On Windows 10 and Windows 11, the quickest way to copy words from a screenshot is Snipping Tool’s Text actions. Press Windows + Shift + S, capture the area, choose Text actions, then copy a selection or select Copy all text. Snipping Tool performs recognition on the device, so the image does not need to be uploaded for this OCR step.
There are two useful alternatives: PowerToys Text Extractor copies text from any region currently visible on screen, while PowerToys Advanced Paste can run local OCR on an image already in the clipboard. The best option depends on whether you are creating a screenshot, selecting text from a live app or video, or starting with a copied image.

OCR (optical character recognition) analyzes letters in an image and returns selectable text. Windows offers three practical workflows, each suited to a different starting point.

Microsoft describes Snipping Tool as the recommended route when the task is screenshot capture. Text Extractor is more convenient when the content is already visible and you do not need a saved screenshot. How do I extract text from a screenshot with Snipping Tool?
Capture or open the image, activate Text actions, and copy either a selected passage or all recognized text.
- Capture the text. Press Windows + Shift + S, then choose a rectangular, freeform, window or full-screen snip. Drag around the words you need. You can also press Print Screen (PrtSc) to capture a static image, or open Snipping Tool and load a saved screenshot.
- Open the snip in Snipping Tool. After a new capture, select the notification or open the Snipping Tool window. If you are working with an existing file, open that image in Snipping Tool.
- Start OCR. Select Text actions in the Snipping Tool toolbar. The app analyzes the words in the snip and makes recognized text selectable.
- Copy what you need. Highlight an individual line or paragraph and copy it, or select Copy all text to place the complete recognized result on the clipboard.
- Paste and proofread. Paste into Word, Notepad, an email or another destination. Check names, numbers, punctuation and unusual characters against the screenshot before relying on the result.
Snipping Tool also offers Quick redact when it detects email addresses or phone numbers. Use that option when you need those detected details obscured in the snip rather than copied into another document.

Microsoft Support states: All text recognition processes are performed locally on your device.
That describes the OCR operation itself; normal clipboard behavior still applies after you copy the result.
Can Snipping Tool OCR an existing screenshot?
Yes. You do not have to take a new capture. Open the saved image in Snipping Tool, select Text actions, and then copy a selection or all recognized text.
This is useful for screenshots stored in a folder, images received in a message, or captures made earlier with another program. If Text actions is not present, install available Windows and Snipping Tool updates and restart the app. Microsoft’s documentation does not define one universal Windows build or Snipping Tool version cutoff for the feature, so availability can differ between devices.

- Make the text visible. Bring the application, picture or video frame containing the words to the foreground. You do not need to save a separate screenshot.
- Activate Text Extractor. Press Windows + Shift + T, the default shortcut.
- Select the region. Drag over the text. Select a tight region that contains the words you want to reduce unwanted recognition from surrounding content.
- Use the clipboard result. When recognition finishes, Text Extractor copies the result to the clipboard. Paste it into the destination app.
- Exit capture mode. Press Esc when you are finished.
You can change the activation shortcut in PowerToys settings if it conflicts with another application or with your keyboard layout. Text Extractor is especially convenient for a single quote in a video frame, a label in a program window or text displayed in an app that does not provide its own copy command.
Which languages does Text Extractor recognize?
Text Extractor follows the Windows system language and keyboard settings by default. Recognition is limited to languages for which a compatible OCR language pack is installed.
If letters are consistently misread in a non-default language, check Windows’ installed language capabilities and the language selected for OCR. Microsoft’s Text Extractor documentation also describes PowerShell commands for inspecting available OCR capabilities and adding a supported language capability; use those documented commands rather than guessing a capability name. After installing a language capability, restart the relevant app or utility if the new language is not immediately available.
A language pack cannot guarantee perfect output. Proofread the copied text, particularly when it contains accents, mixed scripts, proper names, serial numbers or punctuation.

PowerToys Advanced Paste can convert a clipboard image to text with a local OCR action. This is a good fit when another program has already copied the screenshot and taking a second snip would be unnecessary.
- Enable Advanced Paste. Open PowerToys Settings and turn on Advanced Paste.
- Copy an image. Use the source app’s copy command so the screenshot or image is placed on the Windows clipboard.
- Open Advanced Paste. Press Windows + Shift + V, the default shortcut for its window.
- Choose the OCR action. Select the local OCR option to extract text from the clipboard image, then paste or use the resulting text in your destination app.
Advanced Paste distinguishes local, non-AI paste actions from optional AI paste features. For straightforward screenshot transcription, choose the local OCR action; an AI action is not required.

What is the difference between Snipping Tool, Text Extractor and Advanced Paste?
All three can produce copyable text, but they begin with different inputs and expose different controls.

How accurate is Windows screenshot OCR?
Microsoft warns that Text Extractor output may contain errors and recommends a quick proofread. The official documentation reviewed for these tools does not publish an accuracy percentage, speed benchmark or total supported-language count, so there is no reliable number to use as a universal expectation.

- Account numbers, prices, dates or other figures where one character changes the meaning.
- People’s names, product names, URLs or email addresses.
- Small punctuation marks, symbols, accents or mixed-language text.
- Text that will be used in a legal, financial, medical or security-sensitive context.
If a line is wrong, run OCR again on a more tightly selected region and verify the language capability. The tools can copy recognized characters, but the documentation does not promise preservation of the image’s original typography or layout.
What should I do if Text actions is missing?
First confirm that you are using the current Snipping Tool available for your Windows installation and apply pending updates. The published support material does not provide a single build number that applies to every Windows 10 or Windows 11 device.
- Open Snipping Tool directly instead of working only from the capture notification.
- Open the saved image inside Snipping Tool and look again for Text actions.
- Install available Windows and Microsoft Store app updates, then close and reopen Snipping Tool.
- If the control still does not appear, use PowerToys Text Extractor as the screen-region alternative.

Why is Text Extractor producing the wrong language?
The default recognition language follows Windows system language and keyboard settings. A missing OCR language pack is the most important configuration check when text in another language is repeatedly misread.
- Verify that the required Windows language capability and OCR pack are installed.
- Check the active keyboard and system language settings.
- Use the language-management instructions in Microsoft’s Text Extractor documentation if you need to inspect or add a capability with PowerShell.
- Run the capture again and proofread the result.
Do not assume that installing a display language alone installs every OCR capability. Recognition is limited to languages with the necessary OCR pack.
Which workflow should you use?
Choose based on where the image is now, rather than on which shortcut is easiest to remember.
- Use Snipping Tool when you need a screenshot, want to open a saved image, need Copy all text or want Quick redact for detected email addresses and phone numbers.
- Use Text Extractor when the words are visible in an application, image or video and you want the clipboard result without first saving a snip.
- Use Advanced Paste when another application has already placed the image on the clipboard and you want local OCR from that image.
Regardless of the route, paste the result into a plain-text destination first when accuracy matters. That makes it easier to spot missing characters, unexpected line breaks or extra words before you use the transcription elsewhere.

Does Windows OCR work offline?
Snipping Tool’s support documentation explicitly says that all text-recognition processes are performed locally on the device. Advanced Paste’s OCR action is also described as local. The Text Extractor documentation identifies the utility and its language-pack requirements but does not provide a separate statement about where every processing step occurs, so avoid treating the local-processing statement for Snipping Tool as a blanket claim about every PowerToys feature.
What are the practical limits of these tools?
These utilities are designed for extracting characters, not for guaranteeing a perfect reproduction of a document. They may require a matching OCR language pack, and Microsoft advises proofreading the output. There is also no official accuracy or speed figure in the cited documentation that would let you predict results for every font, image or screen size.
For a one-off screenshot, Snipping Tool is usually the shortest path: capture, Text actions, copy and proofread. Keep Text Extractor available for live screen content and Advanced Paste for images that are already in the clipboard.
