To make AI-generated text more inclusive, review it as an editor—not as a spell-check exercise. Verify its facts and omissions, make the meaning easy to follow, check how it describes people and communities, and assess the accessibility of the page or document as well as its wording. A checklist can catch common problems, but it cannot guarantee that a text is inclusive or accessible; the final decision belongs to people who understand the subject and audience.

What does an inclusive review of AI text need to cover?

Inclusivity is not a single tone, vocabulary list, or reading score. It means checking whether the draft gives its intended readers accurate, usable information without needless barriers, assumptions, or disrespectful representation. That review applies to the words, the information included, and the way the content is structured and delivered.

AI can produce polished prose that is still inaccurate, incomplete, hard to navigate, or insensitive to the people it describes. The NYC Digital Design System warns that “Generative AI often writes misleading or inaccurate content” and calls for human review of accuracy, missing information, plain language, reading level, and style rules in its government-content context. That warning is a useful reason to edit carefully, not a universal policy for every organization. NYC web content style guide

Use the checklist below on the finished draft prior to release. If the content is sensitive, technical, or about a specific community, involve a reviewer with relevant expertise rather than asking a general-purpose model to settle questions of meaning or representation.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

How do I confirm the draft serves its audience and follows policy?

Start with the reader’s task and the rules governing the publication. A text can be factually correct yet exclude readers if it does not answer their question, leaves out a necessary next step, or uses an AI tool in a way the organization does not permit.

Check purpose and audience

  • Can the intended reader tell who the content is for and what they should do?
  • Does the draft answer the actual question, rather than a nearby or easier question?
  • Does it include the context, steps, exceptions, or definitions needed to act?
  • Are examples and assumptions appropriate for the people who will use the content?

Check the rules for AI use

Consult the policy that applies to the publication. It may set requirements for approved tools, sensitive information, human review, or disclosure of AI assistance. Do not treat another organization’s policy as your own: the NYC guide describes its own government context, not a universal rule for publishers. If you cannot establish whether a particular use is permitted, resolve that question through your organization’s process prior to release.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Record the editorial brief

Write down the intended audience, purpose, reading environment, source material, and required action before editing. This short brief gives reviewers a reference point when the model has wandered. It also makes disagreements easier to resolve: a term or example can be judged against the stated audience and task instead of personal preference alone.

How do I check AI-written text for accuracy and missing information?

Verify important claims against trustworthy source material and compare the draft with the underlying information. Fluent phrasing is not evidence that a name, date, number, link, instruction, or conclusion is correct.

Verify claims, not just grammar

  • Check names, dates, figures, quotations, links, and instructions against primary sources where available.
  • Separate statements supported by sources from interpretations, assumptions, and recommendations.
  • Look for details the model may have invented, including examples presented as real events or exceptions stated without support.
  • Check whether confident wording makes uncertain or conditional information sound settled.

Look for what the draft leaves out

Compare the text with the material readers need to understand the issue or take the next step. Ask whether it omits a limitation, exception, relevant perspective, or prerequisite. A human editor should make this comparison; the NYC guidance specifically includes missing information among the things to review. NYC web content style guide

Do not let a polished rewrite erase a qualification that changes the meaning. If a claim cannot be verified, revise it to reflect what is established or remove it. The publisher remains responsible for the final wording.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Trace the high-risk parts first

Prioritize claims that could change a reader’s decision or expose someone to harm: eligibility rules, deadlines, prices, safety instructions, legal or medical descriptions, and statements about a group. Check every link destination, not just the visible anchor text. Confirm that an instruction still works for the current process and that an exception has not been generalized into a rule. If the draft summarizes a long source, compare its headings and conclusions with the original so an important minority view or limitation is not silently dropped.

How can I make the text clearer without oversimplifying it?

Put the main point where readers can find it, then make the page easy to scan and understand. Plain language is part of accessibility: clear wording and structure help readers locate information and follow it, while unnecessary simplification can remove detail people need.

Improve the structure

  • Give the page a descriptive title that tells readers what it covers.
  • Use meaningful headings that describe the section’s subject or answer a reader’s question.
  • Keep paragraphs focused on one main idea.
  • Use numbered steps for a sequence and bullets for related items or choices.
  • Place the main point early instead of making readers search through background first.

Edit sentence by sentence

  • Prefer common words when they express the idea accurately.
  • Break up sentences that carry several distinct points.
  • Define technical terms when readers need them, and expand an acronym at first mention.
  • Keep necessary nuance, conditions, and warnings rather than shortening them away.

The W3C’s WAI guidance says, “Use simple language and formatting, as appropriate for the context.” Context matters: a specialist audience may need technical terms, while other readers may need those terms explained. Writing for Web Accessibility – Tips for Getting Started

Numerical targets can help editors notice dense prose, but they are not universal accessibility standards. The Province of British Columbia’s plain-language checklist recommends sentences ideally no longer than 15–20 words and a Grade 8 reading level or lower. Treat these as that government’s editorial targets, not as pass/fail requirements for every audience, language, or subject. Plain language checklist

Test the page as a reader would

Read the heading list alone: does it tell a coherent story? Scan only the first sentence of each paragraph: do the key points still appear? Then read the instructions aloud or have someone unfamiliar with the subject try to follow them. Note where a reader must infer a missing step, choose between unexplained options, or hold too many conditions in memory. These checks expose problems that a readability score cannot, including poor ordering and ambiguous references such as “this,” “they,” or “the above.”

How do I review representation and inclusive language?

Check whether the draft describes people accurately and respectfully, and whether its labels are necessary to the reader’s understanding. There is no universally preferred term for every person or community, so use known individual preferences and relevant guidance rather than assuming one wording works everywhere.

Check how people are described

  • Remove stereotypes, unnecessary demographic labels, and wording that reduces a person to a condition or identity.
  • Prefer neutral, factual descriptions over language that implies helplessness or victimhood.
  • Check whether the text uses labels consistently and only when they serve a clear purpose.
  • Ask who appears in the examples, who is missing, and whether groups are treated by the same standards.

For example, UK Government disability-language guidance advises against expressions such as “suffers from” or “confined to a wheelchair,” which can imply victimhood or discomfort. It also notes that language changes over time. Use such guidance as a considered reference, not a substitute for a person’s stated preference or relevant community-specific advice. Inclusive language: words to use and avoid when writing about disability

Use informed review for context-sensitive wording

When a draft concerns disability, identity, or another community-specific subject, ask whether the wording reflects how the people concerned describe themselves. The Australian Government Style Manual explains that its examples drew on guidance developed by relevant community subject-matter experts. That is a useful model for review: seek relevant expertise where language choices carry particular weight, rather than treating an AI-generated phrase as neutral by default. Make it accessible and inclusive

Check examples, images, and agency

Representation includes more than labels. Look at who is shown as the expert, decision-maker, customer, caregiver, or person needing help. Avoid making one group appear only in stories of hardship or another group only as the default user. Check whether examples imply that everyone has the same family structure, income, language, technology, mobility, or cultural background. Do not add demographic detail merely to make an example sound realistic; include it when it changes the meaning or helps the intended reader recognize a relevant situation.

Handle disagreement carefully

If reviewers prefer different terms, identify the basis for each view. A person’s stated preference, a community convention, a legal definition, and an organization’s house style are not interchangeable. Consult the most relevant guidance, document why the final term was chosen, and tell future editors where that decision is recorded. This prevents an intentionally chosen term from being replaced by an AI synonym during a later rewrite.

How do I check accessibility beyond the wording?

Review the page or document’s structure and non-text content as well as its prose. Readers may need more than a clear sentence: they also need headings and lists that convey organization, and text alternatives when images, charts, audio, or video carry information.

Inspect the content format

  • Use actual heading and list structure rather than relying on visual styling alone.
  • Check that informative images, charts, audio, and video have appropriate text alternatives.
  • Do not use color as the only way to communicate a category, warning, or status.
  • Check that the structure makes the relationship between sections and steps understandable.

W3C’s WCAG 1.0, published in 1999, describes foundational accessibility principles, but it is historical guidance—not a current conformance baseline. For a conformance decision, consult the current standard and the requirements that apply to your organization. The UK Government’s inclusive communication page reports an update on 17 June 2026 that includes WCAG 2.2. WCAG 3.0 is a developing specification, so draft material should not be presented as settled requirements. Review alternatives for meaning, not decoration

An image that carries a number, trend, location, or instruction needs an alternative that conveys that information. A decorative image may need no equivalent description, depending on the format and applicable standard. For a chart, a short label alone may not be enough if the relationships between values matter; provide the relevant conclusion in nearby text or an appropriate alternative. Check captions, transcripts, and link text as well as image descriptions, and make sure an alternative does not contradict the surrounding copy.

What review workflow keeps people accountable?

A repeatable sequence reduces the chance that a late copy edit will undo an earlier accessibility or representation check. Keep the workflow proportionate to the risk and document who made each decision.

  1. Prepare the material. Preserve the prompt, source documents, model output, date, and intended use where organizational policy allows. Remove confidential information from tools that are not approved for sensitive content.
  2. Make a source-backed edit. Mark claims that need verification, then resolve or qualify them. Do not ask the model to invent a citation to fill a gap.
  3. Run the audience and clarity pass. Apply headings, lists, definitions, and ordering that fit the reader’s task. Check the complete page, not an isolated paragraph.
  4. Run the representation pass. Review labels, examples, metaphors, images, and assumptions. Obtain community or subject-matter input when the topic warrants it.
  5. Run the format and accessibility pass. Inspect semantic structure, alternatives, color cues, and the current conformance requirements that apply.
  6. Approve and retain a record. A named human reviewer should accept, revise, or reject the final wording. Keep notes on unresolved uncertainty, policy decisions, and terminology choices so later updates start from a clear record.

Separating these passes does not mean they are unrelated. A missing exception can create an accessibility problem, and a supposedly neutral example can change who feels addressed. The sequence simply gives reviewers a practical way to notice each kind of risk.

Who should make the final review?

Choose reviewers who can assess the subject, intended readers, and format. A general editor can identify unclear wording, but sensitive or community-specific material may call for subject-matter expertise or input from people with relevant lived experience.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Ask a subject-aware editor to check the facts and the reader’s task. They should be able to spot missing context, unsupported claims, and instructions that do not match the source material.
  2. Bring in relevant expertise when the content warrants it. For material involving a particular community, seek input from people familiar with the terminology and context. Follow the publication’s process for arranging and compensating reviewers where appropriate.
  3. Keep the editorial decision with the publisher. Use AI as assistance, not as the authority on whether a text is accurate, accessible, or respectful.

A readability score or automated check may help identify a problem to investigate, but it cannot replace judgment from people familiar with the audience and topic. Reviewers should be able to inspect and correct the text, not just accept a tool’s pass or fail.

Plan time and compensation

Human review is a real editorial activity, not a free quality-control layer. Allow time for source checking, revision, and a second look at high-risk passages. If you ask people with lived experience or specialized community knowledge to review, follow the publication’s process for compensating them where appropriate. A cheaper automated pass is not a substitute for the expertise needed to make a responsible decision.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

How should I evaluate a tool used in the review?

If you use a tool to help inspect AI-assisted writing, judge it by whether it supports the editorial work and can be used under your organization’s rules. A score or label alone is not enough to establish that text is accurate, complete, inclusive, or accessible.

Review criterion Question to ask
Fact-checking Can the reviewer trace claims to trusted sources, or does the tool only flag wording?
Completeness Does it help identify omissions and unsupported assumptions?
Language and accessibility Does it support the publication’s language, audience, and accessibility needs?
Privacy Can sensitive material be handled in line with the organization’s privacy rules?
Human control Can an editor inspect, correct, and reject its suggestions?

These are selection criteria for an editorial workflow, not claims that any particular product performs those tasks. Choose a process that leaves the evidence and final wording open to human review. Ask what happens to submitted text, who can access it, whether the tool supports the language and format you publish, and whether an editor can export or explain its findings. If the answer to any of these questions is unclear, do not put sensitive material into the tool until the organization’s privacy and approval process has resolved the issue.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What common shortcuts should I avoid?

  • “The model used inclusive wording, so the text is inclusive.” Tone cannot reveal omitted groups, inaccurate claims, or inaccessible structure.
  • “The reading score passed, so the page is accessible.” Scores do not test heading semantics, alternatives, color dependence, factual accuracy, or whether the reader can complete the task.
  • “A universal word list will settle every case.” Terminology changes by person, community, jurisdiction, and context; follow stated preferences and relevant guidance.
  • “A historical checklist is the conformance standard.” WCAG 1.0 is from 1999. Use the current standard and applicable organizational requirements for decisions about conformance.
  • “One final prompt can replace an editor.” A model can restate an error or reproduce a stereotype with more confidence. Keep a person accountable for approval.

What should I do before releasing the text?

Use the checklist as a final editorial pass, not as a certification. Before release, confirm that the review reached the claims, reader needs, representation, and format that matter for this particular content.

  • The draft answers the intended reader’s question and gives them enough information to act.
  • Material claims, links, dates, figures, and instructions have been checked against suitable sources.
  • Headings, paragraphs, lists, terms, and acronyms make the content easier to follow.
  • Descriptions of people are necessary, accurate, and informed by relevant preferences or guidance.
  • Meaningful non-text content has suitable text alternatives, and color is not the sole signal.
  • The required organizational review, AI-use, privacy, and disclosure rules have been followed.
  • A suitable human reviewer has approved the final wording.

Frequently Asked Questions

Can I use the same inclusive-language checklist in every country?

Use a checklist as a starting point, then check the style guidance and terminology relevant to the publication’s audience and jurisdiction. Government guidance can be useful, but its examples and policies belong to that government’s context and should not automatically be treated as universal.

What should I do when reviewers disagree about a term?

First identify whether the disagreement concerns a person’s stated preference, a community convention, or an editorial choice. Make the audience and context explicit, consult the most relevant guidance or expertise available, and record the reason for the final choice so later edits do not reintroduce wording that was deliberately rejected.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does using plain language mean removing specialist detail?

No. Keep information readers need to make a sound decision, and explain necessary technical terms rather than deleting them. Clear structure and definitions can make specialized content easier to use without making it less precise.

Should every image have a written description?

The relevant question is whether the image conveys information readers need. Informative images and charts need an appropriate text alternative; for conformance decisions, follow the current accessibility standard and the rules that apply to your publication.

Do I have to disclose that AI helped write the text?

Follow the policy governing your publication and use case. Some organizations require disclosure, approval, or use of specific tools; others set different conditions. The NYC guidance describes a particular government context and is not a universal disclosure rule.

Can an automated accessibility or readability checker approve my draft?

No. Automated checks can flag issues such as dense sentences or missing structure, but they cannot judge factual completeness, respectful representation, community preferences, or whether the content answers the reader’s task. A suitable human reviewer must inspect and approve the result.

How should I handle sensitive information in an AI review tool?

Check whether the tool is approved and how your organization’s privacy rules apply. Do not submit confidential or identifying material to an unapproved service. If the workflow cannot protect sensitive content, use an approved process with human review instead.

The Bottom Line

Inclusive AI text requires accountable editing: verify the facts and omissions, make the structure and language usable, respect how people describe themselves, check the full format for accessibility, and have an informed human approve the final version.
