How to Stop Sharing Calendar in Outlook [PC/Web/Mobile]

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Sharing a calendar in Outlook is usually controlled by permissions (who can view) or delegate access (who can manage on your behalf). “Stopping sharing” means removing those permissions so the other person no longer has access.

This guide walks through the practical steps on Outlook for Windows (PC), Outlook on the web, and Outlook mobile. It also covers the cases where the change doesn’t show up immediately and how to troubleshoot.

As an Amazon Associate I earn from qualifying purchases.

Quick rule: Most permission changes are easiest and most reliable from PC or Outlook on the web. Outlook mobile is often limited to viewing and accepting shares, not managing all permission types.

What it means to stop sharing a calendar in Outlook

Depending on how you shared, you might be granting:

  • Calendar permissions to specific people (view, edit, or manage).
  • Delegate access (someone can act for you in your mailbox, including calendar actions).
  • Publishing (a public or link-based calendar feed).

Stopping sharing removes access in the specific place it was granted. If you only undo one of these, the other pathway can still leave access in place.

Before you start: identify how you shared

Start with a quick check of what you set up:

  • If you remember choosing specific names/emails and a permission level, you shared via calendar permissions.
  • If a person has been marked as a “delegate,” you likely shared via delegate access.
  • If the calendar was available via a URL or iCal feed (often used for websites or public sharing), you likely published it.

If you’re unsure, you can still follow the sections below. You’ll find the exact controls in each platform.

Stop sharing on Outlook for Windows (PC)

These steps apply to Outlook for Microsoft 365 / Outlook 2019+ on Windows. The UI can vary slightly by version, but the permission controls are in the same area.

Remove people you shared with (permissions)

  1. Open Outlook on your PC.
  2. Go to Calendar.
  3. Right-click the calendar you shared (it might be under “My Calendars”) and select Properties.
  4. Open the Permissions tab.
  5. In the permissions list, find the person you shared with.
  6. Select their entry and click Remove.
  7. Click Apply then OK.

If you don’t see a Remove button, look for an option to change their permission level back to None (or remove their entry entirely), then apply changes.

Remove delegate access

Delegate access is different from calendar sharing permissions. You’ll remove it from the mailbox permissions.

  1. Open Outlook on your PC.
  2. Click File (top-left).
  3. Select Account Settings → Delegate Access.
  4. In the delegate list, select the delegate you want to remove.
  5. Click Remove (or Delete, depending on build), then confirm.
  6. Click OK.

If you manage multiple accounts in Outlook, confirm you’re editing the correct account’s delegate permissions.

Undo publishing to the web

If you previously published the calendar to a web endpoint, you must stop that publication separately.

  1. Open Outlook → Calendar.
  2. On the ribbon, choose Publish (or look for Publish Online).
  3. Select the published calendar entry.
  4. Choose Stop Publishing or remove the published listing (wording varies by version).
  5. Confirm and save/apply.

If you can’t find “Publish,” you may be using a different calendar type or an Outlook build that hides publishing options. In that case, use Outlook on the web for the published-feed settings (next section).

Stop sharing on Outlook on the web

Outlook on the web is often the most consistent place to remove calendar permissions for specific people.

Remove individual people sharing permissions

  1. Go to https://outlook.office.com and sign in.
  2. Open Calendar.
  3. Find your calendar list on the left, then click … (More options) next to the calendar you shared.
  4. Select Sharing permissions (or Permissions).
  5. In the sharing list, locate the person you want to stop sharing with.
  6. Change their access to Remove / Stop sharing (the UI typically offers a remove action).
  7. Click Save or confirm the removal.

After removal, you should see the person disappear from the shared list. If you don’t, refresh the page and check again after a few minutes.

Remove shared calendar access for delegates

Delegate removal may be managed through mailbox settings rather than calendar sharing screens.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. In Outlook on the web, click your profile picture (top-right) → View account.
  2. Open Permissions or Delegation.
  3. Find the delegate user you want to remove.
  4. Select Remove and confirm.

If you don’t see delegate settings in Outlook on the web for your account type, use the PC method (Delegate Access) or check with your organization’s admin policies.

Stop publishing to the web

  1. Open outlook.office.com → Calendar.
  2. Select the calendar → Manage (or Publish / Subscriptions, depending on the layout).
  3. Locate the published calendar entry and choose Stop publishing.
  4. Confirm changes.

Publishing options can look different across tenants. If the UI doesn’t show a publish link, that usually means your calendar isn’t published via that mechanism—focus on permissions or delegates instead.

Stop sharing on Outlook mobile (iPhone/iPad/Android)

Outlook mobile is mainly for viewing schedules and handling invites. It’s rarely the best tool to manage sharing permissions or revoke delegate access.

Understand the limitation on mobile

On iPhone, iPad, and Android, Outlook mobile can show calendars you’ve shared and calendars others share with you. But managing the detailed permission list (remove person, revoke edit rights) typically requires Outlook on the web or Outlook for Windows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

So if your goal is “no one else can see my calendar,” plan on using PC/Web to remove access.

What you can change from mobile

Depending on your version, mobile may let you:

  • Remove calendars you subscribed to (this affects your view, not the original sharer).
  • Leave or decline shared calendars.
  • View sharing status for calendars you added.

Those actions don’t revoke permission from the original owner.

When you must use PC/Web

Use Outlook for Windows or Outlook on the web when you need to:

  • Remove specific people from your calendar permissions list.
  • Remove delegate access for another user.
  • Stop publishing via any web feed or public link mechanism.

If you’re on mobile right now, the fastest path is: change permissions on PC/Web, then return to your phone to confirm the recipient’s access is gone (or confirm that your end no longer shows as shared).

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you still see access after stopping sharing

Calendar permissions can take time to propagate, and there are multiple “routes” to access. If a person still claims they can view your calendar, troubleshoot systematically.

Wait for sync and refresh

After you remove permissions, it can take a few minutes for clients to reflect the change. Ask the recipient to sign out and sign back in, or to refresh their calendar view.

On your side, refresh Outlook or restart Outlook to clear cached permission data.

Check shared calendar vs shared mailbox/delegates

Someone might have access because:

  • You shared the calendar directly (permissions tab / sharing permissions).
  • You granted delegate access at the mailbox level.

Remove access in both places if needed. It’s common to fix one and miss the other.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Remove both direct permissions and delegate access

If you removed someone from the calendar permissions list but they still can manage events, delegate access is likely still in place. Use the PC File → Account Settings → Delegate Access path, or the Outlook on the web delegation/permissions screen if it exists for your tenant.

Verify the recipient account and mailbox

Make sure you removed the correct entry. Recipients can show up as:

  • Different email aliases
  • Different accounts under the same person
  • A distribution list address instead of a user

If you remove the wrong one, their access may remain through the correct alias or group.

Confirm you changed the correct calendar

Outlook supports multiple calendars. A share might be set on one calendar while others remain private. Double-check the calendar you clicked in the permissions screen matches the one the recipient can see.

Common mistakes that keep sharing active

  • Changing visibility instead of revoking access: Some settings reduce detail, but they don’t fully remove the shared calendar from the recipient’s view.
  • Forgetting recurring publishers: If you published a feed earlier, you must stop publishing; removing permissions won’t always remove the published subscription.
  • Removing a calendar you subscribed to: This only changes what you see, not what the original owner shared.
  • Fixing permissions but not delegates: Delegates can retain broad calendar capabilities.
  • Editing a different account: Outlook profiles can include multiple mailboxes—permissions must be updated on the right one.

Alternatives when you just need to hide details

If your real goal is not to fully stop sharing but to reduce what others can see, consider permission level changes instead of removal.

Permission approach What the other person typically sees When to use
Set to Free/Busy (or lowest visibility) Event blocks without details You still want them to know you’re booked
Remove sharing entirely No access to calendar contents Privacy, employment changes, or limited relationships
Keep calendar shared but remove edit permissions View-only (no changes) Collaborations where they shouldn’t modify events

If you’re unsure which option is available in your tenant, start with the sharing permissions screen and look for the permission dropdown that controls view vs edit.

FAQ

Can I stop sharing only a specific calendar event instead of the whole calendar?

Outlook calendar sharing is usually permission-based at the calendar level. If you need event-level control, you typically have to remove sharing for the calendar or create a separate calendar for events you want to share selectively.

If I remove someone from sharing permissions, will they still see past events?

They may briefly retain cached items depending on their client. After refresh/sign-out, they should lose access moving forward. Ask them to refresh and verify in their calendar list.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I remove a shared calendar subscription I added by mistake?

If you’re the recipient (not the original sharer), you can remove the calendar you subscribed to from your calendar list. This stops it from showing in your view, but it doesn’t revoke access for other recipients.

Why can someone still see my calendar after I removed them?

The most common reasons are (1) delegate access still exists, (2) you removed the wrong entry or alias, or (3) sync hasn’t propagated yet. Check delegates and confirm you edited the correct calendar.

Does Outlook mobile let me revoke sharing permissions?

Usually not. Mobile is better for viewing and managing what’s in your account. To revoke access, use Outlook for Windows or Outlook on the web where the permission lists are editable.

Bottom Line

To stop sharing your calendar in Outlook, revoke the exact permission path you used—calendar permissions, delegate access, or publishing. The cleanest results come from Outlook for Windows (PC) or Outlook on the web.
