Protect client data by deciding what developers may submit before enabling an AI coding assistant, obtaining any required client and organizational authorization, and limiting each request to the minimum sanitized context needed. Then verify the exact service plan, model, feature, and deployment: a promise not to train on prompts does not tell you whether they are logged, retained, reviewed, or accessible to administrators.
There is no universal “safe” setting that makes every coding assistant appropriate for every client. The right decision depends on the data, client terms, jurisdiction, product configuration, and connected permissions. A repeatable approval and review process is more reliable than treating a product label as a blanket guarantee.

Only when the specific client information is permitted by the client agreement, your organization’s policy, and applicable law, and the configured service is suitable for that use. Publicly available tools should not be presumed appropriate for confidential or personal information.
Before a developer pastes code, submits a prompt, attaches a log, or enables an agent to inspect a repository, establish which data categories are allowed and which need explicit approval or are prohibited. Treat a snippet, issue description, test fixture, build log, and connected repository as potential disclosures: each can contain client identifiers, personal information, secrets, or details that reveal confidential operations.

The Office of the Australian Information Commissioner (OAIC) advises organizations, as best practice, not to enter personal information—particularly sensitive information—into publicly available generative AI tools. That is Australian regulator guidance, not a universal legal rule. The Office of the Privacy Commissioner of Canada similarly advises: “Where personal information (and, in particular, sensitive or confidential information) must be entered into a prompt, only do so where authorised.” Apply the guidance relevant to your clients and jurisdictions rather than assuming one regulator’s recommendation settles every case.
Set a data policy before enabling the tool
Classify information by the consequence and permission associated with sharing it. A practical policy might distinguish public material, synthetic examples, approved internal code, client-confidential code, personal information, credentials, and production data. These categories are not interchangeable: a client may permit an approved service to process source code but forbid personal records, or may prohibit external processing altogether.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsFor each category, record whether it is allowed, allowed only with approval or a specific configuration, or prohibited. Identify the person who can grant an exception and how to document it. Include the client’s contractual restrictions and the relevant jurisdiction’s requirements; do not assume that a developer’s access to a repository also authorizes sending its contents to another service.
| Information type | Default handling rule | Before an AI request |
|---|---|---|
| Public code or documentation | May be eligible under normal organizational rules. | Check for embedded credentials, private endpoints, or unrelated confidential context. |
| Synthetic examples | Prefer these when they can answer the coding question. | Confirm they do not reproduce real client records or distinctive confidential details. |
| Approved internal code | Allow only in a configuration authorized by the organization. | Check the applicable service plan, feature, and repository permissions. |
| Client-confidential code or logs | Do not submit by default. | Verify client and organizational authorization and the service’s applicable data handling. |
| Personal or sensitive information | Do not submit unless specifically authorized and permitted. | Prefer de-identified or synthetic material; assess whether the context could still identify someone. |
| Credentials and production data | Exclude from prompts and connected context. | Remove tokens, keys, passwords, customer records, and unnecessary production details before use. |
This table is a conservative workflow, not a substitute for interpreting a contract or law. Where the permitted use is unclear, pause and ask the designated privacy, security, legal, or client contact rather than letting an individual developer decide by assumption.
How should I authorize and minimize the data I submit?
Get the required permission first, then reduce the request to the smallest useful context. Authorization does not make unnecessary disclosure sensible, and sanitization does not by itself create permission to share information.

Confirm who has authority to approve the use
Review the client agreement, relevant internal policy, and applicable privacy obligations. Check whether the agreement restricts subcontractors, external processors, data location, retention, or use for product improvement. If a client has approved one service or workflow, do not extend that approval automatically to a different plan, model, feature, or agent.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Make the approval specific enough to be actionable: identify the data category, intended coding task, service configuration, permitted users, and any restrictions. Keep a record in the place your team uses for client approvals or project controls. This gives developers a clear basis for deciding whether a proposed prompt falls within scope.
Send only what the task needs
Start with the error message or a small relevant excerpt rather than an entire repository, issue history, or production log. Remove customer names, email addresses, account identifiers, access tokens, credentials, unrelated files, and confidential business details. If a tool can draw context from open files, repository indexes, connectors, or an agent’s broader workspace, account for that context too; what the developer types is not necessarily the only information involved.
Replace real records and client-specific values with synthetic or de-identified examples where possible. De-identification needs to be done before submission and assessed in context: replacing a name may not be enough if a unique combination of dates, locations, or operational details still points to a person or client. Canadian privacy guidance recommends anonymized or de-identified prompt information where possible; it does not establish that every transformation eliminates re-identification risk.
Use a prompt review habit suited to the task. Before sending, ask whether every file, log line, identifier, and detail is necessary; whether any value is a secret; and whether the remaining information is allowed for this service. If the answer is uncertain, simplify the example or stop and seek approval.

Does my coding assistant store or train on my prompts?
Those are separate questions, and the answer may change by subscription tier, model, feature, and hosting arrangement. Check the current terms and controls for the exact account and workflow rather than relying on a general statement about a product.
| Question to verify | What it tells you |
|---|---|
| Are prompts, completions, snippets, or attached context used for model training or product improvement? | Whether submitted material may contribute to improving a model or service. Check the relevant settings and any opt-out requirements. |
| Are interactions logged or retained, and for how long? | Whether information persists after the request and what deletion or retention commitments apply to each product surface. |
| Who can access the information? | Whether access may extend to administrators, provider personnel, subprocessors, or connected services, and under what circumstances. |
| Does behavior differ by model, feature, or hosting arrangement? | Whether an IDE completion, chat, command-line tool, extension, or agent follows the same data rules as another feature on the account. |
| Where is processing hosted, and what contractual commitments apply? | Whether the deployment and data-processing terms meet the client’s location, security, and contractual requirements. |
| Can the organization restrict sharing or disable features? | Which controls are available to narrow data use, connectors, extensions, or agent capabilities. |
GitHub’s documentation distinguishes Business and Enterprise customer data from individual-plan interaction data and notes that model-hosting arrangements can differ. GitHub also announced that, beginning April 24, 2026, interaction data from its Copilot Free, Pro, and Pro+ plans would be used to train and improve models unless users opted out; it said that change did not affect Business and Enterprise. Because this is a dated policy statement, check the current terms and settings that apply to the account before using it for client work.
Microsoft says Copilot Chat used with a work or school account provides enterprise data protection and that prompts and responses are not used to train foundation models. It also says prompts, triggered Bing queries, and responses are logged and may be searchable or auditable by an IT administrator. This example makes the key distinction clear: “not used for training” does not mean “not retained,” “not reviewed,” or “inaccessible to administrators.”
Evaluate the exact workflow, not just the product name. A web chat, IDE completion, command-line interface, extension, and autonomous agent may handle context differently. If documentation does not clearly answer a material question about retention, access, or third-party processing, treat it as unresolved and do not submit restricted client data until the service owner or provider clarifies it.

Who will have access to data in the AI system?
Map access from the developer’s device through the AI service and any connected systems. A prompt may be visible to more parties than the person who wrote it, depending on logging, administrator controls, subprocessors, connectors, and the permissions of the account.

Use least privilege for repositories, files, connectors, and agent tools: grant only the access needed for the task. Remove broad workspace access when a narrower repository or folder will do, and review whether extensions can read open files or whether an agent can inspect, modify, or transmit data beyond the immediate prompt. Keep shared accounts and permissions from exposing one client’s material to staff who are not authorized for that client.
Underlying access controls matter. Microsoft’s Microsoft 365 documentation describes Copilot surfaces as showing organizational data a user has permission to view. That illustrates why correct permissions are essential: an AI feature that respects existing access boundaries can still expose data if those boundaries are too broad or misconfigured. Review permissions before connecting a repository or organizational data source, not only after a prompt produces an unexpected result.
- Limit the assistant to the approved repository and working files.
- Review agent permissions, extensions, connectors, and cloud synchronization settings.
- Confirm that user accounts have only the client and repository access their roles require.
- Check whether administrators or provider personnel can search, audit, or otherwise access interactions.
- Include subprocessors and connected services in the data-flow review when applicable.
How can a team make this a repeatable workflow?
Turn the policy into a short sequence developers can follow before, during, and after an AI-assisted coding task. Document approved configurations and responsibilities so the decision does not depend on every developer interpreting vendor terms from scratch.
Recommended Free Tools
- Classify the material. Identify whether the prompt, code, logs, or connected context contains public, synthetic, internal, client-confidential, personal, credential, or production information.
- Check the approval. Confirm that the client, organization, and applicable rules permit this information to be processed for this purpose. Use the established approval route if the scope is unclear.
- Choose the approved service configuration. Verify the plan, model, feature, hosting, data terms, and settings for the actual account. Do not transfer an approval from another tier or interface without checking.
- Minimize and sanitize. Remove secrets, identifiers, customer records, and unrelated context. Substitute synthetic or de-identified examples when they can solve the task.
- Restrict connected access. Give the tool the narrowest repository, file, connector, and agent permissions it needs. Check that account permissions already reflect the client’s access boundaries.
- Submit and review. Keep the interaction within the approved scope. Review generated code and outputs under the team’s normal controls, and do not treat a plausible answer as proof that the assistant had appropriate context or permissions.
- Record and escalate. Follow the organization’s documentation and incident process if an exception, policy change, or accidental disclosure occurs.
What the written instructions should cover
Keep the policy accessible where developers work. It should state allowed and prohibited data categories, approved plans and configurations, who may authorize exceptions, required sanitization, retention expectations, review responsibilities, and how to report an incident. Make clear that a different feature, model, or account may require a fresh check.
Train developers to recognize hidden context: a log can carry personal data, an open editor may expose more code than a selected snippet, and a connected agent may have repository access beyond the prompt. Audit adherence periodically, especially after service settings, models, client terms, or product policies change. The UK government’s AI cybersecurity code recommends access controls, documentation of retention and failure modes, and accessible information about how data is used, accessed, and stored; apply it as UK guidance rather than a universal legal requirement.
Best Value
How should I compare AI coding services for client work?
Compare the specific plan and workflow against the same set of privacy, security, and permission questions. A feature that suits public-code experiments may not be suitable for a client repository, and a business-tier statement cannot establish how an individual account or a separate agent behaves.
- Training and product improvement: Check whether interaction data is used and how any opt-out works.
- Logging, retention, and deletion: Establish what is stored, where, for how long, and which product surfaces are covered.
- Access: Identify administrator, provider, support, and subprocessor access, including audit or review rights.
- Third-party data flows: Review connected services, extensions, connectors, and model-hosting arrangements.
- Location and contractual terms: Check hosting and data-processing commitments against client requirements and relevant jurisdiction.
- Permission integration: Determine whether the tool respects repository and organizational access controls, and verify those controls are correctly configured.
- Feature controls: See whether sharing, connectors, agent access, or other data-related features can be disabled or limited.
Record the decision for the actual use case, including the client data types, configuration, and approval. Revisit it when the provider changes terms or when your team changes plan, model, hosting, or feature. Vendor policies are volatile; written approval of one setup is not a permanent verdict on every future version or workflow.
Frequently Asked Questions
What should I do if I accidentally pasted a client secret into an AI tool?
Treat the secret as exposed: notify the appropriate security or incident contact and follow the client and organization’s incident procedure. Rotate or revoke the credential through its normal owner-controlled process; deleting a chat does not establish that every retained copy has been removed.
Can I make a code sample anonymous just by removing names?
Not necessarily. Unique combinations of dates, locations, identifiers, or business details can still make a person or client recognizable, so evaluate the remaining context rather than relying on name removal alone.
Does client approval have to be in writing?
The applicable contract, law, or organizational policy determines what form of approval is required. Keeping a written record is a practical way to show the scope of permission and prevent an approval for one workflow from being mistaken for permission to use another.
Do AI coding tools only receive the text I type?
Not necessarily: product features may use attached snippets, open files, repository context, connectors, or an agent’s permitted workspace. Check how the specific IDE, extension, chat, or agent gathers context before connecting client materials.
