Start with the game’s official shutdown notice, then work backward from its deadlines. Record the final login date, time zone, and any earlier cutoff for character exports, account transfers, downloads, or guild moves. Capture every screen that explains your character and guild, preserve original-resolution images and video, and keep at least two verified copies in different locations. An official export or transfer can retain more than screenshots, but only the fields and destinations named by that publisher. If the game stores information only on its servers and provides no export, your files become a historical record—not a playable replacement for the character.
What should I do first when an MMO announces a shutdown?
Open the publisher’s shutdown announcement, FAQ, and support pages before spending time on captures. The announcement is the controlling source for dates and available tools; advice from forums or older games may be wrong for this closure.

Record the last login date, the time zone used by the publisher, the time servers stop accepting connections, and any earlier deadline for exports, refunds, transfers, or data requests.
- List the official preservation routes. Look for a character or profile download, account-data export, guild transfer, account migration, offline mode, or continued access to a website or creation gallery.
- Save the notice itself. Keep a PDF or screenshot of the FAQ with its publication date and the exact wording of eligibility and deadlines. A support page can change while the shutdown is in progress.
- Plan capture sessions. Prioritize information that disappears when the servers go offline: build screens, inventory, achievements, housing, creations, guild pages, and community records.
KoGaMa’s shutdown FAQ illustrates why speed matters. It said the website, accounts, and user-generated content would go offline by May 29, that data would not migrate to its new platform, and that users who wanted to keep screenshots or links should save them before that date. The date and scope were specific to KoGaMa; treat them as an example of how a publisher can set a hard cutoff, not as a general MMO rule.
Can I export my MMO character or build instead of taking screenshots?
Sometimes, but an export is never implied. A publisher may offer a machine-readable file, a one-time account download, or a live transfer to another world. Check exactly what the process includes, whether it produces a dated snapshot or a playable character, and what happens after the shutdown.

| Route | What it can preserve | Questions to verify before using it | Will it remain playable? |
|---|---|---|---|
| Screenshot or video capture | Visible build, character appearance, equipment, guild pages, achievements, housing, creations, and community moments | Have all relevant screens been captured? Are other players’ identifying details handled with consent? Are date, server, and character names recorded? | No. It documents what was visible but does not recreate server-side data. |
| Official export or transfer | Only the records and destinations listed by the publisher | What fields and attachments are included? What account, subscription, region, or destination requirements apply? What is the cutoff and restoration procedure? | Only if the publisher says the destination can load or play the result. |
| Local game files or platform cloud | Files the title or platform actually stores and lets you access | Which files are local rather than server-authoritative? Does the game still use them after shutdown? Are they encrypted or tied to an account? | Usually not unless an offline mode is explicitly supported. |
| External or cloud storage | Additional copies of files you already captured or legitimately downloaded | Do independent copies exist, and can each one be opened? Is the storage account accessible after the game closes? | No. Storage preserves files, not inaccessible server records. |
Do not assume an account-data request is a playable backup. Privacy or legal downloads may contain identifiers, transaction records, or logs while omitting the data needed to launch a character. Read the format description and test a small export while the service is still online.
How do I capture screenshots and video that will still make sense years later?
Capture the original-resolution source, include enough context to identify what is shown, and make a separate note explaining screens that are difficult to interpret on their own.
Recommended Free Tools
Prepare the capture setup
- Use the game’s native screenshot function when possible; it generally avoids scaling caused by a streaming or chat window.
- Set the game and display to the highest practical resolution, and disable interface opacity or effects only when doing so does not hide names or values.
- Check where the title saves images and whether it silently converts them to a lower-quality format. Copy the originals before editing.
- For video, record the shortest useful demonstrations: opening the build, scrolling through equipment, showing a guild page, or walking through a home or creation. A long unstructured recording is harder to search.
- Capture the server or realm, region if displayed, character name, guild name, and the in-game date or real-world date when available.
Capture in a repeatable order
- Open the character overview or profile so the name, class, level, server, and appearance are visible.
- Open each build, specialization, skill, talent, or loadout page. If a screen cannot show every choice, take overlapping images rather than relying on memory.
- Open equipment and inventory pages. Include item names, enhancement levels, set bonuses, sockets, and currencies that matter to the build.
- Show settings that affect performance or play style, such as key bindings, combat options, accessibility choices, and saved presets.
- Record achievements, titles, collections, housing, crafted objects, or user-generated creations that are not represented in the build screen.
- Take a final wide view of the character in a recognizable location. It provides context for a sequence of close-up interface captures.
When a game’s interface hides a value in a tooltip, hold the pointer over the item long enough for the tooltip to appear and capture it separately. On a console, use the platform’s native capture command and then transfer the files at their original resolution rather than photographing the television.
What exactly should I save about a character build?
A useful build record lets another person reconstruct the choices without having the original server. Save both the visual evidence and a plain-text companion note.
Minimum build record
- Character name, class or archetype, level, server or realm, and faction.
- Specialization, skill tree, talents, traits, perks, or passive selections, including ranks and ordering where relevant.
- Every equipped item, upgrade, modification, enhancement, rune, gem, or cosmetic that distinguishes the setup.
- Loadout names, saved presets, hotbars, key bindings, macros, and important settings.
- Resources that explain the state of the build, such as currency, crafting materials, reputation, or unlocks.
- The date captured and whether the screen shows a live character, a test realm, or a temporary event mode.
Write the note while the details are visible. A filename such as Arden_Ravenwatch_fire-build_2026-10-25.png is more useful than Screenshot_0042.png, but the date should reflect the actual capture date, not the game’s release date. Keep the untouched image and create resized or annotated copies separately.
How do I preserve a guild’s roster and history?
Treat guild preservation as a group project. A single character screenshot rarely captures the relationships, ranks, records, and shared memories that members want to retain.

Capture the identity and structure
- Guild name, tag, emblem, server or realm, founding date if shown, and the current leader.
- Roster pages with ranks, join dates, contribution totals, professions, or other visible fields.
- Guild rules, description, announcements, bank tabs, progression records, and notable achievements.
- Event calendars, raid results, tournament placements, screenshots of meeting places, and memorable community moments.
- Links to forums, wikis, or galleries that members want to preserve, saved as both screenshots and text where permitted.
Protect members’ privacy
Ask members what they consent to preserve and where the archive may be shared. A roster can expose real names, social handles, location clues, or private messages. Keep a private archival copy when necessary, and publish a redacted version if the group has not agreed to public distribution. Do not copy private contact details merely because the interface makes them visible.
Make the guild record understandable
Use one folder for the guild and a text or spreadsheet index that maps filenames to events. Note which members appear in each image, the event date, and any context that is not visible in the interface. Include a final group photograph or video only after everyone shown has agreed to its preservation.
How do official character or guild transfers work?
Follow the publisher’s written procedure exactly; a transfer can preserve more than a screenshot but can also have irreversible sequencing rules. Eligibility, destination worlds, account status, and deadlines are title-specific.
Dungeons & Dragons Online’s official 64-bit transfer instructions are a concrete example. They describe guild information being carried with characters during that transfer process and warn players not to create a new guild before unpacking on the destination world. The instructions even state: “Remember not to press the ‘Create’ button in your guild UI.” Creating a new guild at that point creates a different guild, so the prior guild information is not retained through that action. The example also shows that the guild interface may look unusual while underlying transfer data is being processed.
- Confirm that the source character, account, server, and destination are eligible under the current notice.
- Read the complete transfer instructions, including preparation, packaging, unpacking, and post-transfer verification.
- Do not create replacement characters, guilds, or other objects when the instructions say to wait for imported data.
- Record the transfer confirmation, date, destination, and any package or ticket identifier.
- After unpacking, verify the character, equipment, guild membership, and visible guild data before the service ends.
- Capture screenshots of the transferred result anyway. A successful move is not a substitute for an independent record.
Never generalize the DDO sequence to another MMO. A different game may transfer only characters, only guild membership, or nothing at all. If the notice does not promise a field, mark it as unpreserved rather than assuming it travels.
How should I name, organize, and describe the files?
Good organization turns thousands of captures into an archive that someone can search without reopening the game.

Adopt filenames that sort naturally
Use a consistent pattern such as YYYY-MM-DD_server_character_subject_sequence.ext. For example, 2026-10-25-Ravenwatch-Arden-equipment-01.png identifies the date, realm, character, subject, and sequence. Avoid slashes, colons, and characters that a different operating system may reject.
Keep an index and checksums
A simple CSV or text index can list filename, description, capture date, source device, and sharing restrictions. For a large archive, generate a checksum list after copying; a later checksum comparison can reveal a damaged or silently changed file even when the filename still looks correct.

Keep the working archive and at least one independent copy in a different place. A portable drive can hold a complete local copy, while an off-device location protects against theft, loss, or drive failure.
- Finish the capture session and close the game cleanly so files are fully written.
- Copy the originals to a primary computer or external drive without overwriting existing files.
- Copy the same folders to a second, off-device location, such as a cloud account or another physical location.
- Open representative images, videos, text notes, and any official export from each copy. For video, check the beginning, middle, and end.
- Compare file counts and, where practical, checksums between copies.
- Keep the untouched originals read-only or in a clearly labeled archive; perform edits on duplicates.
Storage does not retrieve a server-only roster, inventory, or character database. It preserves files you were able to access. If a drive fails before a capture is copied, no backup service can reconstruct a screenshot that was never saved.
Can another MMO import my saved character or guild?
Usually not. The available evidence does not establish a universal character, build, or guild-export format shared across games. An official transfer normally works only between the publisher’s named accounts, worlds, or platforms.
A build archive can still be valuable as a design reference: another game’s player or developer can read the class choices, equipment themes, screenshots, and notes. That is different from importing progression, ownership, unlocks, or guild membership. Treat claims of cross-game conversion as title-specific and require a written statement from both publishers before relying on them.

What if the shutdown deadline is close?
Use a triage order that captures irreplaceable server views first, then improves presentation if time remains.
- First hour: save the shutdown notice, export or transfer instructions, character profile, main build, and guild identity.
- Next session: capture every build page, equipment and inventory, achievements, housing, creations, and guild roster.
- After the essentials: record events, social spaces, favorite locations, voice or video memories, and annotated explanations.
- Before logging out: copy files to two locations, open samples from both, and confirm that the copied folders contain the originals.
If a transfer or export has an earlier deadline than the final login, complete that process before making a polished video. A beautiful recording cannot recover an expired transfer opportunity.
What are the common failure modes?
The screenshot is too small or missing context
Recapture at native resolution, include the character or guild name, and take separate tooltip or detail images. Add a note explaining abbreviations and hidden panels.
The game blocks capture or closes before files are written
Use the title’s supported screenshot function or the operating system and platform capture tool. Confirm the save location immediately and copy files after each session rather than waiting for the final day.
The export downloads but cannot be opened
Keep the original package, save the publisher’s format description, and test it on a second device while support is still available. Do not rename an unknown file extension or edit the package before making a preserved copy.
The guild page shows fewer members than expected
Capture each roster page, sort order, and any pagination controls. Some interfaces show only online members or a filtered rank; record the filter state and ask members to supply missing details with consent.

A transfer seems to lose guild information
Stop creating replacement guilds or characters and reread the official transfer sequence. The DDO instructions demonstrate why: a new guild created at the wrong stage is not the old guild, and interface visibility can differ from the data being transferred. Contact official support with the transfer identifier before the service closes.
The archive exists on one drive only
Make the second copy immediately, then open files from that copy. A drive that is disconnected or stored beside the first drive is not an independent backup.
What remains after the servers go offline?
Anything you downloaded or captured and can open remains available: images, videos, notes, official packages, and saved copies of public links. Server-rendered profiles, dynamic inventories, guild databases, and interactive housing disappear unless the publisher keeps a website, supplies an export, or enables an offline mode.
An academic account of City of Heroes describes players using a character-export tool and posting screenshots and stories as memorials during the shutdown. That combination—an official export where available and community-created records for everything else—preserves both data and meaning without pretending that a screenshot is a functioning character.
Review the archive periodically after closure. Move it to newer storage before a drive fails, keep the index with the media, and preserve the shutdown notice so future viewers understand the server, date, and conditions under which each record was made.
Frequently Asked Questions
Is requesting my account data enough to preserve an MMO character?
Not necessarily. A privacy or account-data download may contain logs and identifiers while excluding the game data needed to load skills, items, housing, or guild state. Compare the publisher’s field list with your screenshots and treat the download as an additional record unless the publisher explicitly documents a playable format.

How can I preserve a guild when members live in different countries?
Assign one person to maintain the index and let members submit their own screenshots, dates, and consent choices through a shared folder. Record the time zone used for event dates and keep a private version for contact information that should not be published.
What should I do if I missed the official export deadline?
Check whether the publisher left a read-only profile, gallery, or support request window, then capture anything still visible immediately. Ask support whether a delayed data request is possible, but do not assume they can restore server records after the stated cutoff.
Should I edit screenshots to remove interface clutter?
Keep the untouched original first. You can make a cropped or annotated copy for readability, but retaining the full interface preserves names, dates, server labels, and other evidence that an edited image may remove.
