To insert a PDF page into a Word document as a fixed picture, first export that page as a PNG or JPEG, then choose Insert > Pictures > This Device in the desktop Word app. Word embeds the resulting picture in the document, so the page keeps its visual layout but its text is not directly editable. Use PNG for text, diagrams, and line art; use JPEG when a photographic page benefits from a smaller file. If you need selectable text, clickable links, or a searchable document, use Word’s PDF-conversion or PDF-object options instead.
What does inserting a PDF into Word as an image do?
A PDF is a document format, while Word’s Pictures command accepts image files. Exporting a PDF page to PNG or JPEG creates a raster image of that page; inserting the image places a visual snapshot in Word rather than importing the PDF’s text structure.

What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
This approach is useful when exact appearance matters. A page containing a designed form, scanned signature, chart, brochure, or complex layout will normally look the same wherever the Word document is opened. The trade-off is that the words inside the picture cannot be selected, searched, corrected, or reformatted as ordinary Word text.
- Use the image method when: the page must remain visually fixed, non-editable, or faithful to the PDF layout.
- Use another method when: readers need selectable text, searchable content, clickable links, or the ability to edit paragraphs and tables.
How do I insert a PDF page as an image in desktop Word?
Export the required page first, then insert the resulting image through Word’s Pictures menu. These steps apply to the desktop Word application.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Open the PDF. Use a PDF viewer or converter that can export pages as PNG or JPEG. If you need only selected pages, export those pages individually rather than converting the entire file.
- Choose an image format. Select PNG for text, diagrams, screenshots, and line art where crisp edges are important. Select JPEG for a photographic page when a smaller file is more useful.
- Set the export quality. Keep the highest practical resolution offered by the exporter. Microsoft’s picture guidance identifies 300 dpi as best for viewing and printing; low-resolution exports can make small type look soft after insertion.
- Open the destination document in desktop Word. Put the insertion point where the page image should appear. Save the document before inserting a large batch of pages so you have a recoverable version.
- Open the picture command. Select Insert > Pictures > This Device.
- Select the exported file. Browse to the PNG or JPEG, select it, and choose Insert. Word embeds the picture in the document by default.
- Check the page fit. Drag a corner handle to resize while preserving the original proportions. Avoid dragging a side handle, which can stretch lettering and diagrams.
- Set text wrapping if needed. Use the picture layout controls and choose a wrapping option other than In Line with Text when the image must move freely beside text or overlap a design element. Keep In Line with Text when the page should behave like a character in a normal paragraph and stay anchored predictably.
After insertion, scroll through the document at 100% zoom and use Print Preview. This catches clipped edges, unexpected wrapping, and text that became unreadable because the image was made too small.
Should I export the PDF page as PNG or JPEG?
The format affects edge sharpness, file size, and how well small text survives resizing. Neither format restores editable PDF text; both are pictures once inserted.
| Choice | Best for | Strength | Limitation |
|---|---|---|---|
| PNG | Text-heavy pages, diagrams, screenshots, logos, and line art | Sharp edges and lettering; avoids the photographic compression artifacts common in JPEG | Often produces a larger file for photographic pages |
| JPEG | Photographs or pages dominated by continuous-tone images | Usually smaller than an equivalent PNG | Compression can blur small type, thin lines, and repeated editing or re-saving |
Export at the highest useful resolution available. Microsoft’s picture-file guidance recommends the highest available resolution and cites 300 dpi as best for viewing and printing. The final result also depends on how large the image is displayed in Word: an excellent export can still become unreadable if it is scaled down to a narrow column.
How do I insert several PDF pages in the correct order?
Export each required page as its own image, then insert the files sequentially. Keeping one image per page makes reordering and replacing a page much easier than combining everything into one oversized graphic.
- Export page 1, page 2, and the remaining required pages with consistent dimensions and resolution.
- Rename the files with a sortable sequence, such as
pdf-page-01.png,pdf-page-02.png, andpdf-page-03.png. - In Word, place the cursor at the start of the intended section and choose Insert > Pictures > This Device for the first page.
- Press Enter after the image when the next page must start below it, then insert the next image.
- Use a page break between images when each PDF page must occupy a separate Word page. Check the result in Print Preview because image height, margins, and printer settings can change where a page breaks.
- Add a caption or descriptive alt text to every page image if the document will be shared or published.
If a PDF page has a different aspect ratio from the Word page, do not force it to fill the entire width. Preserve the ratio and accept white space, or adjust the document margins deliberately rather than distorting the source.

This is usually the safest choice for a sequence of full-page PDF images.
- Square, Tight, or another floating option: text can flow around the image, and you can move it more freely. Floating images can shift when nearby paragraphs change, so check the layout after editing.
- Anchor and position controls: floating pictures are associated with nearby text. If a picture appears to move unexpectedly, review its anchor and wrapping settings rather than repeatedly dragging it.
Do not enlarge a low-resolution export to make it fill a page; enlargement cannot recreate missing detail. If type looks fuzzy, return to the PDF exporter and create a higher-resolution image instead.
What is the difference between an image, an embedded PDF, and PDF conversion?
These three workflows solve different problems. Choose according to whether visual fidelity, editing, file size, clickable content, and accessibility matter most.
| Method | Visual fidelity | Text editability | File-size effect | Does the PDF remain a separate, clickable file? | Availability | Accessibility and search |
|---|---|---|---|---|---|---|
| Export page to PNG/JPEG, then insert as a picture | High for the exported page | None; text is pixels | Can increase document size, especially at high resolution | No; it is an image | Desktop Word picture workflow | Requires meaningful alt text; image text is not searchable |
| Insert the PDF as an object | PDF remains intact when opened | Not edited as Word text | Embeds the PDF and can increase file size; linking can reduce size | Yes, as a file object | Desktop Word | Readers may need to open the object and the original PDF remains available |
| Open the PDF in Word for conversion | Variable; graphics-heavy pages may change | Often, especially in mostly-text PDFs | Produces converted Word content rather than a page image | No separate object by default | Desktop Word | Text can be searched, but layout and reading order need proofreading |
Word says that opening a PDF makes a copy, converts it to a Word document, and attempts to match the original layout. Microsoft also notes that this works best for PDFs that are mostly text; a graphics-heavy page may appear as one whole-page image, with text that cannot be edited.
How do I embed a PDF as an object instead of an image?
Use an object when recipients should be able to open the original PDF from the Word document rather than view a rasterized page. This is not the same as placing a PDF page visibly on the document canvas.

- In desktop Word, choose Insert > Object.
- Select Create from File, then choose Browse and locate the PDF.
- Choose whether to display the object as an icon or show its content, if those controls are offered in your Word version.
- Decide whether to embed the file or link to it. Embedding travels with the Word document but increases its size. Linking can reduce the Word file size, but recipients need reliable access to the linked path.
- Select OK, then test the object on a copy of the document and on the computer that will receive it.
An object is preferable when preserving the PDF as a separate file matters. It is not preferable when the page must be visible, fixed, and printable as part of the Word page itself.
Can Word for the web insert a PDF?
Word for the web does not support inserting objects such as PDFs. Use desktop Word for the Insert > Object workflow and for the most predictable picture-placement controls.
If you only need a visible page image, create the PNG or JPEG before opening Word for the web and use the web app’s available picture-insertion controls. Because feature availability and layout behavior can differ from desktop Word, verify the result in the desktop application when exact pagination or print fidelity is important.
How do I fix common quality and layout problems?
The inserted text looks blurry
Re-export the page at a higher resolution and prefer PNG for text or line art. Microsoft’s guidance recommends the highest available resolution and cites 300 dpi for best viewing and printing. Do not solve softness by enlarging the existing image.

The Word file is unexpectedly large
High-resolution images and many full-page exports consume storage. Reduce image dimensions or compression only after checking that small text remains readable. Microsoft notes that embedded pictures increase document size; a linked picture can reduce size when every recipient can access the original path, but a broken link leaves the document without its image.
The converted version has a broken layout
Graphics-heavy PDFs are poor candidates for editable conversion. If exact appearance matters, return to the image workflow or embed the original PDF object. If editability is more important, proofread converted text, tables, columns, and page breaks before distributing the file.
Images print with unexpected clipping or scaling
Check the image’s proportions, Word margins, and Print Preview. A page exported at the correct resolution can still be clipped if its dimensions exceed the printable area or if a floating object crosses a margin.

How should I handle accessibility and searchability?
A page image has no readable text layer for Word’s search, copy, or screen-reader navigation. Select each image, open its picture formatting or accessibility controls, and write alt text that identifies the page’s purpose and the important information it conveys. For a decorative image, mark it decorative when that option is available rather than adding meaningless wording.
Keep the original PDF available when readers may need to search, copy quotations, zoom into fine detail, follow links, or use the PDF’s own accessibility features. If the Word document is the only deliverable, consider conversion for mostly-text PDFs, then inspect headings, reading order, tables, and link behavior instead of assuming the conversion is accessible.

Which method should I choose?
Choose the picture workflow when the requirement is “show this page exactly as it looks.” Choose an embedded object when the requirement is “include the original PDF for opening.” Choose conversion when the requirement is “edit and search the content,” accepting that complex graphics and layout may change.
Frequently Asked Questions
Can I insert only one page from a multi-page PDF?
Yes. In the PDF viewer or converter, export just the required page as a PNG or JPEG, then insert that file. Page-number labels differ between PDF tools, so confirm that the exported page matches the page number printed on the document itself.
Will hyperlinks inside the PDF image still work?
No. Once a page is rasterized, its links are pixels rather than interactive objects. Keep the PDF as an object or recreate the links in Word if readers must click them.
Can someone extract the original PDF from an inserted picture?
Not from the picture itself; the image contains only rendered pixels. Include the original PDF separately or insert it as an object when recipients need the source file.
Why can I search some PDF text but not text in my Word picture?
Search works on a text layer, while a PNG or JPEG has no character information. Optical character recognition may create text in a separate workflow, but it is not produced by the ordinary Pictures insertion command and should be checked for recognition errors.
