If you work in Excel every day, a small set of keyboard commands covers most of the work that interrupts your flow: saving, undoing, moving through a data block, selecting ranges, editing, formatting, and finding a cell. My daily shortlist is below, separated by Windows and Mac so you do not have to guess which modifier key applies.
The combinations come from Microsoft’s Excel shortcut references and its September 26, 2025 shortcut guide. Treat them as a practical starting set, not a promise of a measured time saving. Microsoft says many users find an external keyboard and shortcuts more efficient, and notes that shortcuts can be an essential alternative to touchscreens for some people with mobility or vision disabilities.

What should I learn first if I use Excel every day?
Start with the commands that protect your work and eliminate mouse travel: save, undo, copy and paste, move to the edge of a data region, select while moving, and find. Add formatting and worksheet-boundary commands after those feel automatic.
Microsoft’s notation matters: a plus sign means press keys together, while a comma means press them in sequence. The official reference has separate sections for Windows, macOS, Excel for the web, iOS and Android. The lists below identify Windows or Mac explicitly; do not assume a Windows combination translates perfectly to macOS.

| Task | Windows | Mac | What it does |
|---|---|---|---|
| Save | Ctrl+S | Command+S | Saves the current workbook |
| Undo | Ctrl+Z | Command+Z | Reverses the most recent action |
| Copy | Ctrl+C | Command+C | Copies the selection |
| Cut | Ctrl+X | Command+X | Removes the selection and places it on the clipboard |
| Paste | Ctrl+V | Command+V | Pastes clipboard contents |
| Bold | Ctrl+B | Command+B | Toggles bold formatting |
| Find | Ctrl+F | Command+F | Opens the workbook search command |
These are the commands I keep available regardless of the workbook. For anything less familiar, I check Microsoft’s current platform section rather than relying on a remembered Windows-to-Mac substitution.
How do I save work and recover from a mistake?
Saving and undoing are the two shortcuts that reduce the cost of an accident. Use the combination for your operating system, then keep working without reaching for the File menu.

- Windows: Press
Ctrl+S. - Mac: Press
Command+S.
I use Save before replacing a formula block, importing data, or making a large sort. It gives me a known point to return to if the next action has an unexpected result. The exact behavior can also depend on whether the workbook is stored locally or in a service that handles automatic saving.
Undo one or more actions
- Windows: Press
Ctrl+Z. - Mac: Press
Command+Z.
Press the shortcut repeatedly when you need to step back through several actions. If you undo too far, use the redo command shown in the relevant Microsoft reference; do not assume every Ctrl-based combination has an identical Mac equivalent.
How do I move through a large data region without the mouse?
Use the arrow-key jump to reach the edge of a contiguous block, then add Shift when you want to select the cells between the starting point and that edge. Microsoft’s September 26, 2025 guide describes Ctrl+Arrow for reaching a data region’s edge.
Jump to the next edge
- Windows: Place the active cell inside the block and press
Ctrl+Left Arrow,Ctrl+Right Arrow,Ctrl+Up ArroworCtrl+Down Arrow. - Mac: Verify the macOS section of Microsoft’s current Excel reference before using the corresponding Command- or Control-based combination; Mac mappings are not all one-for-one.
The jump stops at the boundary of the current run of populated cells. If a blank cell divides the data, Excel treats the areas on either side as separate regions, so an apparent “short jump” can be correct.

Extend a selection while moving
On Windows, hold Shift with the applicable Ctrl+Arrow combination to extend the selection to the edge. On Mac, check the current macOS shortcut entry before combining Shift with the platform’s navigation modifier. This is useful for selecting a column of records or a row of values without dragging across the sheet.

How do I jump to the beginning or end of a worksheet?
Microsoft’s 2025 guide identifies Ctrl+Home and Ctrl+End as worksheet-boundary commands. They are different from the data-region jump: these commands take you toward the sheet’s overall used boundaries rather than merely to the next filled-cell edge.
Beginning of the worksheet
Windows: Press Ctrl+Home. Confirm the Mac equivalent in Microsoft’s macOS reference, because function-key and modifier behavior can vary with Excel version and Mac settings.
End of the worksheet
Windows: Press Ctrl+End. Excel moves toward the last cell it considers part of the worksheet’s used range. If formatting or an old value extends far below your visible data, the endpoint can be farther away than expected.
Use these commands when a workbook has many tabs of records and you need to inspect its boundaries quickly. They also help reveal whether accidental formatting has expanded the used range.
How do I select and move data while editing?
Once you can move to an edge, combine movement with selection and clipboard commands. The important distinction is whether you are navigating the sheet or editing the contents of the active cell.
Copy, cut and paste
- Windows:
Ctrl+Ccopies,Ctrl+Xcuts, andCtrl+Vpastes. - Mac:
Command+Ccopies,Command+Xcuts, andCommand+Vpastes.
Select the source range first, copy or cut it, move to the destination, and paste. If the destination is a different workbook, keep both workbooks open and confirm that the intended cell is active before pressing the paste shortcut.
Edit the active cell safely
Enter edit mode with the platform’s Excel command shown in Microsoft’s reference rather than guessing from a general Office list. When you are editing a formula, the arrow keys may move the insertion point or change the referenced cells, so finish or cancel the edit before using navigation shortcuts.

Select a range without dragging
Click the starting cell, hold Shift, and use the verified platform navigation shortcut to extend the selection. For a contiguous table, moving to an edge with Shift held is usually more precise than dragging, especially when the sheet scrolls while you select.
How do I repeat common formatting actions?
For quick emphasis, use the bold shortcut and reserve the ribbon for formatting choices that need inspection. Shortcuts that open formatting dialogs, apply number formats, or expose ribbon access keys vary by platform, so I use only combinations listed in the relevant Microsoft section.
Toggle bold
- Windows: Press
Ctrl+B. - Mac: Press
Command+B.
Select the target cell or range first. The command toggles the bold state; pressing it again removes bold from the selection.
Use the ribbon when the result matters more than speed
For dates, currency, decimals, borders, colors, and alignment, open the formatting controls and confirm the resulting display. A keyboard sequence that is correct in one Excel release or keyboard layout may not be identical in another, and a visually similar format can carry a different underlying number format.
How do I find a value or jump to a location?
Find is the fastest way to locate a name, invoice number, label, or formula text when you know what to search for but not where it appears.
Open Find
- Windows: Press
Ctrl+F, using the Windows section of Microsoft’s Excel shortcut reference to confirm the current command. - Mac: Press
Command+F, which Microsoft lists in its Mac shortcut reference.
Type the term, review the matches, and use the search controls to move between results. Search behavior can depend on options such as matching case or looking in formulas rather than displayed values, so check those controls when a result seems missing.
Jump to a known cell or range
When you know an address, use Excel’s navigation box or the platform-specific command documented by Microsoft for reaching a range. This is preferable to repeated scrolling in a worksheet with thousands of rows. If a named range is available, selecting it from Excel’s name box can be clearer than typing a coordinate.

Why do Windows and Mac shortcuts differ?
Many common actions use Ctrl on Windows and Command on Mac, but Microsoft cautions that not every Ctrl combination carries over. Function keys can also be intercepted by macOS preferences or another utility, changing what happens when you press them.

On another layout, the key in the printed position may produce a different character or command, and symbols such as brackets can be located elsewhere. If a shortcut fails, check the physical layout, the Excel platform section, and any system setting that assigns function keys before assuming Excel is broken.
Are these shortcuts available in Excel for the web, iOS and Android?
Microsoft publishes platform-specific shortcut sections for Excel on Windows, macOS, the web, iOS and Android. Availability and behavior depend on the app and the hardware attached to it, so a desktop command should not be treated as a promise that the same keys exist on a phone or tablet.
On a browser, the browser itself may reserve a key combination. On mobile, an external keyboard can expose more commands than the touch interface, but the available set still follows the mobile app’s documentation. Check the platform heading in Microsoft’s current shortcut reference before teaching a shortcut to a mixed-device team.
What can I do when Excel has no obvious shortcut?
Microsoft recommends recording a macro for a frequently repeated action that does not have a built-in shortcut. A macro can turn a longer sequence into a repeatable command, but it should be created only when you understand what the recorded steps change and whether the workbook permits macros.

Windows users can also install Microsoft PowerToys and use its Shortcut Guide utility as an on-screen lookup for supported applications, including Excel. The built-in app list can change between PowerToys releases, so treat it as a discovery aid and verify the command in Excel’s own documentation.

For a broad printed reference, Microsoft Press lists Microsoft Excel Inside Out (Office 2021 and Microsoft 365), ISBN 978-0-13-755953-4, with keyboard accelerators and shortcuts among its topics. It is a supplementary learning book, not a replacement for Microsoft Support when a combination may have changed.
What are the accessibility benefits of keyboard shortcuts?
Keyboard commands can provide an alternative to a touchscreen and reduce the need for precise pointer movement. Microsoft specifically describes shortcuts as potentially essential for users with mobility or vision disabilities. The benefit is individual and qualitative; there is no universal percentage of time saved or single shortcut set that suits everyone.
An external keyboard, high-contrast settings, screen magnification, and a deliberate focus order can work together. If a shortcut conflicts with assistive technology, keep the accessibility tool’s documented behavior as the authority and choose an Excel command that does not create a conflict.
How I decide which shortcuts belong in my daily set
My “can’t live without” list is intentionally short: it protects work, moves through data, makes selections predictable, and handles the most common edits. I exclude commands that I use only occasionally or that differ substantially across versions, because a shorter, platform-labeled list is easier to trust.
- Windows core: Ctrl+S, Ctrl+Z, Ctrl+C, Ctrl+X, Ctrl+V, Ctrl+Arrow, Ctrl+Home, Ctrl+End, Ctrl+B and Ctrl+F.
- Mac core: Command+S, Command+Z, Command+C, Command+X, Command+V, Command+B and Command+F, plus the verified Mac navigation equivalents.
- Situational add-on: Shift combined with a verified movement command for selecting a contiguous range.
Use the list as a starting point, then keep only the commands that match your files, keyboard and Excel platform. The official Microsoft reference remains the authority when a release, layout or device changes the mapping.
Frequently Asked Questions
Can I create my own keyboard shortcut in Excel?
Excel does not provide a universal one-key remapping panel for every command. For a repeated sequence without a built-in shortcut, Microsoft suggests recording a macro; assign and share it carefully because macro security and workbook permissions affect whether it can run.
Why does a shortcut work in Excel but not in my browser?
Browsers reserve some key combinations for their own commands, and a browser-based Excel session may receive that command first. Try the same action in the desktop app or check the web-specific shortcut section in Microsoft’s reference.
What should I check when a Mac function-key shortcut does nothing?
Review macOS keyboard settings to see whether function keys are assigned to system features, and check utilities that intercept them. Then confirm the exact Excel macOS combination in Microsoft’s current list rather than substituting a Windows Ctrl command.
Is a printed shortcut book enough to keep my list current?
A book can help you learn concepts and accelerator patterns, but editions describe a particular Office generation. For a current combination, compare the printed entry with Microsoft Support’s live cross-platform reference.
