Yes, you can replace many paid desktop applications without losing your files, but a safe switch is a controlled migration—not a one-click conversion. Inventory your applications and dependencies, make a backup that you have actually restored or opened, test representative files in the replacement, run a small pilot, and keep the original application available until your acceptance checks pass. This approach protects the data itself while exposing compatibility problems in macros, plug-ins, fonts, permissions, and specialized workflows before they affect the whole organization.

“No data loss” should mean that you can recover the untouched originals and restore a working copy. It should not mean that every layout, setting, automation, or feature will reproduce perfectly in a different program.

What does a safe switch to open-source software actually protect?

A migration has two separate goals: preserving the files and preserving the work you do with them. A verified backup protects the first. Compatibility testing protects the second.

Keep an untouched copy of the original files, record which versions of applications created them, and do all conversion on working copies. If a converted file loses a formula, comment, font, layer, track, or permission, you can return to the original instead of trying to reconstruct it.

The European Commission’s migration guidance says an open-source equivalent should be tested “to ensure it provides the necessary functionality.” A recent migration method reaches the same practical conclusion: inventory first, verify a recoverable backup, test representative data, and retain the old system until validation succeeds.

Open-source licensing also does not eliminate transition work. GOV.UK’s “Be open and use open source” guidance warns that open source is “not completely free” when migration, exit, support, training, security, interoperability, and maintenance are included in the total cost.

Which paid desktop apps have practical open-source replacements?

The following are starting points, not automatic one-for-one replacements. Each option needs to be tested against your files, collaborators, plug-ins, and delivery requirements.

Current workflow Open-source starting point What to test before switching
Word processing, spreadsheets, presentations LibreOffice Writer, Calc, and Impress DOCX, XLSX, and PPTX exchange; ODT, ODS, and ODP masters; formulas; tracked changes; comments; macros; embedded media; fonts; print and PDF output
Raster and photo editing GIMP Layered-file interchange, plug-ins, RAW processing, color management, and export profiles
Digital painting Krita Brush libraries, tablet pressure and buttons, canvas behavior, color settings, and required export formats
Vector illustration Inkscape SVG, PDF, EPS, typography, linked assets, and the print workflow
3D modeling and animation Blender Add-ons, render engines, textures, scene interchange, and the rest of the production pipeline
Video editing Kdenlive Codecs, proxy media, project files, timeline effects, audio sync, and hardware acceleration
Audio editing Audacity Multitrack requirements, plug-ins, sample rates, channel layouts, and export settings
Screen recording and live streaming OBS Studio Capture devices, scenes, sources, encoders, audio routing, and streaming or recording destinations
Local media playback VLC Required codecs, subtitles, playlists, playback controls, and hardware acceleration
Desktop email and calendar Thunderbird IMAP, Exchange connectivity, calendars, contacts, address books, enterprise policies, and archive handling

LibreOffice supports its native OpenDocument formats—ODT, ODS, and ODP—as well as common Microsoft formats. Use OpenDocument for long-lived editable masters where your team can work with it, but test the exact DOCX, XLSX, or PPTX exchange path required by clients and colleagues.

How do I inventory an old application before replacing it?

Make the inventory specific enough that another person could reproduce your workflow. A list containing only application names will miss the dependencies that cause most migration failures.

Seagate Portable 5TB External Hard Drive HDD – USB 3.0 for PC, Mac, PS4, & Xbox - 1-Year Rescue Service (STGX5000400), Black
  • Easily store and access 5TB of content on the go with the Seagate portable drive, a USB external hard Drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  1. Record the application and version. Include the edition, operating system, plug-in versions, and whether the program is installed on every user’s computer or accessed through a shared system.
  2. Locate every data store. List local folders, network shares, removable media, synchronized folders, project libraries, mail archives, templates, and scratch or export directories.
  3. Group files by extension and purpose. Include editable masters, delivery copies, archives, exports, linked media, and files that are opened by scripts or other applications.
  4. List fonts and external assets. Note fonts, image libraries, audio, video, LUTs, brushes, textures, templates, and linked files that a project expects to find.
  5. Document automation. Capture macros, scripts, batch jobs, keyboard shortcuts, plug-ins, add-ons, scheduled tasks, and integrations with mail, storage, databases, or line-of-business systems.
  6. Document controls. Record file permissions, encryption or passwords, sharing rules, retention requirements, comments, tracked changes, and any approval process tied to the old application.
  7. Mark criticality. Identify the largest, oldest, most complex, and most business-critical files. These become your test set rather than being left until the end.

Keep the inventory as a change record. When you convert a file, note the original path, destination, format, application version, date, and result of the checks. That record makes a later rollback or audit possible.

How do I make and verify a backup before conversion?

Use at least one recoverable copy on separate storage before opening files in a new application. A portable external hard drive or SSD is a straightforward physical destination; a second independent copy is preferable when the files are important.

  1. Pause bulk conversion. Finish or save in-progress work, and make sure synchronization or backup jobs are not still changing the source while you copy it.
  2. Copy the complete set. Include project files, linked assets, templates, fonts you are licensed to use, mail archives, scripts, configuration exports, and any application-specific libraries.
  3. Preserve the originals. Make the backup read-only or otherwise protected from accidental edits. Do not use the backup as the working conversion directory.
  4. Verify that files are present. Compare file counts and sizes, inspect nested folders, and check that the largest and most unusual files copied successfully.
  5. Perform a restore test. Restore a sample to another location and open it with the original application or an appropriate viewer. A backup that has never been restored is an assumption, not a recovery plan.
  6. Record the recovery path. Write down where the backup is stored, who can access it, and the exact steps to restore it if the migration must stop.

Do not delete the source library after a successful-looking conversion. Keep it until the new workflow has passed its acceptance checks and you have a practical rollback window.

Which file formats should I use during the transition?

Choose a format for each purpose rather than forcing every file into one extension. An open, well-documented format is useful for an editable master, while a widely exchanged format may still be necessary for delivery.

  • Editable masters: Prefer an open or widely documented format when the replacement and your collaborators support it. For office work, that commonly means ODT, ODS, or ODP.
  • Interchange copies: Keep the format your recipients require, such as DOCX, XLSX, or PPTX, and test the round trip: export, send, receive, edit, and reopen.
  • Final distribution: Use the required PDF, image, audio, video, or other delivery format, then inspect the rendered result rather than trusting the export dialog.
  • Project files: Retain the native project format of the replacement so you can continue editing. Also keep linked media and a copy of the original project from the old application.
  • Archives: Preserve originals in their original format even after you create open-format copies. Conversion is not an archival substitute for source preservation.

GOV.UK recommends ODF-compliant solutions that support the complete document lifecycle, cross-platform work, and freedom from restrictive format dependencies. That recommendation does not remove the need to exchange files in formats your partners actually accept.

Seagate Portable 1TB External Hard Drive HDD – USB 3.0 for PC, Mac, PlayStation, & Xbox, 1-Year Rescue Service (STGX1000400) , Black
  • Easily store and access 1TB to content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

How should I test compatibility before committing?

Build a small test pack that represents real work, then compare the old and new results side by side. Do not test only a blank document or a simple photograph.

Office documents and spreadsheets

  • Open the largest and most complex documents, including sections, headers, footers, tables, fields, comments, and tracked changes.
  • Recalculate spreadsheets and inspect formulas, named ranges, pivot-like summaries, charts, external links, data validation, and print areas.
  • Run business-critical macros individually. Note whether they execute, require changes, or must remain in the old application.
  • Export to PDF and print a sample. Check page breaks, fonts, line wrapping, images, colors, and accessibility features your process requires.

Graphics, 3D, audio, and video

  • Open layered, high-resolution, and color-managed assets; confirm that layers, masks, profiles, and text remain editable.
  • For painting and illustration, test tablet pressure, shortcuts, brushes, SVG or PDF text, linked images, and print output.
  • For 3D, video, and audio, test add-ons, render engines, codecs, proxy files, sample rates, channel layouts, synchronization, and hardware acceleration.
  • Render or export a short representative result and compare duration, resolution, frame rate, audio channels, and visible or audible defects.

Email, calendars, and collaboration

  • Confirm that the client can connect to the required IMAP or Exchange service and that authentication and enterprise policies work.
  • Check calendar invitations, recurring events, time zones, contacts, address books, attachments, and searches.
  • Open a copy of an archive and verify that messages, dates, folders, attachments, and sender information remain usable.

For every test, record the expected result, the observed result, severity, and disposition. A visual difference may be acceptable in a draft but unacceptable in a legal filing, a print-ready design, or a regulated record.

How do I run a pilot without disrupting everyone?

Start with a small group and a limited set of projects that include the high-risk features you identified. The pilot should be large enough to expose real collaboration issues but small enough to roll back quickly.

  1. Select users who perform different roles: authoring, review, production, administration, and delivery.
  2. Give them the replacement application, the test pack, documented file locations, and a clear way to report failures.
  3. Have them complete normal tasks, not just opening tests: edit, exchange, print, export, approve, archive, and recover a file.
  4. Set acceptance criteria in advance. Examples include formulas producing the same results, tracked changes remaining reviewable, a design exporting correctly, or a calendar invitation completing its round trip.
  5. Keep the paid application installed or otherwise available during the pilot. Do not remove the fallback until the criteria pass and unresolved exceptions have owners.

Separate defects in the replacement from defects in the migration procedure. A missing font, an uninstalled plug-in, or a wrong permission can look like format incompatibility when the real fix is environmental.

How do I migrate the rest of the library in batches?

After the pilot, convert in controlled groups rather than launching a single overnight rewrite.

Seagate Portable 4TB External Hard Drive HDD – USB 3.0, 1-Year Rescue | Everyday HDD storage. Plug-and-play backup. Windows & macOS. Adobe CC trial included. 1-Year Warranty
  • Easily store and access 4TB of content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  1. Prioritize active projects and low-risk archives separately. Do not mix files that need immediate collaboration with material that can wait.
  2. Work from the verified original backup and make a new working copy for each batch.
  3. Convert, export, or copy only the formats needed for the approved workflow. Leave files that depend on unsupported macros or plug-ins in the fallback path until you have a replacement plan.
  4. Run automated checks where possible, then manually inspect the representative samples and every business-critical file.
  5. Re-check file hashes or other identity records for files that should be unchanged, and confirm that converted files open in the intended application.
  6. Update the inventory with the new location, format, version, test result, and any exception.
  7. Only after a batch passes should you begin the next one. Keep the original library and the old application available throughout the agreed rollback period.

What compatibility problems are most likely?

No conversion guarantees that every feature, setting, macro, permission, or formatting detail will carry over unchanged. Plan for exceptions instead of treating them as evidence that the entire migration failed.

  • Macros and scripts: A macro language, object model, or security policy may differ. Test each important automation and decide whether to rewrite it, run it in the old application, or replace the process.
  • Plug-ins and add-ons: A plug-in may have no equivalent or may require a different version. Identify the function it provides and test the complete output, not merely whether the plug-in installs.
  • Fonts and typography: Substitution changes line breaks, pagination, and visual hierarchy. Install approved fonts where licensing permits, and inspect rendered output on the machines that will deliver it.
  • Linked and embedded content: Links can break when paths, permissions, or applications change. Open the file from its final location and verify every linked asset.
  • Permissions and metadata: Conversion can change ownership, access rules, comments, tracked changes, timestamps, or other metadata. Compare the result with the requirements for the record.
  • Exchange formats: A file may open but still fail when a collaborator edits it and sends it back. Test the complete round trip with the actual external workflow.
  • Performance: A replacement may handle a small file well but struggle with a very large project. Include the largest realistic files in the pilot.

How should I compare open-source candidates?

Use a weighted checklist based on the work you must complete, not on the number of features in a product description.

Decision area Questions to answer
Feature coverage Does it perform the tasks that are essential, including edge cases and exports?
Format fidelity Do files open, save, and round-trip without unacceptable changes?
Macros and plug-ins Can critical automation and extensions run, be replaced, or be retired safely?
Open standards Can you keep an editable copy in a documented format and avoid restrictive dependencies?
Interoperability Will clients, suppliers, and other departments be able to exchange files with you?
Security and maturity Is there a dependable security-patch cadence, an established project, and a clear release process?
Support and training Who handles incidents, documentation, onboarding, and specialist questions?
Performance and accessibility Does it meet your hardware, assistive-technology, and large-file requirements?
Licensing and total transition cost What will migration, training, support, maintenance, interoperability work, and eventual exit require?

“Free Software is first and foremost a matter of liberty, not price,” says the LibreOffice project page from The Document Foundation. That distinction is useful when evaluating control and format independence, but your budget still needs to include people, testing, support, and maintenance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When is it safe to remove the paid application?

Remove it only when the replacement has passed the acceptance checks for the workflows that matter and you can still recover the originals. Before uninstalling, confirm that no scheduled job, plug-in, macro, archive, or external partner still depends on the old program.

  • All critical files have a verified original and a tested working copy.
  • Required exports, imports, print jobs, and collaboration round trips pass.
  • Exceptions have a documented owner and an approved fallback.
  • Users can find templates, fonts, projects, mail archives, and support instructions.
  • The recovery procedure has been tested by someone other than the person who designed it.

If any of these conditions is missing, keep the old application available and narrow the migration scope. A staged coexistence period is safer than forcing an irreversible cutover.

Frequently Asked Questions

Should every file be converted to an open format immediately?

No. Keep untouched originals and convert only the working copies required for the approved workflow. An open editable master can coexist with an exchange copy in the format a client or colleague requires.

What should I do with a macro that does not work in the replacement?

Treat it as a separate workflow decision: test whether it can be rewritten, replace the underlying task, or keep that task in the old application temporarily. Do not discard the original macro or its source while you evaluate the alternative.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I tell whether a file is safe to archive after conversion?

Open the converted copy, inspect its required content and metadata, and confirm that the original remains restorable. If future editing depends on a proprietary plug-in, macro, or font, retain the original project and the dependency information with the archive.

Is a file that opens successfully automatically compatible?

No. Opening proves only that the application can parse the file. You still need to test editing, calculations or effects, exports, printing or rendering, collaboration round trips, and any permissions or automation that the workflow depends on.
