Stop duplicate calendar entries by making every create request idempotent: derive one deterministic key from the intended action, save that key before any side effect, and reuse it on retries. On each request, look up the key (or a caller-supplied provider ID); if an item already exists, return it instead of creating another. Put the lookup and key reservation in a transaction so two workers cannot create the same logical event at once. This pattern handles timeouts, webhook redeliveries, voice-assistant retries, and crashes after a provider has accepted a request. It also forces the assistant to distinguish an event, a reminder object, and an alarm attached to an event—three things users often experience as “the same reminder.”

Why does an AI assistant create the same event twice?

Most duplicates are a consequence of at-least-once delivery, not an AI “forgetting.” A request can succeed at the calendar provider, time out before the assistant receives the response, and then be sent again. A queue may redeliver a job, a user may tap a voice or chat confirmation twice, or two workers may process the same intent concurrently. If each attempt calls a plain create endpoint, the provider correctly creates two objects.

Duplicates also arise when the assistant’s identity model is too weak. Matching only a title such as “dentist” misses differences in time zone, calendar, account, recurrence, attendees, or location. Conversely, a broad title-and-time search can merge two legitimate appointments. The assistant needs a stable identity for the intended action, not a guess based on display text.

What is an idempotent create flow?

An idempotent operation can be repeated without changing the logical result after the first successful application. For calendar automation, every logical create action gets a deterministic request key. The first attempt creates the object and records its provider ID; later attempts with the same key return that object (or apply an explicitly requested update) rather than creating another.

Build the key from the complete logical action

Normalize the fields that define “the same thing” before hashing or storing them:

  • Provider and account.
  • Calendar or reminder list.
  • Object type: event versus reminder.
  • Title or normalized task text.
  • Start time or due time, including the canonical time zone.
  • Recurrence rule and end condition.
  • Attendees and location when they are part of the request.

Use a canonical serialization (for example, sorted fields, normalized white space, and an unambiguous time format), then hash it or construct a UUID according to your system’s documented rules. Including the provider and object type prevents a calendar event and a reminder with similar text from colliding.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Persist intent before side effects

Create a local record containing the key, normalized payload, account, status, and timestamps. Enforce a unique constraint on the key. The transaction should reserve the key before the external create call; a second worker then sees the reservation and waits, returns the recorded result, or takes over only after a defined lease expires. Store the provider’s returned ID and the final status in the same durable workflow.

Replay the same result after a timeout

If the provider call times out, do not generate a new key. Retry with the original key and first consult local state. If the first attempt may have reached the provider, query by the caller-supplied ID or another stable external identifier before issuing a new create. Google Cloud’s retry guidance describes this approach as using idempotency with at-least-once delivery and checking database state before mutation.

How should an assistant handle a create, update, and delete request?

Classify the user’s intent before selecting an API operation, and keep the operations separate. An update intent must never fall through to create merely because a lookup failed.

  1. Parse and normalize. Extract the object type, account, calendar or list, time, time zone, recurrence, attendees, location, and requested changes.
  2. Compute the request key. Use the normalized logical action and include provider and object type.
  3. Look up existing state. Check your idempotency table first, then query the provider by a stable ID when one is available.
  4. Resolve the match. If the existing object represents the same request, return it. If the user explicitly asked to change it, issue an update against that object.
  5. Reserve and create. When no match exists, insert the key under a uniqueness constraint, call the provider, and save the returned ID.
  6. Report clearly. Tell the user whether an item was created, updated, or already existed, and show its date, calendar/list, and account.

For conflicting fields—such as an existing meeting at 10:00 and a new request for 11:00 with the same title—do not silently overwrite. Present the existing item and the proposed differences, then ask which action to take.

What does Google Calendar provide for duplicate prevention?

Google Calendar event IDs can be supplied by the caller and are unique within a calendar. Google’s Events documentation recommends using an established UUID algorithm because collision detection is not guaranteed at creation time. Generate the ID deterministically for the logical request and send that same ID on every retry. If the first call succeeded but the response was lost, repeating the call with the same ID lets the integration address the same event instead of creating a second one.

Google’s documentation describes caller-supplied IDs as a way to keep local entities synchronized with Calendar events. Your local idempotency record is still important: it links your request key to the provider ID, records whether an attempt is pending or complete, and gives you an audit trail when a worker crashes.

Do not confuse id with iCalUID

The opaque event id is the practical idempotency handle for a create request. Google uses a different iCalUID concept for calendar interoperability. Recurring occurrences have different event IDs while sharing an iCalUID, so an iCalUID alone cannot identify one occurrence. When reasoning about a recurring instance, combine the iCalUID with that occurrence’s start time (and time zone) rather than treating the series identifier as a single event ID.

Diagnose event reminders separately

Google Calendar’s reminder model is distinct from event identity. Calendar-level defaults apply broadly, while per-event reminder overrides replace those defaults. Two notifications may therefore mean one event with two alarm configurations, two reminder objects, or two duplicate events. Query and display the object type and its parent event before attempting a deletion; deleting an alarm does not delete the event, and deleting one duplicate event does not necessarily remove a separate reminder object.

How should Apple integrations avoid duplicate events and reminders?

EventKit exposes an external identifier that can be used to access the same event or reminder across devices. Use that identifier together with the calendar or reminder-list source when selecting a canonical copy. Apple documents several ways legitimate-looking duplicates can appear: an ICS import, a shared calendar plus an invitation, delegated calendars, or the same subscribed calendar added to multiple accounts. A title-and-time match can therefore select the wrong copy.

Apple also requires explicit user confirmation before an app modifies the user’s calendar database. Your assistant should ask for that confirmation at the point of creation or modification, explain which account and calendar/list will change, and retain the user’s decision in the operation record.

Keep App Intents actions distinct

For Siri or Apple Intelligence integrations, Apple’s App Intents calendar schema separates createEvent, updateEvent, and deleteEvent. Map each intent to its corresponding code path and require an existing identifier for update and delete. If an update cannot find that identifier, ask the user to choose an existing item rather than silently creating a replacement.

What should the implementation look like?

The following provider-neutral sequence makes retries safe while preserving an audit trail.

  1. Canonicalize input. Convert local times to a canonical representation while retaining the original time zone for display. Normalize text, attendee addresses, recurrence rules, and location fields.
  2. Derive a key. Hash the canonical payload together with provider, account, calendar/list, and object type. Keep the key stable for the lifetime of the logical request.
  3. Start a transaction. Insert the key with a pending status and a unique constraint. If the insert reports a conflict, load the existing record.
  4. Return completed work. For a completed record, return the stored provider ID and representation. Do not call create again.
  5. Recover pending work. For a pending record, use a lease or heartbeat. Query the provider by caller-supplied ID or external identifier; if found, attach it and mark the record complete.
  6. Create once. If no provider object exists, send the create request with the stable ID, then persist the provider response and mark the record complete.
  7. Retry unchanged. On network errors, retry with the same key and payload. Never create a fresh key merely because the previous response was lost.
  8. Reconcile. Run a periodic job that searches for objects created during failed or concurrent attempts, links legitimate matches to their request records, and flags ambiguous cases for user review.
normalized = canonicalize(input)
key = hash(provider, account, container, object_type, normalized)

record = reserve_unique(key)
if record.status == "complete":
    return record.provider_id

existing = find_by_provider_id(record.provider_id) or find_by_external_key(key)
if existing:
    mark_complete(key, existing.id)
    return existing.id

created = provider.create(id=stable_id(key), payload=normalized)
mark_complete(key, created.id)
return created.id

The pseudocode is intentionally provider-neutral: some APIs call the caller-supplied field id, others expose an idempotency header or a separate external-key field. Use the provider’s documented mechanism, but keep the local unique reservation and replay logic in all cases.

How do you prevent races between concurrent workers?

Retries and concurrency are different failure modes. Two workers can read “no matching event” at the same moment and both call create. Protect the check-and-write boundary with a database uniqueness constraint or a serializable transaction. A distributed lock can reduce contention, but it should supplement—not replace—the durable unique key, because locks can expire during a provider timeout.

Use a short lease on a pending record so a crashed worker does not block recovery forever. A replacement worker must first query the provider using the stable ID before taking ownership. Record attempt numbers, timestamps, worker identity, and provider response codes; these fields make it possible to distinguish a transient timeout from a genuine validation failure.

How should the assistant clean up duplicates that already exist?

Do not delete by title alone. Build a candidate set using account, calendar/list, provider ID or external identifier, time zone, start or due time, recurrence, attendees, location, and source. Classify each candidate as the canonical copy, a true duplicate, or a legitimate separate item such as an invitation or subscribed feed.

Safe reconciliation workflow

  1. Show the user the candidate items with their source account, calendar/list, organizer, recurrence, and last-modified information.
  2. Choose a canonical copy, preferring the item linked to a known request key or the source the user identifies.
  3. Move any unique attendees, notes, or reminder settings to the canonical item when the provider supports that operation.
  4. Ask for confirmation before deleting or cancelling the others, especially on Apple platforms where explicit instruction is required.
  5. Record the merge decision and retired provider IDs so a later retry cannot recreate the removed copies.

For recurring data, reconcile one occurrence at a time when necessary. A series identifier does not prove that two instances represent the same occurrence; compare the occurrence start and time zone as well.

Which provider and implementation capabilities matter?

Evaluate an integration on six axes rather than assuming every calendar API handles retries identically.

Capability Google Calendar Apple EventKit Why it matters
Caller-supplied create identity Event id may be supplied by the caller; use a collision-resistant UUID scheme. Uses an external identifier for cross-device access; account and source context still matter. A stable provider handle lets a timeout retry address the original object.
Lookup semantics Event ID is unique per calendar; iCalUID is shared by recurring occurrences. External identifiers can span devices, but duplicates may come from imports, shared, delegated, or subscribed sources. Queries must include the calendar/list and source, not only display fields.
Recurrence identity Each occurrence has its own event ID; pair iCalUID with occurrence start when matching. Source-specific occurrence behavior; use the event’s identifier and calendar context. Series-level matching can merge distinct instances.
User authorization Provider account permissions govern access. Apple requires specific user instruction before modifying the calendar database. Consent and account selection belong in the workflow, not as an afterthought.
Transactional protection Not stated as a provider-wide guarantee; implement local uniqueness and conditional writes. Not stated as a provider-wide guarantee; implement local uniqueness and reconciliation. Your database must close the check-then-create race.

What failure symptoms point to a specific bug?

  • Duplicates only after timeouts: the retry generated a new key or omitted the caller-supplied ID. Preserve the original key and query before creating.
  • Duplicates under load: workers perform a non-transactional read followed by create. Add a unique constraint and lease-based reservation.
  • Two notifications but one event: inspect default and per-event reminder settings before deleting the event.
  • Duplicates after calendar migration: the same source was imported or subscribed under multiple accounts. Display source and account, then select a canonical copy.
  • Updates create new events: intent routing lost the existing provider ID. Make update require an identifier and ask the user to choose when it is missing.
  • Recurring instances merge incorrectly: matching used only a series UID. Include occurrence start and time zone.
  • A user reports an unexpected change: the integration modified data without a clear confirmation step. Surface the exact account, calendar/list, fields, and action before committing.

What should you log and test?

Log the request key, normalized object type, account and calendar/list identifiers, provider ID, attempt number, worker, timestamps, outcome, and whether the result came from a replay or a fresh create. Avoid storing sensitive descriptions or attendee data in logs unless your privacy policy permits it; use internal references where possible.

Test the failure windows deliberately: provider success followed by a lost response, a connection timeout before provider receipt, queue redelivery, two simultaneous workers, process crash after reservation, process crash after provider creation, duplicate user confirmation, daylight-saving time changes, recurrence edits, and account or calendar changes. Assert that each scenario yields one logical object and that a conflicting request produces a confirmation prompt rather than a silent merge.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How should the assistant explain a matched existing item?

Use explicit, user-visible language: “I found the existing 10:00 appointment on your Work calendar and did not create another.” Include the account, calendar/list, local time zone, recurrence status, and a link or provider identifier when the UI supports it. If fields differ, list the differences and offer separate choices such as keep existing, update existing, or create a genuinely new item with a new request key.

This feedback is part of duplicate prevention. Users can correct an over-broad match, while operators can trace a disputed result to the exact idempotency record and provider object.

Frequently Asked Questions

Can I remove duplicate events automatically after they are detected?

Only when your matching rules establish high confidence and the user’s permissions allow deletion. Otherwise present the candidate copies, identify their accounts and sources, and require confirmation; imported or subscribed calendars may be legitimate separate feeds.

Is matching title and start time enough to detect an existing reminder?

No. Include the provider, account, calendar or reminder list, object type, time zone, recurrence, attendees, and location as applicable. Two items with the same title and clock time can still belong to different calendars or represent different meetings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do daylight-saving changes affect an idempotency key?

Canonicalize the instant together with its intended time zone and preserve the zone identifier for display. Recomputing a key from a changed UTC offset alone can make the same wall-clock appointment appear to be a new request after a daylight-saving transition.

What happens if a user intentionally wants two identical events?

Treat that as a new logical action and issue a new request key after the user explicitly chooses “create another.” Do not weaken the key by adding a random value automatically, because that would make accidental retries indistinguishable from intentional duplicates.

How long should idempotency records be retained?

Retain them for at least the maximum retry, queue-redelivery, and reconciliation window your system permits, and longer if users may repeat the same command across devices. Expire records only with a documented policy and a safeguard against reusing a key while the provider object still exists.
