There is no universal AI-disclosure rule for manuscripts. The journal, publisher, or literary magazine receiving your work sets the standard, and policies range from banning every form of generative-AI assistance to permitting supervised brainstorming or copy-editing with a detailed declaration. Before you submit, open that venue’s current author guidelines, classify exactly how you used AI, and follow the required wording and placement. A disclosure cannot make prohibited work acceptable: if a venue bans AI-assisted writing, editing, or translation, you must submit work that complies with the ban.
What should I do before disclosing AI assistance?
Start with the destination’s own policy, not a general industry assumption. Save or print the relevant submission page, note the date you checked it, and look for separate rules for generative writing, editing, translation, research, images, data analysis, and book manuscripts. A policy may treat a grammar check differently from a generated paragraph, and a literary magazine may apply a stricter rule than a scholarly journal from the same country.

Use the publication, imprint, contest, agent, or press named in your submission plan. “The publisher” is not specific enough when an imprint has its own instructions.
- Read the current AI and submission pages together. Check author guidelines, cover-letter instructions, manuscript-preparation notes, ethics statements, and any disclosure form. Look for a revision date or contact address if the wording is unclear.
- Record the permitted location. The venue may require a cover letter, acknowledgements, a declaration immediately before references, a note inside the work, or more than one of these.
- Keep evidence of your decision. Save the policy URL or a PDF, the date accessed, and any written clarification from an editor. Policies can change between a query, a full submission, and a later revision.
If the guidelines do not mention AI, ask the editorial office a short, factual question before submitting. Describe the use precisely—such as “spelling corrections only” or “generated suggestions for a paragraph”—rather than asking whether “AI is allowed” in the abstract.
How do literary magazines and publishers differ?
The examples below show why a disclosure copied from one venue can be wrong at another. “Not stated” means the cited guidance does not specify that point; it is not permission to assume the use is acceptable.

| Venue | What its guidance permits or prohibits | Grammar-only treatment | Where disclosure goes | Details requested |
|---|---|---|---|---|
| The Paris Review | Its guidance says not to submit writing generated, modified, edited, translated, or otherwise assisted by a large language model or other generative AI. A project that makes overt use of AI as a creative component should include a note acknowledging the program’s purpose. | No exemption is stated. | A note in the project when AI is an overt creative component; otherwise the broad prohibition controls. | The program’s purpose should be acknowledged for an overt AI creative component; further fields are not stated. |
| The Missouri Review | If AI generated any portion of a submission, the author must disclose that use in specific detail. | No grammar-only exemption is stated. | Inside the piece and in the cover letter. | Specific detail about what was generated; exact fields are not stated. |
| PEW Literary | It does not accept submissions written using generative AI. It discourages AI-powered editing except spelling and grammar checks and asks authors to disclose AI used for research or additional materials such as images or diagrams. | Spelling and grammar checks are the stated exception to its editing concern. | Its guidance requires disclosure for research and additional materials; the exact location is not stated in the cited summary. | The use for research, images, diagrams, or other additional material should be identified; further fields are not stated. |
| Waymark | Works made solely by generative AI are prohibited. Supervised suggestion and commentary are permitted. | Not separately stated. | Cover letter. | Explain how AI aided the work; tool, version, and dates are not stated as mandatory. |
| Elsevier (book manuscripts) | Authors must make AI-based and other sources clear and transparent. Basic spelling, grammar, and punctuation checks do not require a declaration. | Basic spelling, grammar, and punctuation checks are exempt. | A separate statement titled “Declaration of generative AI and AI-assisted technologies in the writing process” at the end of the manuscript, immediately above the references. | Name the tool, explain its purpose, and describe the extent of human oversight. |
| Oxford University Press | Disclosure is required for AI assistance covered by its policy. | No blanket grammar-only exemption is stated in the cited guidance. | Both the cover letter and acknowledgements. | Name the tool and version, explain how it was used, and describe the author’s role in directing and reviewing the output. Dates and affected sections are recommended for complex cases. |
| ICMJE recommendations | AI use should be disclosed at submission and in the appropriate manuscript section. AI systems cannot be authors. | No blanket grammar-only exemption is stated. | At submission and in the manuscript’s appropriate section. | Disclose the use and keep human authors responsible for errors, bias, plagiarism, attribution, integrity, and originality. |
These rules also illustrate a critical distinction: a venue can permit a narrow use and still reject a manuscript containing generated prose. Treat “supervised” or “editing” as a description to verify, not as a universal safe harbor.
Which kinds of AI use should I classify?
Make an inventory before drafting a statement. The same tool may have been used for several purposes, and each purpose can trigger a different rule.
| Use category | What to document | Questions to resolve with the venue |
|---|---|---|
| Brainstorming or outlining | Whether the tool supplied ideas, an outline, scene possibilities, or organizational suggestions; which ideas entered the submission. | Does the venue treat suggestions as assistance even when none of the generated wording remains? |
| Research support | Topics queried, summaries or leads received, and which facts you independently verified. | Is disclosure required for research even if the manuscript prose is entirely yours? |
| Translation | Source language, target language, tool and version, and the passages translated or post-edited. | Is machine translation prohibited, permitted with disclosure, or accepted only for non-creative material? |
| Spelling, grammar, and punctuation | The tool, date range, and whether it changed only surface errors. | Does the venue expressly exempt these checks, as Elsevier does, or apply a broader ban? |
| Substantive editing or rewriting | Prompts or instructions, sections affected, suggestions accepted, and your review of every change. | Does “editing” include changes to voice, argument, structure, characterization, or style? |
| Text generation | What passages or components were generated, how much was retained, and where they appear. | Is any generated language allowed, or is the work ineligible regardless of disclosure? |
| Images, diagrams, or other supplementary material | Tool and version, prompt or source material, edits, rights review, and where the asset is used. | Does the venue require a credit or a separate disclosure for visual material? |
| Data analysis or coding | Tool, model or version, code or formulas suggested, data supplied, validation steps, and resulting tables or figures. | Where should the method be reported, and what reproducibility information is required? |
Do not minimize a use by describing only the final keystroke. If a tool proposed a rewrite and you accepted it after changing a few words, that is substantive assistance, not merely a spell-check.
Where should the disclosure appear?
Placement is part of compliance. Put the statement in every location the venue names, using consistent wording and details.
Cover letter
Use the cover letter when the guidelines ask editors to evaluate eligibility before reading the manuscript, as Waymark does, or when Oxford University Press requires it. State the use plainly near other declarations; do not hide it in a general note about software.
Inside the literary work
The Missouri Review requires specific disclosure within the piece as well as in the cover letter. The Paris Review’s guidance calls for an express note when AI is an overt creative component. Follow the venue’s preferred location—front matter, endnote, or another specified position—rather than choosing your own.

Acknowledgements
Oxford University Press requires disclosure in acknowledgements as well as the cover letter. Keep the acknowledgement factual: identify the tool, the task, and your review, without presenting the system as a collaborator or author.
Formal declaration section
For an Elsevier book manuscript, use the exact heading “Declaration of generative AI and AI-assisted technologies in the writing process.” Place it at the end of the manuscript immediately above the references. Basic spelling, grammar, and punctuation checks do not require this declaration under the cited policy, but a broader use does.
Submission form or ethics section
ICMJE recommendations call for disclosure at submission and in the appropriate manuscript section. If an online form has a dedicated AI field, complete it even when the same statement appears in the manuscript; a form is not replaced by an acknowledgement paragraph.
What should an AI disclosure say?
A useful statement lets an editor determine eligibility without guessing. Include the tool’s name and version, the dates when relevant, the purpose, the affected sections or materials, and the human checks you performed. Oxford University Press specifically asks for the author’s role in directing and reviewing output, while Elsevier asks for the extent of oversight.

Adapt this wording only after checking the venue’s required location and format:
“During preparation of this submission, I used [tool and version] on [dates, if requested] to [specific task, such as copy-editing, translation, brainstorming, or organization] in [sections or materials]. I reviewed and edited the output, verified sources and originality, and take full responsibility for the submitted work.”

Replace every bracketed element with concrete information; do not leave template brackets in a submission. If several tools were used, list each one and connect it to its task. If use changed over revisions, give the relevant date range or identify the affected version of the manuscript.
Example: limited copy-editing where permitted
“I used [tool and version] for spelling, grammar, and punctuation checks in Chapters 1–4. I accepted changes manually and reviewed the complete manuscript. No generated text or substantive rewrites were incorporated.”
Example: supervised developmental suggestions
“I used [tool and version] to suggest organizational options for the introduction and discussion on [dates]. I selected and rewrote suggestions myself, verified every factual claim against the cited sources, and remain responsible for the final text.”
Example: research and visual material
“I used [tool and version] to generate research leads and an initial diagram concept for Figure 2. I checked the underlying sources, redrew the figure, confirmed permissions, and disclose the use here because the venue requests it.”
Do not claim that you “verified originality” unless you actually performed a meaningful review. That review can include comparing the output with your drafts, checking quotations and citations, and searching for distinctive phrases that may have been reproduced.
What if the venue prohibits AI assistance?
Do not assume that disclosure cures a violation. The Paris Review bars writing generated, modified, edited, translated, or otherwise assisted by generative AI. PEW Literary rejects submissions written using generative AI and discourages AI-powered editing except spelling and grammar checks. A project that falls within such a prohibition should be revised without the prohibited assistance or sent to a venue whose policy permits the intended process.

- Map the prohibited scope. Determine whether the ban covers only generated prose or also editing, translation, brainstorming, research, images, and supplementary files.
- Separate eligible from ineligible material. Keep a clean version of sections produced without prohibited assistance. Do not assume that deleting the final generated paragraph removes the underlying violation if the tool shaped the work in a prohibited way.
- Ask before making a borderline submission. Send the editor a concise description of the use and request a written answer. Keep that answer with your submission records.
- Choose a compliant path. Remove the prohibited assistance and document the new process, or submit elsewhere. Do not conceal the use because the policy appears difficult to enforce.
How do I keep records of AI use?
Recordkeeping protects you when an editor asks for clarification months after submission and helps you write an accurate statement. A simple spreadsheet or folder is sufficient.
- Tool name, model or product version, and account or workspace used.
- Date or date range, especially when the venue recommends dates for complex cases.
- Purpose of each interaction and the manuscript sections, figures, translations, or files affected.
- Prompts, meaningful outputs, and the portions you retained, where practical.
- Human review performed: fact-checking, source verification, originality checks, rights review, and final line-by-line approval.
- The policy page consulted, access date, and any editor’s written interpretation.
Keep the log separate from the manuscript if it contains sensitive prompts or third-party material. Retain only what is needed under your privacy, contractual, and institutional obligations.
Can I upload an unpublished manuscript to an AI tool?
Only after checking the tool’s privacy and data-use terms and confirming that the upload is allowed. Unpublished fiction, memoir, academic data, client material, and co-authored drafts may contain confidential information or third-party rights. A free service may retain prompts or use them for service improvement; the relevant terms, account settings, and organizational policy determine the risk.
Before uploading, remove unnecessary personal data, confidential sources, identifying details, and proprietary tables. Obtain permission from co-authors or an employer when required. If the terms do not clearly protect the material, use a local or approved system, or work without the tool.
What responsibilities remain with the human author?
Disclosure does not transfer responsibility to the software. Human authors remain accountable for accuracy, originality, integrity, copyright, confidentiality, and attribution.
- Verify facts and quotations. AI systems can invent sources, misquote passages, or provide incomplete references. Open each cited source and check the wording, page or location, date, and context.
- Check bias and omissions. Examine whose perspectives are missing, whether examples are stereotyped, and whether the tool introduced unsupported generalizations.
- Confirm originality and rights. Compare retained language with your drafts and source texts. Obtain permissions for protected images, long quotations, translations, datasets, and commissioned material.
- Review every accepted change. A fluent sentence can still alter meaning, voice, chronology, argument, or characterization.
- Use a human author list. Do not list an AI system as a co-author. ICMJE states that chatbots and other AI-assisted tools cannot be responsible for the accuracy, integrity, and originality of a work; the human authors must accept those duties.
How can I prepare a compliant submission step by step?
Use this workflow for a manuscript, article, book proposal, or literary submission.
Best Value
- Freeze the version you intend to send. Give the file a date and version number so the disclosure refers to a definite text.
- Inventory every AI interaction. Include assistance used for the manuscript, cover letter, synopsis, translation, images, tables, code, and research notes if the venue may consider them part of the submission.
- Classify each interaction. Mark it as brainstorming, research, translation, surface correction, substantive editing, generation, visual creation, or analysis.
- Match each category to the venue’s rule. Label it permitted, exempt, disclosure-required, unclear, or prohibited. Treat “unclear” as a reason to ask the editor, not as permission.
- Draft one factual disclosure. Name tools and versions, explain purposes, identify affected material, and describe your review. Add dates where requested or useful.
- Place it exactly where required. Insert it in the cover letter, manuscript, acknowledgements, declaration section, submission form, or all applicable locations.
- Run a responsibility review. Check every source, quotation, factual assertion, image right, data output, and attribution. Remove invented citations and unsupported claims.
- Confirm authorship and confidentiality. Ensure only human contributors are listed as authors and that uploaded material was handled under acceptable privacy terms.
- Save the final package. Keep the submitted file, disclosure text, policy copy, AI-use log, and any editor correspondence together.
What mistakes can make a disclosure fail?
- Using a generic sentence. “AI was used” does not tell an editor what tool, task, or section is involved.
- Disclosing in only one place. If the policy requires both a cover letter and the manuscript, duplicating the same facts is necessary.
- Calling a rewrite a grammar check. Changes to argument, structure, voice, or content are substantive even when the final prose is heavily edited by you.
- Relying on a past policy. A rule that applied to an earlier submission may not govern a revised manuscript or a different imprint.
- Assuming silence means permission. Ask the editorial office when the guidelines omit the use you made.
- Leaving placeholders or vague dates. Complete the statement with real tool names, versions, sections, and dates when requested.
- Failing to disclose non-text material. Research summaries, diagrams, images, translations, and data analysis may have separate requirements.
- Uploading confidential text casually. Privacy terms and retention settings can affect unpublished work, even when the venue itself allows AI assistance.
What is the safest rule when policies conflict?
Apply the strictest rule that governs the actual destination and the actual use, then obtain written clarification for any unresolved conflict. A permissive statement from a tool provider, university, or previous journal does not override the receiving venue’s requirements. Your submission is compliant only when its content, disclosure, placement, authorship, and handling of confidential material all meet that venue’s current instructions.
Frequently Asked Questions
Should I disclose AI used only for a cover letter or query letter?
Treat the cover letter or query as part of the submission package unless the venue expressly excludes it. Record the use and ask the editor whether the statement belongs in the letter itself, a form, or a separate correspondence; do not assume a policy about the manuscript automatically covers ancillary documents.

The rule in force at submission generally determines whether the package is eligible, but an editor may ask about the earlier process. Keep your dated records and describe what actually happened; do not backdate a disclosure or silently rewrite history.
Do co-authors need to approve the disclosure?
Yes, coordinate the wording with every human author before submission. They share responsibility for the accuracy, originality, permissions, confidentiality, and final review described in the declaration, and a co-author may have contractual or institutional restrictions on AI use.
How should I handle AI-generated citations that I cannot verify?
Remove them rather than citing an unverified reference. If a real source exists, locate and read it yourself, correct the bibliographic details, and disclose the research assistance if the venue requires that category of use.
