The most reliable way to organize a large movie and music collection is to separate movie and music roots, give every movie its own folder, store each album under its artist, and make filenames agree with embedded metadata. Add stable year or provider IDs when a title is ambiguous, use one predictable artwork convention, and preserve important manual edits with local NFO files. This structure works well in both Plex and Jellyfin because it makes matching deterministic and keeps posters, subtitles, lyrics, and other sidecar files attached to the correct item.

Do the work in stages: design the folders, normalize names and tags, add verified artwork, test a small batch, then import the rest. A consistent library takes longer to build once but greatly reduces mismatches and rescans later.

What folder structure works best for a large library?

Use separate top-level roots for each media type. At minimum, create /Media/Movies and /Media/Music; do not mix films, television episodes, and music in one path. Plex warns that mixed content can be matched incorrectly, and separate library paths give both Plex and Jellyfin a clearer signal about what each file is.

Media/
├── Movies/
└── Music/

Point your server’s movie library only at Movies and its music library only at Music. If you also keep television, concerts, audiobooks, or home videos, give each category its own root rather than relying on filename clues to distinguish them.

Why separate roots matter

  • Movie scanners can apply film-specific matching without seeing audio albums.
  • Music scanners can use artist, album, track, and disc tags without competing with video names.
  • Backups, permissions, migrations, and rescans can be performed by media type.
  • Local posters, subtitles, and NFO files stay beside the title they describe.

How should I name movie folders and files?

Give each movie one folder, and normally keep the video file inside that folder. Include the release year when it is known; add a provider ID when two titles could otherwise match the wrong film.

Media/
└── Movies/
    ├── Arrival (2016) [tmdbid-329865]/
    │ ├── Arrival (2016) [tmdbid-329865].mkv
    │ ├── poster.jpg
    │ └── en.srt
    └── Blade Runner (1982)/
        ├── Blade Runner (1982).mkv
        └── backdrop.jpg

Jellyfin documents a pattern like Movies/Movie Name (year) [metadata provider id]/Movie Name (year).mkv. The year and ID are optional, but they improve identification. Plex also recommends individual movie folders, particularly when posters, subtitles, or other local assets are present.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

When should a provider ID be added?

Add one when the title is common, has multiple adaptations, or is likely to collide with another release. Jellyfin documents provider IDs in movie folder names; Plex documents IMDb and TMDb tags. Use the identifier format your server recognizes and keep the same ID in the folder and main video filename.

Where do subtitles and movie artwork go?

Put local assets inside the movie’s folder. A language-coded subtitle such as en.srt, a poster named poster.jpg, a backdrop named backdrop.jpg, and an NFO sidecar all remain unambiguously associated with that film. Avoid a shared artwork folder containing similarly named files; scanners cannot reliably infer which title each image belongs to.

How should I organize music files?

Use an artist folder, then one folder per album, then consistently numbered tracks. Plex recommends an artist directory with each album as a separate subdirectory. Jellyfin likewise treats one album folder as the basic unit and relies primarily on embedded music metadata.

Media/
└── Music/
    └── Radiohead/
        └── OK Computer (1997)/
            ├── 01 - Airbag.flac
            ├── 02 - Paranoid Android.flac
            └── cover.jpg

Keep the album year in the folder when it helps distinguish editions, but make the embedded album, artist, track, and year tags authoritative. A filename can be corrected later; inconsistent tags can split one album into several entries even when the path looks perfect.

Which music tags should be complete?

  • Track title: the exact title for that release.
  • Track number: include leading zeroes in filenames for predictable sorting, while retaining a numeric tag.
  • Disc number and total discs: required for multi-disc releases.
  • Album: the release title, not a streaming-service playlist name.
  • Album artist: the consistent artist credited for the release.
  • Artist: the performer on the individual track when it differs from the album artist.
  • Release year: use the year for the edition you actually own.

Jellyfin’s documentation states that embedded metadata is the primary identification source for music. Therefore, correct tags before repeatedly rescanning a badly tagged folder.

How do I handle multi-disc albums, box sets, and compilations?

Keep all discs of one release under the same album folder and set the disc number and total-discs tags on every track. Optional disc subfolders are acceptable, but embedded tags take priority, so do not depend on folder names alone.

Music/Artist/Album (Year)/
├── Disc 1/
│ ├── 01 - Opening.flac
│ └── 02 - Theme.flac
└── Disc 2/
    ├── 01 - Finale.flac
    └── 02 - Encore.flac

If your player sorts by filenames, prefix tracks with both disc and track numbers, such as 1-01 and 2-01, while keeping the formal disc and track fields in the tags. For a compilation credited to many performers, use a stable album-artist value such as the release’s credited compilation artist and retain each performer’s name in the track-artist field. This prevents every song from appearing as a separate album while preserving individual credits.

How should I standardize metadata before importing?

Use MusicBrainz Picard as a controlled tagging pass rather than trying to repair files after they are already in the server. Its documented workflow has four stages: retrieve release information, match files to tracks, select cover art, and save the updated files. Picard can also rename files and move them into a directory you choose when saving.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Work on a copy or a clearly isolated intake folder. Keep the untouched source files until you have checked the results.
  2. Retrieve release information. Search for the exact edition, paying attention to country, label, barcode, and disc count.
  3. Match files to tracks. Resolve unmatched or ambiguous tracks manually instead of accepting a near match.
  4. Select artwork. Choose the image that belongs to that exact release and reject unrelated thumbnails.
  5. Set the destination pattern. Configure the artist/album/track layout you intend to keep for the long term.
  6. Save and inspect. Verify the resulting paths, tags, disc numbers, and artwork before moving the files into the live library.

Run a small test batch first. Inspect several ordinary albums, a multi-disc release, a compilation, and an album with guest artists. The documentation establishes Picard’s stages and rename/move capabilities; the test batch is a practical safeguard against applying an unsuitable pattern to thousands of files.

Which artwork convention should I use?

Choose one predictable convention and apply it everywhere. A robust approach is to embed front cover art in music tags and also save a sidecar cover.jpg in each album folder. For movies, keep poster.jpg and, when desired, backdrop.jpg beside the video. This gives players that read either embedded or external images a usable source.

Media Recommended local files Why
Movie poster.jpg, optional backdrop.jpg The image stays attached to one movie folder and can be replaced without editing the video.
Music album Embedded front art plus cover.jpg Embedded art travels with the audio file; the sidecar supports players that look for external images.
Artist An artist image using the image names your server accepts Useful for artist pages when supported by the media server.

Jellyfin accepts external music images including cover, folder, poster, backdrop, and fanart, and it can also use embedded images. Since clients differ in what they read, consistency is more valuable than collecting many duplicate image names.

How do I source accurate cover art?

For physical releases, MusicBrainz recommends scanning or photographing the package to create a clear, legible image. For digital releases, copy the artwork from the distribution platform and confirm that it matches the exact edition, not merely an album with the same title. Check the disc count, catalog or edition details, and whether the image belongs to a deluxe or remastered release.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When accuracy matters, avoid replacing official artwork with unrelated fan art. If you deliberately choose a custom image, save that choice as a local asset so a future metadata refresh does not silently substitute a different picture.

When should I use NFO sidecars?

Use a local NFO file when you need a manual title, plot, credit, release detail, or artwork choice to survive future scans. Jellyfin supports local NFO files for movies, artists, albums, and other media; its documentation says local metadata is always read and takes priority over remote providers.

Store the NFO beside the item it describes. For a movie, that means inside the movie folder. For music, keep the file at the level your server expects for the artist or album. Treat NFO files as curated metadata, not as a substitute for correct filenames and embedded music tags: a clean path still makes imports and migrations easier.

What is the difference between organizing for Plex and Jellyfin?

The same disciplined folder design works for both servers, but their documented matching controls differ. Separate roots and one movie per folder are useful in either system; Jellyfin emphasizes provider IDs and embedded music tags, while Plex documents IMDb and TMDb identifiers and its artist/album hierarchy.

Decision Plex Jellyfin
Movie separation Use separate movie folders and avoid mixing movie and television content in one library path. Use one folder per movie; the documented pattern can include a year and provider ID.
Identifiers IMDb and TMDb ID tags are documented options. Provider IDs in movie folder names are documented options.
Music hierarchy Artist directory, then one album subdirectory per album. One album per folder, with embedded metadata as the primary identification source.
Local metadata Local files can supplement matching and artwork. Local NFO metadata takes priority over remote provider data.
Artwork Keep local assets beside the movie or album when you want deterministic files. External image names such as cover, folder, poster, backdrop, and fanart are supported, along with embedded images.
Scanning Plex notes that individual movie folders can significantly increase scanning speed. Consistent paths, IDs, tags, and local files reduce ambiguous matches and repeated corrections.

If you use both servers, build one canonical library rather than maintaining two differently named copies. Keep the least ambiguous folder and tag scheme, then configure each server to read the same roots.

What is a safe import workflow for thousands of files?

Import in controlled phases so one naming mistake cannot spread through the entire collection.

  1. Inventory the source. Group files into movies, albums, multi-disc releases, compilations, and items that need manual identification.
  2. Create the roots. Make the separate movie and music directories before copying content.
  3. Normalize movies. Create one folder per title, add years or provider IDs where needed, and move local posters, backdrops, subtitles, and NFO files into that folder.
  4. Normalize music. Use the artist/album hierarchy and repair embedded tags with Picard or another tag editor.
  5. Apply artwork. Embed verified front art where appropriate and save the selected sidecar images using your single convention.
  6. Test a small batch. Scan only that batch, then check titles, years, album grouping, disc order, posters, subtitles, and search results.
  7. Correct at the source. Fix the path, tag, ID, or sidecar file that caused a mismatch; do not repeatedly override the same mistake in the server interface.
  8. Import the remaining batches. Keep batches small enough that you can identify which change caused a problem.

How do I troubleshoot wrong matches and missing artwork?

A movie is matched to the wrong title

Confirm that the movie has its own folder, add the release year, and use the appropriate provider ID. Remove stray video files from that folder and ensure the filename agrees with the folder name. Rescan after correcting the filesystem rather than relying only on a manual match.

One album appears as several albums

Compare the embedded album, album-artist, year, disc, and release tags. Differences in album-artist spelling or release naming commonly divide tracks that should be grouped together. Correct the tags, keep all discs under one album folder, and rescan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Tracks from two editions are mixed together

Separate editions into distinct album folders and verify that the release year and edition-specific tags are correct. Do not combine a standard release and a deluxe release merely because their core titles match.

The poster or cover is missing

Check the exact filename and location first. For movies, the poster should be beside the video in its movie folder; for music, verify that the player supports the chosen embedded or external image name. If a remote image keeps replacing your preferred art, store the preferred image locally and, for Jellyfin, use a local NFO when additional metadata control is required.

A multi-disc album plays in the wrong order

Inspect the disc number, total-discs, and track-number tags on every file. If a client sorts lexically, use zero-padded filenames or a disc-track prefix while preserving the formal tags.

How do I maintain the collection as it grows?

Make the naming rules part of your intake routine. Every new movie should arrive with a folder, year or ID when needed, and local assets beside the video. Every new album should arrive with complete embedded tags, a verified edition, disc information when applicable, and the same artwork convention as the existing library.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Keep a written naming pattern for movies and music.
  • Do not rename an established path casually; servers and playlists may depend on it.
  • Retain NFO files and local artwork when migrating between machines.
  • Review ambiguous titles before scanning rather than correcting them after a full-library import.
  • Periodically sample older albums and movies to confirm that artwork and sidecars still sit beside the intended media.

The goal is not a visually tidy directory alone. It is a stable relationship between path, filename, embedded metadata, artwork, and server library type. When those signals agree, both matching and future maintenance become predictable.

Frequently Asked Questions

Should I keep digital and physical editions of the same album together?

Keep each distinct edition in its own album folder when the track list, mastering, artwork, or release details differ. This prevents deluxe and standard releases from being merged and lets each folder retain its correct cover and tags.

Can I rename files after Plex or Jellyfin has already scanned them?

You can, but make filesystem changes deliberately and rescan the affected library afterward. Renaming only part of a movie folder or changing album tags without moving the corresponding files can create duplicates or orphaned local artwork.

What should I do with music that has no reliable online match?

Keep the files in the intended artist and album folders, then enter consistent album, artist, track, disc, and year tags manually. Add a local cover image and, if you use Jellyfin, an NFO file for details that remote providers cannot supply.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I preserve custom metadata during a server migration?

Copy the media folders together with their local artwork, subtitles, NFO files, and embedded tags. Recreating only the video or audio files forces the new server to guess metadata again and can discard deliberate edits.
