Use an AI result as a lead, not as proof. To verify an unfamiliar subscription charge, copy the exact statement descriptor, amount, posting date, currency and recurrence pattern, then match those details against receipts, renewal emails, app-store history, merchant billing pages and purchases by authorized household members. Confirm whether a trial or auto-renewal was accepted and whether cancellation was completed. If the charge was unauthorized or continued after cancellation, preserve your records and use the correct merchant or bank dispute process. In the United States, credit-card billing-error rights generally require written notice within 60 calendar days after the statement was sent; debit and electronic-transfer rules require prompt notification and follow a different investigation timetable.

What details should I capture from the statement first?

Start with the statement itself, not the name an AI tool guessed. Record every detail exactly as shown so you can make a reliable match and preserve evidence if you need to dispute the transaction.

  1. Exact descriptor: copy the merchant text, including abbreviations, punctuation and any phone number or payment-processor wording.
  2. Amount: record the precise amount and currency. Note whether tax, a small verification amount or a converted foreign-currency amount appears separately.
  3. Posting date: use the date the transaction posted to the account, and save the statement date on which it appeared.
  4. Cadence: check whether the same or a similar amount repeats monthly, annually or on another schedule.
  5. Account and card: identify which card, checking account or authorized user is connected to the transaction.

Do not assume the descriptor is the consumer-facing brand. Search the exact text and check the merchant’s billing-help information, but treat search results as clues until the amount, date and account records agree.

How can I match an unfamiliar recurring charge to a real subscription?

Reconcile the statement line with independent records in a fixed order. A match is strongest when the merchant identity, amount, renewal date and billing cadence all line up.

Search receipts and renewal notices

Search every inbox used for purchases for the amount, descriptor, merchant name, words such as renewal or receipt, and the posting month. Check spam, archived mail and receipts sent to a family member’s address. A renewal notice can show a different legal billing name from the service name, so compare the amount and date as well as the wording.

Check the merchant account

Sign in through the service’s official website or app and open its billing, invoices or subscription page. Look for the plan, renewal date, payment method and cancellation status. Take a screenshot that includes the account identifier and the relevant transaction or invoice number.

Review app-store purchase history

If the service was purchased inside a mobile app, inspect the purchase history for the Apple or Google account that may have been used. An app-store receipt can explain a statement descriptor that does not resemble the app’s name. Check all family accounts that are authorized to use the card.

Ask authorized users before treating it as fraud

Microsoft identifies recurring billing, family purchases, retried declined payments, split or preorder orders and in-app purchases as common explanations for an unrecognized charge. Ask each authorized cardholder whether they started a trial, renewed a plan or made an in-app purchase. A declined payment may be retried later, producing a posting date that does not match the original attempt.

Compare the pattern, not just one line

Place the current statement beside earlier statements. A repeating amount at a regular interval is evidence of a subscription, but an annual plan, a tax change or a currency conversion can alter the amount. Matching the merchant, account, date window and cadence is more reliable than matching a name alone.

How do I decide whether the charge was authorized?

Authorization means that you or an authorized user agreed to the purchase, trial, auto-renewal or recurring-billing term. The fact that you do not recognize the descriptor does not by itself establish fraud; the records must show whether consent existed.

Signs of an authorized recurring charge

  • A receipt or renewal email identifies the same service and account.
  • The merchant billing page shows an active plan, a trial that converted or a renewal date matching the statement.
  • An authorized household member confirms the purchase or in-app transaction.
  • The amount and interval fit the terms accepted at signup, allowing for taxes, currency conversion or a changed plan.

Signs that require an unauthorized-transaction review

  • No account, receipt or authorized user can be connected to the descriptor after a careful search.
  • The merchant confirms that the account is not yours or that the payment method was not authorized.
  • A supposedly canceled plan continues to bill after the cancellation took effect.
  • The statement shows a transaction that you did not make or allow, rather than a renewal covered by accepted terms.

Keep the distinction clear in your notes. An authorized subscription that you want to stop follows a cancellation path; a transaction you did not make or allow follows an unauthorized-transaction or billing-error process.

What should I do if a subscription keeps charging after I cancel?

Document the cancellation, contact the merchant using its stated process, and monitor later statements. Do not rely on an unrecorded phone conversation or on deleting the app; cancellation must be tied to the merchant’s account and billing system.

  1. Cancel through the required channel. Use the account setting, web form, email address or telephone process the merchant specifies. Note the date and time, the account used and the confirmation number.
  2. Save proof. Keep the confirmation page, screenshots, emails, chat transcript and call notes. The FTC advises keeping a copy of the cancellation request and notes about conversations.
  3. Request a written explanation. Ask the merchant to identify the subscription, the effective cancellation date and any charge it believes remains valid.
  4. Watch subsequent statements. The FTC says: “Watch your bank or credit card statements. Check for charges on your debit or credit card after you canceled the subscription.” Record every later posting, even if the amount changes.
  5. Escalate with a complete timeline. If billing continues or the merchant cannot identify the account, give your issuer the statement, cancellation proof and your contact history.

Should I resolve the charge with the merchant or my card issuer?

Use the merchant first when the charge appears authorized and the issue is a cancellation, duplicate, refund or account mismatch. Contact the issuer promptly when you did not authorize the transaction, the merchant will not correct a post-cancellation charge, or a deadline could expire.

Situation Best first contact Records to provide
Recognized service, unwanted renewal Merchant billing support Account email, invoice, cancellation date and confirmation
Charge not connected to any account or authorized user Card issuer or bank Statement line, account search results and a clear statement that you did not authorize it
Charge posted after a documented cancellation Merchant, then issuer if unresolved Cancellation proof, merchant replies and every later statement line
Possible debit-account electronic transfer Bank or credit union immediately Statement, transaction date, amount and circumstances of the unauthorized withdrawal

The issuer may ask whether you contacted the merchant, but you should not delay a time-sensitive notice while waiting for a reply. Use the dispute or fraud channel shown in the issuer’s app, website or on the card, and keep a copy of what you submit.

How do U.S. credit-card billing-error disputes work?

For a U.S. credit-card billing error, send a written notice to the billing-inquiries address, which can differ from the payment address, no later than 60 calendar days after the statement showing the error was sent. A phone call or online form may open a case, but a written notice to the correct address protects the federal billing-error process described by the Consumer Financial Protection Bureau.

What to put in the written notice

  • Your name and mailing address.
  • The credit-card account number.
  • The transaction date, transaction type and amount.
  • A clear explanation of why the charge is an error, such as “I did not authorize this transaction” or “this charge posted after my documented cancellation.”
  • Copies of supporting records, while retaining the originals.

Send the notice so you can prove delivery and keep a complete copy. The CFPB states: “To protect your rights you must also send a written billing error notice to the card company within 60 calendar days after the charge appeared on your statement.” The controlling trigger in that guidance is the statement being sent, so record that date as well as the transaction’s posting date.

What happens while the issuer investigates?

Pay undisputed charges on time while the investigation proceeds. CFPB guidance says the issuer generally acknowledges the notice within 30 days and completes the investigation within two billing cycles. If the issuer concludes that the charge is correct, it should explain the decision and the amount due under its billing-error procedures; keep that response with your evidence if you need to challenge the result.

Do not withhold the entire card payment because one line is disputed. Separate the disputed amount from purchases and fees you agree are valid, and follow the issuer’s instructions for any amount it tells you to pay.

How are bank-account and debit-card withdrawals different?

Debit-card and other electronic-fund-transfer disputes use different timing rules from credit-card billing errors. Notify the bank or credit union immediately when you see an unauthorized withdrawal; waiting can increase potential liability.

Issue U.S. rule or timetable What to do
Unauthorized electronic fund transfer Notify the bank or credit union immediately; it generally has 10 business days to investigate Report the transaction through the bank’s fraud channel and save the confirmation
Investigation cannot be finished promptly The institution may have to provide temporary credit; some cases allow 45 or 90 days for final resolution Ask when provisional credit will appear and note the final-resolution date
Unauthorized withdrawal shown on a statement when the physical debit card was not lost Notification should be made no later than 60 days after the statement was sent Use the statement date to calculate the deadline and report sooner whenever possible

The CFPB summarizes the initial timetable this way: “Once you notify your bank or credit union about an unauthorized transaction (that is, a charge or withdrawal you didn’t make or allow), it generally has ten business days to investigate the issue.” Ask the institution whether it needs a written statement or additional documentation after your initial report.

What evidence should I preserve?

Build one chronological file before you submit a dispute. A clear paper trail lets the merchant or issuer verify what happened without relying on memory.

  • Statement PDF or screenshot showing the exact descriptor, date and amount.
  • Merchant receipt, renewal notice or account billing-page screenshot.
  • Relevant app-store purchase-history entry.
  • Cancellation confirmation and the date and time you requested cancellation.
  • Emails, chat transcripts and notes from calls with the merchant or issuer, including names and reference numbers.
  • Copy of the written dispute and proof of delivery.

Name files with the account, date and document type, and keep an untouched copy of the original statement. Redact unrelated full account numbers before sharing documents with a merchant, but leave enough information for the issuer to identify the transaction.

What common mistakes make subscription verification harder?

Searching only the brand name

A statement descriptor may be a legal entity or processor. Search the exact descriptor, then test the amount and date against receipts and account pages.

Assuming a different amount means a different merchant

Annual renewals, taxes, currency conversion and plan changes can alter the total. Compare the billing interval and account history before rejecting a plausible match.

Canceling without saving confirmation

Deleting an app, removing a payment card or closing a browser session does not prove that the subscription ended. Save the merchant’s confirmation and effective date.

Waiting for certainty before notifying the issuer

You can continue gathering records after opening a case. Credit-card written notice has a 60-calendar-day window tied to the statement being sent, and debit-account guidance calls for immediate notification.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Disputing valid charges instead of the specific error

Identify the exact transaction and explain why it is unauthorized or billed after cancellation. Pay all undisputed card charges on time and avoid labeling a legitimate family purchase as fraud.

What is a practical verification checklist?

Use this checklist whenever an AI tool, budgeting app or statement review surfaces a subscription you do not immediately recognize.

  1. Copy the descriptor, amount, currency, posting date and statement date.
  2. Map the transaction to a monthly, annual or other recurrence pattern.
  3. Search receipts, renewal notices and all relevant email accounts.
  4. Check merchant billing pages and app-store purchase history.
  5. Ask authorized household members and other cardholders.
  6. Confirm the accepted trial, auto-renewal or recurring-billing terms.
  7. If canceled, save the request, confirmation, effective date and merchant response.
  8. Monitor every later statement for another posting.
  9. Choose the merchant, credit-card or bank route based on authorization and account type.
  10. Submit the required notice before the applicable deadline and retain proof.

What is the safest way to use AI when reviewing subscription charges?

Let AI organize text, group repeated descriptors or suggest which account records to inspect, but verify every conclusion against the original statement and merchant or financial-institution records. Do not paste full card numbers, passwords, security codes or unredacted statements into an AI service. The legally important facts are the transaction, authorization, cancellation history, notice date and evidence you can provide to the merchant, card issuer or bank.

When the records establish an authorized renewal, cancel it through the merchant and monitor the account. When they show a charge you did not make or a charge that continued after documented cancellation, preserve the paper trail and notify the appropriate financial institution without waiting for another billing cycle.

Frequently Asked Questions

Does the 60-day credit-card deadline run from the transaction date?

The CFPB guidance ties the federal written-notice period to when the statement showing the error was sent, not simply to the date the purchase was made. Keep both dates and send the notice as soon as you identify the problem.

Can a family member’s purchase be disputed as unauthorized?

First determine whether that person was an authorized user or had permission to use the account. A purchase by an authorized household member may be a legitimate charge even if the primary cardholder did not recognize the descriptor.

What if the merchant says my cancellation was never received?

Provide the saved confirmation, timestamp, screenshots and any call or chat notes, then request the merchant’s written determination. If another charge posts, give that timeline to the issuer when you open or update the dispute.

Should I close my card after finding one unfamiliar subscription charge?

The evidence should determine the response. Ask the issuer whether it recommends replacing the card or monitoring the account, and continue checking statements for other transactions while the review is open.
