Choose Notion if you want documents, databases, tasks and collaboration in one workspace; Obsidian if local files, linked notes and offline control come first; Trello if your work is best managed as cards moving across boards; and a self-hosted app if you want to run your own task system. Among the self-hosted options here, Vikunja suits comparatively simple task management, while OpenProject is the stronger fit for formal work packages, dependencies and Gantt-based planning.

These are not interchangeable apps with different price tags. Their underlying information models—and the amount of administration you take on—are the real decision.

What is the difference between these tools?

The main difference is what each app treats as the central unit of work: a document or database, a note, a card, or a project task. That choice shapes how naturally you can plan work, connect information and collaborate.

Tool Primary model Best starting point
Notion Documents and databases A shared workspace that combines reference material, structured records and tasks
Obsidian Notes and linked knowledge A personal, local-first body of notes you want to connect and keep under your control
Trello Cards and boards A visual workflow where work moves through clearly named stages
Vikunja Tasks and projects A comparatively simple task system, including for people who want to host it themselves
OpenProject Project work packages and plans Projects that need dependencies, Gantt charts, agile boards or broader planning controls

One way to avoid choosing by brand recognition is to write down the item your team will create most often. If it is a project brief, database entry, knowledge note, workflow card or scheduled work package, choose the tool whose model makes that item easy to create and maintain. Trying to force a different model can mean extra conventions, duplicated records or manual work.

Which one should you use?

Match the tool to the complexity and ownership of your work. Start with the simplest app that supports the views and controls you actually need, rather than choosing the most feature-rich option by default.

Choose Notion for a mixed workspace

Notion is the fit when a team wants documents, databases, tasks and collaboration together. Its database features include subtasks, dependencies, custom properties and filtering, and workspaces can be exported to HTML, Markdown and CSV. That makes it a reasonable choice when project information and the documents explaining it need to live side by side.

Before committing, check whether your team is comfortable maintaining a shared workspace structure. Decide who can create databases and properties, how teams name and organize records, and which database is the authoritative task list. The more flexible a workspace is, the more important those conventions become.

Choose Obsidian for personal knowledge and local control

Obsidian is the strongest fit here when the core job is writing and connecting notes, and you want your notes to remain local files rather than depend on a hosted workspace. Its core app is free without limits. Sync and Publish are separate paid services, so the free core app should not be confused with those optional services.

It is not the natural first choice in this group for a team that needs formal project controls. If shared task ownership, schedule dependencies or centrally managed collaboration are essential, evaluate the project-management options directly rather than assuming a note-centered tool will provide the same workflow.

Choose Trello for a visual workflow

Trello is a card-and-board tool for work that can be understood by looking at cards grouped into stages. Its plans also include automation, while higher-tier plans offer optional timeline, calendar and table views. It is a practical fit for teams that need an approachable visual workflow and do not need a full project schedule with dependencies.

Trello is cloud-only, according to its pricing FAQ. If local-first files or self-managed hosting are requirements rather than preferences, that rules it out before feature comparisons begin.

Choose Vikunja for self-hosted task management

Vikunja is the simpler self-hosted direction in this comparison. Its self-hosted and cloud editions include list, Kanban, Gantt and table views, so it covers several ways of viewing tasks without requiring you to choose between hosting models at the outset.

Self-hosting means you take responsibility for the server, updates and backups. “Free forever” refers to the self-hosted software; it does not eliminate the cost of infrastructure or the time needed to keep the service operating reliably.

Choose OpenProject for deeper project controls

OpenProject is the better fit when work is organized as formal work packages with dependencies and Gantt charts, or when agile boards, reminders and integrations are relevant. Its Community edition is free with no minimum users, and hosting can be on-premises or in the cloud.

That extra project structure can be valuable when teams need to plan how work relates and when it is scheduled. It can also introduce more process than a small personal task list needs. Choose it because your planning requirements call for that depth, not simply because a longer feature list sounds safer.

How do their task features and views compare?

Notion, Trello and the two project-management apps each cover work differently; Obsidian is centered on notes rather than the project views listed here. A view is useful only if the underlying workflow is represented well enough to maintain it.

Tool Documented task or planning capabilities Documented views
Notion Database subtasks, dependencies, custom properties and filtering Database view types not stated in the source material
Obsidian Project-task and dependency capabilities not stated in the source material Board, table, timeline and Gantt views not stated in the source material
Trello Cards, boards and automation Board; optional timeline, calendar and table views are mentioned, but their plan availability is not specified here
Vikunja Task and project management List, Kanban, Gantt and table in both self-hosted and cloud editions
OpenProject Work packages, dependencies, agile boards and broader project controls Gantt charts and agile boards

Use a board when the key question is “What stage is this in?” Use a list or table when you need to scan many tasks or compare their properties. Use a Gantt chart when timing and relationships between tasks matter. Dependencies are not just a display feature: they express that one task is blocked by, or must follow, another. If that relationship is important, verify that the app can represent and maintain it in the way your team works.

The documented features do not establish every app’s exact permissions, guest limits, integrations, automation quotas or plan restrictions. Confirm those details against the current plan and edition before choosing for a team, particularly if outside collaborators or approval workflows are involved.

What does self-hosting change?

Self-hosting changes who operates the service. It can give you more control over where and how the app runs, but it also makes server maintenance, updates and backups your responsibility; Vikunja explicitly calls out those duties for self-hosters.

Account for the work, not only the license

A self-hosted app may have no software subscription charge and still require paid infrastructure, setup time, monitoring, upgrades, backup storage and recovery work. Someone also needs to be accountable for applying updates and checking that backups can be restored. If no one has that responsibility, a nominally free service can become fragile.

Hosted editions trade some operational control for a vendor-managed service. Vikunja offers cloud plans, and OpenProject can be hosted in the cloud or on-premises. The details of hosting responsibility, backup policy, data location and service commitments are not established by the prices and feature summaries here; check the terms for the specific edition you intend to use.

Decide what “control” means to you

Control can mean keeping files on your own device, operating a server yourself, choosing where a cloud service is hosted, or being able to export data if you leave. Those are different requirements. Obsidian’s local-file approach, a self-hosted project app and an exportable hosted workspace each address different parts of that question; they are not equivalent forms of ownership.

Also distinguish data control from security work. Running software yourself does not automatically make it secure: the operator must manage updates, access and backups. Conversely, using a hosted service does not by itself tell you how its security, permissions or data retention work. Verify the relevant product and deployment documentation for your own requirements.

How much do the plans cost?

The listed prices below are the official plan figures in the product information summarized here; they are not a like-for-like estimate of total cost. Currency, billing cadence and user basis differ, and self-hosting adds costs that do not appear in a software price.

For a meaningful five-year comparison, calculate the subscription for your actual number of users and sites, then add hosting, storage, administration and migration effort. Do not multiply a per-user price by five and call it the total cost of ownership: annual billing, changing team size, currency, infrastructure and the work of operating a self-hosted service all affect the result.

How should you compare collaboration, offline use and integrations?

Begin by treating these as requirements to verify, not assumptions based on an app’s category. The information available here establishes Obsidian’s local-file orientation and the cloud-only nature of Trello, but it does not settle every collaboration, offline, permissions or integration detail for all editions.

For team collaboration

List who needs access: internal members, occasional guests, clients, or people who only need to read. Then verify permission levels, guest rules, sharing controls, and whether the price is per member, per user, per workspace or per site. The listed prices make clear that these billing units differ, but they do not establish the exact access rules attached to each plan.

For offline access

Ask whether you need to read, edit or sync while disconnected, and whether that must work across multiple devices. Local files are central to Obsidian’s appeal; a cloud-only service such as Trello is a different operating model. The full offline behavior of every plan or deployment is not specified here, so test the required workflow before depending on it.

For automation and integrations

Trello emphasizes automation, and OpenProject lists integrations among its Community features. That does not establish that a particular integration, automation volume or connector is included in every edition. Make a short list of the systems the app must connect to, then confirm the named integration and any plan restrictions before migrating work.

How do you avoid lock-in and plan a migration?

Portability depends on what can be exported and whether the export remains useful in another tool. Notion documents workspace export to HTML, Markdown and CSV; Vikunja documents export and import when switching between its self-hosted and cloud editions. These are useful paths, but they do not prove that every feature or relationship transfers perfectly.

Test the exit path before moving everything

  1. Pick a representative sample that includes ordinary records, attachments, linked information and any task relationships you rely on.
  2. Export it from the source app using the available export process, then open the files or import them into a test destination.
  3. Check what survived: text, formatting, properties, relationships, ownership, dates and attachments. Treat any missing or flattened structure as a migration cost.
  4. Keep a source copy and agree on a cutover date. Avoid maintaining two unofficial task lists after the move.

Different data models create different migration friction. A database export can preserve tabular information in a useful form without recreating a destination app’s workflow; a note export may retain text without reproducing collaboration controls. The export formats listed for Notion are not a guarantee of one-click migration into another product.

What should you choose for common situations?

Use the following decision points to narrow the field before trialing a workspace or hosting a server.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • One place for team docs and structured task records: Start with Notion, especially if subtasks, dependencies and filtering in databases match the way you plan work.
  • Personal notes that should remain local and connected: Start with Obsidian; add Sync only if you need its separate synchronization service.
  • A lightweight visual pipeline: Start with Trello if cards moving across boards are enough and cloud-only operation is acceptable.
  • Open-source task management with a Gantt view and a self-hosting path: Evaluate Vikunja, while assigning someone to own server updates and backups.
  • Formal schedules, dependencies and project-level structure: Evaluate OpenProject, including whether its Community edition or a paid plan meets your deployment needs.

If two options remain, build the same small sample workflow in each: one project, a handful of tasks, a dependency if relevant, a document or note, and one collaborator. Observe how much structure is effortless versus how much has to be maintained manually. That comparison is more useful than counting features detached from your actual work.

Frequently Asked Questions

Can I use Notion and Obsidian together?

Yes, if you assign them distinct jobs—for example, a shared team workspace in one and personal research notes in the other. Decide how a note becomes an actionable task so that keeping two tools does not create duplicate sources of truth.

Is a self-hosted app automatically more private?

Not automatically. Self-hosting changes who operates the service, but privacy also depends on access controls, server configuration, backups and who can reach the deployment. Assess those details for the particular setup rather than treating hosting location as a complete privacy guarantee.

What happens to my Vikunja data if I switch between cloud and self-hosted?

Vikunja documents export and import when switching between its self-hosted and cloud editions. Test the process with a small sample first so you can see whether the records and relationships your workflow depends on carry over as expected.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does Obsidian Sync cost extra?

Yes. The Obsidian core app is free without limits, while Sync is a separate subscription. The listed Sync price is $4 per user per month billed annually or $5 per user per month billed monthly.
