Save the result in two forms: an untouched screenshot that shows the browser state, URL and capture time, and a PDF that is easy to search and share. Keep a short capture note with both files, preserve the original before any crop or annotation, and cite the underlying webpage separately. This combination records what an AI fact-check displayed without pretending that a screenshot proves the claims are true.
What should you save when documenting an AI fact-check?
Begin with the exact fact-check result, not a search-results page. Wait for the answer, cited links and any expandable explanation to finish loading. Record enough context that another person can tell which question, answer and source list you captured.

- The visible page title and the complete browser URL.
- The fact-check answer and every citation or source link shown with it.
- Relevant prompts, conversation turns, dates, labels or account state that explain how the answer was produced.
- Any expanded comments, footnotes, evidence panels or other context needed to interpret the result.
- The capture date and time, with your time zone or an explicit UTC basis.
Tech Safety Canada advises capturing the entire website and expanding comments or context when those details matter. SWGDE similarly recommends including all available displayed information, including the URL and date/time, and taking stills at the shortest focused interval that creates a seamless, complete record.
How do I capture a citable screenshot?
- Open the exact result. Navigate directly to the page containing the AI answer. Wait for visible text, citations, images and expandable sections to load; note whether you are signed in or viewing a public result.
- Expose the needed context. Expand source lists, comments, “show more” controls and evidence panels. If a banner obscures text, dismiss it only if doing so does not change the page you are documenting.
- Include identifying information. Keep the browser address bar or another visible URL treatment in at least one frame. Include the page title, answer, citations and enough surrounding text to establish what the answer refers to.
- Capture the whole relevant page. Use a full-page capture when the result extends below the fold. If full-page capture is unavailable, make overlapping screenshots; do not imply that one viewport contains content that is actually off-screen.
- Save the untouched original. Use a stable filename such as
claim-topic_2026-10-26T1430Z_original.png. Do not resize, crop or draw on this file. - Create derivatives separately. If a reviewer needs a crop, highlight or redaction, export it as a new file whose name identifies it as a derivative. Keep the original beside it and never overwrite the original with the edited version.
- Write a capture note. Store a text or PDF note beside the image containing the page title, exact URL, date and time, time zone or UTC basis, account or interaction state, what was visible, and the operator or role when relevant.
RFC 3227’s evidence-preservation guidance says to “Capture as accurate a picture of the system as possible” and to “Keep detailed notes. These should include dates and times.” It also recommends noting the difference between the system clock and UTC, so include both when your local clock may be disputed.

How do I print an AI fact-check to a citable PDF?
- Return to the fully loaded result and expand the context you need.
- Choose Print from the browser menu, or right-click and select Print.
- Set the destination to Save as PDF.
- Enable Headers and Footers when the print dialog offers that option. Those fields can carry the URL, page title and date.
- Review scale, orientation, paper size, margins and page range so that citations and headings are not clipped.
- Save the PDF under a stable name, then reopen it outside the browser.
Print-to-PDF is not guaranteed to include an entire modern website. Tech Safety Canada warns that dynamic or below-the-fold material can be omitted, so compare the reopened PDF with the live page and your screenshot. If content is missing, capture the omitted section separately or use a full-page method before finalizing the record.
What belongs in the capture note and citation?
Keep two related records: a capture note describing your files, and a citation that identifies the online source. A note can use this structure:

PDF filename:For the source citation, name the publisher, page title and full URL. Add the publication or update date when available and your access date. Identify the screenshot or PDF as a dated capture or exhibit, including its filename and capture time. The Australian Government Style Manual recommends access dates because online information can change and suggests linking to a PDF landing page where one exists.
Keep the citation for the webpage distinct from the exhibit citation. The webpage is the source a reader can revisit; the screenshot or PDF is your dated record of what appeared during a particular session.

What can a screenshot prove—and what can it not prove?

Use the underlying source and supporting captures when authenticity, authorship, page structure or later changes matter. NARA describes web-record integrity as a record being complete and unaltered, with structural and contextual relationships preserved. A screenshot is therefore one layer of evidence, not a substitute for the source page or an archive of every hidden element.
Should I save a screenshot, PDF, HTML copy or video?
No format preserves every property. Choose according to the question a reviewer must answer, and combine formats when the page is dynamic or contested.

For a simple published answer, an original screenshot plus a checked PDF is practical. For a disputed or highly dynamic result, add an HTML or other supporting copy and a short interaction video if the sequence of actions matters.
How should I preserve and back up the evidence?
- Put the original screenshot, PDF and capture note in one evidence folder.
- Keep originals unchanged; place crops, highlights and redactions in a clearly named derivatives folder.
- Make a second copy on a USB flash drive or external hard drive. A portable SSD can serve as a larger-archive alternative, but keep the same rule that originals are not edited.
- Use a secure location that limits unauthorized alteration or destruction. Encrypt removable media when your operating system supports it and restrict write access to the archive.
- Keep filenames stable and include a short identifier plus capture date/time. Put longer descriptions in an index rather than writing on the original image.
- Periodically open a sample of the backup files and compare them with the originals so you know the copy is readable.
Tech Safety Canada and NARA both emphasize keeping a second copy and protecting it from unauthorized alteration or destruction. NISTIR 8387 (NIST, 2022) also discusses preservation considerations for digital evidence; the practical implication is to document handling and retain an unaltered master.

What commonly goes wrong, and how do I fix it?
The screenshot has no URL or date
Capture a frame with the address bar or another visible URL treatment, and record the exact time in the note. If the browser hides the address bar in full-screen mode, take an additional focused frame that shows it.
The page is longer than one image
Use full-page capture or several overlapping frames. Label the sequence in order and verify that the overlaps make a continuous record.

Scroll through the complete result once, wait for images and citations to render, then capture again. Reopen the saved files to confirm that the material is present rather than assuming the browser loaded it.
The PDF looks shorter than the page
Check the print preview, page range, scale, margins and headers/footers. Reopen the saved PDF and compare it with the live page; capture omitted sections separately if print styles hide them.

A popup, consent dialog or chat widget covers the answer
Dismiss or close the obstruction if that action leaves the fact-check unchanged, then note what you did. If the overlay cannot be removed without changing the state, preserve a frame showing it and explain the limitation in the capture note.
The AI result changes later
Keep the original dated files and cite the access date. Capture the new version as a separate exhibit rather than replacing the earlier one; the two records document different page states.
Someone questions whether the file was edited
Show the untouched original, the capture note and the separate derivative. Preserve the backup and handling history, and provide the underlying webpage so a reviewer can compare the visible claim with its source.

How do I keep automated captures reliable and citable?
- Use a wait-for-selector or network-idle condition instead of an arbitrary short delay when the answer renders asynchronously.
- Set a timeout long enough for the target site, and treat timeout or failed-load responses as a capture failure rather than evidence of an empty page.
- Save the image or PDF, response headers, request URL, options and capture note together.
- Disable caching or choose a deliberate TTL when you need a fresh page; record the TTL when a cached result is acceptable.
- Use asynchronous jobs and signed webhooks for long pages or batches, then verify that the callback corresponds to the intended URL.
- Run a visual check on a sample of automated files. Automation standardizes capture; it does not remove the need to confirm that citations and context are visible.

Include them when they affect the answer, permissions or visible context, but avoid exposing unrelated personal information. Record the interaction or account state in the capture note and redact a derivative copy rather than altering the original.
How do I document a fact-check that requires scrolling or clicking?
Capture the initial state, then record each meaningful action and take overlapping stills or a short video showing the sequence. Keep the final expanded state as its own exhibit so a reviewer can distinguish the starting page from content revealed later.
Is a PDF more authoritative than a screenshot?
Neither format is inherently more authoritative. A screenshot better preserves visual layout, while a PDF is easier to search and print; the credibility comes from complete context, an unaltered original, handling notes and a link to the underlying source.
