Replacing Google Photos and OneDrive with a home server: what I gained, what I still maintain

Yes, a personal server can replace the parts of Google Photos that matter most to a photo library—but it does not magically replace every OneDrive workflow or remove responsibility. I moved my photo collection to a self-hosted server because I wanted my originals, albums, and phone uploads under my control. The change worked because software such as Immich can provide mobile backup, a searchable timeline, albums, sharing, and face clustering. It also changed my definition of convenience: I no longer paid a provider to hold the library, but I became responsible for storage, updates, availability, and recovery.

That is a personal conclusion, not a universal verdict. If you already run suitable hardware and accept maintenance, self-hosting can cover the photo-cloud workflow well. If you need effortless access, automatic off-site recovery, document collaboration, or zero administration, a hosted service remains the simpler choice.

Why did I stop relying on cloud photo storage?

My migration began with a fairly ordinary frustration: the cloud was doing an excellent job of hiding the infrastructure, but it also hid where my originals lived and who was responsible when something went wrong. I wanted a library I could operate, inspect, and move without treating one provider as the only place my memories existed.

The important distinction is between reducing dependence and eliminating all remote services. A server in my home still needs electricity, a network connection, storage, software updates, and a recovery plan. I traded a monthly service relationship for an operating responsibility. That trade made sense for my priorities, but it is not automatically cheaper, safer, or easier for everyone.

What did my server replace in the photo workflow?

The practical replacement was the photo-library layer rather than every cloud feature. Immich is a self-hosted photo and video manager with mobile and web clients. Its documented functions include uploading from a phone, organizing albums, sharing, searching, and clustering faces. Those are the behaviors I needed from a photo service; they are also the capabilities the project documents, not a claim that every operator will have an identical experience.

Phone uploads instead of a camera-roll silo

In the mobile application, I can choose which albums are backed up to the server. The phone sends selected media to an endpoint I operate, and the server stores it in the upload location I configured. This makes the destination explicit: the pictures are going to my storage, not an opaque account whose infrastructure I cannot inspect.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The trade-off is equally explicit. The app cannot upload to a server that is offline, unreachable, full, or misconfigured. Immich’s quick-start guidance also warns that large uploads can take a while. An initial library transfer is therefore a migration project, not a switch that completes instantly when an app is installed.

Timeline, albums, search, and sharing

A self-hosted library is useful only if it remains pleasant to browse. Immich provides a web and mobile timeline, albums, search, sharing, and face clustering. I use those functions as the organizational layer over the files stored on my server. The originals remain files I can preserve independently of the application database.

That last point matters during recovery. The application records paths, faces, albums, and other metadata in a database, while the actual pictures and videos live in the media location. A database export can restore the organization only when the media files are available too.

Did Immich replace OneDrive completely?

No. It replaced my photo-management workflow, not the general-purpose file service. OneDrive covers files that are not photographs: documents, shared folders, work files, and workflows that depend on synchronized access across devices. The material available for Immich does not establish full parity for general file sync, office collaboration, or every sharing scenario.

I therefore separated the jobs instead of forcing one application to do everything:

  • Photo and video library: Immich stores and presents camera media, albums, search, and sharing.
  • General files: a file-sync or collaboration system remains responsible for documents and other non-photo data.
  • Backup: a separate backup process protects both the media files and the Immich database.

This division prevents a common mistake: assuming that a photo manager is a universal replacement for a cloud drive. If your reason for leaving OneDrive is primarily document collaboration or synchronized work folders, evaluate those requirements separately.

What does an Immich server require?

Immich’s current quick-start documentation lists a baseline of at least 6 GB of RAM, two CPU cores, Docker, and a storage location with enough free space for your media. These are version-sensitive quick-start requirements, not a universal hardware recommendation. Your library size, number of users, indexing workload, and desired responsiveness can change what is appropriate.

Requirement What the guidance says Why it matters
Memory At least 6 GB RAM in the current quick start Provides the documented baseline for running the stack; larger libraries or additional services may need more.
CPU At least two CPU cores Meets the quick-start baseline for application and indexing work.
Container runtime Docker Immich’s documented setup uses containers and their associated configuration.
Media storage Enough free space for photos and videos The application database does not contain the underlying media files.
Network access A reachable server endpoint for the mobile app Uploads and browsing depend on the phone being able to reach the service.

Do not confuse library capacity with backup capacity. If your media collection occupies one terabyte, a resilient design needs room for the working copy plus independent backup copies, temporary restore space, and growth. No drive model or recommended capacity is specified here, so those decisions must follow your own library and retention plan.

How do I migrate from cloud photos to a personal server?

A safe migration treats the cloud library as the source until the new system has been checked. The following sequence uses the documented Immich workflow without assuming a particular hardware model or shell command.

  1. Inventory the library. Record the approximate size of your photos and videos, the number of people who need access, and which albums or shared links are important. Include non-photo files that still depend on OneDrive so they are not accidentally treated as part of the Immich migration.
  2. Prepare the host. Choose a system that meets the current quick-start baseline, install Docker, and allocate a media location with sufficient free space. Keep the media location distinct from any backup destination.
  3. Deploy Immich from its official quick start. Complete the documented container setup, create the administrator account, and confirm that the web interface opens on your local network.
  4. Set the upload location. Configure where Immich will store incoming originals. Verify permissions and available space before sending a large library.
  5. Connect the mobile app. Enter the server endpoint in the app, sign in, and select the phone albums you want backed up. Start with a small set so you can confirm that files arrive and appear correctly.
  6. Transfer the existing collection. Import or copy your historical photos into the media arrangement you selected, then allow indexing to finish. Large uploads may take a substantial amount of time, especially over a home connection.
  7. Check representative files. Open older and newer photos, videos, albums, and shared views. Confirm that dates, motion photos, and other formats important to you survived the transfer.
  8. Keep the old service temporarily. Do not delete the cloud library until you have verified the new copy and completed at least one backup cycle. A second copy gives you a recovery option while the migration is still being checked.

What maintenance responsibility did I take on?

The server made the storage location mine, but it also made the failure modes mine. I now have to monitor free space, apply application and operating-system updates, keep Docker functioning, and ensure that the network path used by phones remains available. If the machine is powered off or the network changes, uploads wait instead of silently continuing in a provider’s data center.

Availability is another trade-off. A hosted photo service is designed around provider-operated redundancy. A home server can be perfectly usable while still having a single disk, a single power source, or a single internet connection. Self-hosting can improve control and transparency, but it is not automatically more private or more secure; configuration and patching determine those outcomes.

How should I back up an Immich library?

The most important operational rule is that an Immich database backup is not a photo backup. The official backup guidance states: “Database backups do not contain photos or videos — only metadata.” The database dump preserves information such as paths and organization, while the media files remain on the filesystem.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

The same guidance says the operator must use an actual backup tool and recommends a 3-2-1 strategy. In practice, that means maintaining three copies of the data, on at least two types of storage, with at least one copy kept off-site. The application does not perform this plan for you.

What to protect Why it is needed Operational check
Photo and video files They are the original media and are not contained in a database dump. Confirm that the backup tool copies the configured media location and preserves file integrity.
Immich database It contains albums, paths, faces, users, and other metadata needed to reconstruct the library’s organization. Schedule dumps and retain versions so a damaged export is not your only copy.
Independent off-site copy Protects against theft, fire, major hardware failure, or a local incident. Keep at least one copy outside the server and verify that it can be retrieved.
Restore procedure A backup is only useful if the files and database can be brought back together. Perform a test restore to a separate location and check that media paths and metadata align.

Consistency matters. If the database describes files that were copied at a different point in time, a restore can produce missing or mismatched items. Coordinate the timing of media and database backups, retain multiple generations, and document the order in which they should be restored. Do not claim a backup is successful merely because a job reports completion; open restored files and inspect the resulting library.

How do the main alternatives compare?

There is no single best replacement. The right choice depends on whether you value phone-first behavior, an existing folder archive, an established collaboration platform, or minimal administration.

Option Best fit Trade-off Hardware or service dependence
Immich Phone-focused photo and video management with uploads, timeline, albums, search, sharing, and face clustering. You operate Docker, storage, updates, access, and backups. Runs on your own server; requires a separate backup design.
PhotoPrism People who already maintain a folder-based photo archive and want a cataloging layer. Setup and maintenance remain your responsibility; feature fit differs from a phone-first workflow. Self-hosted on hardware you provide.
Nextcloud Memories Households already operating Nextcloud and wanting photos inside that ecosystem. Adds photo management to an existing platform rather than being a dedicated standalone stack. Depends on your Nextcloud installation and its maintenance.
Synology Photos Users who prefer an appliance-oriented experience. The software is tied to Synology hardware, limiting hardware choice. Vendor-specific NAS platform.
Hosted photo service People who prioritize managed availability, automatic updates, and low administration. Less control over infrastructure and an ongoing service relationship. Provider-operated infrastructure and account access.

These are comparative characterizations, not independent performance tests. Before choosing, score each option against your actual phone-backup behavior, search and album needs, existing folder structure, sharing expectations, maintenance tolerance, and separate backup plan.

Is replacing cloud storage worth the effort?

For me, the answer was yes because I already accepted the work of operating a server and valued direct control over the library. The benefit was not that the cloud became useless; it was that the photo workflow no longer depended on one provider’s interface and retention policy. I could decide where originals lived and how recovery copies were made.

The financial question is more complicated than comparing a subscription invoice with zero. A fair calculation includes hardware, disks, electricity, replacement parts, off-site backup storage, bandwidth, and the time spent maintaining and checking the system. No published cost comparison establishes that self-hosting costs less, so treat savings as an assumption to test rather than a guaranteed result.

Convenience also has two dimensions. The initial setup, migration, indexing, and backup design are less convenient than signing into a hosted account. Daily browsing can feel just as convenient once the server is healthy, but outages, updates, and recovery work return to the owner.

What can go wrong, and how do I recover?

  • Uploads stop. Check that the server is powered on, the endpoint is reachable, the app is signed in, and the media location has free space. Resume with a small batch before restarting a full import.
  • The library appears empty after a database restore. Restore the media files as well as the database, then verify that the configured paths match the restored filesystem layout.
  • The server runs out of space. Measure growth from new phone uploads, preserve room for indexing and temporary operations, and expand storage before the filesystem reaches capacity.
  • An update causes unexpected behavior. Keep database dumps and versioned configuration before upgrading, read the release notes, and retain a known-good restore point.
  • A home outage blocks access. Accept that local availability depends on power and networking, and keep an independent copy that can be retrieved without the primary machine.

Who should stay with a hosted service?

Choose hosted convenience when you do not want to administer a server, cannot maintain an independent backup, need dependable access during home outages, or rely heavily on document collaboration and cross-device file synchronization. A hosted service also makes sense when the value of automatic operations outweighs control over the underlying storage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose an appliance-based photo platform when you want a guided NAS experience and accept vendor-specific hardware. Choose a self-hosted stack such as Immich when you have suitable hardware, enjoy managing software, and are willing to design and test recovery. The deciding factor is not whether one option is universally better; it is whether the operational duties match your tolerance and skills.

What did the migration ultimately teach me?

I did not discover that nobody needs the cloud. I discovered that my photo library needed a different balance of control and convenience than I had accepted by default. A personal server can reproduce the meaningful photo features—phone uploads, a timeline, albums, search, sharing, and face grouping—while leaving me responsible for the machine beneath them.

That boundary is the honest conclusion. Self-hosting replaced my photo-cloud workflow, but it did not erase the need for file-sync tools, remote availability, or disciplined backups. If you make the same move, plan the media copy, database copy, off-site copy, and restore test before declaring the cloud unnecessary.

Frequently Asked Questions

Can I run Immich on an old desktop I already own?

Possibly, if it can meet the current quick-start baseline of 6 GB RAM, two CPU cores, Docker, and adequate free media storage. The documented baseline is version-sensitive, so an older machine may still struggle with a large library, indexing, or other services running alongside Immich.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will deleting a photo in Immich delete the only original file?

That depends on how your media storage and backup process are configured. Treat the server’s media location as the live copy and keep independent, versioned backups before performing bulk deletions or cleanup.

Can family members use the same self-hosted photo server?

Immich supports user accounts and sharing functions, but each additional person increases storage, upload, privacy, and support requirements. Define who can access which albums and include every user’s media in the backup and restore plan.

What happens if I move the server to a different machine?

A move requires transferring both the media filesystem and the Immich database, then adjusting paths and configuration so they refer to the new locations. Test the migration on a copy first; moving only the database will not bring the underlying photos and videos with it.
