If an Exchange Online message disappeared, the correct recovery path depends on where it is now: the visible Deleted Items or Junk Email folder, the hidden Recoverable Items area, an administrator-only purge location, or an expired retention window. Start with the mailbox itself, then use Outlook’s recovery control, and escalate to an authorized Exchange administrator if the item is no longer available to you. Exchange Online normally keeps deleted items for 14 days, with an administrator-configurable maximum of 30 days; holds and other retention settings can change what remains recoverable.
This guide applies to Exchange Online mailboxes in Microsoft 365, not an on-premises Exchange Server. It covers new Outlook, Outlook on the web, classic Outlook, administrator recovery, deleted mailboxes and previously configured backups.

Where does a deleted Exchange Online message go?
A message can occupy several different states, and each state has a different recovery method:
- Visible Deleted Items or Junk Email: the user can open the folder and move or restore the item.
- Recoverable Items: a normally hidden mailbox area reached through Outlook’s recovery controls. It is not a folder you browse like Inbox.
- Deletions or Purges within Recoverable Items: the message was removed from the visible folder, often with Shift+Delete or by emptying Deleted Items. A user can use Outlook’s recovery command while the item is still eligible.
- Expired or permanently purged data: ordinary user recovery is no longer possible. An administrator may still recover a preserved item if the applicable retention period has not expired.
- Deleted mailbox: this is a mailbox-account problem, not a deleted-message workflow. It requires the deleted-user or mailbox restoration procedure.
Microsoft’s recovery guidance is available in its Recover deleted items in Outlook and Exchange Online documentation. Interface names vary between Outlook versions.

How do I restore an item still in Deleted Items or Junk Email?
If you can see the message, recovery is immediate: select it and move it to the folder where you want it stored. The same first check applies to contacts, calendar appointments and tasks, not just email.
New Outlook for Windows or Outlook on the web
- Open Deleted Items or Junk Email in the affected mailbox.
- Select the message, contact, appointment or task.
- Choose Move or Restore, then select the destination folder.
- Open the destination folder and confirm that the item and its attachments are present.
Classic Outlook for Windows
- Open Deleted Items.
- Select the item.
- On the ribbon, choose Home and then Move.
- Choose the destination folder, or select Other Folder to pick another mailbox folder.
If the item was delivered to Junk Email, move it from that folder first. A visible item does not need the Recover Deleted Items command.
How do I recover email after emptying Deleted Items?
Use Outlook’s Recover items deleted from this folder control in new Outlook or Outlook on the web. Classic Outlook uses Recover Deleted Items From Server. These commands search the hidden Recoverable Items area rather than the visible Deleted Items folder.
New Outlook or Outlook on the web
- Open Deleted Items.
- Select Recover items deleted from this folder or the nearby Recover control.
- Review the list of recoverable items and select the messages you need.
- Choose Restore.
- Return to Deleted Items and move the restored messages to Inbox or another folder.
Use the list’s subject, sender and date details to distinguish the correct message before restoring it. If a user-created folder itself was permanently deleted, the folder may not be recoverable even when messages that were inside it can be restored individually.
Classic Outlook for Windows
- Make sure Outlook is connected to Exchange Online; this command requires an online connection.
- Open Deleted Items.
- On the ribbon, choose Home > Recover Deleted Items From Server.
- Select the messages in the recovery window.
- Choose Restore Selected Items.
Classic Outlook normally returns restored messages to Deleted Items first. Open that folder and move them to their final destination. If the command is missing, Microsoft says the connected account does not support this recovery route, so try Outlook on the web or contact an administrator.
How long are deleted emails recoverable in Office 365?
Exchange Online’s deleted-item retention period is 14 days by default. An administrator can configure it to a maximum of 30 days. Those are service settings, not a promise that every message remains available for the full period: retention policies, holds, Recoverable Items quotas and the exact deletion event can affect the result.

What should an Exchange administrator do when Outlook finds nothing?
An authorized administrator can search and recover messages that are no longer visible to the user, provided they are still preserved. Microsoft’s administrator procedure requires the Mailbox Import Export role.
Use the Exchange admin center
- Sign in to the Exchange admin center with an account that has the required role.
- Open Recipients > Mailboxes.
- Select the affected mailbox.
- Open Others > Recover deleted items.
- Apply subject, sender or date filters, verify the results and recover only the intended messages.
Confirm the mailbox identity before recovering. A similar subject line or a broad date filter can return unrelated messages.
Search with Exchange Online PowerShell
PowerShell can narrow a search when the admin center list is large. The following are Microsoft-documented command patterns; they must be adapted to the tenant and were not tested against a live tenant:
Recommended Free Tools
Get-RecoverableItems -Identity [email protected] -SubjectContains "Known subject" -FilterItemType IPM.Note
After checking the candidate list, an administrator can use Restore-RecoverableItems with the appropriate identity and filters. Confirm the source mailbox, subject and date criteria, and the administrator’s role before changing anything. Keep an audit record of what was selected and where it was restored.
Microsoft states that administrators can recover purged messages if the deleted-item retention period for the item has not expired. A user cannot retrieve a message that has already moved beyond the recoverable locations into an expired state.
Why is “Recover Deleted Items” missing or not working?
Most failures come from the mailbox, client, timing or permissions rather than from a damaged Outlook installation. Check these causes in order.
You are using the wrong Outlook interface
New Outlook and Outlook on the web show Recover items deleted from this folder. Classic Outlook shows Recover Deleted Items From Server. Sign in to Outlook on the web for the same mailbox if the desktop command is absent. If neither interface offers recovery, the account may not support that route or the item may no longer be eligible.

The message is in another mailbox or folder
Shared mailboxes, aliases and delegated accounts can make a message appear missing when it was deleted from a different mailbox. Check the account name in the Outlook window, search the mailbox’s Deleted Items and Junk Email folders, and ask the sender for the original recipient address and approximate deletion time.
The retention period has expired
Exchange Online normally retains deleted items for 14 days, up to an administrator-set maximum of 30 days. Once the applicable period has elapsed and no preservation control applies, Outlook cannot restore the item. A later policy change is not retroactive.
The item was purged or quotas affected retention
Recoverable Items has separate locations and quotas. A message in Purges is not available to the user; an authorized administrator may recover it only while it is still preserved and within the applicable period. Microsoft warns that Recoverable Items quotas affect retention and mailbox behavior, so an administrator should check quota and preservation status rather than assume every held message is user-visible.
Single item recovery was not enabled at the relevant time
Single item recovery is enabled by default on newly created Exchange Online mailboxes, but the documented purged-item path depends on it having been enabled before the deletion. An administrator can inspect the mailbox settings with:
Quick wins for a faster PC:

Review the output with the deletion date and any hold or retention policy. Do not treat a current setting as proof that an older deletion was protected.
Permissions or mailbox state changed
A recently converted, disabled, unlicensed or hybrid mailbox can behave differently from a normal user mailbox. Verify that the mailbox is active, the account is licensed as required by the tenant, and the administrator is working in the correct Microsoft 365 organization.
Can an administrator recover purged Exchange Online email?
Sometimes. Purged does not mean automatically recoverable: an administrator can restore a purged message only when Exchange still preserves it and the applicable deleted-item retention period has not expired. The administrator needs the Mailbox Import Export role and should use the Exchange admin center or Exchange Online PowerShell to identify the item.

Legal hold or another preservation setting can change what persists, but preservation is not the same as a user-facing restore list. Microsoft notes that legal holds are optimized for export, such as eDiscovery, rather than mass restore. If ordinary recovery returns no result, the organization’s compliance administrator may need to use its approved eDiscovery or export process.
How do I restore a deleted Exchange Online mailbox?
Restoring an entire mailbox is separate from recovering a message. When a Microsoft 365 user and its Exchange Online mailbox are deleted, the typical soft-deleted restoration route is available for about 30 days, subject to the cause of deletion, licensing, hold state and hybrid configuration.
- Confirm that the user account, mailbox and deletion date are correct.
- Use Microsoft’s deleted-user or mailbox restoration procedure rather than the Exchange admin center’s deleted-message command.
- Restore or recreate the user as required by the tenant’s identity and licensing setup.
- Verify mailbox content, permissions, aliases and shared-mailbox access after restoration.
Do not describe the 30-day mailbox window as the deleted-message retention period. They are separate diagnoses with different procedures.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Can Microsoft 365 Backup restore an older Exchange item?
Only if protection was configured before the incident and a usable restore point exists. Microsoft 365 Backup restores eligible Exchange mailbox content from an earlier restore point; it cannot retroactively protect a message that was deleted before the backup policy began.
Microsoft’s current backup documentation supports full or filtered selected-content restores. Filters can include subject, sender, recipient, time range, attachment and content type. A selected-content restore is capped at 1,000 items per operation, so narrow the filters when a search returns too many results. Restoration goes to the current mailbox and can use either a new recovery folder or an in-place restore that may overwrite current content. Drafts are not backed up, and items merely moved into visible Deleted Items are not restored by this tool.

The documented Exchange Online recovery-point objective for Microsoft 365 Backup is 10 minutes. That is a recovery-point objective, not a guarantee that every deletion can be rolled back. Microsoft 365 Backup is a separately configured service, distinct from the basic Exchange Online service. Other backup services have different supported mailbox types, retention, geography, filters and destination rules; compare those details before relying on one.

How can I prevent the next deleted-item loss?
Prevention has to exist before deletion. After recovering the immediate message, ask an administrator to review the tenant’s retention and protection design.
- Confirm
RetainDeletedItemsForis long enough for the organization’s response time, within Exchange Online’s 30-day maximum. - Check whether Single Item Recovery is enabled on important mailboxes before an incident occurs.
- Document which mailboxes are covered by litigation hold, retention policies or other preservation controls.
- Configure an approved Microsoft 365 backup service if the organization needs point-in-time restoration beyond native deleted-item recovery.
- Test the documented administrative process in a controlled mailbox, including permissions, filters and the destination for restored content.
- Train users to check Deleted Items and Junk Email before asking for a purge-level recovery.
A PST export is not a routine substitute for service-side protection, and an external drive cannot reconstruct a cloud message that was never exported. Choose a backup approach based on supported mailbox types, retention, restore granularity, overwrite behavior and data geography.
If Outlook itself is crashing or Windows is preventing the desktop app from running while you perform these steps, Outbyte PC Repair is an optional Windows troubleshooting shortcut. It does not access Exchange Online or recover mailbox items, complements an antivirus rather than replacing one, and results vary; its free trial is limited by category before a subscription.
Frequently Asked Questions
Can I recover a deleted email older than 30 days in Microsoft 365?
Usually not through normal Exchange Online deleted-item recovery once the applicable retention period has expired. An older message may still exist only if a hold, retention control or previously configured backup preserved it; an administrator must verify the tenant’s actual settings and restore points.
Why can I recover some deleted messages but not a deleted Outlook folder?
Exchange can preserve individual items even when a user-created folder structure is permanently removed. Recover the messages separately, then create a replacement folder and move the restored items into it.
Does restoring a backup overwrite my current mailbox?
Microsoft 365 Backup offers a new recovery folder or an in-place restore to the current mailbox. In-place restoration can overwrite current content, so a filtered restore to a recovery folder is safer when you need to compare items first.
