Choose a hardware KVM switch if you want to switch a shared monitor and keyboard-and-mouse setup between computers, or if software-based input sharing is not allowed on your network. Choose software sharing if each computer will keep its own display and you want to move one keyboard and mouse between compatible, running devices. The deciding factors are display routing, operating-system compatibility, network and security rules, and whether you need clipboard or file sharing.
What is the difference between a KVM switch and software sharing?
A KVM switch changes which connected computer receives a shared keyboard, video display, and mouse. Depending on the particular switch and how it is wired, it can switch the monitor along with the peripherals. Software sharing instead passes keyboard and mouse input between computers; the computers remain separate and ordinarily keep their own screens active.

That distinction matters more than the label “KVM.” A hardware switch is a way to route physical connections; software is a way to direct input between compatible, running devices. Software that moves your pointer across several screens is not, by itself, switching the video signal feeding a single monitor.
| Decision | Hardware KVM switch | Software sharing |
|---|---|---|
| What changes | The selected computer receives the connected peripherals; monitor routing depends on the switch and cabling. | Keyboard and mouse input moves between supported computers. Clipboard and file features depend on the software. |
| Displays | Can switch a monitor as part of the setup; check the switch’s ports and display specifications. | Each computer retains its own display. Synergy does not switch monitor inputs. |
| Operating systems | Compatibility depends on the ports and implementation of the particular switch. | Varies by product: Mouse Without Borders is for Windows, Universal Control is for Mac and iPad, and Synergy lists Windows, macOS, and Linux. |
| Connection and setup | Physical connections are the core switching path; the switching method varies by product. | Requirements vary. Options may require pairing, network access, nearby devices, or account and system compatibility. |
| Clipboard and files | Not the defining job of a KVM; any additional sharing depends on other software or equipment. | Features vary: Mouse Without Borders supports clipboard and file transfer; Synergy supports text and image clipboard content, but not files. |
When should you choose a hardware KVM switch?
Choose a KVM when you want one physical keyboard and mouse to serve multiple computers and may also want one monitor to switch between them. It is also the straightforward direction to investigate when network-based input sharing is prohibited or unsuitable for your setup.

It fits a shared-monitor workstation
If you have one monitor connected to more than one computer and want a single switching action to change the computer shown on it, look for a KVM that supports the relevant video connections as well as your USB peripherals. A basic input-sharing app cannot substitute for that video-routing function. Some KVM products switch only certain connections, so check what the specific device routes rather than assuming every product sold as a KVM switches every cable.
A KVM is also useful when the computers cannot run compatible sharing software, are not permitted to communicate over a local network, or must remain isolated from one another. The switch does not require the computers to be on the same subnet or signed in to the same account; the key dependency is the physical cabling and the KVM’s own implementation. That does not make every KVM appropriate for a secure environment, however. Follow your organization’s rules for peripherals and removable connections.

There is no single KVM specification that can be recommended for an unspecified setup. Before choosing one, make a list of the computers and display equipment you intend to connect, then verify:
- How many computers the switch supports.
- The video connectors on each computer, monitor, and switch.
- The display resolution and refresh-rate requirements, and whether the switch supports them.
- Which USB devices you need to share and whether they are compatible.
- How you want to change channels, and whether you need audio or other connections switched too.
Count the complete signal path, not just the connector on the laptop or desktop. A computer, cable, KVM port, output cable, and monitor all need to fit the intended connection. If you need speakers, a headset, or another peripheral switched with the keyboard and mouse, confirm that the model routes those connections rather than assuming they are included.
A TRENDnet TK-217i user guide illustrates the range of switching methods: it describes channel selection through KVM switcher software and discusses push-button or keyboard switching. That legacy manual is useful as an example of how a switch may be operated, not as evidence that the model is currently available or suitable for a modern display. Confirm a current product’s own specifications for your exact equipment.
A practical KVM setup sequence
- Write down each computer’s video output, USB needs, and the monitor’s input options.
- Choose a KVM with the required number of computer channels and matching video specifications.
- Connect the monitor and shared keyboard and mouse to the KVM’s console ports.
- Connect each computer to its assigned KVM channel using the cables and adapters specified by the KVM documentation.
- Connect any supported audio or additional USB equipment, if required.
- Test the monitor image, keyboard, mouse, and channel-selection method on every computer before putting the setup into regular use.
The last step catches mistakes such as a cable connected to the wrong port or a peripheral the KVM does not support. If the display works but the keyboard does not, or if channel switching changes input devices without changing the image, consult the model’s connection diagram instead of treating the result as a software problem.
Hardware trade-offs and ownership
A hardware KVM requires an upfront device purchase and additional cables or adapters may be needed. In return, the central switching path is physical and does not depend on an application being installed and running on every computer. Maintenance is mostly limited to the switch, cables, and the computers’ normal display and USB support. Prices vary by the number of channels, video standard, and peripheral features, so a category-level recommendation is more honest than quoting a price for an unspecified setup.
When is software mouse-and-keyboard sharing the better choice?
Software is a better fit when the computers already have screens you want to keep using and you want to move between them without pressing a physical switch. It can also add clipboard or file sharing, but those features are product-specific and may change what information can cross between devices.
Software sharing normally requires every participating computer to be powered on, running a supported operating system, and reachable under the product’s connection rules. A network interruption, blocked firewall rule, incompatible release, or failed pairing can stop input movement even though the computers are next to one another. Plan a fallback keyboard or the computers’ own input devices if the machines are important for work.
Windows: Microsoft PowerToys Mouse Without Borders
Mouse Without Borders, included in Microsoft’s PowerToys, can control up to four Windows computers with a shared keyboard and mouse. Microsoft also documents clipboard and file transfer. After configuration, you can move the pointer across the edge of one computer’s screen to reach another.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsPairing is part of setup: generate a security key on one computer, then use that key and the computer name when connecting another. A typical sequence is to install PowerToys on each Windows computer, open Mouse Without Borders, generate the key on the first machine, enter the key and computer name on the next machine, and arrange the computers in the on-screen order that matches your desk. Repeat the pairing for additional machines, up to Microsoft’s stated limit of four.

In a managed environment, Microsoft documents policy controls for clipboard sharing, file transfer, and limiting connections to the same subnet. Check with your IT administrator before enabling sharing between a work-managed computer and a personal device; the clipboard and file features can carry information across that boundary. If you do not need those transfers, leaving them disabled reduces the amount of data the arrangement can move.
Mouse Without Borders is Windows-specific. It is not a general solution for adding a Mac, Linux computer, iPad, Android device, or ChromeOS device to the same group. For mixed operating systems, compare a product that explicitly lists every system you need rather than assuming a Windows utility will interoperate.
Mac and iPad: Apple Universal Control
Universal Control is designed for a nearby Apple-device setup. Apple says a Mac can use its keyboard, mouse, or trackpad with up to two other Mac or iPad devices. Each device keeps its own screen and apps while the pointer and typing can move between them; Apple also describes copying content between devices.
The devices must meet Apple’s system requirements and use the same Apple Account. This makes Universal Control a natural option for a Mac-centered desk that includes an iPad or another supported Mac, but not a general Windows-and-Linux input-sharing solution. It also does not route one external monitor among several computers.
To prepare a Universal Control arrangement, update and verify the participating Apple devices against Apple’s current compatibility requirements, sign them in to the required account, place them nearby, and enable the relevant Universal Control settings. If the pointer will not cross between devices, Apple recommends checking VPN or security software and firewall settings as part of troubleshooting. Physical proximity alone is not a guarantee that the feature will connect.
Universal Control is an Apple feature rather than a substitute for a video switch. You can control an iPad while it shows its own interface, but you cannot use Universal Control to select which computer feeds a single shared monitor.
Windows, macOS, and Linux: Synergy
Synergy is a commercial cross-platform option for sharing input across Windows, macOS, and Linux computers. Its product page describes local-network sharing and TLS/SSL encryption. Symless Support says the software sends input to one computer at a time, supports text and image clipboard content but not files, and does not switch monitor inputs.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
That last limit matters if several computers are connected to one monitor: Synergy says you must change the monitor’s input manually when changing computers. A useful arrangement can therefore involve two separate actions: move the keyboard and mouse focus in Synergy, then use the monitor’s own input control or a separate video switch to show the desired computer. If you want one action to change both, a KVM remains the more direct solution.
Synergy’s version line is another setup detail. Symless Support says Synergy 1 and Synergy 3 are not cross-compatible, so all computers in one group need compatible versions. The support information lists Windows, macOS, and Linux, but not iOS, iPadOS, Android, or ChromeOS. Do not interpret “cross-platform” as support for every device category.
Synergy’s commercial licensing also creates a different cost model from a physical KVM or an operating-system feature. Confirm current pricing, licensing terms, and the number of computers covered before selecting it for a larger desk. No single price applies to every release or use case.
How should you decide between them?
Start with the screen arrangement, then check supported devices and the sharing policy. Use the following decision path rather than choosing based only on whether a product is called a KVM or a sharing app.

- Do you need the same monitor to change which computer it displays? If yes, investigate a hardware KVM whose display connections and specifications match the setup. If no, software may be enough.
- Will each computer keep its own active display? If yes, compare software options against the computers’ operating systems and device requirements.
- Do you need to move clipboard content or files? Match the feature to the product: Mouse Without Borders documents both clipboard and file sharing, while Synergy documents text and image clipboard sharing but not file transfer.
- Are the devices allowed to share input over the available network or account setup? Check work or school policy and the product’s pairing, network, proximity, and account requirements before configuring it.
- For a KVM, do all ports and display specifications match? Verify the entire connection chain—computers, switch, monitor, and peripherals—before buying, including how you will switch channels.
- How many computers and operating systems are involved? Mouse Without Borders supports up to four Windows computers; Universal Control supports a Mac with up to two other Mac or iPad devices; Synergy lists Windows, macOS, and Linux but requires compatible Synergy versions.
- What happens if the network or software stops? A KVM can provide a physical fallback for its connected devices, while software sharing needs the participating computers and its connection path to remain available.
Common desk scenarios
- One monitor, one keyboard, one mouse, two desktops: Start with a KVM that matches both computers’ video outputs and the monitor’s requirements.
- A Windows laptop and a Windows desktop, each with its own screen: Mouse Without Borders may be the simplest fit if policy permits pairing and you want clipboard or file transfer.
- A MacBook, Mac desktop, and iPad: Universal Control is designed for this nearby Apple arrangement, provided the account and system requirements are met.
- Windows, macOS, and Linux screens arranged side by side: Synergy can share input across its listed desktop systems, but it will not change a monitor input and will not transfer files.
- A managed work computer beside a personal computer: Ask whether input, clipboard, or file sharing is allowed. If network sharing is not approved, investigate a KVM and keep the machines’ data paths separate.
In short, a KVM is the display-and-peripheral routing choice; software is the input-sharing choice. If you need both kinds of behavior, check whether the KVM and software can coexist in your exact setup rather than assuming one replaces the other.
What security and setup issues should you consider?
Neither category is inherently safe or unsafe in every configuration. A KVM’s switching function is physical, while software sharing can create network and data-sharing paths; actual security depends on the devices, configuration, and rules governing them.
Limit what can cross between computers
Clipboard and file transfer are conveniences, but they also define what information can move between paired machines. If one computer contains work, customer, or otherwise restricted material, check organizational policy before enabling those features with a personal device. Microsoft documents a same-subnet-only policy option for Mouse Without Borders, which may be relevant in a managed setup, but it does not replace an organization’s own approval requirements.
Synergy’s documented clipboard support is limited to text and images, while Mouse Without Borders documents clipboard and file transfer. Treat those as different trust boundaries. A product that does not transfer files can still expose copied text or images, so disabling unnecessary clipboard features remains sensible when the computers have different owners or sensitivity levels.
Understand Mouse Without Borders service mode
Microsoft warns that running Mouse Without Borders as a service under the System account adds security risk, even though it enables control of elevated applications and the lock screen. Microsoft’s warning is explicit: “Running Mouse Without Borders as a service account brings added control and ease of use to the controlled machines, but this also brings some additional security risks in case someone wants to use Mouse Without Borders as an attack vector. Be mindful of your risk tolerance.” Treat that as a meaningful privilege trade-off, not an ordinary convenience setting: use it only if the additional access is needed and permitted in your environment.
Check device and network conditions when pairing fails
Software setup depends on more than installing an app. Mouse Without Borders uses a generated key and computer name to pair devices; Apple Universal Control depends on nearby compatible devices, system requirements, and a shared Apple Account. Apple’s support guidance recommends checking VPN or security software and firewall settings when troubleshooting Universal Control. If those conditions are not met, input sharing may not work even though the devices are physically close.
For any network-based option, identify which computer is acting as the host or primary endpoint, which machines are clients, and whether a firewall or policy blocks the connection. Keep the software versions aligned where the vendor requires it, and remove old pairings or re-pair with a newly generated key when a trusted computer is replaced. Do not copy security keys into unapproved locations.
What does each option cost and require?
The cost comparison is not simply “hardware versus free software.” A KVM requires buying the switch and potentially compatible video, USB, audio, or adapter cables. Its price is driven by channel count and supported display and peripheral specifications. Software costs range from an operating-system feature or utility already available on the platform to a commercial product such as Synergy, whose current license terms should be checked directly. Installation time, policy review, and the need for a separate monitor switch can also affect the total effort.
Recommended Free Tools
Make a requirements list before comparing prices. Include the number of computers, operating systems, monitors, video connectors, target resolution and refresh rate, keyboard and mouse type, audio needs, clipboard or file requirements, and whether network communication is allowed. A less expensive switch that lacks the required display specification is not a usable bargain, and a commercial sharing license does not solve a monitor-routing requirement.

Does Synergy transfer files?
No. Symless Support says Synergy supports text and image clipboard content but not file transfer. It also sends input to one computer at a time rather than broadcasting the same keystrokes and mouse actions to several computers.
Does Synergy switch the monitor input?
No. If several computers feed one monitor, Synergy requires you to change the monitor input manually. A KVM with appropriate video routing is the more direct choice for synchronized monitor and peripheral switching.
Does Synergy support Android or ChromeOS?
Symless Support lists Windows, macOS, and Linux support, and says Synergy does not run on Android or ChromeOS. Do not assume that a cross-platform label includes those systems.
Can Universal Control work with an iPhone?
Apple describes Universal Control for Mac and iPad devices, with a Mac controlling up to two other Mac or iPad devices. The documented device types do not include iPhone.
Free tools Windows power users keep installed
One-click scans. No signup required.
Can Universal Control replace a KVM for two Macs sharing one monitor?
No. Universal Control moves input while each device keeps its own screen and apps. It does not select the video signal shown on one external monitor. Use a suitable display switch or KVM for that requirement.
Is a hardware KVM automatically more secure than software sharing?
Not automatically. A KVM’s switching path is physical, while software can expose network, clipboard, file, or elevated-access paths. Evaluate the actual devices, permissions, cabling, and workplace rules rather than assigning a blanket security rating to either category.
