How to Use AI Chatbots Without Sharing Sensitive Personal Information

The safest way to use a public AI chatbot is to keep sensitive or identifiable information out of it altogether. Rewrite your request with aliases or synthetic examples, remove details that are not needed, use the service’s privacy controls, and move any unavoidable real data into an employer- or institution-approved system. ChatGPT, Microsoft Copilot and similar tools offer controls for history, memory and model-improvement use, but those settings reduce particular uses of your data; they are not a promise that a public service becomes a confidential records system.

This guide shows what to remove, how to anonymize a prompt, which settings matter, how to handle other people’s information, and what to do if you paste a secret by mistake.

What counts as sensitive personal information in a chatbot prompt?

Sensitive information is not limited to a diagnosis or a bank statement. Treat anything that can identify a person, reveal a protected attribute, enable account access, or expose confidential work as material that should stay out of a public chatbot.

  • Direct identifiers: full names, usernames tied to a person, email addresses, telephone numbers, government or employee IDs, account and policy numbers.
  • Quasi-identifiers: exact addresses, precise dates, rare job titles, small-team details, distinctive events, license plates and combinations of facts that identify someone when joined together.
  • Health and biometric data: medical records, symptoms linked to a named person, prescriptions, test results, images, genetic information and disability details.
  • Financial and legal data: card or bank details, tax numbers, loan information, claims, case files, legal advice and settlement discussions.
  • Authentication secrets: passwords, passkeys, API keys, recovery codes, private certificates, security-question answers and session tokens.
  • Location and children’s data: live or home locations, school details, travel plans, photos of minors and information that could put a child at risk.
  • Confidential work material: customer lists, source code, contracts, unreleased plans, internal tickets, trade secrets and regulated records.
  • Information about somebody else: a colleague, customer, patient, child, family member or applicant’s data, even when you obtained it legitimately.

Several details that seem harmless in isolation can identify a person in combination. A job title, small town, exact incident date and employer may be enough, even without a name.

What should I never paste into ChatGPT or another public chatbot?

Do not paste data whose exposure would create a privacy, safety, financial or security problem. The Australian Office of the Information Commissioner (OAIC) states: “As a matter of best practice, the OAIC recommends that organisations do not enter personal information, and particularly sensitive information, into publicly available AI chatbots and other publicly available generative AI tools, due to the significant and complex privacy risks involved.”

  • Passwords, one-time codes, private keys, API tokens or links that provide access without another login.
  • Unredacted identity documents, medical notes, insurance claims, payroll records, tax forms or financial statements.
  • Customer, patient, student, employee or applicant records that can be tied to an individual.
  • Children’s names, images, school or activity information, and any other details about a minor.
  • Exact home addresses, personal contact details, dates of birth and government identification numbers.
  • Confidential contracts, litigation material, unpublished research, source code or proprietary datasets.
  • Private conversations, photographs or files belonging to another person unless you have explicit authority and an approved processing environment.

OpenAI’s Help Center gives the practical rule plainly: “Please do not enter sensitive information that you would not want reviewed or used.” If the answer would be harmful if displayed to a reviewer, retained in a log or exposed through an account compromise, do not put it in a public prompt.

How do I anonymize a prompt before uploading it?

Anonymization is a rewrite, not merely deleting a first name. Remove direct identifiers, reduce combinations that could re-identify someone, and retain only the context needed for the task.

1. Classify the material

Mark names, contact details, account numbers, dates, locations, health, financial, legal, authentication, children’s and workplace-confidential information. Include facts about other people; their data is not yours to disclose by default.

2. Replace identifiers with neutral labels

Use stable aliases such as “Customer A,” “Employee B” or “Project X.” Replace exact values with a category or range when precision is not required. For example, change a named address and policy number to “suburban address” and “[REDACTED POLICY NUMBER].”

3. Generalize dates and locations

Change “14 March 2026 at 9:17 a.m. in a two-person office in [small town]” to “mid-March 2026 at a regional office” when the exact details do not affect the answer. Avoid rare combinations that could identify someone even after the name is removed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Remove unnecessary narrative

Keep the facts that determine the task and delete background that only makes a person recognizable. A request for a complaint-letter template usually needs the issue, desired outcome and tone—not a customer’s complete history.

5. Replace real documents with synthetic examples

Ask the model to work from a fictional record that has the same structure. Check that copied text, metadata, comments, tracked changes and embedded images do not contain the original information.

6. Inspect the final prompt

Read it as a stranger. Could someone infer who, where or which account it concerns from the remaining details? If yes, generalize again or use an approved secure system instead.

Before Safer rewrite Why it is safer
“Jane Smith, 14 Oak Street, policy 12345, was diagnosed on 3 February.” “Customer A, suburban address, policy number [REDACTED], received a diagnosis earlier this year.” Removes the name, exact address, account number and identifying date while preserving a rough timeline.
“Rewrite this email to Michael at [email protected] about his debt.” “Draft a professional message to Customer B about an overdue balance; do not include personal or account details.” Retains the communication task without exposing contact or financial identifiers.
Paste a production error log containing tokens and customer IDs. Provide a short, manually redacted example with tokens replaced by [TOKEN] and IDs by [CUSTOMER_ID]. Preserves the error pattern while removing credentials and traceable identifiers.

How should I ask an AI chatbot for help without disclosing a real person?

Ask for transformation, explanation or a fictional example rather than an inference about a named individual. This changes the task from “tell me something private about this person” to “show me a method I can apply safely.”

  • Request a blank template, checklist, rubric, formula or sample response using invented data.
  • Ask for general information about a condition, law, finance topic or security practice, then consult a qualified professional for the specific case.
  • Describe a software error with synthetic values and ask for diagnostic steps; never include a live credential or production record.
  • Ask the model to identify missing fields or improve structure after you have redacted the content.
  • Tell the chatbot explicitly not to infer a real person’s diagnosis, finances, identity, location or other private traits.

Do not rely on a model to “forget” a sensitive fact after you ask it to. Prevention is stronger than a deletion request, and a generated answer can still repeat or expose information you supplied.

Which ChatGPT settings reduce data exposure?

ChatGPT provides separate controls for model-improvement use, temporary conversations and memory. Set the option that matches the risk; changing one does not automatically change the others.

Turn off model-improvement use

  1. Open Settings.
  2. Select Data controls.
  3. Turn off Improve the model for everyone.

This controls whether new conversations are used for model improvement under the documented consumer setting. It does not erase existing chats, remove information already copied elsewhere, or make a prompt appropriate for a public service.

Use Temporary Chat for a low-risk, one-off task

Temporary Chat conversations do not appear in history, do not create memories and are not used to improve models while they remain temporary. OpenAI states that a copy may still be retained for up to 30 days for safety (OpenAI, 2026). Treat that period as a real retention window, not instant deletion.

Manage memory separately

Memory controls are distinct from model-training controls. Review, delete or disable saved memories when the task does not need personalization. Removing a memory does not necessarily remove the original conversation, so handle both controls when relevant.

Limit files and sharing

Do not upload a document merely because the interface accepts it. Redact it first, remove embedded metadata and use a private conversation rather than a public share link. Delete chats and uploaded files when the service permits, recognizing that deletion and model-improvement opt-outs are separate actions.

What privacy controls does Microsoft Copilot provide?

Microsoft’s consumer Copilot experience provides controls for personalization, memory, training on conversation activity, personalized advertising and conversation-history deletion. Labels and availability can vary by region, account and product version, so verify the current settings in your account.

  1. Open Copilot’s privacy or settings area.
  2. Review and disable personalization or memory if the task does not require them.
  3. Review the control for training on conversation activity and opt out where available.
  4. Turn off personalized ads if you do not want that use.
  5. Delete an individual conversation or all conversation history when appropriate.

Microsoft’s support documentation states that the described consumer experience retains conversation activity for 18 months by default (Microsoft, 2026). Opting out of training does not necessarily disable other product-improvement, advertising, safety, security or compliance processing. A deletion action also does not prove that every backup or legally required record disappears immediately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does Temporary Chat really delete my information?

No. Temporary Chat limits history, memory and model-improvement use for that mode, but OpenAI’s stated safety retention allows a copy for up to 30 days. The feature is useful for reducing ordinary account persistence; it is not a confidentiality guarantee and should not be used as permission to upload sensitive records.

For any service, ask five separate questions: Is the conversation visible in history? Is it used to improve models? Is memory or personalization created? How long can safety, security or compliance copies remain? Can uploaded files and shared links be removed? A “no training” switch answers only one of those questions.

How can I compare chatbot privacy before choosing a service?

Compare the service and the account type you will actually use. Consumer, paid, education, enterprise and government workspaces may have different contractual terms, administrators, retention controls and regional processing.

What to examine Questions to ask Why it matters
Collection and retention What prompts, files, metadata and account details are collected? What is the default retention period, and what safety or legal exceptions apply? A short history setting may coexist with separate security or compliance copies.
Model-training use Are conversations used for model improvement by default? Is the opt-out account-wide, conversation-specific or limited by plan and region? An opt-out may not cover every other processing purpose.
Memory, history, deletion and export Can users view, correct, export and delete memories, chats and uploaded files independently? Separate stores require separate actions.
Account and workspace safeguards Are single sign-on, multifactor authentication, role-based access, audit logs, contractual limits and regional controls available? Organizational safeguards can restrict who may access prompts and how they are handled.
Accuracy and review What human approval is required before an output affects a person’s benefits, employment, health care, credit or legal position? Privacy controls cannot correct a false or unfair answer.

Settings and availability change by plan, region, account and workspace. Read the current privacy notice and administrator terms immediately before using a service for anything beyond public, low-risk material.

Can I use a public chatbot for workplace, government or regulated data?

Use an approved environment with a documented purpose, restricted access and a defined retention period. The U.S. Centers for Medicare & Medicaid Services (CMS) states: “Never disclose or input PII, PHI, or any sensitive CMS data … into publicly accessible AI platforms, chatbots, or prompts.” It also directs that sensitive data be shared only for official purposes through secure channels with authorized personnel who have a legitimate need to know.

Before an exception, confirm all of the following with your privacy or security owner:

  • The system is approved for the data classification involved.
  • A legitimate business or public-service purpose is recorded.
  • Only the minimum necessary fields are provided.
  • Access is limited to authorized users and protected by the required authentication.
  • Retention, deletion, logging, cross-border processing and vendor terms are understood.
  • A human reviews the result before it informs a high-impact decision.

If any item is unknown, stop and ask the responsible privacy, legal or security contact rather than experimenting with a public account.

What about information belonging to other people?

Do not assume that possession equals permission. The Canadian privacy commissioner advises users to limit personal information, avoid sensitive or identifiable information, alter personal details and not share personal information about other people. It specifically says never to share pictures or personal information of minors.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Obtain the necessary authorization, explain the purpose, and use the least identifying version possible. A colleague’s performance issue, a patient’s symptoms, a customer’s complaint or a child’s photo remains someone else’s personal information even if you are trying to help them.

How do I check an AI answer safely?

Privacy protection does not make an output true. OAIC notes that AI systems are known to produce inaccurate or false results. Verify important claims against authoritative sources, inspect calculations and preserve human accountability.

  • For health, legal, financial, employment, benefits or safety decisions, consult the qualified person or official source responsible for the decision.
  • Ask for sources or assumptions, but verify them independently; a citation-looking sentence can still be wrong.
  • Test code in an isolated environment and rotate any credential that appeared in a prompt.
  • Do not let an unreviewed answer automatically approve, deny, rank or diagnose a real person.

What should I do if I pasted sensitive information by mistake?

Act quickly, but do not paste the secret again while trying to explain the incident.

  1. Stop sending messages in the conversation and note what categories of data were exposed.
  2. Delete the conversation and uploaded files using the service’s controls; remove any public share link.
  3. Rotate credentials that appeared in the prompt, including passwords, API keys, tokens and recovery codes. Revoke active sessions where possible.
  4. Review connected apps and account settings for unexpected integrations, shared links, memory entries or personalization data.
  5. Notify the right contact for workplace, customer, patient, government or regulated information. Follow your incident-response and breach-notification procedures.
  6. Use the provider’s privacy-request process when you need to ask about access, deletion or other data rights, while recognizing that safety, security or legal retention may apply.

Record the time, account, conversation identifier and actions taken without creating another copy of the sensitive content. Deleting a chat cannot undo screenshots, exports, browser history or information already processed by authorized safety systems, so treat the event as an incident when the data is consequential.

Daily checklist for safer chatbot use

  • Can I answer this question with public, fictional or already-anonymized information?
  • Have I removed names, exact locations, contact details, dates, IDs, secrets and unnecessary context?
  • Does the prompt contain anyone else’s information, especially a child’s?
  • Am I using a public consumer service when an approved organizational system is required?
  • Have I checked model-improvement, memory, history, file-upload and sharing settings?
  • Could the answer affect health, legal rights, money, employment, education or safety? If so, who will review it?
  • Would I be comfortable if this prompt were retained for the documented safety period?

If the answer to the last question is no, do not submit the prompt. Rewrite it with synthetic data or move the task to a secure, approved channel.

Frequently Asked Questions

Can an AI chatbot identify me if I remove my name?

Yes. A rare address, employer, date, event and job title can identify someone when combined. Generalize those details and remove any field that is not necessary for the task, rather than relying on name removal alone.

Is turning off model training enough to protect confidential information?

No. Training controls do not necessarily change history, memory, safety retention, advertising, security or legal processing. You still need to minimize the prompt and use an approved environment for data that must remain confidential.

Should I upload a PDF after covering the visible names?

Only after checking the entire file. Comments, tracked changes, metadata, hidden sheets, images, OCR text and embedded attachments can retain identifying information; redact or recreate the needed content in a clean synthetic document.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I ask a chatbot to delete a sensitive fact from its memory?

Use the service’s memory and conversation-deletion controls, but do not treat them as an instant or universal eraser. Record the incident, rotate exposed secrets and follow your organization’s privacy process when the information was consequential.

What is the safest way to get help with a real medical or legal situation?

Ask for general education or a fictional checklist without identifying details, then consult the licensed professional or official agency handling the matter. Do not use an unreviewed chatbot response to make a high-impact decision.
