Word’s Next Record rule is for placing more than one data record inside a single merged document or page. It moves Word from the current row in your recipient list to the next row without inserting a page break. That makes it useful for labels, postcards, directories, table-based forms, and other layouts where several records must share one page.

The command is available in current Word versions, including Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016 on Windows and Mac. Microsoft calls the underlying field a NEXT field in VBA and field-code documentation, but the Word ribbon command is named Next Record.

What “Next Record” does in a Word mail merge

A mail-merge data source normally has one record per row. If your Excel sheet contains three companies, for example, Word can use one company per label, one company per table row, or one company per page.

When several records must appear in the same page or document, Word needs an instruction telling it when to move to the next row. That instruction is Next Record. It advances to the next data record but does not start a new page.

A simple arrangement looks like this:

«Company_Name»
«Next Record»«Company_Name»
«Next Record»«Company_Name»

The first block uses the current record. Each later block starts with «Next Record», then inserts fields from the following record. Microsoft documents this behavior in its guide to mail-merge rules.

Insert the Next Record rule from the Word ribbon

  1. Open the main mail-merge document.
  2. Go to Mailings > Select Recipients and connect an Excel spreadsheet, Access database, or another recipient list.
  3. Place the cursor where the next data record should begin.
  4. Choose Mailings > Rules > Next Record.
  5. With the cursor after the new rule, choose Mailings > Insert Merge Field and select the fields for that record.

If Rules or Insert Merge Field is unavailable, select recipients first. Word needs a connected data source before it enables the merge-field commands. You can confirm the result by turning on Mailings > Preview Results.

Do not insert Next Record before the first record

The first label, row, or data block should begin with ordinary merge fields. Do not put «Next Record» before the first field unless you deliberately want to skip the first recipient.

For example, this is the normal pattern:

First block: «First_Name» «Last_Name»
Second block: «Next Record» «First_Name» «Last_Name»
Third block: «Next Record» «First_Name» «Last_Name»

If the first block starts with «Next Record», Word advances immediately and the output may begin with the second data row. This is also a common reason a merge appears to skip records. Microsoft Q&A guidance recommends placing the rule before the first merge field in the second and later labels—not in the first label.

Use Next Record for labels

Word treats a label sheet as a table. Each label is a table cell, and the Next Record rule tells Word to use the next recipient in the next cell.

Correct label workflow

  1. Choose Mailings > Start Mail Merge > Labels.
  2. In Label Options, select the label vendor and product number that match the sheet.
  3. Build the first label with the required text and merge fields, such as name, address, city, and postal code.
  4. Choose Mailings > Update Labels.
  5. Preview the labels and inspect the generated document.

Update Labels copies the first label’s contents to the remaining cells and adds the required «Next Record» fields. This is safer than manually adding the rule to every label, because manually placing it before every field can cause Word to advance several records inside one label.

Conceptually, a label sheet should look like this:

Label Beginning of label
1 «Name»
2 «Next Record» «Name»
3 «Next Record» «Name»

Using Next Record in a Word table

A table is useful when one page contains several data rows—for example, a product list, directory, invoice-style form, or attendee sheet.

Put «Next Record» only in the first cell of the second and subsequent data rows. Then place the remaining fields for that record across the row.

First cell Second cell Third cell
«Name» «Department» «Phone»
«Next Record» «Name» «Department» «Phone»
«Next Record» «Name» «Department» «Phone»

Do not add Next Record before every column. The columns are fields belonging to the same record; the rule advances to the next data row. Adding it in each column can make Word consume multiple records while building one visual row. This distinction is covered in Microsoft’s guidance on Next Record in tables.

Next Record versus the Preview “Next” button

These controls have different purposes:

Control Purpose
Mailings > Rules > Next Record Inserts a merge field into the document. It advances the record used at that location during the merge.
Mailings > Preview Results > Next Moves through recipient records while you inspect the preview. It does not insert a field.

Clicking the preview navigation button will not solve a layout that needs multiple records per page. Insert the rule through Mailings > Rules > Next Record.

When you do not need Next Record

A normal Letters mail merge creates one merged page or document for each record. If each letter belongs on its own page, insert the ordinary merge fields and let Word create the separate records.

You also do not need Next Record merely because two pages are printed on one physical sheet through page setup or printer settings. Word still treats those as separate pages. The rule is needed when multiple records must be represented inside one merged page or document layout.

Next Record and custom postcards

Positioned text boxes frequently cause problems with multi-record postcard layouts. Inserting Next Record into a text box can produce an error, or the text box and its contents may disappear when you preview the merge.

Use table cells instead of text boxes for the repeated sections. If the design is essentially a sheet of identical cards, start the merge as a label merge and adapt the label dimensions to the card layout where possible.

Word also rejects DATA, NEXT, NEXTIF, and SKIPIF fields when they are inserted into comments, headers, footers, footnotes, or endnotes. Keep the rule in the main document body and inside a normal table cell or paragraph. Microsoft’s documented postcard troubleshooting guidance describes these limitations.

Next Record If: the conditional alternative

Use Mailings > Rules > Next Record If when Word should advance only if a condition is true. The dialog includes:

  • Field name — the merge field to test;
  • Comparison — such as equal to or not equal to;
  • Compare to — the value used for the test.

For example, a layout could advance when a Country/Region field changes. Sort the data source by that field first if you are grouping records by country or another category. Otherwise, matching records may not be next to one another when Word evaluates the condition.

Automate insertion with VBA

For a repeated or programmatically generated layout, Word VBA exposes the rule through the MailMergeFields.AddNext method:

expression.AddNext(Range)

expression must be a MailMergeFields collection, and Range specifies where the field should be inserted. Microsoft’s example inserts a NEXT field after the third merge field:

Documents("Main.doc").MailMerge.Fields(3).Select
Selection.Collapse Direction:=wdCollapseEnd
Documents("Main.doc").MailMerge.Fields.AddNext _
    Range:=Selection.Range

In the ribbon, the same field is displayed as «Next Record». The VBA name NEXT is not a different merge function; it is the field-code terminology for the same record-advancing instruction.

Fixes for skipped records and incorrect output

Symptom Likely cause Fix
The first recipient is missing Next Record appears at the start of the first label or block. Remove it from the first block. Keep it at the start of later blocks.
One label consumes several recipients The rule was inserted before multiple fields or every column. Use one rule at the beginning of each later label or table row.
Every label shows the same recipient The first label was copied manually without advancing records. Use Update Labels after building the first label.
The rule command is disabled No recipient list is connected. Choose Mailings > Select Recipients first.
An error appears in a postcard design The insertion point is in a text box, header, footer, footnote, or endnote. Move the fields into the main document body, preferably table cells.
The preview shows unexpected order The source data is not sorted for the intended grouping. Sort the source before using Next Record If.

Practical test before printing

  1. Save a copy of the merge template.
  2. Use a test data source with three clearly different records, such as TEST-001, TEST-002, and TEST-003.
  3. Preview the first page and check that the first block shows TEST-001, the next shows TEST-002, and so on.
  4. Choose Finish & Merge > Edit Individual Documents and inspect the generated document rather than printing immediately.
  5. Check the last label or row to ensure the merge has not advanced too far or repeated the final record.

Should Next Record go in the first label?

No. The first label should use the current record without the rule. Put «Next Record» at the beginning of the second and later labels.

Does Next Record create a new page?

No. It advances to the next data row without starting a new page. That is why it is useful for placing multiple recipients on one page.

Why is Word skipping records?

The usual causes are placing Next Record before the first data block or inserting it more than once per label or table row. Check the first field in each repeated block and remove extra rules.

Can Next Record go in a table?

Yes. For repeated table rows, put it only in the first cell of the second and subsequent rows. Do not place it before every column.

Why does Next Record fail in my text box?

Text boxes are a common failure point for this layout. Replace them with table cells and keep the merge fields in the main document body, not in headers, footers, footnotes, or endnotes.

Is the Preview Results Next button the same as Next Record?

No. Preview’s Next button only navigates through records while you inspect the output. The ribbon’s Rules > Next Record command inserts the actual merge field.

The Bottom Line

Use Mailings > Rules > Next Record once at the beginning of every repeated data block after the first one. In labels, build the first label and choose Update Labels. In tables, place the rule only in the first cell of later rows. If every record should have its own page, do not add the rule at all.
