You can use AI to review email more safely, but do not paste a raw personal or sensitive message into a public chatbot. First classify the message, use a tool and account approved for its sensitivity, remove details the task does not need, check how the provider handles data, and have a person verify the output. Redaction lowers exposure; it does not make an unapproved tool safe.

What makes AI email review risky?

An email can contain far more than the text you want summarized. Names and addresses may appear in the message, signature, quoted conversation, attachment, or account details; even a seemingly ordinary request can reveal health, financial, employment, legal, or business-confidential information. Sending it to an AI system creates a data-handling question: where the input, output, logs, attachments, or derived data go, who can access them, how long they remain, and whether they may be used for model training.

The risk is not determined by whether a tool is called “AI.” It depends on the information, the system and account used, its settings and contract, and the permissions granted. The Australian Office of the Information Commissioner (OAIC) recommends that organizations not enter personal—and particularly sensitive—information into publicly available generative-AI tools because of significant and complex privacy risks. Government of Canada guidance similarly makes the user responsible for confirming that a tool is appropriate for the information’s security classification before entering personal, protected, classified, or other sensitive data.

There is a second, separate risk: the answer may be wrong. A fluent summary can omit a condition, confuse a date, or invent an implication. Treat AI output as a draft for review, not as a reliable record or an automated decision.

How can I decide whether an email is safe to process?

Classify the message before copying it, forwarding it, connecting a mailbox, or uploading an attachment. If the message’s classification is unclear, follow your organization’s policy or ask the designated privacy or security contact rather than assuming that a routine-looking email is harmless.

Check the whole message, not just the sentence you need

  • Look for personal information such as names, email addresses, phone numbers, signatures, and details that could identify someone indirectly.
  • Check for credentials, account or order numbers, financial or health details, legal advice, employment matters, trade secrets, regulated records, and confidential attachments.
  • Include quoted replies and forwarded history in the check. They can contain sensitive information that is not apparent in the newest paragraph.
  • Consider whether a combination of dates, roles, locations, amounts, or unusual events could identify a person or case even after direct identifiers are removed.

Apply your organization’s classification rules

The Government of Canada’s guidance is explicit: information should not be entered unless the tool has been confirmed appropriate for its security classification. OAIC and the New South Wales Information and Privacy Commission (NSW IPC) also recommend organizational controls rather than treating individual caution as a substitute for an approved process. In NSW IPC guidance, use an approved tool and authorized work account; personal or health information should not be uploaded without prior review.

If you are using a personal account for work, do not assume its settings or protections meet workplace requirements. Stop and use the approved work process. If there is no approved process for the message’s sensitivity, do not send the message to the AI tool.

How do I redact an email before sending it to AI?

Keep only the minimum excerpt needed to answer the question, then replace identifiers consistently. Redaction reduces what the system receives, but it cannot override an organization’s approval rules or make a public tool suitable for confidential data.

  1. Start with the task. Decide exactly what you need: for example, a neutral summary, a list of requested actions, or a draft next step. Do not upload an entire thread when a short excerpt will do.
  2. Make a working copy. Avoid editing or forwarding the original in a way that changes the record. Use a separate copy for redaction, and include only the relevant parts of the message.
  3. Remove direct identifiers and secrets. Delete names, email addresses, phone numbers, signatures, credentials, account or order numbers, and unnecessary quoted history. Remove attachments unless the task truly requires them and the approved tool is authorized to process them.
  4. Replace necessary references with consistent placeholders. For example, use [CUSTOMER_A], [DATE_1], or [AMOUNT_X] where a person, date, or amount matters to the task. Reuse the same placeholder for the same entity throughout the excerpt so the model can follow the thread.
  5. Check for indirect identification. A rare job title, a specific location, a unique incident, or a distinctive sequence of events may identify someone even without a name. Generalize or remove such details if they are not essential.
  6. Keep the key separate. If you need to map placeholders back to people or records, keep that key outside the AI system and restrict access to it. Do not include the mapping in the prompt or in an uploaded file.
  7. Inspect the final input. Read the exact text and attachments you are about to submit. Confirm that hidden quoted content, headers, signatures, and file names do not reveal information you meant to remove.

The Office of the Australian Information Commissioner of Canada (OPC) recommends using anonymized or de-identified information where possible and says sensitive or confidential information should be entered only when authorized. In practice, de-identification is a reduction of exposure, not proof that a message is anonymous or safe to disclose. A redacted excerpt may still be personal information if its context can identify the person.

Which AI setup should I use for email?

Match the deployment to the email’s sensitivity and your ability to govern the system. A hosted enterprise service may offer stronger organizational controls than a consumer account, but the service name alone does not establish what the provider does with data; verify the applicable contract and settings.

Setup Exposure considerations Controls to verify Suitable use
Public consumer chatbot Provider-side retention, secondary use, account sharing, and data residency may be difficult to control. Do not submit raw personal or sensitive email. Restrict use to non-confidential, synthetic, or fully de-identified excerpts consistent with policy. Generic formatting or brainstorming that contains no identifying or confidential content.
Enterprise hosted service Organizational controls may be available, but the exact terms, configuration, and account matter. Check for a no-training commitment, retention and deletion controls, encryption, access logs, least privilege, residency, audit rights, and human review. Routine business email after classification and minimization, when organizational policy and the service terms permit it.
On-premises or local model Local processing can reduce third-party extraction risk, but the operator still handles a regulated processing system and must secure it. Control local access, encryption, patching, logs, deletion, model evaluation, and governance. Highly confidential or strategic email when the organization can operate the system securely.

CNIL says the right deployment depends on the use case and input data, and that on-premises solutions generally seem more appropriate for personal data or sensitive or strategic documents because they limit third-party extraction risk. The UK Information Commissioner’s Office (ICO) identifies local inference and privacy-preserving query methods as data-minimization techniques, while noting that local processing can still be regulated processing. Local does not mean automatically private, compliant, or secure.

What should I check before connecting an AI tool to my mailbox?

Review the full data path before enabling access. A product’s summary feature may involve more than the text shown in the chat: prompts, attachments, outputs, logs, or embeddings may be processed or stored in different places.

Ask these questions and record the answers

  • What data moves? Identify whether the service receives message bodies, headers, attachments, search results, outputs, logs, or derived representations such as embeddings.
  • Who can access it? Establish which provider personnel, administrators, connected applications, and users can view or retrieve the data.
  • Is customer data used for training? Check the contract and actual account settings for a clear commitment; do not infer the answer from an enterprise label.
  • How long is data retained? Find the retention period for prompts, attachments, outputs, and logs, and determine what deletion covers and how it works.
  • Where is data stored or processed? Check data residency requirements and whether they apply to all relevant data types, not just the main email text.
  • Can the organization audit and end the arrangement? Review access records, audit rights, termination rights, and what happens to data when the service ends.
  • What happens after a product change? Assign someone to revisit settings and performance when the provider updates the product or the organization changes its use.

NSW IPC guidance recommends contracts that prohibit training on customer data, define retention and deletion timeframes, include audit and termination rights, and address data residency where possible. OAIC recommends product due diligence, human oversight, access review, and lifecycle monitoring. If a critical answer is unavailable or inconsistent between the contract and settings, do not process sensitive mail until the uncertainty is resolved.

How can I limit an AI assistant’s access?

Grant only the access needed for the specific task. A summary request rarely justifies permanent, broad access to every mailbox and attachment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Use an approved work account, not a personal account, for work mail.
  • Limit access to the necessary mailbox, folder, or labels instead of granting “all mail” access where narrower permissions are available.
  • Avoid automatic forwarding or persistent mailbox access if a one-time, minimized excerpt will do.
  • Do not grant attachment access unless the task requires it and the tool is authorized to handle those files.
  • Separate high-risk folders from routine processing, and revoke permissions when the task or approved use ends.

These limits put data minimization and access control into practice. They also reduce the consequences of a mistaken prompt, an overbroad integration, or a later change in how the service is used.

What prompt should I use for a redacted email?

Ask for a bounded result and tell the model how to handle uncertainty. A narrow request makes the output easier to check and reduces the temptation to infer facts that are not in the message.

After redaction, a useful prompt is: “Review the redacted email below. Return: (1) a two-sentence neutral summary, (2) explicit requests and due dates, (3) facts that require verification, and (4) a draft next step using placeholders only. Do not infer sensitive traits, identify the people behind placeholders, or invent missing details. Mark uncertainty.”

For other tasks, specify the output shape, limits, and boundaries. For example, request five bullets, dates and requested actions, a clear uncertainty flag, and no more than 10 quoted words. Ask the model to separate facts stated in the message from inferences and to identify missing context. Do not ask it to infer health, ethnicity, political views, financial risk, or other sensitive traits.

How should I verify the AI’s summary or suggested reply?

A person should compare the output with the original email before it is relied on or sent. AI can produce inaccurate or false results, and a plausible-sounding summary can still misstate an obligation or omit a qualification.

  1. Check names and roles. Confirm that each person or placeholder is associated with the right statements and requests.
  2. Check dates, amounts, and deadlines. Compare every extracted figure and time reference with the original, including the year and any conditions attached to it.
  3. Check commitments and requested actions. Make sure the model has not turned a suggestion into a promise, missed a condition, or assigned an action to the wrong party.
  4. Check attachments and context. Verify any claim about an attachment or earlier message against the actual file or thread; do not assume the model saw material it did not receive.
  5. Review any draft reply. Confirm that it uses the right facts, does not disclose removed information, and makes no unsupported commitment.
  6. Escalate consequential matters. Do not let an unreviewed model output make a legal, employment, financial, health, eligibility, or security decision.

NSW IPC calls human review crucial, particularly when outputs can affect rights or access to services. Review is not a formality: the reviewer must have enough context and authority to correct the result or reject it.

What should happen after the review?

Handle the temporary working material as deliberately as the original submission. The ICO emphasizes documenting data movement and deleting intermediate files; OAIC and NSW IPC caution against treating governance as a one-time configuration.

  • Delete temporary redacted copies, exports, and local logs when they are no longer needed, in line with applicable records and retention rules.
  • Record the approved use case, tool version, access scope, reviewer, and retention decision so the organization can understand how the review was performed.
  • Review access and settings periodically, and after product updates or changes to the task.
  • Train users on classification, redaction, and escalation. Include a privacy impact assessment where the organization’s process requires one.
  • Monitor whether summaries remain accurate enough for the intended task; pause or adjust use if performance or data handling changes.

Lifecycle oversight matters because permissions, product behavior, and organizational needs can change. A workflow that was appropriate for one message or configuration is not blanket approval for every mailbox or future use.

Frequently Asked Questions

Does redacting names make an email anonymous?

Not necessarily. A distinctive job, location, event, or combination of details may still identify someone, and a placeholder key can reconnect the excerpt to a person if it is exposed. Treat a redacted message as potentially identifiable unless your organization has assessed it otherwise.

If I delete a prompt, has the provider deleted every copy?

Not automatically. Deletion can differ for prompts, attachments, outputs, logs, and backups, so check the service’s terms and deletion process for each relevant data type. Do not promise that a prompt has vanished based only on removing it from a chat history.

Can I use AI to decide whether an email needs a legal or HR response?

AI can help organize text, but it should not make legal or employment decisions. Have an authorized person review the original message and apply the organization’s normal escalation process.
