You can move files between cloud providers without losing data if you treat the job as a controlled migration rather than a drag-and-drop copy. Record the source inventory, make an independent backup, pause changes during each transfer window, test a representative 3–5% pilot, copy in logged batches, run a final change pass, and verify content and metadata before closing the old account. Keep the source and backup available through a defined rollback period. This process also exposes losses that ordinary copying hides, such as missing version history, broken links, unsupported native documents, lost permissions, long-path exclusions, and files that exceed a destination limit.

What does a safe cloud-to-cloud migration involve?

A safe migration has four separate goals: every intended file arrives, each file’s contents remain intact, important metadata and collaboration behavior survive, and you can recover if verification finds a problem. “The file copied” is only one test. Ownership, sharing permissions, comments, links, version history, shortcuts, encryption, and provider-native formats may require different handling.

Use this sequence:

  1. Inventory the source and define what must be preserved.
  2. Create an independent backup and enable recovery controls at the destination.
  3. Freeze edits during each copy window.
  4. Pilot with a representative 3–5% sample.
  5. Transfer controlled batches and keep an audit log.
  6. Run a final pass for changes made during the migration.
  7. Verify counts, sizes, paths, checksums, versions, and permissions.
  8. Open important files and test links with real user accounts.
  9. Retain the source and backup until the rollback period expires.

Google Cloud’s Architecture Center recommends enabling destination versioning and backup, and validating data before removing the source. Its 3–5% figure is a planning example for performance testing, not a universal quota or legal requirement.

What can be lost even when every file appears to copy?

Cloud providers represent more than a collection of bytes. A migration tool can report success while changing the user experience or omitting objects that have no destination equivalent.

Metadata and collaboration state

  • Ownership and permissions: User IDs, groups, inherited permissions, and external-share rules may not map between providers.
  • Version history: A transfer may bring only the current revision, leaving earlier versions behind.
  • Links and comments: Existing URLs, annotations, activity history, and link expiration settings can break or be recreated with different addresses.
  • Shortcuts and aliases: A shortcut can become a plain file, an unusable pointer, or an excluded object.
  • Encryption and labels: Client-side encryption, retention labels, legal holds, and classification tags may need a separate export and recreation process.

Provider-native objects

Native documents are often not ordinary files. Unsupported content inside a file may not migrate; Google warns that deleting the original afterward can make that content unrecoverable. Forms, sites, maps, comments, scripts, and collaborative documents should therefore be inventoried as application objects, not assumed to be covered by a binary file copy.

File and path exclusions

Destination import paths can impose limits. Microsoft’s current OneDrive import documentation, for example, lists exclusions or limits for files larger than 15 GB, zero-byte files, long paths, and provider-specific objects such as Google Forms, Sites, Maps, and some shortcuts. Treat that 15 GB value as specific to the documented import path and verify current limits before starting a new job.

How do I inventory the source before moving anything?

Build a snapshot that another person can audit. Export the provider’s file list where possible, then supplement it with administrative and sharing reports.

Record content and structure

  • Full source path, destination path convention, file name, extension, size, and modification time.
  • File count by folder, type, owner, and shared drive or workspace.
  • Zero-byte files, very large files, deeply nested paths, unusual characters, and encrypted archives.
  • Folders that contain shortcuts, aliases, links, or application-specific objects.

Record governance and collaboration

  • Owner, members, groups, inherited permissions, external guests, and link-sharing settings.
  • Version count or revision availability, comments, labels, retention rules, legal holds, and encryption status.
  • Business-critical applications that read or write the files, including databases, media libraries, and synchronization clients.
  • Data that must not move, data subject to a retention period, and records that require stakeholder approval.

Give every item a stable identifier in the inventory. A path alone is unreliable because folders can be renamed during a long migration. Capture an export date and the tool or report used so a later comparison distinguishes a real change from a reporting difference.

How should I make an independent backup first?

Keep a copy that does not depend on either cloud account. For critical personal or small-business data, a portable external hard drive backup can provide a practical rollback copy; choose enough capacity for the source plus growth, enable device encryption where available, and store it disconnected in a physically separate, secure location.

Make the backup useful for recovery

  • Copy the original files without converting formats unless you also retain the originals.
  • Preserve the inventory beside the backup so you know what should be present.
  • Record checksums for high-value or regulated files if your backup software supports them.
  • Test opening a sample directly from the backup, including an archive, a photo, a video, and a business document.
  • Keep at least one backup copy offline or otherwise inaccessible to routine account credentials.

At the destination, turn on versioning and backup before the first bulk copy. Google Cloud’s guidance states: “Enable versioning and backup on your destination to limit the damage of accidental deletes.” These controls protect against an operator mistake after transfer; they do not replace an independent source backup.

Should users keep editing files during the migration?

Not during a copy window for the folders being transferred. Google advises avoiding modifications to documents, folders, and shared drives during migration, and Dropbox recommends batching work and avoiding edits to folders that are still syncing.

Choose a freeze policy

  • Announce a read-only period for each batch, with a named owner who can release it.
  • Pause scheduled exports, automated jobs, and synchronization clients that could rewrite files.
  • Ask users to close documents and stop renaming or moving folders in the active batch.
  • Record the freeze start and end times in the migration log.

A freeze is not always practical for a busy organization. In that case, use incremental synchronization or a final delta pass, define conflict rules in advance, and do not decommission the source until the last pass has been verified.

How do I choose a migration method?

Select a method by the risks you must control, not by transfer speed alone. Compare the available tool or service against these capabilities before committing.

Decision area Questions to ask Why it matters
Integrity controls Are checksums supported? Are mismatches rejected, reported, and retried? Is there an audit log? A successful transfer status does not prove identical content.
Metadata fidelity Can it preserve owners, permissions, timestamps, versions, comments, links, and labels? Missing metadata can create security or compliance failures.
Compatibility What happens to native documents, shortcuts, shared drives, long paths, large files, and zero-byte files? Unsupported objects are a common source of silent loss.
Change handling Does it support a freeze, incremental sync, a final delta pass, and explicit conflict behavior? Active data changes after the first copy.
Scale and governance Can it handle the file count, account ownership, retention rules, legal holds, and required approvals? A technically complete copy may still violate policy.
Recovery Are destination versions, independent backups, rollback duration, and restore tests available? Recovery planning limits the impact of a bad cutover.

For a small, stable tree, a provider export/import or a desktop sync-and-copy workflow may be sufficient if you can preserve metadata separately. Large or regulated environments generally need a migration service with reporting, retries, incremental passes, and administrative controls; confirm current program availability and contractual terms before purchase.

How do I run a representative pilot?

Start with a controlled sample before moving the full estate. Google Cloud’s large-dataset guidance uses performance testing on a representative 3–5% sample; use that range as a planning example and adjust it to your risk, data diversity, and transfer window.

Build the sample

  • Include small and large files, deep paths, unusual names, archives, photos, videos, and application data.
  • Include each owner type, shared folder, permission pattern, and external-sharing case.
  • Include provider-native documents, shortcuts, zero-byte files, and files near the destination’s size limit.
  • Include a known-good checksum set for the most important sample files.

Measure more than throughput

Log elapsed time, files per minute, bytes per minute, retry counts, errors, metadata changes, and user-visible behavior. Open representative files at the destination and test a shared link with a non-owner account. A pilot that is fast but loses permissions is a failed pilot.

Use the results to size batches, schedule freezes, identify exclusions, and decide which objects need manual export or recreation. Do not scale up while pilot errors remain unexplained.

What is the safest way to transfer files in batches?

Move a controlled group, compare it with the source inventory, resolve errors, and only then start the next group. Dropbox’s published guidance recommends moving files in batches; batching also makes rollback and investigation manageable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Prepare each batch

  1. Assign a batch ID and list its source paths, owners, expected file count, and expected byte total.
  2. Freeze changes for that batch and record the time.
  3. Start the transfer with retries enabled and preserve the tool’s detailed report.
  4. Write every failure to a migration log rather than silently skipping it.
  5. Compare the destination results before releasing the freeze.

Use a migration log

At minimum, maintain columns for batch ID, source path, destination path, source identifier, status, error text, retry number, checksum result, metadata result, tester, and verification date. Keep the log immutable after sign-off or preserve an exported copy so later corrections do not erase the history.

Handle failures deliberately

  • Transient network or quota error: Retry after confirming the destination has capacity and the account remains authorized.
  • Unsupported object: Move it to an exception queue, export it through the source application, or document that it will be recreated manually.
  • Name or path rejection: Apply a documented rename rule and map the old path to the new one.
  • Permission error: Have an administrator grant temporary read access, then re-run and record the owner.
  • Checksum mismatch: Reject the destination copy, retry, and investigate the source or transport rather than accepting the file.

How do I perform the final change pass?

The first pass is a snapshot, not the end state. After the initial batches finish, compare the source’s current modification times, sizes, and object list with the migration snapshot. Transfer files created or changed during the migration window, and repeat the comparison until the agreed freeze or delta window is clean.

For collaborative data, ask owners to confirm that the final destination contains their latest work. Keep a record of the final source timestamp and the corresponding destination verification time. If conflicts exist, preserve both versions under clearly labeled paths instead of overwriting one automatically.

How can I verify that every file copied correctly?

Verification should combine independent tests. No single count or checksum catches every metadata and compatibility problem.

  • What's Included: Portable external hard drive, 19-inch(48.26cm) USB 3.0 hard drive cable, user's manual, 3-Year manufacturer warranty with free technical support service.

Compare completeness

  • Compare total file counts and total byte sizes by batch, folder, owner, and file type.
  • Compare normalized source and destination paths, accounting for any documented rename rule.
  • Check that every source identifier has a destination record or an approved exception.
  • Compare versions, owners, permissions, comments, links, labels, and timestamps where the destination supports them.

Compare content integrity

Where available, calculate checksums on both sides. Google Cloud Storage identifies CRC32C as the recommended validation method for integrity checks and also documents MD5 validation. A mismatch should trigger rejection or retry, not a manual assumption that the files are “close enough.” For file types that change during provider export, record the conversion and verify the rendered result as well as the source checksum.

Understand scale-related risk

Google Cloud’s 2024 Architecture Center notes that even a 0.0001% latent source error rate can translate into thousands of files and gigabytes of loss at petabyte and billion-file scale. That illustration is not a forecast for an ordinary personal migration; it explains why sampling, logs, and independent validation matter as volume grows.

Which files and user experiences require manual testing?

Open representative files rather than trusting metadata alone. Test the formats and workflows that would cause the greatest damage if broken.

  • Documents and spreadsheets: Check formulas, embedded objects, comments, revision history, and macros or scripts where applicable.
  • Photos and videos: Confirm playback, original resolution, timestamps, captions, and sidecar metadata.
  • Archives and encrypted files: Test extraction with the required password and confirm that the archive is not truncated.
  • Application data: Run a test import or open operation in the application that consumes it; a file can be byte-identical yet unusable if its path or permissions changed.
  • Shared links: Test as an owner, an internal member, an external guest, and an unauthenticated visitor when those audiences are intended.
  • Search and synchronization: Confirm indexing, offline availability, selective-sync rules, and mobile access for a sample of users.

Ask business owners to sign off on critical folders. Their confirmation should name the tested paths and date, not merely state that the migration “looks good.”

When is it safe to delete or cancel the old provider?

Only after technical verification, stakeholder sign-off, and an agreed retention window. Google Cloud explicitly advises validating data before removing source data.

Use a decommission checklist

  • All inventory rows are verified or have an approved exception and owner.
  • Final delta transfer is complete and the source has remained unchanged for the freeze period.
  • Destination versioning, backup, access controls, and retention settings are active.
  • Critical files, links, permissions, and application workflows passed testing.
  • The independent backup can be read and is stored safely.
  • Legal holds, regulatory retention, contracts, and e-discovery requirements are cleared.
  • Users know the new location and support contact, and the rollback decision date is documented.

During the rollback period, keep the old account in a restricted, read-only state if the provider permits it. Recheck a small sample after normal use begins; accidental deletes and permission mistakes often appear only after users work in the new environment.

What are the most common migration failures and fixes?

Symptom Likely cause Fix
Destination count is lower Unsupported objects, zero-byte exclusions, path limits, or skipped errors Reconcile by source identifier, inspect the exception log, and export excluded objects through their native application.
Files open but formatting differs Provider conversion or unsupported embedded content Retain the original, compare rendered output, and preserve a native export alongside a standard format.
Users lose access Owner and group IDs did not map Recreate groups or permissions deliberately and test with each intended audience.
Old links return errors Destination generated new URLs or changed sharing policy Publish replacement links, update applications and documentation, and retain a redirect or link map where possible.
Recent work is missing Edits occurred after the initial pass Run the final delta pass from a fresh source inventory; do not overwrite conflicts without an owner’s decision.
Checksums mismatch Interrupted transfer, source read error, or transformation Reject and retry, then investigate the source and transfer logs before sign-off.

What should the final migration record contain?

Keep a concise package that allows an auditor or replacement administrator to reconstruct the decision. Include the signed inventory snapshot, backup location and test result, pilot report, batch logs, exception register, final-delta report, checksum or integrity results, permission and link tests, stakeholder approvals, retention dates, and the decommission decision. Store it under the organization’s normal retention and access policy, separate from the migrated user files.

The migration is complete only when the destination is usable, the exceptions are understood, and recovery remains possible for the period you promised. Deleting the source before those conditions are met turns an avoidable verification problem into permanent data loss.

Frequently Asked Questions

Can I migrate files while employees continue working?

Yes, but use incremental synchronization or a documented final delta pass rather than relying on one copy. Define conflict handling, identify a last-write cutoff, and obtain owner approval for files changed on both sides.

How do I preserve shared links after changing providers?

Assume that provider-generated URLs will change unless the destination explicitly supports link aliases. Export a link inventory, map each old URL to its replacement, update applications and documentation, and test access with every intended audience.

How long should I keep the old cloud account after cutover?

Set the period from your recovery needs, legal obligations, and the time users need to discover missing history or permissions. Keep it restricted and read-only when possible, and write the exact deletion date and rollback authority into the migration record.

Do checksums work for provider-native documents?

They verify the exported bytes, not necessarily the original collaborative experience. Pair checksum results with application-level tests for comments, formulas, embedded content, revision history, and permissions, and retain the native export when conversion occurred.
