You can copy permitted files from a work or school OneDrive account into a personal OneDrive account using the OneDrive desktop app on Windows or Mac. The accounts do not merge: the personal account receives new copies, and your organization’s rules still determine what you are allowed to take. Before starting, confirm that the files are yours to copy and that the personal account has enough storage.

What does transferring work OneDrive files actually do?

It creates copies in your personal OneDrive; it does not move your work account, merge the two accounts, or turn your personal account into the owner of the work account. Microsoft says personal and work or school OneDrive accounts “cannot be merged, but they can be used side by side.” Microsoft’s work-to-personal file-transfer guidance describes copying files, not transferring an account.

That distinction matters in both directions. Your work copy remains in the work OneDrive unless you or your organization separately remove it, and the personal copy consumes space in the personal account. A successful copy also does not preserve the work copy’s sharing arrangements or all of its original metadata. Treat this as a personal-file copy process, not as an archive of the workplace account.

In practice, you end up with two separate items in two separate storage locations. The personal copy is a new item in the personal account, while the original remains governed by the employer’s account and policies. Copying does not transfer account settings, access rights, or responsibility for the work account. If you are leaving a job, do not treat a completed personal copy as permission to keep workplace records or as a substitute for your organization’s departure and records-retention process.

What should I check before copying anything?

First settle authorization, destination capacity, and local storage. If you are unsure whether a file is personal or whether your employer permits copying it, ask your organization before proceeding; having access to a file is not the same as having permission to retain it.

Confirm that the files are allowed to leave the organization

Microsoft’s guidance is explicit: “You should only copy personal files.” Do not copy confidential employer information, customer or employee data, or intellectual property unless your organization’s rules or applicable law explicitly permit it. Employment agreements, internal policies, and legal obligations can be more restrictive than the technical options in OneDrive. If there is any doubt, ask IT, your manager, or the appropriate compliance contact for an answer about the specific files.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make the selection deliberately instead of copying an entire work folder simply because it is convenient. Work folders can contain a mixture of personal material and business documents, and a file’s location or your ability to open it does not establish that it may be retained. If the organization has an export process or needs to review the selection, follow that process. Do not try to get around a blocked file type, denied access, or other administrative control.

Check the personal account’s available space

Microsoft warns against copying more data than the personal OneDrive can hold. Review the destination’s available capacity before selecting a large batch. If there is not enough room, narrow the selection to permitted personal files you need, or consider whether additional personal storage is appropriate; availability and pricing depend on the account and are not specified here.

There is no special transfer fee established for this copy workflow, but the personal account must have enough storage for the copies. A storage upgrade is only a consideration if the destination is short on capacity; check the account’s current options and price directly rather than assuming a particular plan. An external drive is also optional and does not increase personal OneDrive cloud capacity.

Allow for local disk space and download time

OneDrive Files On-Demand can display files in a synced folder even when the full contents are not stored on the computer. For a desktop copy, online-only source files may need to download locally before the copy can be completed, and the destination copy then needs to sync. Microsoft’s Files On-Demand guidance for Windows explains that choosing Always keep on this device downloads a selected item and uses device storage. Make sure the computer has room for the local work involved, especially for a large selection.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Think of the desktop process as potentially having two local stages: retrieving source contents that are online-only, then creating the destination copy before it uploads. Allow enough time and disk space for both. You do not have to pre-download every item manually if the app can retrieve it as needed, but a cloud placeholder should not be mistaken for a locally complete file. Use the “Always keep on this device” option when it helps prepare selected items and you have room to store them.

How do I copy files from work OneDrive to personal OneDrive?

Use a computer with the OneDrive app, add the personal account alongside the work account, and copy permitted items between their separate synced folders. Microsoft recommends copy-and-paste rather than dragging and dropping because it is easier to put files in the wrong location when dragging.

1. Add the personal account to the OneDrive app

  1. On Windows: Select the OneDrive cloud icon in the notification area, open Settings, choose Account, then select Add an account.
  2. On Mac: Select the OneDrive cloud icon, open Preferences, choose Account, then select Add an account.
  3. Sign in to the personal account and allow its OneDrive folder to be set up. Microsoft allows one personal OneDrive account alongside work or school accounts. The folders are shown separately, typically as OneDrive – Personal and OneDrive – [CompanyName] in File Explorer or Finder. See Microsoft’s instructions for adding a OneDrive account if the labels or setup differ.

Before copying, take a moment to identify which folder is the source and which is the destination. Their names should indicate Personal and the organization, but confirm the path in File Explorer or Finder rather than relying on a window’s appearance. The work and personal accounts remain side by side; adding the second account does not combine their folders or make a single shared storage area.

2. Decide exactly what to copy

Open the work OneDrive folder and select only the files or folders that you have confirmed may be retained. For cloud-only items, allow the app to download their contents as needed; a visible placeholder is not proof that the complete file is already stored locally. If you want to prepare a specific file or folder in advance, use Always keep on this device from its context menu, bearing in mind that this uses local disk space.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a large collection, consider breaking the selection into manageable batches. This makes it easier to spot a blocked item, estimate progress, and check which group has completed syncing. A batch is not a way around service limits or organization rules; it is simply a practical way to monitor the operation. Avoid including business material in a batch just to save time.

3. Copy into the personal OneDrive folder

  1. In the work OneDrive folder, select the allowed files or folders and choose Copy.
  2. Open the separate personal OneDrive folder, navigate to the intended destination, and choose Paste.
  3. Leave the original work files alone unless your organization separately instructs you otherwise. The copy operation is not a request to delete or alter the work originals.

Microsoft’s copy and transfer instructions describe this desktop-folder approach. It is the directly documented route for work-to-personal copies; do not assume that an online “Copy to” control can send files across work and personal accounts.

Copy-and-paste is preferable to dragging because a drag can place items in the wrong folder, making it harder to notice that you copied into the work account again or into an unintended location. Before pasting a large batch, check that the active destination is the personal OneDrive folder. If a same-named item already exists there, review the prompt and the files carefully rather than choosing an overwrite or replacement option without considering which copy you want to keep.

4. Wait for the destination to finish syncing

Check the personal OneDrive folder’s sync status and wait until the copied items are no longer shown as syncing or processing. Then check the expected files in the personal account before relying on them. A local copy operation and a completed cloud sync are separate stages; large batches can take time, and a file’s appearance in the folder alone does not establish that it has finished uploading.

For a useful final check, compare the destination against the list of files or folders you intended to copy, open a few representative files from the personal account, and confirm that the account is no longer processing the batch. Verification is especially important after copying cloud-only items or a large set. Do not delete work originals as a way to test whether the personal copy worked.

Which transfer route should I use?

For a collection of files or folders, the desktop app is the clearest documented choice. A browser can be convenient for a small number of individual items, but Microsoft’s cited guidance does not establish a one-click browser method for copying between work and personal accounts.

Route Useful when What to account for
OneDrive desktop app and synced folders Copying selected files or folders between the separate work and personal folders on a computer. Requires permission, enough destination cloud capacity, local disk space for any downloads and copies, and time for destination sync.
OneDrive website Convenient for handling a few files online, where the available controls support the task. A supported one-click cross-account “Copy to” destination is not established by Microsoft’s cited work-to-personal instructions. Do not rely on one being available.
Separate local backup drive Keeping an additional physical copy when policy permits and a separate backup is wanted. It is optional, not a OneDrive transfer tool or a requirement for the documented desktop workflow. Files still need to be copied into personal OneDrive if cloud copies are the goal.

Choose based on authorization, the amount and size of the permitted files, personal cloud capacity, local computer space, and how long you can leave the app syncing. A separate drive can provide another copy, but it does not solve a lack of permission or destination cloud space.

The desktop method is a practical fit when you need to copy folders or many items and can keep the computer running while OneDrive downloads and uploads. A browser may be less involved for a few items, but only use controls that actually support your intended destination; the general website copy limit does not establish that a cross-account website transfer is available. A portable external SSD can hold a separate local backup if you are permitted to keep one, but you do not need to purchase one for the documented OneDrive workflow.

What carries over, and what must be recreated?

Copied files are treated as new files in the destination, so do not expect the work account’s file history, ownership details, or sharing setup to follow automatically. Microsoft specifically says that metadata such as Date created and Modified By is not retained and that previously shared files need to be shared again.

  • Dates and attribution: The destination copy does not retain the original Date created and Modified By metadata identified in Microsoft’s guidance.
  • Existing shares: People who could access a work file through an earlier share may not be able to access its personal copy. Share permitted personal copies again from the personal account if needed.
  • Version history and links: Do not assume that version history, original ownership, or old sharing links transfer. The destination is a new copy, not a continuation of the work item.

For a personal document that others need, plan to recreate any necessary sharing from the destination after the copy has synced. Do not share employer information from a personal account unless your organization has authorized that use.

Plan for the destination copy to have its own identity and sharing lifecycle. If someone needs access to a permitted personal file, first make sure the file has synced, then share it from the personal account using that account’s available sharing controls. Do not assume that an old link will point to the new copy, or that former work collaborators will automatically retain access. Likewise, if the original creation date or attribution is important, Microsoft’s stated behavior means you should not treat the copy as a record preserving those fields.

What limits or restrictions can interrupt a copy?

File size, file count, sync volume, and organization settings can all affect what the OneDrive app can process. These are service limits and recommendations, not guarantees that every account or network will complete a transfer at the maximum.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Limit or recommendation What Microsoft documents What it means for this task
Individual upload or download size Maximum of 250 GB for an individual upload or download. A file larger than this exceeds the documented individual-operation limit. The value is from Microsoft Support documentation verified October 30, 2026; the page does not display a publication year.
Website copy operation Limit of 2,500 files per operation. This is a general website-copy limit, not a promise of a supported cross-account transfer method. Microsoft Support documentation verified October 30, 2026; publication year not displayed.
Synced items Standard performance recommendation of no more than 300,000 synced items. Keep the scale of the synced collection in mind rather than treating this as a file-copy target. Microsoft Support documentation verified October 30, 2026; publication year not displayed.
Expanded item-count preview A preview for up to 1,000,000 items began rolling out April 22, 2026. Do not assume a particular account has preview access. Microsoft Support documentation verified October 30, 2026.

For files larger than a few gigabytes, Microsoft advises using the desktop sync app rather than uploading through the website. See its OneDrive and SharePoint restrictions and limitations for the service guidance. If a work account blocks a file type or an operation is denied, contact the organization’s IT team; do not try to bypass an administrative restriction.

These figures describe different kinds of limits and should not be combined into one promised transfer capacity. The 250 GB figure is for an individual upload or download; the website figure is a count per copy operation; and the 300,000-item number is a standard performance recommendation for synced items. The one-million-item preview began rolling out April 22, 2026, but preview availability is not guaranteed. For a very large library, consider the expected sync time and ask IT about an approved process instead of assuming that any one limit means the whole library will transfer smoothly.

Microsoft’s guidance also notes that administrators can block syncing particular file types in a work or school account. A block or inaccessible account is an organization-level restriction, not an invitation to rename files, use another tool, or otherwise bypass controls. Employer-specific export rules cannot be inferred from general OneDrive instructions, so ask the organization what is allowed.

What should I do if the copy is stuck or incomplete?

Check which stage has stopped before repeating the operation: the source file may still be downloading, the local copy may not yet exist, or the destination may still be uploading. Re-copying before identifying the stage can create confusion about which version is complete.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • A source item shows as online-only: Allow it to download, or use Always keep on this device for the selected item if there is enough local space. Then confirm that the file contents are available before copying.
  • The destination shows syncing or processing: Leave OneDrive time to finish, particularly for a large batch, and check the destination again before relying on the files.
  • A file type is blocked or access is denied: Ask IT or the relevant administrator whether the item may be copied and how to handle it. A block is not a reason to work around the organization’s controls.
  • The personal account cannot accept the selection: Recheck destination capacity and reduce the selection to permitted items that fit. The transfer guidance does not guarantee extra space or a particular storage plan.

If the app continues to show activity, distinguish waiting from failure: a large batch can remain in a syncing or processing state while OneDrive works through it. Verify the personal account after the status clears. If the problem is permission, a blocked type, or a disabled work account, contact the organization; repeating the same copy attempt will not create authorization or restore access.

Is the departing-employee file-transfer feature meant for a personal account?

No. Microsoft’s similarly named Simplified file transfer for departing employees describes an authorized manager or secondary owner moving files to other organizational destinations, with an option to keep sharing. It is not an employee-facing method for moving work files into a personal OneDrive. If your organization is managing a departure, follow its process and ask IT about the permitted destination.

Frequently Asked Questions

Can I copy work OneDrive files after my work account is disabled?

Usually, you need access to the work files to make the desktop copy, and your organization controls that access. If your account has already been disabled, ask the organization whether it can provide an authorized export or recover personal files; do not attempt to bypass access controls.

Can I use a phone to move a large work OneDrive folder?

Microsoft’s cited work-to-personal instructions describe using the desktop app and separate synced folders, not a mobile bulk-transfer workflow. For a large folder, use the documented computer-based process if your organization permits it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a successful local paste mean the files are already in my personal cloud?

No. The paste creates the local destination copy, while OneDrive still has to sync it to the personal account. Check the destination’s sync status and verify the files in the personal account before depending on them.

Can I merge work and personal OneDrive accounts?

No. Microsoft says a personal OneDrive account and a Microsoft 365 work or school account cannot be merged, though they can be used side by side. You can copy permitted files into the personal account, but the accounts remain separate.

Will shared files and dates carry over?

Do not expect them to. Microsoft says copied items are treated as new files, and metadata such as Date created and Modified By is not retained. Previously shared files need to be shared again from the personal account if the file is permitted to be there.

Can I transfer files before I leave my job?

You can use the desktop copy workflow only for files you are authorized to retain, and your organization’s policies still apply. Ask your organization about personal files and any departure process before copying; technical access alone does not grant permission.

Free tools Windows power users keep installed

Do I need to buy an external drive or upgrade my OneDrive plan?

Neither is required for the documented desktop workflow. An external drive is an optional separate local backup, while additional personal storage may be relevant only if the personal account lacks room. Check the account’s current capacity and options; no particular plan or price is established here.

How many files can I copy at once?

Microsoft documents a 2,500-file limit for a website copy operation, but that is not a guaranteed cross-account browser method. It recommends no more than 300,000 synced items for standard performance, with a preview for up to one million items rolling out from April 22, 2026. These are distinct limits and recommendations, not a promise that a large transfer will complete.

The Bottom Line

Copy only files you are allowed to keep, using the OneDrive desktop app’s separate work and personal folders. Check personal cloud capacity and local disk space, use copy-and-paste, and wait for the personal account to finish syncing before relying on the files. The accounts do not merge, and original sharing and specified metadata do not carry over.
