Start with your assignment instructions and course policy. Colleges do not share one universal rule: a class may prohibit generative AI, permit it only for selected tasks, require advance permission, require disclosure or formal citation, or allow broader use with conditions. If the policy does not clearly cover what you plan to do, ask your instructor before using the tool and keep the answer with your assignment records.
When disclosure is required, name the AI tool, describe exactly what it did, identify the affected section or stage, and separate that assistance from the work you completed yourself. Put the statement where the assignment instructions specify, follow any required citation style, and verify every factual claim before submitting. You remain responsible for the accuracy and integrity of everything you turn in.

There is no single disclosure rule that applies to every college, course, or assignment. The controlling document is the policy for your specific class and task. University guidance describes several policy models, and an instructor can combine them with additional requirements about permission, citation, records, or placement.

The University of Chicago gives examples spanning prohibited, permission-based, citation-required, and unrestricted categories. Guidance from UW–Madison and other institutions likewise treats disclosure, citation, and documentation as separate questions. A policy that permits a tool does not automatically tell you whether to cite generated wording, attach prompts, or place an acknowledgment before the references.

What should I check before using an AI tool?
Read the assignment prompt first, then look for the course syllabus, learning-management-system instructions, departmental guidance, and any academic-integrity language that applies. Check the rule for the particular task rather than relying on a general statement about the course.
- Identify the planned use. Write down whether you want help brainstorming, outlining, reorganizing, editing grammar, generating text, creating an image, translating, coding, or checking ideas.
- Match that use to the policy. Determine whether the activity is prohibited, allowed only with permission, limited to certain tasks, or broadly allowed with conditions.
- Separate permission from disclosure. A rule may require approval before use, an acknowledgment after use, a formal citation, or more than one of these.
- Check documentation requirements. Look for instructions about prompts, outputs, chat links, transcripts, screenshots, drafts, or other process records.
- Confirm the required location and style. The assignment may specify a note before the references, a slide disclosure, speaker notes, a final discussion-board comment, or a particular citation format.
- Ask before using the tool if anything is unclear. Columbia Business School advises students to clarify an unclear policy with their professor, preferably in writing. Keep the answer with the assignment records.
What should an AI disclosure include?
A useful statement lets the instructor see which tool was involved, what role it played, and which work remains yours. Specificity matters more than a generic sentence saying that AI was “used.”
Name the tool and version when requested
Identify the application or model by its name. Add the version, model designation, access date, or other identifier only when the instructor or citation style asks for it. Do not claim a version you did not record.
Describe the actual task
Use concrete verbs: brainstormed possible topics, suggested an outline, provided organization feedback, corrected grammar, generated a draft paragraph, produced an image, or helped debug code. If the tool performed more than one function, list each function rather than hiding it under “editing.”
Locate the affected work
Point to the relevant section, page, slide, figure, appendix, or stage of the assignment. “Used for the introduction and conclusion” is more informative than “used for the paper.” If the assistance affected planning but not the submitted prose, say that.
Distinguish assistance from your own work
Explain what you reviewed, revised, verified, or wrote independently only when that is true. A disclosure should not imply that you checked claims, rewrote passages, or created original material if you did not.

State how you handled factual claims when applicable
If the tool suggested facts, quotations, sources, calculations, or citations, describe the checking process required by your course. Verify the underlying material yourself before submission; an AI response is not evidence that a claim or citation is correct.
Can I use a standard disclosure template?
You can start with a template, but you must adapt it to the tool, task, section, and work you actually completed. A sample accepted by one instructor is not automatically accepted by another.

For this assignment, I used [tool and version, if requested] to help with [specific task] in [section or stage of the work]. I reviewed and revised the suggestions, checked any factual claims against [sources or process, if applicable], and wrote [parts completed independently].
Remove any clause that is not accurate. For example, if you used a tool only to generate an outline, do not say that you revised its factual claims. If you did not independently write a passage that appears in the submission, do not describe it as independently authored. Replace the bracketed language with plain, assignment-specific details; leave no template markers in the submitted statement.

Disclosure and citation can be separate obligations. Your instructor may require an acknowledgment describing assistance, a formal citation for generated text or images, or both. Follow the citation style and format named in the assignment instead of assuming that a disclosure replaces a citation.
When generated material appears in the submission
If direct AI-generated text, images, code, or other output remains in the submitted work, check whether the instructor requires a formal citation and what information it must contain. The required details may include the tool name, version, date, prompt, or a description of the output, but use only the elements your instructor or style guide requests.
When AI helped only during preparation
An instructor may still require an acknowledgment for brainstorming, planning, organization feedback, or grammar help even when no generated wording appears in the final document. Describe the preparatory role and the part of the assignment it affected. Do not assume that “no AI text was copied” means no disclosure is needed.
When the instructions are silent
Silence is not a reliable permission signal. Ask the instructor whether an acknowledgment, citation, or documentation is expected before using the tool. Columbia Business School’s general guidance tells students to disclose to faculty if they use generative-AI platforms in coursework and to explain how they used them, but that institutional example does not replace the rule for your class.

Use the location specified by the assignment. Placement can differ by format, so a correct statement in the wrong place may still fail the instructor’s requirement.
Written papers and reports
Ohio University suggests placing a written-document acknowledgment before the references. If your prompt specifies another location, follow the prompt rather than the general example. Keep the statement visually distinct from the argument itself, such as under an “AI use” or “Acknowledgment” label if that is permitted.

Slides and presentations
A slide disclosure may belong on the final slide or in speaker notes. Check whether the instructor wants the note visible to the audience, available to the grader, or included in both places.
Discussion boards
Ohio University’s guidance gives a final line or comment as an example for a discussion-board disclosure. Put it after the substantive post when that placement is allowed, and use the wording or label required by the course.

Other formats
For a spreadsheet, code submission, video, poster, or portfolio, ask where the acknowledgment should appear if the instructions do not say. Do not attach a separate file, link, or transcript merely because another class required one.
Do I have to save prompts, outputs, or chat transcripts?
Only if the instructor or course policy requires them, but you should record your actual use while you work so you can provide an accurate account later. Requirements vary: an instructor may request prompts, outputs, chat links, a transcript, screenshots, drafts, or another process document.
UW–Madison guidance discusses whether chat transcripts should be submitted or retained, while the University of Minnesota gives examples of preserving digital artifacts or process documents when required. Treat these as course-specific practices, not a universal college rule.
- Record the tool name and version when the assignment asks for them.
- Save the prompts and relevant outputs if the policy says to retain them.
- Keep a brief dated note of which suggestions you accepted, changed, or rejected.
- Preserve the instructor’s written permission or clarification with the assignment files.
- Submit or retain records only in the way the instructions specify.
If you are unsure whether a full transcript is required, ask before submitting. Do not substitute a vague statement that a transcript is “available” for the exact record the instructor requested.
How should I disclose different kinds of AI assistance?
Describe the function, not just the existence of the tool. The examples below are models for precision; change them to match what actually happened and the policy for your course.
Brainstorming topics or questions
Explain that the tool suggested possible directions during planning and identify the section or stage affected. If you selected, researched, and developed the final topic yourself, state that only if accurate.

Creating or reorganizing an outline
Name the outline stage and say whether the submitted structure follows, changes, or rejects the suggestions. An outline is still meaningful assistance even when none of its sentences appear in the final draft.
Organization or revision feedback
Identify the draft or section reviewed and the kind of feedback requested, such as transitions, sequence, or clarity. Do not call substantive rewriting “proofreading” if the tool generated new content.

Say that the tool corrected or suggested changes to grammar, spelling, punctuation, or style, and identify the affected portion. Whether this use is allowed can differ from course to course, so do not classify it as automatically harmless.
Generating text, images, code, or other output
Disclose the output type, where it appears, and what you changed. Check separately whether formal citation is required. If the policy limits or prohibits generated material, a disclosure does not make the use permissible.

Pause before using the tool and send a concise question that describes the planned task. Written clarification creates a record and reduces the chance that you and the instructor understand “AI assistance” differently.
A practical question to send
State the assignment, the exact assistance you want, and what you plan to submit. For example: “For the outline stage of the history essay, may I use a generative-AI tool to suggest organizational options? If yes, should I disclose that use, cite the tool, or retain the prompts?”
Ask one question for each materially different use. Permission to brainstorm does not necessarily cover generating prose, images, translations, or code. Save the reply and follow any limits, dates, or formatting instructions in it.
How do I verify AI-assisted work before submitting?
Read the assignment as the person responsible for every sentence, number, quotation, source, image, and citation. University guidance from UNC Charlotte cautions that students remain responsible for inaccurate information in submitted work.
- Check factual claims against the sources or process required by the assignment.
- Open and verify cited sources rather than trusting a generated reference list.
- Confirm that quotations, page numbers, calculations, and names are accurate.
- Make sure the final work follows the assignment’s authorship, originality, and formatting rules.
- Remove unsupported claims and disclose any assistance that materially affected the submitted work.
Verification is not a promise that the tool was reliable; it is your responsibility as the submitter. Do not state that you checked material unless you actually did.
What mistakes cause AI disclosures to fail?
Using a generic sentence
“I used AI” does not tell the instructor which tool, task, or section was involved. Replace it with a factual description.
Reporting only copied text
Brainstorming, outlining, organization feedback, and grammar assistance can also fall within a course’s disclosure rule. Describe the whole role, not only wording that survived into the final draft.
Confusing permission with disclosure
An acknowledgment after submission cannot retroactively authorize a use that required prior approval. Ask first when permission is required.
Attaching records automatically
Some instructors ask for prompts or transcripts; others ask students only to retain them. Follow the specified process instead of adding unrequested material.
Copying a statement from another class
Different instructors may require different locations, citation styles, or levels of detail. Rework the statement for the current assignment.
Overstating independent work
Do not claim that you wrote, verified, or revised material independently when the tool performed that part. Accuracy in the disclosure is part of academic responsibility.
What is the final submission checklist?
- I read the assignment-specific AI rule and the syllabus or course policy.
- I know whether my planned use is prohibited, permission-based, limited, or broadly permitted.
- I obtained written clarification or permission where the instructions were unclear.
- I recorded the tool and the actual tasks it performed.
- I checked whether acknowledgment, formal citation, or both are required.
- I placed the statement where the assignment specifies.
- I retained or submitted prompts, outputs, or other records only as instructed.
- I verified factual claims, quotations, calculations, and citations.
- My disclosure accurately separates AI assistance from work I completed myself.
Frequently Asked Questions
Can I disclose AI use if my instructor banned it?
A disclosure does not convert prohibited use into permitted use. Stop and contact the instructor to ask how to proceed; do not submit a statement that suggests the ban no longer applies.
What if I used AI at several different stages?
List each materially different use separately, such as topic brainstorming, outline organization, and grammar correction. This gives the instructor a clearer record than one broad label covering the entire assignment.
Is grammar correction always exempt from disclosure?
No universal exemption exists. Some courses distinguish proofreading from generating or revising ideas, while others require disclosure for any AI assistance, so describe the correction accurately and follow the course rule.
Should I attach my entire conversation with the AI tool?
Not automatically. Attach or retain a transcript only when the assignment or instructor requests it, and ask what portion and format are acceptable if the instruction is ambiguous.
