Use the three assistants as a small production team, not as three competing chat windows. Keep one source-of-truth brief in a ChatGPT Project, assign Gemini a clearly bounded discovery task when you need broad or current sources, and give Claude an approved packet to transform into an editable deliverable. Return each result to the brief as a short handoff record containing inputs, decisions, evidence, unresolved questions, and the next acceptance test. This division prevents repeated prompts, conflicting drafts, and lost context while preserving a human review step.
The method works because each tool has a different useful role: ChatGPT Projects organize the continuing context, Claude Projects and Artifacts turn selected material into shareable work, and Gemini Gems or Deep Research handle repeatable specialist jobs and source-heavy discovery. The exact feature names, limits, and availability can vary by plan and rollout, so check what your account currently offers before designing a process around a single control.

Make one workspace the canonical record and treat every other assistant as a worker with a narrowly defined deliverable. The coordinator should know what has already been done; workers should receive only the context and files needed for their assignment; and every handoff should state what must not be repeated.
Create a source-of-truth brief
Open a ChatGPT Project for the initiative and keep these items together:

- [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.
- Objective: the outcome, not merely the activity (for example, “publish a two-page comparison for IT managers”).
- Audience: who will use the result and what they already understand.
- Constraints: jurisdiction, deadline, tone, word limit, approved sources, privacy rules, and required citations.
- Source inventory: the files, URLs, or connected app material that may be used.
- Decision log: definitions, exclusions, chosen options, and decisions with dates.
- Deliverable contract: exact format, sections, length, and acceptance checks.
- Handoff log: a compact record for every completed task.
Projects are designed to keep related chats, files, and instructions together. They can contain PDFs, spreadsheets, documents, images, project-level instructions, connected app links, and saved responses. In a shared project, members work from common chats, files, and instructions; shared projects use project-only memory so the working context remains inside that project boundary.
Use a coordinator instruction
Add an instruction such as: “You are the coordinator. Read the handoff log before assigning work. Do not redo a completed task. Identify the next missing deliverable and return only that deliverable plus unresolved questions.” This turns the main thread into a queue and review desk instead of another place to generate the same draft.
How should ChatGPT coordinate the overall project?
ChatGPT should own the brief, decisions, review criteria, and final assembly. It is not automatically the best place for every production step; its value here is maintaining a coherent record and checking whether each worker stayed inside scope.
Store canonical context once
Upload the approved source files to the Project rather than pasting them into several independent chats. Keep the current brief, decision log, latest approved artifact, and open-question list visibly named. When a document changes, record the version and what changed so an assistant does not silently combine old and new material.
Ask for review, not another full draft
After Claude or Gemini returns a result, ask ChatGPT to compare it with the brief and produce a defect list: unsupported claims, missing requirements, citation gaps, contradictions, and decisions that need a human answer. Request targeted revisions or a final assembly only after that check. A review request should point to the artifact version and acceptance test rather than restating the entire project.
Use branches for alternatives
ChatGPT documents that shared-project chats can be branched. Use a branch to test an alternate structure, wording, or interpretation, then merge only the chosen decision into the canonical brief. This preserves the main thread and prevents experimental prompts from being mistaken for approved requirements.
What should Claude handle, and how do I keep its work bounded?
Give Claude a selected, approved packet and a transformation task with a named output. Claude Projects are self-contained workspaces with their own chat histories and knowledge bases, which makes them suitable for a focused production stream that should not absorb every project conversation.

Define an input boundary
State exactly which files, excerpts, or prior artifact version Claude may use. Tell it whether outside research is prohibited. For example: “Use only the approved policy PDF and the three links in the packet. Convert the findings into a two-page comparison table. Preserve citations, flag unsupported claims, and do not perform new research.” This prevents a synthesis task from turning into an untracked discovery pass.
Request an Artifact when the output must be edited
Claude describes an Artifact as something you would put in front of someone, such as a design, deck, document, dashboard, or small interactive tool. Ask for an Artifact when a teammate needs to inspect, edit, or share the result beside the conversation. Return the Artifact link or exported text to the ChatGPT Project, along with a short change log and the version number.
Separate transformation from judgment
Claude can reorganize approved material, normalize terminology, create a table, or produce a draft. Keep policy choices and unresolved factual questions in the handoff instead of asking it to quietly decide them. If a claim is not supported by the supplied packet, require an explicit “unsupported” flag rather than a plausible-sounding completion.

Use Gemini for a specialist role that is either repeatable or source-heavy. Gems let you save a customized version of Gemini with persona, task, context, and format instructions; you can also add device or Drive files as knowledge. This is useful for roles such as requirements extractor, citation checker, or Google Workspace researcher.
Build one Gem per recurring job
A “requirements extractor” Gem might return a checklist with requirement text, source location, ambiguity, and owner. A “citation checker” Gem might inspect a supplied draft and report which claims lack an attached source. Keep each Gem narrow enough that its output has a stable shape; broad instructions encourage it to redo work assigned to another assistant.
Use Deep Research for discovery, not final drafting
Gemini Deep Research is intended for in-depth, real-time research. Google says Google Search is included by default, and users can add Gmail, Drive, uploaded files, or NotebookLM notebooks as sources. Gemini creates a research plan that you can edit before research starts and can export the completed report to Google Docs.
Assign a discovery question, geographic scope, date range, source-quality rule, and required output fields. Ask for a source list, evidence notes, and uncertainty statements. Send the report and source list to the coordinator; do not ask Claude to independently repeat the same search while synthesizing it.

Respect research limits
Gemini documents daily and concurrent Deep Research limits, with higher limits for Google AI Pro and Ultra users. Limits and plan availability can change, so schedule discovery work with the account’s current allowance in mind and keep a fallback manual source list if a run cannot start.
How do I pass context from one AI to another without losing the thread?
Pass a small handoff record, not a transcript. The next assistant needs decisions and evidence, not every exploratory message that produced them.
Use these seven fields
- Task completed: one sentence describing the finished work.
- Inputs actually used: file names, URLs, project sources, or prior artifact version.
- Decisions made: selections, exclusions, definitions, and assumptions.
- Evidence: citations or links attached to factual claims.
- Open questions: unresolved items and who must answer them.
- Next deliverable: exact format, length, and acceptance test.
- Do-not-repeat list: searches, analyses, drafts, or checks already completed.
Example handoff
Task completed: Source discovery for US privacy guidance.
Inputs actually used: Attached policy PDF and three regulator pages.
Decisions made: Compare retention, access, and deletion duties; exclude non-US rules.
Evidence: Citation attached to each finding in the source table.
Open questions: Retention period and enterprise exception remain unresolved.
Next deliverable: Two-page comparison table, with unsupported cells marked.
Do-not-repeat list: No additional web research; do not rewrite the source notes.
Keep the record short enough to scan. Store it in the source-of-truth Project and paste only the relevant record into a worker’s workspace. When the worker finishes, append its new record rather than replacing the previous one.
What is the most efficient sequence for a three-assistant workflow?
Run the assistants in stages so each stage consumes an approved output from the previous one. The following sequence minimizes duplicated prompts while leaving room for review.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →- Brief once: Write the objective, audience, constraints, source policy, deliverable format, and definition of done in the ChatGPT Project. Upload or connect the canonical files.
- Research once: Assign Gemini Deep Research the discovery question. Require an editable plan first, then a report with sources, evidence notes, and uncertainty. Record the completed search and its exclusions.
- Approve the packet: In ChatGPT, remove irrelevant findings, resolve obvious conflicts, and mark claims that still need a human decision. This approved packet becomes Claude’s only input.
- Synthesize once: Give Claude the packet and a bounded transformation request. Ask for an Artifact or another named deliverable, preserve citations, and flag unsupported claims.
- Review once: Ask ChatGPT to test the Artifact against the brief. Request a defect list and specific revisions, using a branch for alternatives rather than changing the approved thread.
- Publish one version: Save the accepted Artifact or exported text, decision log, final citations, and the last handoff record back into the Project.
How do I decide which assistant gets a task?
Choose by workflow characteristic, not by a claim that one model is universally more accurate. The practical question is which tool can receive the needed context, perform the bounded operation, and return an output your team can verify.
| Decision axis | ChatGPT | Claude | Gemini |
|---|---|---|---|
| Context persistence and files | Projects keep related chats, files, instructions, connected app links, and saved responses together. | Projects provide a self-contained workspace with its own chats and knowledge base. | Gems can use persona, task, context, and added device or Drive files; Deep Research can include Gmail, Drive, uploaded files, or NotebookLM notebooks. |
| Repeatable role instructions | Use project-level coordinator instructions and the handoff log. | Use a project prompt for a defined production stream. | Use a Gem for a recurring specialist role. |
| Output form and editability | Best suited here to review, decisions, branching, and final assembly. | Artifacts open beside the conversation and can be edited and shared. | Deep Research reports can be exported to Google Docs. |
| Source access and citation workflow | Holds the approved materials and checks claims against the brief. | Transforms the supplied packet while preserving citations when instructed. | Deep Research performs real-time discovery and returns a source list; Gems can run citation or requirements checks on supplied material. |
| Collaboration and sharing | Shared Projects provide common chats, files, and instructions within the project boundary. | Artifacts are designed to be shown, edited, and shared. | Reports and Google Workspace sources fit teams already working in that environment. |
| Limits and availability | Project features can depend on plan or staged rollout. | Project and Artifact access can depend on plan or staged rollout. | Deep Research has daily and concurrent limits that vary by plan. |
The table describes documented workflow capabilities, not comparative accuracy or productivity. No stable figure establishes that one assistant is better for every task, so keep quality checks tied to evidence and acceptance criteria.
How do I write prompts that do not cause overlap?
Every worker prompt should identify its role, inputs, exclusions, output schema, and stopping condition. A useful pattern is:

- Role: “You are the requirements extractor,” not “solve the whole project.”
- Inputs: list exact files, links, and versions.
- Operation: extract, compare, normalize, classify, or format.
- Exclusions: state whether new searches, new assumptions, or rewriting are prohibited.
- Output: specify headings, columns, citation style, and length.
- Stop condition: require an open-question list when evidence is missing.
For example, ask Gemini to extract requirements from three approved documents into a table; ask Claude to turn that table into a decision memo; ask ChatGPT to check the memo against the original brief. Do not give all three the same “analyze these documents and recommend a solution” instruction, because each will spend effort discovering, interpreting, and drafting the same material.

Two assistants repeat the same research
Symptom: Gemini and Claude return different source lists for the same question. Fix: designate one discovery owner in the brief, freeze the approved materials, and tell downstream workers that new research is out of scope. If a new source is genuinely needed, log a separate discovery task and update the materials before synthesis.
A polished draft contains unsupported claims
Symptom: the prose sounds complete but a citation cannot be traced to an input. Fix: require claim-level evidence or an “unsupported” label in Claude’s output, then have ChatGPT list every missing citation during review. Do not silently fill gaps from general model knowledge.
Context is lost between workspaces
Symptom: a worker uses an old definition, file, or decision. Fix: include the current brief version and artifact version in the handoff, attach only approved files, and place changed definitions in the decision log. A short version stamp is more reliable than pasting a long conversation.
Exploration pollutes the canonical thread
Symptom: discarded alternatives look like approved requirements. Fix: branch exploratory chats, label them as experiments, and merge only the selected wording or decision into the main Project.
A feature is unavailable
Symptom: Projects, Artifacts, Gems, or Deep Research do not appear in the account. Fix: verify the current plan, rollout status, workspace permissions, and usage limits. Keep the workflow portable by storing the brief and handoff records as ordinary documents that can be pasted into another approved workspace.
What does a complete example look like?
Suppose a team must publish a comparison of US privacy guidance. The coordinator first defines the audience, jurisdiction, publication format, citation rule, and the question of whether retention periods and enterprise exceptions are established.
Best Value
Discovery
Gemini Deep Research receives only the discovery assignment. Its plan is edited before the run, and the resulting report includes the regulator sources, evidence notes, and uncertainty statements. The coordinator records that discovery is complete and excludes unrelated jurisdictions.
Synthesis
Claude receives the approved report and the policy PDF, with a request for a two-page comparison table. It must preserve citations, mark unsupported cells, and avoid new web research. Claude returns an Artifact and a change log.

Review and publication
ChatGPT checks every row against the brief, lists missing evidence, and asks the owner to resolve the two open questions. A branch is used to test an alternate table layout. Once accepted, the team saves the Artifact, final citations, decision log, and handoff record in the shared Project and publishes only that version.
How should teams manage privacy, access, and changing features?
Use the least sensitive material necessary for each task and follow your organization’s retention and access rules. A worker should not receive confidential files merely because the coordinator has them. Record which files were actually used so you can remove access or revoke an outdated packet later.
Feature labels, plan availability, usage limits, and rollout status can change. Date-check the relevant product documentation when you set up the workflow, and write prompts that describe the required behavior rather than relying on a particular button location. If a UI path changes, the brief-and-handoff method still works because the deliverables and evidence requirements remain explicit.
The durable principle is simple: one canonical brief, one owner for each kind of work, one small handoff per completed task, and one review before publication. ChatGPT coordinates the record, Gemini discovers when breadth or recency matters, and Claude produces an editable transformation from approved material.
Frequently Asked Questions
Can I give the same source files to all three assistants?
You can, but doing so removes the boundary that prevents duplicate analysis. Keep the full source set in the coordinator Project, then pass only the files and excerpts required for each worker’s assigned deliverable, with version names recorded in the handoff.
What should I do when ChatGPT, Claude, and Gemini disagree?
Do not average the answers. Put the conflicting claims side by side, attach the evidence each assistant used, and create a decision-log item for a human owner to resolve; then update the approved packet before requesting another synthesis.
Is a Gem the same thing as a Gemini Deep Research run?
No. A Gem is a reusable customized role with instructions and optional knowledge files. Deep Research is a source-discovery workflow that creates an editable plan, searches selected sources, and produces a report that can be exported.
How can a small team track which version is final?
Use a consistent version label for the brief and every artifact, and store the accepted file, citations, decision log, and final handoff together. Mark branches and superseded outputs as experimental or archived so they cannot be mistaken for the publication copy.
