Uploading class notes or assignments can be safe, but it is not automatically private. The sensible choice depends on who controls the account, what the service does with uploads, how long it keeps them, whether other people can see them, and whether you have permission to share the material. A school-managed Google Workspace for Education account with Gemini Notebook (formerly NotebookLM) offers documented protections that a personal consumer account may not. Consumer tools such as ChatGPT and Quizlet require you to change settings, remove identifying information and restrict sharing yourself.
Before uploading, treat every file as a document you are handing to a third party: confirm school approval, read the current privacy terms, redact sensitive information, exclude confidential course material and keep a copy of the original. Privacy controls reduce exposure; they do not guarantee that an AI explanation is correct.

What makes an AI study upload safe or unsafe?
Safety is a combination of privacy, permission, contractual control and accuracy. A school-approved service used through an institution-managed account is generally a lower-risk setting than an unapproved consumer account, because the school can set access rules and may have contractual limits on how education-record information is handled.
The U.S. Department of Education advises teachers to check with school or district administration before using an application in class. When a service handles personally identifiable information from education records under FERPA’s school-official exception, the school must retain direct control and the provider cannot use or redisclose that data for unauthorized purposes. That protection depends on the school’s agreement and configuration; simply calling an app an “AI study tool” does not create FERPA coverage.

Risk also rises with the content itself. A page of your own, de-identified study notes is different from an assignment bearing your name and student ID, a graded rubric, another student’s work, an unpublished exam or an instructor’s confidential comments. Upload only material you created or are licensed or authorized to use.
Should I use a school account or a personal account?
Use the school-managed account when your institution has approved the service and explains its data agreement. A personal account is governed by the provider’s consumer terms, not by your school’s controls, even if you use it for homework.

Google describes Gemini Notebook (formerly NotebookLM) as a Workspace for Education core service. For education accounts, Google says chats are not human-reviewed or used to improve its generative-AI models, and administrators can control access. The education materials support uploading notes, lecture recordings and class materials, with permission controls on notebooks. Google also states that the service supports FERPA and COPPA in this managed setting.
Those statements apply to the education account and its administration. A personal Google account has different terms. Google says feedback in Gemini Notebook can include uploaded content and that reviewed feedback may be retained for up to three years; that feedback-retention statement should not be confused with the protections described for Workspace for Education accounts.

Personal ChatGPT
OpenAI says individual ChatGPT content may be used to improve models unless you opt out. In Settings → Data Controls, turn off Improve the model for everyone before uploading. You can instead start a Temporary Chat: OpenAI says Temporary Chats do not appear in chat history, do not create memories and are not used to improve models. OpenAI may nevertheless retain a copy for up to 30 days for safety.
Business, Enterprise, Team, Edu and API offerings follow separate terms; OpenAI’s data-use policy says those offerings are not used for training on inputs by default. Confirm that your institution actually provides and administers one of those versions rather than assuming a personal login has the same treatment.
Quizlet
Quizlet’s privacy policy says it collects content you create, upload, transmit or post, including text, images, audio, queries and school or course information. User-created sets or profile information can be visible to other users depending on your settings. Quizlet retains personal information while an account is active or when needed for legitimate business or legal purposes. Its community guidelines prohibit posting personally identifiable information and warn against making test banks, exam questions or confidential course content public.
What should I remove from notes and assignments before uploading?
Make a separate, redacted study copy. Keep the untouched original locally or in your school’s approved storage.

- Remove direct identifiers. Delete your full name, student number, email address, phone number, home address, usernames, barcodes and file metadata that identifies you.
- Remove education-record details. Omit grades, teacher comments, disciplinary notes, individualized education information and disability or health information. A screenshot of a grade portal is not a harmless “example.”
- Remove other people’s information. Do not upload classmates’ names, answers, peer reviews, discussion posts or submitted work without their permission and the school’s approval.
- Exclude confidential course material. Leave out unpublished exams, answer keys, test banks, instructor-only slides, proctoring instructions and files marked confidential.
- Check ownership and license. Upload your own writing or material you are authorized to use. A publicly viewable article, e-book or lecture recording may still be copyrighted and subject to terms that forbid re-uploading.
- Inspect images and audio. Redaction must cover text in photographs, whiteboards, screenshots, spoken names and background conversations, not just selectable text.
Use neutral labels such as “Student A” and replace a precise date of birth or location with a broad description when that context is genuinely needed for the explanation.
How do I configure privacy controls in each service?
ChatGPT
- Open Settings, choose Data Controls and switch off Improve the model for everyone.
- For a one-off session, select Temporary Chat before attaching a file. Check that the temporary indicator is visible in the conversation.
- Do not paste a redacted file into an older ordinary chat; its settings are determined by that chat’s mode.
- When finished, delete the conversation and any uploaded file where the interface permits it. Remember that deletion does not cancel a safety-retention period that may apply.
Gemini Notebook in Workspace for Education
- Sign in with the school-provided Workspace account, not a personal account in the same browser profile.
- Confirm with the administrator or school privacy office that Gemini Notebook is enabled and covered by the institution’s agreement.
- Create a notebook with the minimum sources needed, then use its sharing or permissions controls to keep it private or limited to named collaborators.
- Upload only sources you are allowed to access and share. Google specifically places that responsibility on the user.
- Remove the notebook or its sources when the assignment is complete if the school’s retention rules and the product allow it.
Quizlet
- Before saving a set, open its visibility control and choose the most restrictive private option available.
- Review the profile and set title for names, course codes, links and screenshots that could identify a student or reveal a confidential assessment.
- Do not publish sets containing exam questions, answer keys, test banks or personally identifiable information.
- Delete obsolete sets and review account settings periodically, because retention can continue while the account is active or for legitimate business or legal purposes.
Is NotebookLM FERPA-safe?
There is no universal “FERPA-safe” label that applies to every NotebookLM login. Google says the Workspace for Education version is a core service, offers administrator controls, does not use education-account chats for human review or model improvement and supports FERPA and COPPA. That is a description of the managed education configuration, not a promise that every uploaded file is lawful or that a personal account receives the same terms.

OpenAI says its Business, Enterprise, Team, Edu and API offerings do not train on inputs by default under separate terms.

Google’s documented Workspace for Education protections say education-account chats are not used to improve generative-AI models. A personal Google account has different conditions, including the possibility that feedback containing uploads is retained for up to three years after review. Quizlet’s policy describes collection and retention of uploaded content and visibility settings, but a user should not infer that a private set is never processed internally. Read the current terms for the exact account you plan to use.

- Accidental publication: A study set or notebook is shared by link, placed in a public class folder or left visible through a profile. Check permissions from a signed-out or second account when possible.
- Over-collection: A scan includes a page behind the notes with a name, grade or medical accommodation. Crop every page and inspect images before upload.
- Unauthorized copyright sharing: Uploading a purchased instructor manual or a recorded lecture can violate the license even if the tool is private.
- Retention you did not expect: Turning off model improvement does not necessarily erase safety, legal or operational copies. Temporary Chat’s up-to-30-day safety retention is an example.
- Policy mismatch: A school approves one edition while a student uses a consumer edition with a similar name. Verify the login domain, administrator controls and terms.
- Incorrect explanations: An AI can invent a citation, misread a formula or confidently answer from incomplete notes. Privacy protection does not validate the output.
How should I verify an AI-generated study answer?
Use the tool as a reading and practice aid, not as the authority for grading or factual disputes. Ask it to identify which uploaded passage supports an explanation, then compare the response with the original notes, textbook or instructor materials. Recalculate quantitative work yourself and flag uncertainty to your teacher rather than submitting an unverified answer.

What is the safest decision process for a new upload?
- Classify the account: school-managed and approved, institution-provided but unconfirmed, or personal consumer.
- Classify the material: your de-identified notes, your identifiable assignment, someone else’s work, or confidential assessment content.
- Read five policy points: model training, human review, retention and deletion, sharing defaults and administrator access.
- Apply the stop rule: if the school has not approved the service, the file contains sensitive information or you lack permission, do not upload it.
- Minimize and configure: redact, use the strongest privacy mode, restrict notebook or set visibility and delete the copy when finished.
- Verify the result: check every important explanation against an authoritative course source.
This process cannot provide a numerical probability of exposure; no authoritative source establishes a reliable rate for misuse or training reuse of student notes and assignments. The practical risk assessment must remain specific to the service’s current policy, your account type and the material you intend to share.

Can my teacher see what I upload to an AI study app?
Possibly. A school administrator may have access or audit controls on a managed account, while a personal account is generally visible only according to the provider’s account and sharing features. Do not assume that a private notebook hides activity from an institution that administers the account.
Is deleting a chat enough to remove my assignment from an AI service?
Not necessarily. Providers can keep safety, legal or operational copies after deletion, and retention periods differ by product and account. Check the service’s deletion and retention language and your school’s records policy before uploading anything sensitive.

Can I upload a textbook chapter if I bought the book?
Buying access does not automatically grant permission to upload or redistribute the chapter. Check the book, course or library license; when uncertain, upload your own summary or a short excerpt that your use agreement permits instead.
What should I do if I already uploaded identifiable student information?
Stop sharing the notebook or set, delete the uploaded file and conversation where the service allows it, and change visibility settings. Notify your school privacy office or instructor promptly so they can assess whether an education-record incident or copyright issue needs to be handled.
