How to Set Permissions for an AI Agent Before Connecting It to Your Accounts

Before connecting an AI agent to an account, give it only the access needed for one defined task: start with no access or read-only access, use a distinct agent identity, and limit permissions to specific resources, actions, and a defined time window. Put authorization controls in the systems that enforce access—not in the agent’s prompt—and require a person to approve consequential actions such as sending, deleting, publishing, or changing shared data.

That process applies whether an agent connects through OAuth, an integration, an API, or another tool. The important question is not just what the agent can do in its chat interface, but what it can receive, retrieve, change, send, or expose through every connected system.

What should you check before giving an AI agent access?

First define the task, then map the agent’s full access surface. An agent may interact with more than the account visible on its connection screen: prompts, uploaded files, retrieved documents, memory, tool outputs, local files, logs, environment variables, plugins, APIs, and network destinations can all affect what data it sees or where it can send information.

Write down the task and its limits

Describe the intended outcome in concrete terms—for example, “summarize these approved documents” rather than “manage my files.” Record the resources it may use, permitted operations, prohibited operations, task time window, accountable owner, approver, and a way to stop or roll back the work. If you cannot name the boundary of the task, it is not ready for broad authorization.

Specify whether the agent is only observing, preparing a draft, or actually committing a change. “Draft an email” and “send an email” are different capabilities. “Find duplicate records” and “merge records” are different capabilities. Writing these distinctions down prevents a broad role from being granted merely because the interface presents one convenient connect button.

Include indirect paths in the inventory. A read-only document tool combined with an outbound messaging tool can expose private information even if neither tool alone can alter the source files. A calendar reader combined with a meeting-booking tool can create commitments. A code repository reader combined with a deployment tool can turn an apparently harmless analysis agent into an actuator.

The Canadian Centre for Cyber Security and partner agencies recommend aligning agentic AI risks and mitigations with an organization’s existing security model and risk posture. Use the same ownership, change-management, and incident procedures that apply to other software and service accounts.

Check where data goes and who can access it

Before submitting account data, identify the exact service endpoint and tenant or workspace. Confirm the provider’s terms for retention, deletion, training or service-improvement use, and access to submitted data. Include prompts, uploads, retrieved content, embeddings, memory, and tool results in this review—not just files the agent explicitly exports.

Ask whether administrators, support personnel, subcontractors, or other users in the workspace can access submissions. Check whether data is copied to a separate analytics, logging, backup, or vector-storage service. Determine how a deletion request applies to those copies and whether disabling the agent stops new collection but leaves historical material behind.

For an initial trial, use public, synthetic, or minimized data. Remove unnecessary names, identifiers, attachments, and confidential fields. Do not assume that a private account connection means the resulting data stays inside that account; verify the service boundary and data handling terms for the exact product and configuration you plan to use.

How much access should an AI agent get?

Use the least authority that can accomplish the approved task. Start with no access or read-only access, grant only the resource and operations needed, and set an end point for the permission rather than leaving it active indefinitely.

Access level What it permits Typical risk and control
No access The agent cannot reach the account or resource. Best for planning, prompt refinement, or a trial that can use sample data.
Read-only The agent can inspect approved resources but cannot change them. A sensible starting point for summarization or search. Check whether read access also permits export or transmission through another enabled tool.
Read-write The agent can change data in approved resources. Limit the writable resources and actions; require review for shared or authoritative information and for destructive changes.
Actuator or external-action access The agent can cause effects outside its private workspace, such as sending, publishing, installing, or submitting work. Keep this separate from reading where possible, narrowly allowlist actions, and require a named human approval for consequential actions.

These are capability categories, not universal labels for provider permissions. A service may use different names or combine capabilities in one scope. Inspect the actual permission description and the effective access it produces; do not infer safety from a label such as “basic” or “assistant.”

Scope by resource, operation, and time

Prefer access to one approved folder, project, mailbox, or dataset over access to an entire account or tenant. Separate read roles from write or actuator roles so a task that only needs to inspect information does not inherit authority to change it. Deny unreviewed tools, integrations, cross-tenant routes, and guest paths by default.

Define boundaries at the object level when the provider supports them. For example, permit reading a project’s issue list but not its secrets; permit drafting in a private folder but not editing the published site; permit querying a reporting dataset but not exporting raw customer records. Check inherited permissions, group membership, shared links, and service defaults that could silently broaden the boundary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Standing permission remains available between tasks; just-in-time permission is issued for a task or short window and then removed. Just-in-time access can reduce the time available for misuse and speed containment, though it adds operational steps. Choose the shortest practical window and define who can renew it. Renewal should be an explicit decision by the owner, not an automatic extension that nobody reviews.

Should you use delegated or app-only OAuth?

Use delegated access when an interactive agent performs a task on behalf of a specific user, so the user’s consent and access boundary apply. Use app-only or client-credentials access only when an autonomous service has no user context and the task requires it; grant the smallest required application permissions and obtain explicit administrative consent.

Authorization model When it fits Consent and scope considerations Revocation considerations
Delegated / on-behalf-of An interactive agent is acting for a particular user. The user’s identity and access boundary are relevant; request only the delegated permissions required for the task. Check how the provider revokes the user’s grant and invalidates active tokens for the exact account or tenant.
App-only / client credentials An autonomous service must operate without a user context. Use the smallest application permissions that meet the need and require explicit administrative consent. Avoid this model if delegated access is sufficient. Check how administrators remove the application grant, disable its identity, and invalidate credentials or tokens.

Delegated authorization can still be broad if the user is an administrator or belongs to many groups, so examine the effective user access rather than assuming delegation is automatically narrow. Conversely, an app-only identity may reach multiple users or workspaces unless an administrator applies resource-specific restrictions. Compare user context, breadth of data access, consent authority, tenant scope, and the practical revocation path before choosing.

OAuth scope names and consent behavior vary by provider and can change. Verify the exact scopes, consent screen, tenant scope, and revocation mechanics in the account or tenant where the agent will run. A consent prompt is not a substitute for reviewing what the service can actually access.

How do you set up a separate identity for the agent?

Give the agent a distinct identity with a named sponsor or owner, a stated purpose, a defined operating environment, and a lifecycle record. Do not run it under a person’s full account or a shared credential: a separate identity makes its actions attributable and lets you target its access when it must be disabled.

  1. Choose the identity model. For production, use a managed identity or certificate where supported. If a credential is necessary, isolate it by agent blueprint and environment rather than reusing a person’s or another agent’s credential.
  2. Assign ownership. Record who sponsors the agent, who approves its access, what task it serves, and who responds to an incident. Identify a replacement owner if the original sponsor is unavailable.
  3. Limit credential exposure. Store private keys in an approved secret manager or hardware security module. Keep passwords, tokens, keys, and connection strings out of prompts, instructions, screenshots, test fixtures, and logs.
  4. Make credentials revocable. Use separate, short-lived credentials where possible, and document how to rotate or invalidate them. Do not treat deleting a chat or disabling a prompt as credential revocation.

Microsoft’s operational guidance recommends a unique, dedicated agent identity with a named owner or sponsor and approver. Record the identity’s environment, connected services, effective permissions, creation date, review date, and retirement condition. Identity and permission administration can evolve, so verify current provider guidance and settings for the deployment you are configuring.

How do you keep the agent from exceeding its permissions?

Enforce the policy outside the model. A prompt can guide behavior, but it cannot reliably prevent an action that connected tools or services already authorize. The U.S. Department of Energy’s GEAR guidance puts it plainly: “A prompt such as ‘never delete files’ is not an access control.”

Put checks at the action boundary

Use the application, operating system, API gateway, scheduler, database, or policy service to deny unapproved operations. Allowlist the tools and high-risk actions the task needs, and have downstream services verify authorization again rather than relying only on a decision made in the agent interface.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Validate the target, operation, actor, and current approval immediately before execution. Do not let an agent reuse an approval after the target, amount, recipient, or data has changed. Treat retrieved instructions, documents, web pages, and tool output as untrusted input; they may try to persuade the agent to bypass a control, but they cannot expand the permissions enforced by the service.

Do not give the agent a tool simply because it might be useful later. Review every enabled integration and network destination for the specific task. If private data, untrusted content, and an outbound channel can be combined, remove one of those capabilities or put an enforced control or human reviewer between them.

Require approval for consequential actions

Require a named person to approve a specific action before the agent writes shared or authoritative data, deletes or overwrites information, changes permissions or credentials, installs software, submits an expensive job, sends email, publishes content, contacts an external service, or makes a safety-relevant decision. Approval should identify the action and its target; broad advance approval for unspecified future actions is not an effective gate.

Show the reviewer the proposed change, affected resources, recipient or destination, and any material uncertainty. Keep the approval record with the action log. For high-impact workflows, use a two-person review or a separate operator account so the agent’s sponsor is not the only person able to approve its own changes.

What should you log and test before connecting a live account?

Create an audit trail that can show who or what acted, under whose authority, against which resource, and with what result. Before relying on the connection, test whether you can stop the agent and contain its access without depending on the agent to cooperate.

Record enough to investigate

Logs should capture the agent identity, sponsor or owner, on-behalf-of user where applicable, role, effective scope, action, resource, authorization decision, and correlation ID. Add timestamps, approval references, success or failure, and the downstream service response when available. Protect the logs themselves: they may contain sensitive details, and credentials should never be recorded in them.

Set retention and access rules for logs, and separate operational diagnostics from transcripts that contain customer or employee content. Make sure an investigator can correlate an agent request with the API call and the resulting change without exposing secrets in the process.

Run a containment test

  • Disable the agent identity and confirm it can no longer start authorized work.
  • Rotate or invalidate credentials and tokens, then confirm existing sessions cannot continue using stale access.
  • Remove permissions that are no longer needed and verify the resource service rejects the action.
  • Practice rolling back a permitted change and identify the human incident contact and kill-switch.
  • Test a denied operation, a wrong-tenant target, an expired permission, and an approval that does not match the requested action.

Revocation is not complete just because one connection screen says “disconnected.” Verify the relevant grant, credentials, active tokens, and downstream authorization behavior for the provider and tenant in use.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When should permissions be reviewed again?

Review the agent’s access whenever its tools, workflow, data scope, integrations, or deployment environment changes. A permission set approved for reading a small set of files does not automatically fit a new workflow that can send messages or reach another tenant.

Schedule a periodic owner review even when nothing appears to have changed. Compare the current effective permissions with the original task, remove unused scopes, and check for inherited group or workspace access. Reassess after a provider changes its consent screen, API behavior, retention terms, or token-revocation process.

Keep an owner, approver, incident contact, and kill-switch available throughout the agent’s lifecycle. Revisit the original task definition and remove access that no longer serves it; do not let a temporary trial quietly become a standing account integration.

What are the most common permission mistakes?

  • Using a personal superuser account: one compromised token can expose unrelated mail, files, billing, and administrative functions.
  • Granting an all-account scope for convenience: a broad scope is difficult to audit and may include future resources created after approval.
  • Combining read and send capabilities: private information can leave the approved boundary without any source record being changed.
  • Relying on a system prompt: wording cannot override an API permission or stop a malicious document from influencing a tool call.
  • Leaving test credentials active: a trial identity, token, or webhook can become an overlooked permanent route.
  • Approving a workflow instead of an action: “handle support” does not tell a reviewer which customer record, message, or external destination will be affected.
  • Assuming disconnection equals revocation: grants, identities, certificates, refresh tokens, and existing sessions may require separate actions.

What is a safe pre-connection checklist?

  • The task, approved resources, permitted operations, prohibited actions, time window, owner, approver, and rollback path are written down.
  • The data flow is understood, including prompts, uploads, retrieval, memory, tool outputs, logs, local files, and network destinations.
  • The endpoint, tenant or workspace, retention, deletion, training or service-improvement use, and data access terms have been checked.
  • The agent has a distinct identity and begins with no authority or read-only access.
  • OAuth is delegated when a user context fits; app-only access is reserved for a justified autonomous service with minimal application permissions and administrative consent.
  • Authorization is enforced outside the model, and high-impact actions require approval of the specific action.
  • Credentials are isolated, protected, short-lived where possible, and excluded from prompts and logs.
  • Logging, disabling, token invalidation, permission removal, rollback, and the incident contact have been tested.
  • Permissions have an expiry or review date, and a documented owner can renew or remove them.

Frequently Asked Questions

Can I use my personal account to test an AI agent?

Avoid granting a trial access to your full personal account. If you cannot create a separate test identity, use public or synthetic data and a narrowly scoped connection; first confirm what the service retains and who may access submitted material.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does removing an AI agent integration revoke every kind of access?

Not necessarily. The account provider may treat the integration grant, the agent identity, credentials, and already issued tokens as separate controls, so verify each relevant revocation mechanism and test that protected resources reject further requests.

How often should I renew an agent’s access?

There is no universal renewal interval established for every provider or task. Set the expiry to the task’s practical duration, require an owner to justify renewal, and review access sooner whenever the workflow, tools, data, or environment changes.

Is there a standard number of OAuth scopes every AI agent should receive?

No. The appropriate scopes depend on the service and approved task, and the guidance provides no universal numeric target. Review the exact scope descriptions and effective permissions in the account or tenant rather than relying on a scope count.

Should a read-only agent be allowed to send data elsewhere?

Only if that outbound path is explicitly part of the approved task and separately controlled. Read-only access to a source does not prevent an enabled messaging, export, webhook, or network tool from transmitting what the agent can see.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When is app-only access justified?

Use app-only or client-credentials access when an autonomous service must operate without a user context and delegated access cannot meet the task. Restrict application permissions, obtain administrative consent, assign an owner, and test how the identity and tokens will be disabled.

What should a human reviewer approve?

Approve a specific proposed action, target, recipient or destination, and material parameters. Require review for shared or authoritative writes, deletion, permission or credential changes, software installation, costly jobs, external communications, publication, and safety-relevant decisions.

The Bottom Line

Connect an AI agent only after you can state exactly what it may access, change, and send. Give it a separate, owned identity; start with no or read-only authority; scope resources, operations, and time; enforce policy in real systems; gate consequential actions with a named human; and test logging, revocation, and rollback before relying on the connection.
