Personal Files and Accounts Before Leaving a Tech Company: A Safe Offboarding Checklist

Before leaving a technology company, move only files you are authorized to keep, then make sure your personal accounts no longer depend on company email, devices, authenticators, or security keys. Start while you still have access: work accounts and storage may be blocked or transferred to administrators after your departure, and an export does not necessarily delete the organization’s copy. This is a security checklist, not a blanket right to take or erase work data; employer policy, agreements, ownership, and local law determine what you may retain.

What should I do before access changes?

Work through the steps below before your last day or any scheduled account cutoff. Begin with an inventory, not a bulk download: the goal is to protect your personal information and future access while leaving company-owned information under company control.

  1. List personal accounts that depend on work. Include accounts whose primary or recovery email is your work address, accounts reached through company single sign-on (SSO), and accounts protected by an authenticator app or security key kept on company equipment. Check personal cloud storage, subscriptions, and any personally owned developer accounts as well.
  2. Classify files before moving them. Separate clearly personal material from work product, repositories, customer or employee records, confidential information, shared folders, and files that mix personal and work content. A file is not personal just because it is in your folder or on a device you use. If ownership or permission is unclear, ask IT, HR, or appropriate counsel before copying, deleting, or changing it.
  3. Copy only authorized personal material. Use a personal destination you control, and select files rather than transferring a whole work account or mailbox. Do not bypass download restrictions or take customer data, source code, or employer intellectual property without permission. Microsoft’s OneDrive guidance states, “You should only copy personal files.” Microsoft: Copy, transfer or import files to your personal OneDrive.
  4. Change personal account recovery paths. Replace work email addresses and company phone numbers used for sign-in or recovery with personal contact methods. Move authenticator access to a personally owned device, and replace company-owned security keys only after another personal method works.
  5. Save fresh recovery codes securely. Store account recovery codes in a secure personal location, not solely in company storage or on a device you must return. Verify that your recovery options work before removing an old method.
  6. Coordinate handoff and cleanup. Work with IT on equipment return, organization access, and local work files or repositories. Do not independently wipe a managed device or remove organization controls unless the company authorizes it.

Microsoft explains that former employees can lose sign-in access while administrators retain access to organizational mailbox and OneDrive content. Treat the work account as temporary, and do not assume that downloading a personal copy removes the company’s copy.

Which files can I keep?

Keep only material that is clearly personal and that you are permitted to retain. When a file is mixed, shared, or plausibly part of company work, pause and get a decision from the employer rather than trying to resolve the ambiguity by exporting it.

  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Usually personal, subject to policy

  • Personal documents, photos, or other files that you created or stored for your own use and that contain no company or third-party confidential material.
  • Personal account information that is not company-owned, such as access details for a personal subscription, provided you do not copy company credentials or records with it.

Do not treat these as personal by default

  • Source code, work repositories, internal documents, customer or employee records, and other work product.
  • Confidential information, materials governed by an agreement, or content in shared folders where ownership is uncertain.
  • Files that combine personal and company information. Ask for an authorized way to separate them rather than copying the entire item.

Permission comes before transfer. If you cannot confidently classify a file, the safe next step is to ask the appropriate company contact, not to rely on folder location, account ownership, or the availability of an export button as proof that you may keep it.

How do I copy permitted files from work storage?

Use a selective copy process and inspect the result from a personal device. A copy operation is not a promise that metadata, sharing settings, or every detail of the original will carry over.

OneDrive: copy selected personal files

  1. Sign in to the work OneDrive only while you are authorized to do so, and identify files already cleared for personal retention.
  2. Copy the selected files to a personal OneDrive account or another authorized personal destination. Microsoft describes using File Explorer on Windows or Finder on Mac; its guidance favors copy and paste over dragging.
  3. Sign in to the personal destination from a personal device and open the copied files. Check that the contents are present and usable before relying on them.
  4. Review important file details and sharing needs. Microsoft notes that information such as creation details and prior sharing may not transfer as expected, so recreate legitimate personal sharing arrangements if needed.

Google Takeout: make a selected data archive

  1. Use Google Takeout only for account data you are authorized to retain, and choose the relevant data rather than assuming a whole-account archive is appropriate.
  2. Download the archive while you still have permitted access, then inspect it from a personal device and confirm that needed files are readable.
  3. Keep in mind that Workspace administrators may control whether users can download data from particular products. Google also says Takeout does not delete data stored in the account, and some changes made after an archive is prepared may not appear in it.

Google’s account help says, “Google Workspace administrators can manage if users can download data from different products.” If a download is unavailable on a school or work account, do not try to work around that restriction; contact the administrator about authorized access or transfer.

Option What it does Important limitation Best fit
Selective OneDrive copy Copies selected permitted files from work OneDrive to a personal destination. Some metadata and prior sharing information may not transfer; inspect the resulting copy. Microsoft’s linked guide describes File Explorer or Finder and favors copy and paste. A small set of clearly personal files that you can select individually.
Google Takeout archive Creates an archive of selected account data for download. Workspace administrators may restrict product downloads; downloading does not delete the account’s stored data, and some archive changes may not be included. Authorized data from a Google account when the relevant download is available.

These are different workflows, not interchangeable migration tools. Neither overrides company policy, and neither establishes that the original organizational data has been deleted.

How do I keep personal accounts accessible after leaving?

Update the account’s recovery chain while you can still verify changes through the existing work contact or device. A personal account can become difficult to recover if its only email, second factor, or security key belongs to the employer.

  1. Change the primary email and recovery email. On each personal account, replace a company email with an address you control, complete any verification step, and check that the new address is listed correctly.
  2. Replace company phone dependence. If a personal account uses a company phone number for recovery or an authenticator app on a company phone, add a personal number or move the authenticator to a personal device. Confirm that the new method works before removing the old one.
  3. Review security keys and passkeys. Identify keys owned by the employer. Add and verify a personally owned compatible key or another recovery method before removing a company key. Compatibility depends on the account and the key; Google says a passkey on a security key requires FIDO2 support.
  4. Generate and secure new recovery codes. Save fresh codes in secure personal storage. Do not leave the only copy in a work account, on a returned device, or with a company-managed credential store.
  5. Test a recovery route. Confirm you can sign in using a personal method and that the account displays your current recovery information. Keep a backup method separate from the device used for everyday sign-in.

GitHub’s Prepare for job change guidance specifically covers changing work-associated email and authentication methods, replacing employer-owned keys, and retaining recovery codes. It also distinguishes a personally owned GitHub account, which generally remains available after leaving an organization, from a managed user account. If you have organization ownership responsibilities, arrange a transfer before stepping down. GitHub organization SSO or two-factor authentication is not a substitute for protecting the separate personal account and its settings.

Recovery method What to check before departure Recovery consideration
Authenticator on a personal device Confirm the account supports it and the authenticator is not confined to a company phone. Keep another recovery method in case the device is lost or replaced.
Personally owned compatible security key Check that the account supports the key; for a passkey on a key, Google specifies FIDO2 support. A key should not be your only route back into the account; retain a separate fallback.
Recovery codes Generate fresh codes and keep them in secure personal storage. Protect the codes from loss or unauthorized access; do not store the sole copy with company data.

Do I need to export passwords separately?

Yes, if personal passwords are saved in a work-managed browser, profile, or password manager and you are authorized to retain them. A general file archive should not be assumed to include saved credentials: Google documents a separate export process for passwords saved in Google Password Manager. Review what is personal, use the account’s own supported password-export process, and protect the resulting credential file; it contains sensitive information.

A personal password manager can help keep unique credentials and recovery information organized, but it creates another account whose recovery path must be independent of work. Google Cloud’s guidance on account recovery emphasizes offline recovery codes and discusses encryption and non-SMS multifactor authentication as selection considerations. Avoid leaving the only copy of a password export or recovery codes on a company device.

What should I do about work devices, repositories, and access?

Return company equipment and coordinate access changes with IT. A departing employee should not treat local cleanup as permission to erase managed data, alter device management, or remove shared work assets without authorization.

  • Ask the appropriate team how to handle local work repositories and files on a device being returned.
  • Arrange transfer of work repositories or organization responsibilities colleagues still need before access changes.
  • Review work-related account associations and organization memberships with the relevant administrator.
  • Keep permitted personal copies separate from company storage and verify them on a personal device before equipment return.
  • Do not promise yourself that deleting local files, exporting personal files, or leaving an organization deletes data retained by the employer or its administrators.

Microsoft’s former-employee guidance describes administrator access to organizational data after sign-in is blocked. Google likewise notes that organizational administrators control some downloads. These are reasons to plan personal-account continuity and authorized personal copies early—not reasons to remove, conceal, or transfer company data.

What are the most common offboarding mistakes?

The main risks come from treating access as ownership or treating a successful download as a complete transfer. Use these checks to avoid preventable loss and policy problems.

  • Copying everything “just in case.” Broad exports can include confidential or employer-owned material. Select only files you are allowed to keep.
  • Waiting until the last login. A work account can be blocked or its download controls changed. Inventory accounts and resolve authorization questions before access changes.
  • Assuming an export is a migration. OneDrive copies can omit some metadata or sharing details, while a Takeout archive does not remove the original. Inspect the personal copy and plan sharing separately.
  • Leaving recovery tied to work. A changed email address alone may not be enough if a company phone or key remains the only second factor. Check every sign-in and recovery method.
  • Confusing passwords with files. Account archives do not necessarily contain saved passwords. Treat password export as a separate, sensitive process.
  • Wiping or de-managing a device without permission. Coordinate device cleanup and return with IT, especially when personal and work files are mixed.

Frequently Asked Questions

Can my employer read my work OneDrive or mailbox after I leave?

Microsoft’s guidance for former employees says sign-in may be blocked while administrators can retain access to organizational mailbox and OneDrive content. The exact handling depends on the organization’s account configuration and policies.

Why can’t I download data from my school or work Google account?

A Workspace administrator can control downloads for different Google products, so Takeout availability may differ from a personal Google account. Ask the school or employer administrator about an authorized transfer rather than trying to bypass the restriction.

Does Google Takeout delete my data after I download it?

No. Google Account Help says a Takeout download does not delete the data stored in the account. A downloaded archive and the organization’s retained copy are separate things.

Will my personal GitHub account disappear when I leave the company?

GitHub’s job-change guidance says a personally owned account generally remains available after leaving an organization, while managed user accounts are an exception to consider. Confirm which account type you have and transfer organization ownership duties before access ends if you hold them.
