Treat every AI-written email as a draft, not a verified message. Before you send it, check each consequential claim using four tests: Source (can you trace it to an original or authoritative record?), Verified (did you independently confirm the details?), Context (are scope, exceptions, dates and assumptions intact?) and Resilient (will the wording remain accurate for this recipient and plausible edge case?). Then check the recipients, attachments, privacy exposure and requested action. If a claim cannot be traced or confirmed, remove it, qualify it or turn it into a question. Human responsibility for the final email stays with the person who sends it.
What is the safest way to fact-check an AI answer before emailing it?
Use a deliberate review rather than a quick read for fluency. First mark every factual assertion. Next trace important assertions to the original source, independently confirm high-risk details, restore missing context, and test whether the message is suitable for its audience and action. Finally inspect recipients, attachments, links and sensitive data.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →This matters because generative systems produce likely sequences of words; they do not guarantee that a sentence is true. OpenAI says ChatGPT can sound confident while being wrong and can fabricate quotations, studies, citations and references. Google Search Central says all AI-generated content should be manually checked for accuracy and trustworthiness before publication. A polished email can therefore contain an invented deadline, a subtly changed number or a real citation that does not support the claim.
Why can a fluent AI answer still be wrong?
Fluency is a writing property, not evidence. An AI system may combine true details from different years, infer a cause that a source never established, attach a plausible-looking URL to a nonexistent page, or present an opinion as a settled rule. It can also omit a limitation that changes the practical meaning of an otherwise accurate sentence.

- [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.
- Fabricated support: a study, quote, regulation, case number or web page may not exist, even when the title and URL look credible.
- Stale information: prices, product capabilities, policies, deadlines and laws can change after the model’s training data or after the source was published.
- Small transcription errors: a decimal point, unit, name spelling, version number or date can alter a decision.
- Omission: an answer may leave out jurisdiction, eligibility rules, exceptions, uncertainty or dependencies.
- Audience mismatch: wording that is safe for an internal draft can mislead a customer, regulator, executive or patient.
Microsoft describes validation as “the step between getting a response and trusting it.” The UK House of Commons Library characterizes AI as an assistant, not an authority, and the Government of Canada similarly advises that generated content should not be considered authoritative. These are operating rules for the sender, not optional stylistic preferences.
How do I apply the Source check?
The Source check asks whether each important statement can be followed back to a document, record or person with authority to establish it. A citation is only a lead until you open it and compare the actual wording.
1. Mark factual claims
Highlight names, dates, amounts, percentages, quotations, legal or policy statements, product capabilities, deadlines and causal claims. Mark instructions such as “you must,” “this qualifies,” or “the rule changed,” because they carry factual implications. Separate those claims from opinions, recommendations and connective wording added merely to make the email sound complete.
2. Open every citation and link
Check that the page, file, study, regulation or message exists. Confirm the title, publisher, publication date and relevant section. Read enough surrounding text to establish that the source actually supports the sentence; a search-result snippet or an AI-generated reference is not proof.
3. Trace to the strongest available source
Prefer the original contract, official record, current policy page, regulator, court document, primary research paper or first-party technical documentation. A secondary summary can help you locate the original, but it should not be the only support for a consequential claim when the primary record is available.
4. Flag anything that cannot be traced
If you cannot find a source, treat the statement as unconfirmed. Microsoft’s guidance is explicit: if a statement cannot be traced to a source, leave it unconfirmed until verified. Delete it, rewrite it as a question, or state plainly that you are awaiting confirmation. Do not preserve it simply because it sounds reasonable.

How do I perform the Verified check?
Verification is an independent confirmation of the details that could change what the recipient decides or does. It is more than finding one page that resembles the AI’s wording.
Recheck high-risk details independently
- Confirm names, roles, organizations and account identifiers against a trusted directory or the original correspondence.
- Recalculate arithmetic, percentages, totals, conversions and dates yourself or with a dependable calculator.
- Compare version numbers, model names, editions, units and time zones exactly.
- Check that quoted words are verbatim and that the quote’s speaker, date and surrounding context are correct.
- For legal, financial, medical, policy or safety claims, consult the current authoritative source and, where appropriate, a qualified subject-matter reviewer.
Use more than one confirmation when the stakes justify it
A routine internal note may need one authoritative source and a quick arithmetic check. A customer commitment, regulatory statement, payment instruction or medical recommendation deserves independent confirmation through a second authoritative source or an expert. The need for a second check rises with the consequence of error, uncertainty or disagreement, sensitivity of the data, audience size, irreversibility of the action and availability of expertise.
Do not mistake agreement for proof
Two pages may repeat the same error, and two AI systems may reproduce the same unsupported claim. Independence means that the confirming source has its own authority or evidence, not that it echoes the same generated wording.
How do I restore missing context?
The Context check looks for information the draft leaves out. A sentence can be individually accurate yet misleading when its scope, assumptions, exceptions or date are hidden.
Recommended Free Tools
Ask what the claim depends on
- Scope: Does it apply to every customer, or only a plan, region, product edition or user group?
- Time: On what date was it true, and when does it expire or need rechecking?
- Jurisdiction: Is the rule different by country, state, regulator, contract or department?
- Conditions: Are there eligibility requirements, thresholds, approvals, exclusions or dependencies?
- Uncertainty: Is the evidence disputed, estimated, incomplete or based on a forecast?
- Audience: Does the recipient have the background needed to interpret the statement correctly?
Replace misleading compression
AI often compresses a long policy into a short conclusion. Expand it when the omitted qualification changes the action. For example, replace “The policy allows refunds within 30 days” with “The current policy page allows refunds within 30 days for eligible purchases; digital subscriptions and regional exceptions are handled separately.” Keep only qualifications that are supported by the source, but do not remove a material exception to make the email shorter.
Date-stamp volatile information
For changing prices, deadlines, capabilities, staffing, legal rules or security guidance, include the “as of” date and tell the recipient where to check the current version. A date does not make an old claim current; it makes the age of the information visible.

How do I run the Resilient check?
Resilience asks whether the message remains accurate and safe when it reaches this particular recipient, is forwarded, or encounters a plausible edge case. It is a test of wording and consequences, not just source quality.
Read for the recipient’s interpretation
Could a reasonable reader distinguish what is known, what is uncertain and what they must do? Remove absolute language such as “always,” “guaranteed” or “everyone” unless the source truly supports it. Use “the current guidance says,” “based on the records provided” or “please confirm” when the evidence has a defined limit.
Test the action and its reversibility
Ask what happens if the recipient acts immediately, forwards the email or relies on it after conditions change. A wrong meeting suggestion is usually reversible; a payment, account change, disclosure, legal filing or safety decision may not be. Escalate the review before asking for an irreversible action.
Check edge cases
Consider a different region, an expired contract, a user on another software version, a recipient without the assumed permission, a missing attachment or a deadline that falls on a holiday. If one plausible case would make the sentence false, narrow the wording or state the condition explicitly.
What is the complete pre-send workflow?
Use this sequence for an AI-assisted email. It separates factual validation from delivery and security checks so that a persuasive draft does not create artificial urgency.
- Preserve the original evidence. Keep the source files, links, records and messages that the email will rely on. Do not ask the AI to fill gaps that the evidence does not answer.
- Mark every factual claim. Highlight names, numbers, dates, quotes, rules, capabilities, deadlines and causal statements. Label opinions and recommendations separately.
- Trace each consequential claim. Open every citation and compare the claim with the source’s actual text, scope and date.
- Classify the result. Mark each claim as confirmed, partly supported, unconfirmed or contradicted. Remove unsupported claims instead of allowing them to remain implied.
- Verify high-risk details independently. Recalculate figures, compare versions and dates, and use an official record, primary source or qualified reviewer for consequential matters.
- Restore context. Add jurisdiction, assumptions, exceptions, uncertainty, dependencies and “as of” dates that affect the recipient’s decision.
- Check the requested action. Make sure the addressee, distribution list, links, attachments, deadline and owner are correct. Ensure the email does not create urgency that the evidence does not support.
- Verify sensitive requests out of band. For payment changes, credentials, access, personal data or unusual instructions, confirm the requester through a separate trusted channel rather than replying to the message alone.
- Review privacy and security. Remove unnecessary personal, confidential or regulated information from both the AI prompt and the final email. Check that attachments and links expose only what the recipients should see.
- Read as the recipient. Ask whether a reasonable reader can tell what is established, what remains uncertain and what action is required. Rewrite unsupported certainty before sending.
- Obtain accountable human approval when needed. The person sending or relying on the email remains responsible for the outcome; an AI label does not transfer that responsibility.
How much review does an email need?
There is no universal error-rate percentage that can honestly predict every model and email task. Choose the review level by consequence and uncertainty instead.

| Situation | Minimum sensible review | Escalate when |
|---|---|---|
| Low-stakes internal note with no sensitive data | Source check for factual claims, quick recipient and attachment check, and a read-through for clarity. | The note contains a deadline, commitment, customer-facing statement or information likely to be forwarded. |
| Routine operational or customer update | Trace each material claim, verify names, dates and amounts, restore product or regional scope, and have the owner read it. | The message changes a customer decision, promises a capability or relies on information that may have changed. |
| Legal, financial, medical, policy or safety communication | Use current authoritative sources, independently verify calculations and quotations, document assumptions, and obtain qualified review. | The action is irreversible, regulated, disputed, high-value or likely to affect many recipients. |
| Security, access or payment request | Validate the request through a separate trusted channel; inspect recipients, links, attachments and data exposure before sending. | The request is urgent, unusual, asks for credentials or changes bank or account details. |
Use the highest applicable row when several conditions overlap. A short email can require more review than a long one if the consequence of one wrong sentence is greater.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How should I handle AI-generated citations and quotations?
Handle them as unverified references until the original material is open and checked. Verify the author, title, date, publication, page or section and the exact language. Confirm that the quotation was not shortened in a way that reverses its meaning.
If a link is broken, redirects to unrelated content or does not contain the claimed passage, do not “repair” it by guessing a replacement. Search the authoritative publisher’s site or record system, and if the source still cannot be found, remove the citation and qualify the statement. A plausible URL is not evidence that a source exists.
When the email does not need a formal citation, you can still preserve traceability by naming the document, owner and date in plain language, for example: “According to the finance team’s 12 October policy memo, section 3…” Only use that wording when you have actually checked the memo.

How do privacy and security affect fact-checking?
Fact-checking cannot make an unsafe workflow safe. Before using an AI system, remove personal information, credentials, confidential customer details, unreleased plans and regulated data unless your organization has expressly approved that processing. The Government of Canada advises that generated content is not authoritative, and cyber-security guidance warns that AI output can be incorrect, incomplete or biased; both support a human quality check against credible sources.
- Use the least amount of data needed to verify the claim.
- Redact account numbers, authentication secrets, private addresses and unnecessary identifiers.
- Check the final recipient list and forwarding permissions, not just the “To” field.
- Open attachments and links in a safe environment and confirm that they point to the intended destination.
- Never let a generated request override established approval, payment or identity-verification procedures.
If the AI draft includes sensitive information that does not belong in the email, remove it before asking the system to rewrite the message again. Repeatedly pasting the same secret into a prompt increases exposure without improving factual accuracy.
Best Value
What wording should I use when a fact is not fully confirmed?
Make the uncertainty explicit and attach it to the claim, not to a vague disclaimer at the end. Precise qualification helps the recipient decide what to do next.
- Awaiting evidence: “I have not located an authoritative record for this figure, so please treat it as unconfirmed.”
- Limited scope: “The current policy covers eligible purchases in this region; I have not confirmed whether the exception applies to your account.”
- Time-sensitive: “This was true on 26 October 2026; please check the current policy before acting.”
- Request for confirmation: “Can you confirm the amount and effective date from the signed record?”
- Source disagreement: “The two current sources differ. I have paused the recommendation pending review by the policy owner.”
Do not convert an unsupported assertion into a softer-sounding assertion. “It appears that” is still misleading if you have no evidence; identify what you checked and what remains unknown.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesWhat should I do when the AI answer is partly right?
Keep only the portions that you can support. Split compound sentences into individual claims so that one verified detail does not lend false credibility to an unverified one. Correct the claim at its source, then rewrite the email rather than patching a single number while leaving the surrounding assumptions intact.
For a contradiction, show the decision owner the competing evidence and ask which record governs. Do not average conflicting numbers or choose the newer-looking page without checking authority, effective date and scope. If no qualified person can resolve the conflict before the deadline, tell the recipient that the decision is pending and specify the next confirmation step.
What final checklist can I use before clicking Send?
- Every material factual sentence has a traceable source or is clearly labeled as an opinion, estimate or question.
- Names, figures, units, dates, versions and quotations match the underlying record.
- Claims include necessary jurisdiction, scope, conditions, exceptions and “as of” dates.
- The language does not imply certainty, urgency or authority beyond the evidence.
- The addressees, copied recipients, attachments, links, deadline and requested action are correct.
- Any payment, access, credential or unusual request was confirmed through a separate trusted channel.
- Unnecessary personal or confidential information has been removed from the prompt, draft and attachments.
- A human owner has read the final version and accepts responsibility for sending it.
If any answer is “no,” do not send the message as written. Hold it, remove the unsupported claim or ask for the missing confirmation.
Frequently Asked Questions
Can I send an AI-written email if it contains no citations?
Yes, but the absence of citations does not remove the need to verify factual claims. Check the underlying records yourself, especially for names, dates, amounts, commitments and instructions, and add a source or qualification when the recipient may need to act on the information.
Free tools Windows power users keep installed

Should I ask a second AI system to fact-check the first one?
A second model can help identify questions or inconsistencies, but its agreement is not independent evidence. Use an authoritative record, primary source or qualified human reviewer to settle consequential claims.
How do I fact-check an AI summary of a long document quickly?
Break the summary into individual claims, then sample the highest-impact statements first: deadlines, obligations, exceptions, numbers and recommendations. Search the original document for the relevant passage and read enough surrounding text to confirm scope before checking lower-risk wording.
What if I discover an error after the email was sent?
Send a prompt correction that identifies the inaccurate statement, supplies the verified information and explains any action the recipient should take. Notify the responsible owner and preserve the corrected source so later recipients do not rely on the original message.
