You can use an AI assistant for confidential work only inside an organization-approved environment with documented privacy, security, and governance controls. Treat a public chatbot as an external disclosure channel: do not paste personal, regulated, privileged, security-sensitive, or commercially confidential material into it. Before prompting, classify the information, remove unnecessary details, verify the assistant’s retention and training settings, restrict connected data and actions, and require human review of consequential output. “Enterprise” in a product name is not proof that your particular tenant is safe; your organization must confirm administrator access, hosting location, subprocessors, logging, and incident procedures.
Is it safe to paste confidential work information into an AI assistant?
It is safe only when the assistant has been approved for that data class and the organization has verified how the service stores, uses, secures, and exposes prompts and outputs. A publicly available generative-AI tool should be treated like any other external service: information entered there may leave your organization’s control, even when the prompt seems harmless.

Public availability is not a confidentiality control. The Australian Information Commissioner (OAIC) says, as a best practice, organizations should not enter personal information—particularly sensitive information—into publicly available generative-AI tools because of significant and complex privacy risks. The IRS’s policy, updated in 2026, warns that entering any information, including seemingly innocuous work matters, into public or non-Treasury AI tools can pose significant risks. CMS guidance likewise says never to disclose or input personally identifiable information (PII), protected health information (PHI), or sensitive CMS data into publicly accessible AI platforms, chatbots, or prompts.
An approved service still requires configuration and oversight. Confirm the contract and tenant settings rather than relying on a security badge, a marketing label, or a colleague’s assumption.

What information should I classify before writing a prompt?
Classify the material under your organization’s policy before opening the assistant. If you cannot determine the classification, stop and ask the data owner, privacy officer, or security team; uncertainty is a reason not to paste the material.
| Classification | Examples | Prompting approach |
|---|---|---|
| Public | Published documentation, public product descriptions, released announcements | May be used in a tool approved for ordinary work, while still checking the tool’s terms. |
| Internal | Nonpublic procedures, routine team notes, internal project context | Use only an organization-approved assistant and provide the smallest excerpt needed. |
| Confidential | Customer details, unreleased strategy, nonpublic financial or operational information | Require explicit approval, redaction or anonymization, and verified tenant controls. |
| Personal or regulated | Names linked to records, account numbers, PII, PHI, or other legally protected data | Do not enter into a public tool; use only a specifically approved workflow with legal and privacy controls. |
| Security-sensitive | Passwords, API keys, private encryption keys, access tokens, vulnerability details, production credentials | Never paste secrets. Use approved secret-management and security-review processes instead. |
| Legally privileged | Privileged legal advice, litigation strategy, investigation material | Obtain counsel’s approval and use a workflow designed to preserve privilege; otherwise keep it out of the assistant. |
Classification applies to attachments, copied snippets, screenshots, images, spreadsheet cells, and the context supplied by connected applications—not just the sentence typed into the chat box.

Start with an approved-tool list maintained by your organization, then verify the actual workspace or tenant you will use. Ask the service owner or vendor for written answers to each control below and record the answer for the specific plan, region, and configuration.
- Retention: How long are prompts, uploaded files, generated responses, safety logs, and backups retained? Can retention be shortened or deleted?
- Model training: Are prompts and outputs used to train or improve foundation models by default, and can that use be disabled contractually and technically?
- Access: Can vendor staff, subcontractors, support personnel, or administrators view content? Under what approval and audit conditions?
- Location and jurisdiction: Where are data and backups hosted, which subprocessors handle them, and what cross-border transfers apply?
- Identity and access management: Does the service support single sign-on, multifactor authentication, role-based access, conditional access, and rapid offboarding?
- Connectors and actions: Which drives, mailboxes, calendars, code repositories, plugins, browsers, and external actions can the assistant reach?
- Encryption: Is data encrypted in transit and at rest, and who controls the keys where that matters to your threat model?
- Logging and audit: Are prompts, responses, tool calls, downloads, sharing, and administrative actions logged? Can security staff investigate without exposing more content?
- Incident response: How will the organization be notified of a breach, unauthorized access, or model-behavior change, and how can an account or connector be suspended?
“Enterprise” branding answers none of these questions by itself. The service may have strong defaults while your tenant has a connector, retention rule, or administrator role that changes the risk.

What does Microsoft’s work-account Copilot documentation establish?
Microsoft states that Copilot Chat signed in with a work or school account provides enterprise data protection and that prompts and responses are not used to train foundation models. The same documentation says prompts, Bing queries triggered by prompts, and responses are logged and may be visible to IT administrators. That combination matters: protection from foundation-model training does not mean that your chat is private from your employer or absent from organizational records. Verify that you are signed into the intended work tenant and that its administrators, retention rules, connectors, and regional settings match your policy.
How can I minimize a prompt before sending it?
Minimization reduces both the amount of information exposed and the damage if a prompt, output, log, or connected account is later accessed. Use this sequence for every confidential task.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Define the task: Write what you need the assistant to do—such as summarize themes, suggest a structure, or find inconsistencies—without adding background that does not affect the result.
- Remove direct identifiers: Delete names, email addresses, phone numbers, account numbers, customer IDs, addresses, dates of birth, and employee identifiers unless each is essential and specifically approved.
- Remove secrets and access material: Never include passwords, API keys, private encryption keys, session cookies, access tokens, database connection strings, or authentication headers.
- Replace real values: Use neutral placeholders such as
Customer_A,Region_1, orProject_X. Keep the mapping in an approved system, not in the chat. - Trim the excerpt: Provide only the paragraphs, rows, or code lines needed for the task. Do not upload an entire mailbox, repository, contract, or customer export when a small sample will do.
- Generalize sensitive facts: Round exact amounts, remove rare combinations of attributes, and describe a pattern instead of an identifiable case when exact values are not necessary.
- Check re-identification risk: Several harmless-looking fields can identify a person or deal when combined. If a knowledgeable colleague could infer the subject, anonymization is incomplete.
- Review attachments and history: Confirm that file metadata, hidden spreadsheet tabs, tracked changes, prior chat turns, and automatically included context contain no restricted material.
Anonymization is not a license to use a public chatbot. It must be difficult for the recipient—or someone who can combine the data with other sources—to reconstruct the original person, customer, transaction, or strategy.
How should I limit an assistant’s permissions and connectors?
Apply least privilege to the assistant just as you would to a human service account. Give it only the repositories, files, tools, and actions needed for the defined task, and remove access when the task ends.

Set narrow data access
- Prefer a dedicated, read-only workspace or folder over a broad company drive.
- Use separate assistants or projects for different teams and sensitivity levels.
- Do not connect an entire mailbox, calendar, code organization, or customer system to answer a question about one item.
- Recheck inherited permissions; an assistant can expose information that a user could technically access but should not aggregate.
Constrain actions
- Require confirmation before sending email, changing records, publishing content, executing code, making purchases, or deleting data.
- Disable browsing, plugins, external sharing, and write access unless the use case requires them.
- Use separate credentials and scoped tokens for integrations; never give an agent a standing administrator credential.
- Set rate limits, approval gates, and an emergency disable path for autonomous jobs.
CISA and its partners’ guidance, Careful Adoption of Agentic Artificial Intelligence Services (1 May 2026), specifically recommends limiting agent autonomy and avoiding broad or unrestricted access to sensitive data or critical systems. Layered defenses—identity controls, data-loss prevention, network boundaries, monitoring, and threat modeling—are safer than relying on a single prompt instruction.
How do I review AI output that contains workplace information?
Assume the output is untrusted until a qualified person verifies it. An assistant can invent facts, omit a material qualification, reproduce confidential text, or make a biased recommendation even when the prompt was appropriate.

- Look for leakage: Ensure the response has not revealed another customer’s data, hidden instructions, system prompts, secrets, or unrelated material from a connector.
- Test generated code and commands: Run them in a controlled environment, scan dependencies, and follow normal code-review and change-management procedures.
- Apply human accountability: A responsible person must approve outputs used for employment, financial, legal, medical, security, customer, policy, or publication decisions.
- Handle the result properly: Store, share, and delete the output according to the same classification rules that apply to the source material.
Do not treat a fluent answer, a confidence score, or a citation-like format as proof. The reviewer remains responsible for the decision and for correcting the record when the assistant is wrong.
What governance does safe workplace AI use require?
Safe use is an operating program, not a one-time setting. Assign an owner and maintain controls that users can follow under time pressure.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What should I do after accidentally disclosing confidential information?
Act as though the information has left your control until the security or privacy team determines otherwise. Speed matters more than trying to quietly fix the chat yourself.
- Stop sending additional prompts, files, or follow-up details in the affected conversation.
- Preserve the conversation identifier, timestamps, account, tenant, files, and exact text for investigators; do not alter evidence.
- Notify your security, privacy, legal, or incident-response contact immediately, following the organization’s reporting path.
- If credentials, keys, or tokens were included, revoke and rotate them through the approved secret-management process.
- Ask the service owner whether deletion, connector suspension, session revocation, or retention holds are possible; do not assume that deleting the chat removes logs or backups.
- Identify people, customers, systems, and jurisdictions affected so the organization can assess notification and regulatory duties.
- Record the cause and update permissions, training, filters, or policy so the same path cannot repeat.
How should I compare two AI assistants for confidential work?
Compare the controls that operate in your tenant and use case, not the feature list or security slogan. Document evidence for each axis before approving a workflow.
- Data use and retention: What is stored, for how long, and for which service functions?
- Training defaults: Are prompts and outputs excluded from model training by contract and configuration?
- Human and vendor access: Can administrators, support staff, subprocessors, or reviewers see content, and is that access logged?
- Hosting and jurisdiction: Which regions and legal regimes apply to primary data, backups, and support operations?
- Identity and least privilege: Are single sign-on, multifactor authentication, role separation, scoped connectors, and rapid revocation available?
- Data-loss prevention: Can the organization block sensitive uploads, detect secrets, restrict sharing, and enforce retention?
- Auditability: Can investigators reconstruct prompts, responses, tool calls, exports, and administrative changes?
- Human-review workflow: Can high-impact actions require approval and preserve the source and reviewer record?
- Incident response: Are notification deadlines, containment controls, support contacts, and evidence access documented?
- Compliance fit: Does the workflow meet the laws, contracts, professional duties, and internal rules that apply to the data?
An assistant with a stronger security label is not automatically suitable. Approval depends on documented operational details, the sensitivity of the information, and whether the organization can monitor and respond when controls fail.
Best Value
What do official policies say about public AI tools?
Regulators and government agencies consistently place the burden on the organization and employee to prevent disclosure.
- OAIC, Guidance on privacy and the use of commercially available AI products (published 21 October 2024; updated 17 January 2025): recommends that organizations do not enter personal information, particularly sensitive information, into publicly available generative-AI tools as a best practice.
- IRS, 10.24.1 IRS Policy for Artificial Intelligence (updated 2026): warns that even seemingly innocuous work-related information entered into public or non-Treasury AI tools can pose significant risks.
- CMS, Guidance for Responsible Use of Artificial Intelligence: directs users never to disclose or input PII, PHI, or sensitive CMS data into publicly accessible AI platforms, chatbots, or prompts.
- CISA and partners, Careful Adoption of Agentic Artificial Intelligence Services (1 May 2026): recommends limiting agent autonomy and preventing broad or unrestricted access to sensitive data and critical systems.
These statements do not make every organization subject to the same legal rules. They do establish a practical baseline: public access is not approval, sensitive data needs explicit controls, and autonomous access must be constrained and monitored.

Frequently Asked Questions
Can anonymized workplace data be used in a public AI chatbot?
Only when your organization permits that use and the transformation is genuinely difficult to reverse. Test whether a recipient could identify a person, customer, deal, or strategy by combining the remaining details with public or internal information; if so, treat the material as confidential and keep it in an approved environment.
Does deleting an AI chat remove the confidential information?
Not necessarily. Copies may remain in audit logs, safety systems, backups, exports, administrator views, or connected services. Ask the service owner for the documented deletion and retention behavior rather than assuming the visible conversation is the only copy.
Who should approve an AI assistant for regulated data?
Approval normally needs the data owner plus privacy, security, legal, and compliance stakeholders appropriate to the regulation and contract. The approver should sign off on the exact tenant, region, connectors, retention settings, and human-review process—not merely the product family.
Can an AI assistant send emails or change records automatically?
Only with a narrowly defined, approved workflow that uses scoped credentials, confirmation gates, logging, and a rollback or emergency-disable procedure. For high-impact actions, require a person to review the proposed change before execution.
