There is no universal “keep AI data for 30 days” rule. A defensible policy separates prompt content, generated outputs, provider or application state, and security logs; assigns a purpose and owner to each; sets the shortest period that meets that purpose; and specifies deletion, access, exceptions, and review. Provider defaults are only one part of the picture: your application logs, files, caches, backups, and incident records may follow different schedules.
This guide shows how to design that schedule, minimize sensitive content, verify provider controls, and document the result so engineers, security teams, and auditors can see exactly what is retained and why.

Treating every AI-related record as “the prompt log” creates gaps. The four classes below have different purposes, owners, and deletion mechanisms.
| Data class | Typical contents | Why it may be kept | Controls to define |
|---|---|---|---|
| Prompt content | User messages, system prompts, developer instructions, attached text and images | Service delivery, debugging, abuse investigation, or a documented product need | Purpose, classification, minimization, retention trigger, deletion method, and who may read it |
| Generated outputs | Model responses, tool-call arguments, structured output, refusal or safety text | Showing a result to a user, quality review, contractual records, or incident analysis | Whether the output is stored at all, whether it is redacted, and how user deletion requests propagate |
| Provider or application state | Conversation objects, response objects, uploaded files, vector indexes, caches, background-job state, and feature metadata | Allowing retrieval, asynchronous processing, continuity, or tool operation | Endpoint-specific storage, expiration or manual deletion, region, backups, and feature exceptions |
| Security and audit logs | Authentication events, request IDs, policy decisions, configuration changes, rate-limit events, and incident evidence | Detecting abuse, investigating compromise, proving a control operated, or meeting an obligation | Content minimization, access controls, tamper resistance, retention trigger, legal hold, and review cadence |
Keep these schedules independent. A prompt may be deleted immediately after a response while a content-free request ID remains for troubleshooting; a security event may need longer preservation than ordinary observability data.

How do you choose a retention period?
Start with the business or security purpose, not a provider default. Keep data only while that purpose exists, then delete or irreversibly anonymize it.
- State the purpose in one sentence. Examples include “replay a failed job,” “detect credential abuse,” or “demonstrate which system prompt was active.” If a field has no purpose, do not collect it.
- Identify the data owner and system. Name the product team or function accountable for the record, the datastore, the model provider, and any backup or analytics destination.
- Classify the content. Mark whether prompts or outputs can contain personal data, confidential business information, regulated records, secrets, or customer-provided files. Classification determines who can access the record and which fields must be removed.
- Choose a trigger and period. A trigger can be “after the response is delivered,” “after the support case closes,” “after the last access,” or “after an incident is resolved.” Write the period next to that trigger, rather than saying only “retain briefly.”
- Specify deletion behavior. Describe the API call, database job, object-lifecycle rule, index purge, cache invalidation, and backup treatment. State whether deletion is immediate, queued, or subject to a documented backup window.
- Record exceptions. Legal holds, active investigations, fraud reviews, or contractual records can pause deletion. Each exception needs an approver, a reason, a start date, and an end date or release condition.
- Set a review cadence. Revisit the schedule when a model, endpoint, logging pipeline, data classification, or regulation changes. The UK AI Cyber Security Code of Practice explicitly calls for a suggested review frequency.
Use the shortest period that still lets the named owner perform the task. A longer period is not automatically safer: it increases the amount of sensitive material exposed if an account, database, or log viewer is compromised.
What fields should every retention rule contain?
A retention schedule is operational when another team can execute it without guessing. Include all of the following fields for each data class or system.
| Field | What to document |
|---|---|
| Purpose | The specific service, support, security, legal, or audit need. |
| Data owner | The team accountable for accuracy, access, deletion, and review. |
| System and provider | Application database, observability platform, object store, model endpoint, queue, backup, and region. |
| Classification | Public, internal, confidential, personal, regulated, secret, or a combination used by your organization. |
| Retention trigger | The event that starts the clock, such as request completion, account closure, or incident closure. |
| Retention period | A precise duration or a rule tied to the trigger. Distinguish recurring schedules from one-time allowances. |
| Deletion method | Application deletion, provider delete endpoint, expiration setting, lifecycle rule, index purge, and backup handling. |
| Permitted exception | Who can authorize a hold, why it is allowed, and when it must end. |
| Access control | Roles, least-privilege scope, approval, authentication, and audit of reads or exports. |
| Review cadence | How often the owner checks that the rule, endpoint behavior, and business purpose remain correct. |
Also maintain an audit trail for changes to the policy itself. Record the previous value, new value, approver, effective date, and affected systems.
How should you implement the policy in an AI application?
Implement controls at the point where data is created, not only in a monthly cleanup job. The following sequence works for a new deployment or a retrofit.

- Map every copy. Trace a request from browser or client to gateway, application logs, model provider, queues, caches, databases, analytics, support exports, and backups. Include failed requests and retries.
- Split content from event metadata. Keep a content-free event record when all you need is timing, status, latency, model identifier, token counts, or a request correlation ID. Store the prompt or output in a separate, more restricted system only when its purpose requires it.
- Redact before writing. Detect credentials, access tokens, passwords, API keys, payment details, and sensitive identifiers before they reach routine logs. Prefer removal; otherwise use masking, sanitization, keyed hashing, or encryption according to the investigation need.
- Apply expiration at ingestion. Set database time-to-live rules, object lifecycle policies, queue message expiry, and provider expiration options as records are created. A scheduled purge is a backstop, not the primary control.
- Make deletion observable. Emit a content-free deletion event containing the record type, identifier, requester or job, timestamp, and result. Alert on failed or overdue deletions without copying the deleted content into the alert.
- Restrict retrieval. Separate ordinary support access from security-investigation access. Require strong authentication, least privilege, approval for bulk export, and logging of every read or export.
- Test the full path. Create a synthetic record, verify where it appears, exercise deletion, and check provider objects, indexes, caches, replicas, and backups. Repeat after endpoint or feature changes.
Should you log prompts and outputs?
Neither “log everything” nor “log nothing” is a sound default. Prompt logs can reveal an attack sequence and help responders understand what a model saw, but they can also contain confidential user material, credentials, health information, or proprietary text.

For latency, reliability, and cost monitoring, retain fields such as timestamp, endpoint, model or deployment identifier, status, duration, token counts, region, and a non-sensitive correlation ID. A deterministic request hash can support deduplication when it cannot be reversed into the original text.
Capture samples only for a defined purpose
If quality analysis requires examples, sample rather than collect every interaction, remove direct identifiers, and document the sampling rule. Keep the sample in a separate access-controlled store with its own expiration.
Create an incident-only path
When a security incident justifies prompt or output content, enable narrowly scoped capture, record who approved it and which investigation it supports, and stop capture when the investigation ends. Preserve only the fields needed to answer the incident questions.
The OWASP Logging Cheat Sheet states: “The following should usually not be recorded directly in the logs, but instead should be removed, masked, sanitized, hashed, or encrypted:” It specifically treats access tokens, passwords, keys, and sensitive identifiers as examples. Apply the same discipline to model inputs and tool arguments.

What does OpenAI retention mean in practice?
OpenAI documents multiple retention layers, so “OpenAI retains data for 30 days” is incomplete. The current API data-controls documentation (accessed 2026) says abuse-monitoring logs can include prompts, responses, and derived metadata and are retained up to 30 days by default. Longer retention can apply when required by law or reasonably necessary to protect the services or other people.
Approved customers may seek Modified Abuse Monitoring or Zero Data Retention (ZDR), but approval, eligibility, and limitations apply. ZDR is not a promise that every feature creates no storage.
Application state is documented separately. The Responses API generally has a 30-day application-state retention period when stored. Background mode uses temporary storage for polling, and file objects can be manually deleted or configured with an expiration setting. Some endpoints and tools can store application state even when ZDR is enabled.
How to verify an OpenAI deployment
- List the exact endpoints, tools, file features, background jobs, and SDK options used by the application.
- For each feature, check the current data-controls or endpoint table rather than applying the abuse-monitoring default.
- Confirm whether your organization is approved for Modified Abuse Monitoring or ZDR and record any contractual or regional terms.
- Create a test object or request, observe its application state, invoke the documented deletion or expiration control, and verify the result.
- Document provider retention separately from your own gateway, application, analytics, and backup retention.
How should you assess Anthropic retention?
Anthropic describes feature-specific retention and ZDR eligibility rather than one universal lifetime. The shortest practical time-to-live should be used for data that must be retained, and the relevant feature documentation should be inspected for the API operation, storage arrangement, and eligibility conditions you actually use.
Recommended Free Tools
Record the feature name, whether content or metadata is retained, the trigger and duration, deletion or expiration control, and any exception. Do not infer that a ZDR arrangement for one API feature applies to another feature, console workflow, file object, or application-managed log.

What does zero data retention actually guarantee?
Zero data retention is a provider-side control with a defined scope, not a universal eraser. It may exclude abuse-monitoring copies while allowing temporary application state, files, background-job data, safety processing, or records your own systems create.
- Confirm eligibility and approval. Some accounts, endpoints, tools, or regions may be excluded.
- Read the exception list. Look for safety monitoring, temporary processing, abuse prevention, backups, and feature-specific state.
- Separate provider and customer storage. A provider can retain nothing under an approved arrangement while your proxy, observability tool, database, support export, or backup retains the same content.
- Test behavior. Use a synthetic marker, inspect every system in the data map, and verify deletion or expiration rather than relying on a dashboard label.
How should security and audit logs be retained?
Security logs deserve a separate schedule because investigators may need them after ordinary prompt content has expired. Keep event evidence needed to detect, investigate, and demonstrate control operation, but avoid copying full prompts into every event.
Minimum useful security fields
- Event time with a consistent time zone and a unique event or request identifier.
- Actor, service identity, authentication result, and authorization decision.
- Endpoint, model or configuration version, policy result, and source network or device context where appropriate.
- Change details for system prompts, model configuration, guardrails, and retention settings.
- Integrity metadata, such as sequence numbers or tamper-evident storage status.
The UK AI Cyber Security Code of Practice says: “Developers should ensure that the document includes security-relevant information, such as the sources of training data (including fine-tuning data and human or other operational feedback), intended scope and limitations, guardrails, retention time, suggested review frequency and potential failure modes.” It also says: “Developers should ensure that they have an audit log of changes to system prompts or other model configuration (including prompts) that affect the underlying working of the systems.”
Use a legal hold only for a defined investigation or obligation. Mark held records so automated deletion cannot remove them accidentally, and release the hold promptly when its purpose ends.
What are common retention-policy failures?
| Failure | Why it causes trouble | Correction |
|---|---|---|
| One retention period for all AI data | Provider state, prompts, outputs, and security evidence have different purposes and controls. | Create separate rules and owners for each class. |
| Logging raw requests for convenience | Secrets and confidential user material spread into dashboards, tickets, and backups. | Redact at ingestion and use content-free telemetry by default. |
| Assuming ZDR covers everything | Eligibility and endpoint exceptions can leave application state or files stored. | Check the current feature table and test the exact deployment. |
| Deleting the database row only | Caches, indexes, replicas, exports, and backups may still contain the content. | Map copies and document deletion behavior for each layer. |
| No audit trail for configuration changes | You cannot show which prompt, guardrail, or model setting produced an event. | Log changes with actor, approval, old and new values, and effective time. |
| Unbounded exceptions | “Keep for investigation” becomes permanent retention. | Require an approver, reason, scope, review date, and release condition. |
What should a practical policy look like?
The following is a structure to adapt, not a universal schedule. Replace each period with the shortest duration your documented purpose supports and have the owner approve it.
Best Value
| Class | Example rule wording | Owner and access |
|---|---|---|
| Prompts | “Retain only until the response is delivered unless an approved debugging or incident case requires a sample; delete through the application purge job and provider controls.” | Product owner; restricted support and incident roles. |
| Outputs | “Store only outputs needed for the user-visible feature; expire when the account or case purpose ends; redact before quality analysis.” | Product or records owner; least-privilege retrieval. |
| Application state | “Use the endpoint’s documented expiration or deletion control; record feature-specific exceptions and verify them after upgrades.” | Platform owner; operations access with approval. |
| Routine telemetry | “Keep content-free events for reliability and cost analysis; never include secrets or raw prompt text.” | Observability owner; aggregated dashboards by default. |
| Security and audit logs | “Retain the minimum event fields needed for detection and investigation; preserve a scoped legal hold only while approved.” | Security owner; investigators only, with read auditing. |
How do you review and prove the policy works?
At each scheduled review, compare the written rule with the running system.
- Reconcile the data map with deployed endpoints, SDK upgrades, new tools, queues, and analytics destinations.
- Sample records to confirm redaction, classification, timestamps, and expiration values.
- Run a deletion test from user request through provider objects, indexes, caches, replicas, and backups.
- Review access logs for unusual reads, exports, or privilege changes.
- Check that prompt and model-configuration changes have an audit record.
- Reassess whether every retained field still serves its stated purpose and shorten the period when it does not.
Keep evidence of the review: date, reviewer, systems tested, exceptions found, remediation owner, and target date. Provider documentation and feature behavior can change, so repeat the verification after material endpoint or contract changes.

Frequently Asked Questions
Does deleting my application log delete the copy held by an AI provider?
No. Your deletion job controls your systems, while provider abuse-monitoring logs, application state, files, and backups follow the provider’s documented controls. Treat provider deletion or expiration as a separate step and verify both sides with a test record.
Can a retention policy make my AI deployment legally compliant?
Not by itself. Retention is one control among classification, access, security, user rights, contracts, and jurisdiction-specific obligations; obtain legal advice for the laws that apply to your data and users.
What metadata can I keep after deleting prompt and output text?
Keep only metadata with a stated purpose, such as timestamp, endpoint, model version, status, latency, token count, and a non-sensitive correlation ID. Avoid identifiers that can be joined with another dataset to reconstruct the person or secret.
How often should an AI retention policy be reviewed?
Set a cadence in the policy and trigger an extra review after a new model, endpoint, tool, region, logging destination, or provider contract is introduced. The review should verify actual storage and deletion behavior, not just the written configuration.
