identify the first capture or dated company document showing the claim.
- Ask the company for the substantiation it held before that date, including methodology, sample, denominator, test conditions, and exclusions.
- Match the evidence to the exact wording and scope. A broad headline is not supported automatically by a narrower study.
- Record whether the support was contemporaneous, later-created, incomplete, or unavailable.
Do not infer intent from a wording change alone. A revision can reflect a launch, remeasurement, narrower scope, corrected language, expired campaign, or removal of an unsupported assertion. Reserve conclusions about intent for evidence that addresses intent.
How do I assess materiality and write the conclusion?
Separate the conclusion into display, support, and risk findings. This format keeps a factual change log from turning into an unsupported accusation.
Display finding
State the exact wording, page, section, qualifiers, and the captures or live retrievals that show it was displayed.
Support finding
Identify contemporaneous records that support, limit, contradict, or fail to establish the claim. State gaps explicitly rather than filling them with assumptions.
Risk finding
Explain whether the change affects the investment thesis, disclosure consistency, customer understanding, or legal and compliance review. A removed customer logo may matter differently from a changed revenue metric; tie materiality to the decision it could change.
Useful status values are supported, partially supported, contradicted, stale, and unresolved. Add a follow-up owner and date for every unresolved item.

How often should a startup’s site be captured?
Use a risk-based schedule rather than a single universal interval. Capture immediately when a financing, product launch, regulatory filing, customer announcement, or suspected copy change makes timing important. For high-materiality claims, preserve a baseline before diligence begins and a second state after the review or transaction milestone.

The screenshot has no URL or time
Cause: the collector saved an image without metadata. Fix: add the exact source URL, UTC retrieval time, page title, section, and archive URL; recapture if the page is still available.
The archive shows a page but the PDF is missing
Cause: archives often capture HTML separately from linked files or fail to retrieve dynamic assets. Fix: record the missing asset, search for a dated copy in the startup’s document repository or filings, and never imply the archived HTML proves the PDF’s contents.
The live page and archive use different wording
Cause: the site changed, the archive captured a different redirect, or content is personalized. Fix: preserve both versions, record redirect and region details, and compare scope, qualifiers, metrics, and provenance line by line.

Cause: the company did not publish a visible date. Fix: record “no date shown,” use capture and retrieval timestamps for availability, and seek dated primary records instead of inferring a publication date.
The page is blocked by a consent dialog, bot check, or timeout
Cause: access controls or site behavior prevented a clean retrieval. Fix: record the failed attempt and its UTC time, preserve any accessible archive capture, and disclose that the page could not be fully reviewed. Do not treat an inaccessible page as evidence of either presence or absence.

Should I calculate a hash for each capture?
Yes. A cryptographic hash recorded at collection time lets you detect later file changes. Store the hash beside the original file, source URL, UTC retrieval time, and reviewer log; a hash proves file integrity after capture, not the truth of the website claim.
Can a company’s own later correction settle what the old page meant?
It can clarify the company’s current position, but it does not erase the historical display or establish what support existed at the earlier date. Keep the correction as a separate dated record and link it to the original claim ID.
What if two archive captures disagree about the same day?
Treat them as separate observations. Check timestamps, redirects, localization, logged-in state, and dynamic content, then preserve both captures and explain which conditions differed rather than selecting one silently.
Who should sign off an unresolved claim?
Assign an owner with authority over the relevant risk—finance for metrics, product for capability, security or legal for compliance statements—and record the response date and supporting document. If no owner can substantiate it, leave the status unresolved and state the potential investment impact.
