Before paying a wholesaler in India, verify the supplier’s GSTIN on the GST Portal, check that the registration was active on the invoice date, reconcile the invoice against your order, and—when e-invoicing applies—verify its signed QR code or IRN. A registration lookup confirms identity details; it does not, by itself, prove that the invoice, tax calculation, goods or payment instructions are correct. Resolve mismatches before paying and keep the records that support the purchase.

The safest approach is a documented sequence: identify the contracting entity, check its registration record, validate every invoice field, recalculate the tax, confirm the goods and delivery terms, and preserve the verification evidence. Performing only one of those checks can leave a material gap. For example, a valid GSTIN can still be paired with an invoice issued to the wrong legal entity, an incorrect place of supply, or goods that were never delivered.

What should you verify before paying a wholesaler?

Use a sequence that checks both tax identity and the commercial transaction. A correct-looking GSTIN is not enough if the invoice names another entity, the goods differ from the order, or an applicable e-invoice has no valid IRN.

  1. Capture the supplier’s identity. Obtain the exact legal name, trade name, GSTIN, registered address, quotation and bank-account name. Keep the quotation so you can later compare what was offered with what is invoiced. Record the identity exactly as supplied instead of shortening a company name or silently substituting a trading name.
  2. Search the GSTIN. Use the GST Portal’s Search Taxpayer function. Compare the returned legal name, trade name, address and PIN code with the supplier’s documents. If the details do not match, stop and clarify rather than assuming a spelling or address difference is harmless.
  3. Check validity for the relevant date. Confirm that the registration was active on the invoice date, not merely active when you happen to search. GSTN’s GSTR-1 guidance describes validation against the invoice date for recipient GSTINs; date-specific status matters when records are filed. A current “active” result should therefore be retained with the transaction date and not treated as proof for every historical invoice.
  4. Reconcile invoice fields and arithmetic. Check the mandatory particulars listed below, then recalculate quantities, line extensions, discounts, taxable value, tax and total.
  5. Check the order and delivery. Compare HSN, description, quantities, unit prices and delivery address with the purchase order and the goods received. Tax-document checks do not replace a physical or commercial check.
  6. Verify e-invoice details when applicable. Scan the signed QR code or use the e-invoice verification function to upload signed JSON. Compare the returned details and IRN with the invoice and order.
  7. Check IRN status and preserve records. Confirm that the IRN is active, and account for the possibility of cancellation. Retain the relevant portal and verification results alongside the invoice and transaction records.
  8. Resolve exceptions before payment. Ask for a corrected invoice or independent portal proof if identity, status, tax treatment, HSN, quantity, value, address or IRN differs. Do not claim input tax credit on an invoice you cannot substantiate.

Use a two-person or two-stage review for larger orders

For a significant wholesale purchase, separate the person who confirms the commercial order from the person who verifies the tax document. The first reviewer can match the quotation, purchase order, quantities, prices, delivery address and payment terms. The second can independently check the GST Portal result, invoice particulars, tax arithmetic and QR/IRN. This reduces the chance that a familiar supplier or a rushed payment causes an identity or transcription error to be overlooked. Keep both reviewers’ notes with the transaction record.

How do you check whether a wholesaler’s GSTIN is valid?

Search the GSTIN using the GST Portal’s taxpayer search and compare the result with the supplier’s legal and trading identity. GSTN/IRP guidance says the lookup returns attributes including legal name, trade name, address and PIN code; it is those details—not just a status label—that you should reconcile.

Compare the returned record with the supplier’s paperwork

  • Legal name: Compare it with the name on the invoice and other documents. A trade name may differ from the legal name, so check both values returned by the portal.
  • Trade name: Confirm that the name used in the quotation or business communications is consistent with the portal record or can be explained by the supplier.
  • Address and PIN code: Check whether the registered address corresponds to the supplier’s stated identity. A different delivery location may be commercially legitimate, but do not confuse it with proof that the supplier’s registration address matches.
  • Registration status and date: Verify status in relation to the invoice date. A current search result alone may not establish that the supplier was active on an earlier transaction date.
  • GSTIN transcription: Check every character on the quotation, invoice and purchase order against the portal result. One transposed character can point to a different taxpayer, even when the business name looks familiar.

Treat an unexplained mismatch as a pause point. Ask the supplier to clarify or provide corrected documentation, then verify the answer independently. Do not edit or “correct” the supplier’s identity details yourself on the invoice. If the supplier says the business has moved, changed its legal name or uses a separate trading name, require documents that explain the difference and ensure the invoice still identifies the registered taxpayer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What the lookup does not establish

A taxpayer search is an identity and registration check, not a complete due-diligence report. It does not reconcile the order, prove that goods were delivered, confirm the tax arithmetic, or verify the name on a supplier’s bank account. Those checks require separate evidence from the invoice, order, delivery records and payment instructions.

Do not treat a matching address as proof that the warehouse, delivery location or bank account belongs to the supplier. Record the registered address and the actual delivery address separately. If payment instructions are sent from a new account or by a different contact, pause and confirm the change through an independent supplier contact before transferring funds.

What details must a wholesale GST invoice include?

Check the invoice against the applicable GST particulars, rather than relying on a logo, a “GST invoice” heading or a tax amount alone. GSTN’s Welcome Kit describes a tax invoice as generally being issued to charge tax and pass on input tax credit; the invoice needs the required details to support that purpose.

Invoice detail What to check
Supplier identity Supplier’s name, address and GSTIN.
Invoice number and date A consecutive serial number, unique for the financial year, and the issue date.
Recipient identity For a registered recipient, the recipient’s name, address and GSTIN or UIN.
Specified unregistered-recipient details Where the recipient is unregistered and taxable value is at least ₹50,000, the invoice must include the recipient’s name and address, delivery address, and State/UT name and code.
Supply details Place of supply, HSN/SAC and item description.
Quantity and unit Quantity of goods and the relevant unit.
Value Taxable value and any discounts.
Tax Applicable CGST, SGST/UTGST, IGST and cess rates and amounts.
Reverse charge An indication where reverse charge applies.
Authentication Supplier’s signature or authorised digital signature, as applicable.

The ₹50,000 condition concerns specified details for an unregistered recipient; it is not a general minimum purchase amount for a GST invoice. GSTN’s invoice guidance is the basis for the listed particulars. Apply the rule to the relevant transaction and invoice rather than assuming every invoice has identical recipient fields.

Read the fields as a connected set

Each field should tell the same story. The supplier GSTIN should correspond to the supplier name and address; the recipient GSTIN should correspond to your registered details; the place of supply should make sense for the delivery and order; and the HSN or SAC and description should identify what you actually bought. A missing field is a document issue, but a conflicting set of fields can signal a more serious mismatch. For instance, an invoice may show your GSTIN but a different recipient name, or list one HSN while the purchase order and delivered goods describe another category.

Check the invoice number for sequence and financial-year uniqueness, especially when the supplier sends multiple revised copies. If a corrected invoice replaces an earlier one, retain both versions and the written explanation so the final document can be linked to the original order. Confirm that a signature or authorised digital signature is present where applicable; do not assume a scanned company logo is the same thing.

How do you check the invoice total and match it to your order?

Recalculate the invoice from the lines upward and compare its commercial terms with the purchase order. The official invoice-field list establishes what should appear; checking the arithmetic and whether the charged goods match the order are buyer controls.

  1. Recompute each line. Multiply quantity by unit price and check that the line extension agrees with the invoice. Confirm the unit and quantity are the same as the purchase order. Check whether partial cartons, pieces or other units have been converted consistently rather than mixed on different lines.
  2. Reconcile discounts. Check the stated discount and how it affects taxable value. Confirm the net value matches the agreed price rather than relying on a final total alone. If the quotation promised a volume or item discount, ensure it appears in the invoice or is explained in writing.
  3. Check the tax base and split. Verify the taxable subtotal and the applicable tax rates and amounts shown for CGST, SGST/UTGST, IGST and cess. Check that the displayed tax components add up to the billed tax. The split should be consistent with the stated place of supply and the transaction details.
  4. Check rounding and grand total. Recalculate the total after tax and compare any rounding with the invoice. Investigate a difference instead of treating it as a harmless rounding adjustment without explanation. A small unexplained difference can also indicate that a discount, line or tax component was omitted.
  5. Compare the supply particulars. Match HSN, item description, quantity, unit price, place of supply and delivery address with the purchase order and delivery details. A mathematically correct invoice can still describe the wrong transaction.
  6. Match payment terms. Compare the due date, advance already paid, balance and bank-account name with the quotation and purchase order. A tax-valid invoice does not automatically make changed payment instructions safe.

If a value or tax treatment looks inconsistent, ask the supplier for an explanation and, when necessary, a corrected invoice before payment. Keep a written record of the resolution so the invoice, order and payment trail can be understood together. Do not approve a document merely because the grand total equals the amount expected; the line-level description and tax components must also be supportable.

How do you verify an e-invoice QR code and IRN?

When e-invoicing applies to the supplier and transaction, verify the signed QR code or upload the signed JSON using the e-invoice verification function. Compare the returned data—not just the presence of a QR code—with the invoice and your purchase details.

What to compare in the verifier

  • Supplier GSTIN and buyer GSTIN.
  • Invoice number and invoice date.
  • Invoice value and HSN.
  • IRN and its status.

Also compare the returned values with the purchase order, including the identity of the parties and the goods represented by the HSN. A QR code copied onto a different invoice, a mistyped invoice number or a changed total should be treated as a discrepancy. Use the e-invoice QR verifier or the relevant Search IRN function rather than relying on a screenshot supplied by the wholesaler.

GSTN’s e-invoice overview states that a GST invoice for a B2B transaction is valid only with a valid IRN. A QR image on a document is not, by itself, the check: verify its signed data through the provided function and ensure the returned particulars agree with the invoice copy.

IRIS recipient guidance notes that an e-invoice may be cancelled within 24 hours, described as until the next day. Because cancellation timing and system behavior can be consequential, check the live IRN status and the current portal rules for the transaction rather than treating an earlier scan as permanent proof. Save the date and time of your status check and repeat it if payment occurs later or the supplier issues a replacement document.

What to do when the QR or IRN fails

If the signed QR cannot be read, the verification function returns different GSTINs or values, or the IRN is invalid or cancelled, pause the transaction. Ask the supplier for the original signed invoice data or a corrected invoice and verify it independently. Do not manually change the QR result, rely on an unverified PDF, or assume that a readable image proves authenticity. Keep the failed result as evidence of why payment was held and retain the corrected result if the issue is resolved.

When is e-invoicing required?

Applicability depends on the notified rules, turnover criteria and exemptions in force for the supplier and transaction. GSTN’s overview states that the notified aggregate-turnover threshold was ₹5 crore and above, applicable from 1 August 2023; that is a dated statement, not a guarantee that the complete rule for 2026 is unchanged.

Before relying on that figure, check the latest CBIC/GSTN notification and applicable exemptions for the transaction date. “Enabled” status on the e-invoice portal does not by itself prove that a supplier is legally required to issue an e-invoice for a particular transaction. Conversely, do not treat a threshold statement from 2023 as a complete account of current coverage.

If the transaction is subject to e-invoicing, GSTN’s overview says a B2B GST invoice is valid only with a valid IRN. If you cannot establish applicability or verify a required IRN, resolve that question with the supplier and confirm the current official rule before proceeding. Record which notification or current portal guidance you relied on, since thresholds, exemptions and interface behavior can change.

How should you compare two wholesale suppliers?

Compare suppliers against the same checks so a lower quote does not obscure a registration, invoice or delivery mismatch. The table separates tax-document checks from the commercial terms that determine whether the purchase matches what you need.

Comparison What a satisfactory check looks like Reason to pause
GSTIN and identity Portal identity details align with the supplier’s stated legal/trade identity and documents. Unexplained mismatch in name, address, PIN code or status.
Status and applicability date Registration status is checked for the invoice date, and e-invoice applicability is considered under the rules for that date. Only a present-day status is available for an older invoice, or applicability is assumed from portal enablement alone.
Invoice completeness and arithmetic Required particulars are present; values, discounts, tax and total reconcile. Missing fields, unexplained arithmetic difference or unsupported adjustment.
HSN, place of supply and tax rate Invoice particulars agree with the transaction and purchase documentation. Different classification, supply details or tax treatment without a clear explanation.
QR/IRN Where required, verifier data matches the invoice and the IRN is active when checked. Verifier mismatch, invalid or cancelled IRN, or missing verification where e-invoicing applies.
Commercial match Price, quantity, delivery address and payment terms match the agreed purchase and delivered goods. Invoice or payment instructions do not match the order or delivery evidence.

Use the same evidence standard for every candidate. A supplier with a lower pre-tax quote may become more expensive if the invoice needs correction, the tax split is unsupported, the goods differ from the order, or payment must be delayed while identity is resolved. Conversely, a higher quote is not automatically safer: require the same GSTIN, field, arithmetic, IRN and delivery checks from both suppliers.

What records should you retain, and what should you do if something fails?

Keep enough evidence to show how the supplier was identified, what was ordered, what was invoiced, what arrived and what was paid. IRIS recipient guidance stresses verifying e-invoice accuracy to guard against mismatches, overcharging or charges for goods or services not received.

  • Save the GSTIN search result or other record of the supplier identity check, including the legal name, trade name, address, PIN code and status shown.
  • Retain the quotation, purchase order and invoice PDF, including superseded and corrected copies where relevant.
  • Save the QR/IRN verification result and any status check, especially if the result later changes.
  • Keep delivery proof, goods-received notes and the payment record.
  • Preserve written explanations and corrected documents when a discrepancy is resolved.
  • Record the date of each portal check so a later reviewer can distinguish a contemporaneous result from a current lookup.

If an identity, registration-date, invoice-field, arithmetic, supply or IRN check fails, pause payment and request correction or verifiable proof. A supplier explanation may resolve a mismatch, but the document trail should reflect the resolution. If you cannot substantiate the invoice, do not claim input tax credit from it.

Exception-handling checklist

  1. Describe the exact discrepancy, such as a different legal name, incorrect GSTIN, missing recipient detail, tax split that does not add up, HSN mismatch or inactive IRN.
  2. Send the supplier the specific document or portal result that needs clarification; avoid asking for a vague “new invoice.”
  3. Obtain a corrected invoice or independent portal proof, then repeat the relevant GSTIN, arithmetic and QR/IRN checks.
  4. Link the corrected document to the purchase order, delivery evidence and payment approval.
  5. Escalate internally if the supplier cannot explain the issue or asks you to pay into an account that does not match the agreed identity.

These controls protect both payment and input-tax documentation. They also make it easier to explain why a transaction was accepted, corrected or rejected if the invoice is reviewed later.

Frequently Asked Questions

Does a GSTIN search verify a wholesaler’s bank account?

No. The GST taxpayer lookup returns registration identity details such as legal name, trade name, address and PIN code; it does not establish who controls a bank account. Treat any change to payment instructions as a separate identity and payment-control issue.

Does an active GST registration prove that the goods were delivered?

No. Registration status concerns the taxpayer record, not fulfillment of your order. Delivery proof and the invoice should be retained as separate evidence of what was actually supplied.

Can I rely on a QR code image without checking it?

A printed QR image alone does not establish that its encoded invoice data is authentic or matches your transaction. Use the e-invoice verification function and compare the returned data with the invoice and order.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is a present-day active status enough for an older invoice?

Not necessarily. Check whether the registration was active on the invoice date. GSTN’s GSTR-1 guidance describes date-based validation, so retain evidence tied to the relevant transaction date rather than relying only on today’s result.

What if the supplier’s trade name differs from the legal name?

A trade name can differ from the legal name. Compare both names returned by the GST Portal with the quotation and invoice, and ask the supplier to explain any unexplained difference. Do not rewrite the invoice yourself.

Does the ₹50,000 figure mean a GST invoice is required only above that amount?

No. The ₹50,000 condition concerns specified recipient and delivery details for an unregistered recipient. It is not a general minimum purchase amount for issuing or checking a GST invoice.

Is a QR code required on every wholesale invoice?

Not automatically. E-invoice obligations depend on the notified turnover rules, exemptions and transaction date. Check current CBIC/GSTN guidance. If e-invoicing applies, GSTN states that a B2B GST invoice is valid only with a valid IRN.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How long can an e-invoice be cancelled?

IRIS recipient guidance describes a cancellation window of 24 hours, or until the next day. Check the live IRN status and current portal rules rather than assuming an earlier verification remains permanent.

What should I do if the invoice total is correct but the HSN or quantity is wrong?

Pause payment or acceptance of the document, compare the invoice with the purchase order and goods received, and request a corrected invoice or a substantiated explanation. A matching grand total does not cure an incorrect description, HSN or quantity.

Can I claim input tax credit while waiting for a corrected invoice?

Do not claim input tax credit from an invoice you cannot substantiate. Resolve identity, field, tax and IRN discrepancies and retain the corrected evidence before relying on the document.

The Bottom Line

Before paying, match the wholesaler’s GSTIN and identity on the GST Portal, confirm date-specific registration status, check every mandatory invoice field, recalculate the tax and total, and compare the document with the order and delivery. Where e-invoicing applies, verify the signed QR code and active IRN, then retain the portal results, invoice, order, delivery proof and payment record. Any unexplained mismatch is a reason to pause and obtain a corrected, independently verifiable document.
