Notion AI is a set of tools inside Notion, not a single chatbot. Use Notion Agent for questions and page or database actions, Edit with AI and AI blocks for writing, Enterprise Search for cited answers across permitted workspace and connected-app sources, AI Meeting Notes for transcription, Build with AI and Autofill for databases, and Custom Agents for scheduled or event-driven work. Business and Enterprise workspaces get the main feature set; Free and Plus include limited trial responses. This guide shows the correct entry point, permissions, capture setup, credit rules and verification checks for each feature as of October 2026.

Who can use Notion AI, and how do credits work in October 2026?
Business and Enterprise are Notion’s principal AI plans. Free and Plus workspaces receive limited complimentary trial responses, so the presence of an AI button does not mean every feature is permanently included.

Notion says the new credit system began for new Business and Enterprise workspaces on October 19, 2026. Existing workspaces are scheduled to move on November 2, 2026, so an existing workspace had not necessarily changed on October 30. Check Settings → Notion AI → Usage for the rules and balance that apply to your workspace.

How do I use Notion Agent?
Notion Agent is the general-purpose assistant for a request that may require reading several sources and creating or changing Notion content.
- Click the face icon at the bottom of Notion to open Agent.
- Describe the outcome, not just the topic. State which pages, people or files matter, what format you want, and what should remain unchanged.
- Use
@to name pages or people, choose sources with All sources, or attach a file with the paperclip. - Leave model choice on Auto unless you have a reason to select an available model. Model availability and credit treatment depend on the workspace.
- Review every proposed page, database edit or statement before publishing it.
For example, you could ask: “Read the project brief and last week’s updates, draft a status page, and flag decisions that need confirmation.” This is an illustrative prompt; the quality and completeness of the result depend on the sources you provide.

Notion states: “Notion Agent has the same permissions you do.” A missing page or inaccessible teamspace therefore cannot be treated as evidence that the information does not exist.
How do inline edits, AI blocks and translation work?
Edit selected text with AI
- Select the text or blocks you want to change.
- Choose Edit with AI.
- Request a specific operation such as shortening, correcting grammar, changing tone or producing an outline.
- Review the proposed version and choose to accept, discard or retry it.
Selection matters: editing only a paragraph gives the feature a narrower context than asking Agent to inspect a complete project page.
Generate an AI Block
- Place the cursor on a page and type
/AI Block. - Describe the output and include the source context or constraints it must follow.
- Generate the block, then refresh it later when the surrounding information changes.
Translate a full page
Open the page’s top ••• menu, choose More, then Translate. For a short passage or a translation that must preserve a particular tone, selecting the text and using Edit with AI gives you more precise control.
The default desktop shortcut for engaging Notion AI is Shift+Cmd+J on Mac and Shift+Ctrl+J on Windows. You can change the shortcut in preferences.
How do I search Notion and connected apps with citations?
Use Enterprise Search when the answer may be spread across your workspace or approved external services. It can show citations to the underlying workspace or connector sources, which lets you inspect the document instead of accepting an uncited synthesis.

- Open Home and enter your question in the search window.
- Open All sources to keep or disable web search, exclude integrations, or select a particular workspace source or connected app.
- Add context by mentioning a page, teamspace or person.
- Open each citation used for a material claim and check its date, owner and wording.
Some model choices can make an answer rely on web information instead of workspace or app information. If your question is about an internal policy, keep the relevant workspace source enabled and inspect the citations before acting on the answer.
How do I add a connector?
A workspace owner with suitable administrator access in the external service can open Settings → Notion AI and add a connector. Supported services listed by Notion include Slack, Microsoft Teams, Google Drive, Microsoft SharePoint and OneDrive, GitHub, Jira (beta), Linear, Gmail, Outlook and Google Calendar. Ordinary third-party connectors require Business or Enterprise; Notion separately documents a free-to-connect personal Gmail exception.
Initial ingestion can take up to 36 hours, so a newly connected source may not be searchable immediately. The external service’s existing permissions still apply: connecting an app does not grant every Notion user access to all of its content.
How do I create and share AI Meeting Notes?
AI Meeting Notes can transcribe a conversation and produce a summary, but the capture method changes by platform. Obtain consent from every participant before selecting Start transcribing, and check how the resulting page will be shared.
- Create a page from Meeting notes, or type
/meetin an existing page. - Add an agenda or desired focus if that will help the summary.
- Tell all participants that transcription is about to begin and obtain their consent.
- Select Start transcribing, conduct the meeting, then choose Stop.
- Review the transcript, summary, action items and page-sharing settings before distributing the notes.
Capture differences by device

A new microphone does not change the browser’s system-audio limitation. For an in-person meeting, an external meeting microphone may be useful when the chosen capture setup needs a shared room signal, but Notion does not require or certify a particular USB device.
Consent and recording rules vary by the participants and jurisdiction. Notion recommends consent from all participants; treat that as a meeting requirement and obtain any additional approval your organization or local rules require.
How do I build an AI database and fill its properties?
Create a new database with Build with AI
- Start a new table and choose Build with AI, or type
/databaseand select Build with AI. - Describe the properties, data types and views you need.
- Review the preview for incorrect fields, names or views.
- Continue only after the structure matches the workflow you intend to maintain.
This documented flow creates a new database structure. It does not edit an existing database and does not create its forms, automations, charts or database page templates.

Use Basic Autofill on existing entries
Select a database property and choose AI Autofill. Basic Autofill can summarize, translate, extract information or apply tags using the content on that entry’s page. It does not browse the web or gather context from every page in the workspace.
Use Custom Agent Autofill when the property needs wider context
Custom Agent Autofill can use broader search and multi-step instructions when configured. It is a different capability from Basic Autofill and follows a different credit path. Define the allowed sources and output format narrowly so that an automatic fill does not import irrelevant or restricted material.
Notion Help states: “Database Autofill does not currently reduce credit balance.”
How do Custom Agents automate recurring work?
A Custom Agent is a shared background workflow rather than a one-off message to your personal Agent. It can start on a schedule or after a Notion or Slack event.

- Write the instructions, then specify the allowed sources, model and tools.
- Choose a recurring schedule or an event trigger.
- Check the access scope and expected output before saving.
- Monitor the first runs and revise instructions when the trigger produces an unexpected case.
Custom Agents receive only the access you explicitly grant rather than the whole workspace by default. Distinguish a personal Agent request from a shared background agent: the owner or an admin-funded workspace budget may bear the credit cost for the latter. Model selection and personally owned Custom Agents can draw on Select credits in workspaces using the new credit system.
How do Notion AI images and file workflows work?
On a supported and enabled workspace, type /image and select Notion AI, ask Agent in chat to create an image, or use AI to edit an existing image. On mobile, image generation is available through Agent chat rather than an image block. Custom Agents cannot generate images.
Notion’s image help lists a limit of 10 generations or edits per 24 hours and 30 per 30 days for customers working with an account team. Those limits are not established as universal for every billing arrangement, so check the limits shown for your workspace.

Agent can analyze uploaded files, and Notion describes workflows for creating downloadable spreadsheets, PDFs and slide decks. Treat file generation as an assisted workflow: inspect the content, formatting and data before sharing or relying on the file.
What is Research Mode, and where is it?
Notion’s pricing comparison labels Research mode as beta and describes reports that combine workspace information, connected tools and web information. The former /help/research-mode address now redirects to Agent help, so there is no single verified button path that applies to every current workspace. If Research mode appears in your account, follow the in-product entry point and check which sources and citations the report actually used.
How should I verify Notion AI’s answers?
AI output is a draft or synthesis, not proof that the underlying record is correct. Use these checks before publishing, sending or automating a result:
- Confirm scope: make sure the prompt named the right page, date range, teamspace, connector or file.
- Inspect citations: for Enterprise Search answers, open the cited source and compare the exact wording.
- Check permissions: Agent and connectors honor the access you already have; a missing source may simply be inaccessible.
- Separate web and internal evidence: a selected model may use web information instead of your workspace or app data.
- Review generated changes: accept edits, database properties, meeting action items and downloadable files only after a human check.
- Protect meeting participants: obtain consent and confirm sharing settings before storing a transcript in a shared database.
Notion says customer data is not used to train its models. Its pricing information specifically describes zero retention with large-language-model providers for Enterprise, not for every plan, so do not generalize that Enterprise statement to a different contract.
What should I do when a Notion AI feature is missing or behaves unexpectedly?
The AI control is not visible
- Confirm the workspace plan and whether the administrator has enabled the feature.
- Check whether the feature is still rolling out to your workspace.
- For credit-related failures, open Settings → Notion AI → Usage and check the applicable allowance or admin-funded balance.
Search returns no newly connected information
Allow up to 36 hours for initial connector ingestion, then verify that your account still has permission in the external service and that the source remains selected under All sources.

Check the capture path rather than buying a new microphone first. Browser capture is microphone-only, mobile cannot directly capture other voices playing through the same phone, and desktop system-audio capture requires the supported desktop app version.
An Agent cannot find or change a page
Confirm that your own Notion account can open and edit the page. Agent cannot exceed your permissions, and a Custom Agent may have an even narrower explicitly granted scope.

How do I choose a reliable Notion AI workflow?
Start with the smallest feature that has the context and automation level your task needs.
- Use Edit with AI for a bounded passage.
- Use an AI Block for a generated section that will stay on one page.
- Use Notion Agent when the task must read several named sources or make a page or database change.
- Use Enterprise Search when the answer spans the workspace or connected apps and you need source citations.
- Use AI Meeting Notes only after the capture path, consent and sharing plan are ready.
- Use Basic Autofill for entry-local summaries, tags and extraction; use Custom Agent Autofill when broader search or multi-step logic is necessary.
- Use a Custom Agent when a trigger or schedule should run the workflow without a person sending each prompt.
This approach limits unnecessary context, makes permissions easier to audit and reduces the chance that an automated action changes information outside its intended scope.
Frequently Asked Questions
Why don’t I see the option to create an image?
Image generation depends on the workspace plan, administrator settings and rollout status. Check whether Notion AI image features are enabled for the workspace, then look for the image option in Agent chat or the slash-command menu rather than assuming every account has the same controls.
How do I ensure all parties have provided consent for AI Meeting Notes?
Tell participants before recording what will be transcribed and where the notes will be stored, then wait for an affirmative response from each person before selecting Start transcribing. Keep the consent decision with the meeting record and adjust sharing permissions so only the intended audience can open the transcript.
What happens if an external app permission changes after I connect it?
Notion continues to respect the permission granted by that external service. If access is removed or a file is restricted there, the connector may no longer return that material; recheck the source account and its sharing rules before troubleshooting the Notion search query.
Why did an answer cite a web page instead of our internal document?
Enterprise Search can include web search, and some selected models may rely on web information rather than workspace or connected-app content. Disable web search or narrow All sources, name the internal page, and inspect the citations to confirm that the response used the evidence you intended.
