Yes—you can automate serious research without handing every prompt and document to an AI company. A local-first stack runs the model, interface, document retrieval and notes on hardware or infrastructure you control. Ollama provides local model serving; Open WebUI or Libre WebUI supplies a self-hosted workspace; retrieval tools connect answers to your documents and citations.
The privacy boundary is determined by routing, not by the interface alone. A locally selected model can process prompts and files on your machine, while a cloud model, hosted embedding service, remote search engine or external tool receives whatever text you send to it. The practical approach is to keep sensitive work local, use connected services selectively, and record which provider handled every research step.

What does a local-first open-source AI research stack actually do?
A local-first stack separates research into services so you can choose where each piece runs. The language model generates and summarizes text, the web interface manages conversations and workspaces, retrieval finds relevant passages in your files, and scripts or research agents gather outside sources. You can run all of those components locally, or route only selected tasks to hosted services.
| Layer | Local-first option | What leaves your machine |
|---|---|---|
| Model serving | Ollama with a model downloaded to your computer or private server | Nothing from prompts or responses when the local model is selected |
| Interface | Self-hosted Open WebUI or Libre WebUI | Depends on the provider selected inside the interface |
| Document retrieval | Local knowledge collections and locally generated embeddings | Nothing if indexing and retrieval stay on the same infrastructure |
| Web research | Local scripts or a local research assistant connected to a search engine | Search queries, retrieved pages or both may go to the search service |
| Cloud fallback | OpenAI-compatible or other hosted endpoint | The prompt and every context item included in its request |
This modular design matters because “self-hosted” describes where the interface runs, not automatically where inference or search runs. Open WebUI’s provider guidance says the endpoint you select receives the prompt and included context. Libre WebUI similarly states that prompts and responses for a local provider remain on the infrastructure where that provider runs.

How private is Ollama when I run a model locally?
When Ollama is serving a model on your own computer and you do not send the prompt to a remote provider, the model interaction stays local. Ollama’s privacy policy, updated March 2026, states: “We do not collect, store, transmit, or have access to your prompts, responses, model interactions, or other content you process locally.” That statement applies to content processed locally; it does not make an external search, hosted model or remote tool private.
Downloading a model is a separate event from running it. The model files must be obtained over the network, and an update check or download can reveal ordinary connection metadata to the service hosting the files. After installation, disable or restrict outbound network access if your threat model requires a fully disconnected environment, and verify that any front end, plug-in or tool is configured to use the local Ollama endpoint.

What is the simplest Ollama and Open WebUI setup?
The shortest useful setup is Ollama for inference plus a self-hosted WebUI for conversations and document collections. Libre WebUI is an alternative when persistent notes, cited document search and isolated model-driven workspaces are priorities.
- Install Ollama. Use the package for your operating system, then start its local service. Confirm that the service is reachable from the same machine or private network where your interface will run.
- Download a model that fits your hardware. Run
ollama pull model-id, replacingmodel-idwith the identifier of the model you selected. Larger models generally need more memory and may respond more slowly on a CPU. - Check inference locally. Run
ollama run model-idand ask a non-sensitive question. This confirms that model loading, memory allocation and generation work before you add documents. - Deploy the interface. Install Open WebUI or Libre WebUI using its documented self-hosted package or container method. In the administration or connections settings, point the Ollama provider to the local service address.
- Choose the local provider for private chats. A self-hosted interface can also connect to OpenAI-compatible or other hosted endpoints. Select the Ollama connection explicitly before adding confidential context.
- Create a local knowledge collection. Import documents into the interface’s local retrieval area, keep indexing on the same host, and enable source snippets, page references or links in generated answers.
Keep the interface and Ollama on the same machine for the smallest trust boundary. If you place them on separate servers, use an authenticated, encrypted private network and treat the server running the model as the location where prompts and documents are processed.
How do I automate research while keeping prompts and documents local?
Automation works best as a staged pipeline. Each stage has a clear input, output and provider, so you can stop sensitive material from crossing a boundary accidentally.

1. Define the research question and data rules
Write the question, the acceptable source types, the date range and a data classification before collecting anything. Mark files as public, internal or confidential. A local model can help turn a broad question into subquestions, but do not paste confidential text into a cloud model merely to improve the outline.
2. Collect and normalize sources
Use a script or local research assistant to save pages, PDFs and metadata in a predictable folder structure. Record the URL, publication date, author, retrieval date and a short description. Deduplicate by canonical URL or document hash before indexing; duplicate copies can make a retrieval system appear to have independent confirmation when it does not.
3. Index documents locally
Import the cleaned files into a local knowledge collection. Retrieval-augmented generation (RAG) breaks documents into passages, creates embeddings and retrieves the passages most relevant to a question. For privacy, generate embeddings with a local model and store the vector database on infrastructure you control. A hosted embedding API would receive the text used to create each embedding.
4. Ask for grounded answers
Instruct the assistant to answer only from retrieved passages, show a citation for every material claim, and say when the collection does not contain an answer. Prefer line, page or section references over a bare document title. Open WebUI supports retrieval-augmented document chat with cited answers; Libre WebUI documents cited document search and persistent notes.
5. Run synthesis and checking passes
Use one pass to extract claims, another to identify contradictions and a final pass to draft the report. Keep the source excerpts attached to each claim. A smaller local model may be adequate for extraction and classification, while a more capable hosted model can be reserved for a non-sensitive final rewrite after redaction.

6. Preserve provenance
For every note, store the model name, provider, date, prompt version, source identifiers and whether any remote service was used. This record lets you explain why a statement appears in the final report and identify which material must be removed if a provider later changes its retention policy.
When does a cloud model or web search break the privacy boundary?
The boundary changes the moment a request includes an external endpoint. A cloud model receives the prompt plus the retrieved passages, system instructions and any attached files that the interface sends. A search engine receives the query, and a remote scraping or browser tool may receive URLs, page content or authentication context.
- Cloud generation: Do not assume that a self-hosted UI anonymizes the request; the selected endpoint still processes the payload.
- Hosted embeddings: Indexing a confidential PDF can send substantial portions of its text to the embedding provider, even if final chat generation is local.
- Remote search: A query containing a project name, customer or unpublished finding can reveal more than the resulting page does.
- Remote tools: Browser, code-execution and connector services may receive files, cookies, URLs or intermediate results.
Use redaction, synthetic examples or a local model for sensitive stages. If you must use a hosted service, send the minimum context needed, review its current retention and training terms, and log the transfer in your provenance record.
Which local hardware is enough for an automated research assistant?
There is no single hardware requirement because model size, context length, concurrency and retrieval workload dominate performance. Choose by workload category rather than by a particular computer model.
| Hardware category | Suitable workload | Trade-offs |
|---|---|---|
| CPU-only computer | Short questions, extraction, classification and small document collections | Lowest cost and simplest privacy boundary; generation and indexing are slower |
| Integrated graphics | Routine chat, moderate summaries and one-user retrieval | Can improve responsiveness, but shares memory with the operating system |
| Discrete GPU | Long contexts, larger models, faster indexing or several users | Higher power, cost and driver-maintenance demands |
Measure usable system memory, not just advertised graphics memory. Leave room for the operating system, the WebUI, the vector database and the context window. If a model repeatedly fails to load, reduce model size or context length before changing the application; an out-of-memory error is usually a capacity problem, not a privacy problem.

How do Open WebUI and Libre WebUI differ for research?
Both are self-hosted front ends that can use Ollama, but their emphasis differs. Open WebUI presents a broad platform with offline operation, Ollama and OpenAI-compatible connections, retrieval-augmented document chat and cited answers. Libre WebUI focuses on a local-first workspace with Ollama support, cited document search, persistent notes and isolated model-driven workspaces.
| Need | Open WebUI | Libre WebUI |
|---|---|---|
| Offline-capable interface | Documented | Local-first design documented |
| Ollama connection | Supported | Supported |
| Hosted endpoint option | OpenAI-compatible and other providers | Provider choice determines where prompts run |
| Cited document retrieval | Supported through retrieval-augmented chat | Supported through cited document search |
| Persistent research notes | Not stated in the cited project description | Documented feature |
| Isolated workspaces | Not stated in the cited project description | Documented feature |
Pick the interface whose controls make provider selection and citation review obvious to your team. In either product, audit the connection settings after upgrades because a new connector or default can alter where data is sent.

Search results are incomplete
Local inference does not provide current web data by itself. Add a controlled search step, save the returned pages locally, then perform analysis on the saved copies. Treat the search query and retrieved pages as external transfers.
Several users can see one another’s files
Use separate accounts, collections and workspaces, restrict filesystem permissions and avoid sharing a single service account for confidential projects. Test access with a non-administrator account before importing real documents.
What does “owning my data” mean in practice?
Ownership is a combination of technical control and operational discipline. You control storage, deletion and access when documents, prompts, model files, indexes and notes live on infrastructure you administer. You do not control copies created by a search engine, cloud model, hosted embedding service or remote tool, so those transfers need a separate policy.
A defensible workflow therefore has three habits: default to local providers, make every external call explicit, and preserve provenance for each generated claim. This gives you a useful research assistant without pretending that self-hosting makes connected services private.
Frequently Asked Questions
Can I use a local research assistant without an internet connection?
Yes, once the model files, interface and document indexes are installed. Offline operation means you cannot fetch new web pages, so prepare a local source library or reconnect only during a controlled collection phase.
Do local models guarantee that my answers are accurate?
No. Local execution limits data exposure but does not remove hallucinations, stale training data or extraction errors. Require citations, inspect the quoted passages and have a person verify consequential claims.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteHow can I tell whether an Open WebUI chat used Ollama or a cloud endpoint?
Check the conversation’s selected model and the provider or connection shown in the interface settings. For high-sensitivity work, disable unused remote connections and keep a provider name in the saved research record.
Should I put confidential PDFs into a local vector database?
You can when the embedding model, vector store and backups all run on infrastructure you control. Review backup destinations and access permissions because an otherwise local index can still be copied to a remote storage service.
