AI-powered phishing is still a social-engineering attack: a message, call or post tries to make you click, install something or reveal information. Artificial intelligence can make the wording, branding, timing and even a caller’s voice more convincing, so spelling errors and an unfamiliar tone are no longer reliable tests. The safest response is to pause, identify the requested action, and verify it through a contact method you already know is genuine. Layer that habit with phishing-resistant multi-factor authentication (MFA), updated filtering and security software, prompt patching, staff reporting and a rehearsed recovery plan. If you clicked, entered a password or opened a file, treat each as a different incident and act quickly rather than trying to diagnose the damage from one symptom.

What is AI-powered phishing, and why is it harder to spot?

Phishing is an attempt to impersonate a trusted person or organization so that you open a harmful link, download malware or disclose credentials, payment details or other sensitive information. It can arrive by email, text message, phone call, social-media message, collaboration app or a fake login page. NIST describes the core tactic as convincing communication intended to trigger one of those actions.

AI changes the quality and scale of the impersonation, not the underlying objective. A model can produce fluent language, tailor a request to a current event, imitate a company’s style, translate it into a recipient’s language or generate a convincing voice or image. A familiar display name, logo, polished grammar or apparently personal detail therefore proves very little. The question that matters is whether the requested action is expected and independently verified.

The Federal Trade Commission reported in an April 2025 consumer alert that email was the top method scammers used to contact people in 2024. That finding does not mean other channels are safe; it means an inbox remains a primary place to apply disciplined verification.

How can I tell if an email is phishing?

Look for a combination of context, requested action and technical clues. No single clue is conclusive, and a well-made AI message may avoid several traditional warning signs.

Start with the requested action

  • Urgent money movement: a wire, gift-card purchase, payroll change, invoice payment or cryptocurrency transfer that cannot wait for normal approval.
  • Credential entry: a request to sign in, reset a password, approve a multi-factor prompt or “verify” an account through a message link.
  • Secret information: tax data, customer records, identity documents, recovery codes or confidential business material.
  • Unexpected software activity: opening an attachment, enabling macros, installing a browser extension, running a script or allowing remote access.

Pause whenever a message combines urgency with one of those actions. A real deadline can still be handled through a known channel; urgency is not a reason to bypass verification.

Check the sender and destination, but do not stop there

  • Inspect the complete sender address, not only the display name. Look for a substituted character, an added word, an unrelated domain or a look-alike domain.
  • Hover over a link on a computer, or press and hold it on a phone when the operating system offers a preview. Compare the actual destination with the organization’s known domain.
  • Be cautious with shortened links, unexpected QR codes and attachments whose names or file types do not fit the conversation.
  • Check whether a supposed business message has a generic greeting, missing signature details or an unusual reply-to address.

These are clues, not a pass/fail checklist. Attackers can spoof addresses, compromise real accounts and copy legitimate branding. A message that passes visual inspection still needs independent confirmation when the consequence is significant.

Use a separate, trusted route to verify

Do not call the phone number in the message or use its link to reach the purported service. Open the organization’s known app, type a web address you have used before, use a bookmark you created independently or call a number from a statement, contract or official directory. For a request from a manager, supplier or family member, contact that person through a different channel you already trust. Ask for confirmation of the exact action and amount, not merely “Did you send this?”

Treat polished language and familiar voices as unverified

AI can remove the misspellings and awkward phrasing that older awareness training emphasized. It can also imitate a colleague’s writing style or a relative’s voice. Require an independently established verification step for unusual payments, account resets, confidential disclosures or requests that break normal procedure. A short call to a known number, a confirmation in an existing conversation or a second approver is more dependable than the message’s appearance.

Which phishing attacks arrive outside email?

The same deception appears under different names, so your response should not depend on the delivery channel.

Smishing: text-message phishing

Texts often use delivery notices, unpaid-toll claims, account alerts or two-factor warnings to create a quick tap. Do not follow an unexpected text link. Open the relevant service directly, and forward suspected phishing texts to 7726 (the number used by many carriers for spam reporting).

Vishing: voice calls and voice clones

A caller may claim to be a bank employee, technician, executive or relative. AI-generated speech can make a familiar voice sound authentic, but it cannot establish that the call is genuine. End the call and dial a known number; for a family emergency, use a pre-agreed verification question or another trusted relative.

Spearphishing and whaling

Spearphishing targets a particular employee or team with information gathered from public profiles, prior breaches or company documents. Whaling focuses on executives or people who can authorize money and data transfers. Organizations should require a second person to approve high-impact requests, even when the request appears to come from a senior leader.

Social-media and collaboration scams

Direct messages can contain fake support accounts, “investment” opportunities, shared-document invitations or links to counterfeit sign-in pages. Verify the account through the service’s official profile or support route, and never provide a password or recovery code in a chat.

What should I do before opening a link or attachment?

Use this short decision process whenever a message is unexpected or asks for a consequential action.

  1. Stop. Do not click, reply, download or forward the message to colleagues as a warning until you have assessed it. Avoid approving an unexpected MFA prompt.
  2. Identify the claim. Write down who supposedly sent it, what it wants you to do, the deadline and what information or money is at stake.
  3. Verify independently. Navigate through a known app, bookmark or phone number. For business requests, follow the organization’s documented approval path and obtain a second confirmation for payment or account changes.
  4. Use a safer route if action is legitimate. Sign in by typing the service’s known address, upload a file through the established portal or ask the sender to place it in the normal shared system.
  5. Report and remove. Use your mail or messaging service’s phishing-report control, tell your security or IT contact and then delete the message. Keep it available if your organization needs the original headers for investigation.

Never send credentials, one-time codes, recovery keys or identity documents in response to an unsolicited message. A legitimate support worker will not need your password.

How do I protect my accounts from phishing?

Use several controls because each addresses a different stage of an attack. Authentication can stop a stolen password from being enough, while filtering, patching and training reduce the chance that a malicious message is opened in the first place.

Choose phishing-resistant MFA for important accounts

NIST identifies FIDO authenticators used with the Web Authentication API (WebAuthn) as a widely available phishing-resistant option. The authenticator proves the legitimate website’s identity during sign-in, so a fake site cannot simply relay a code. It may be built into a phone or computer, or provided as a separate hardware security key. Confirm that your account, browser and device support the method before relying on it, and enroll a recovery method that you can protect.

One-time passwords and SMS codes are better than a password alone but can still be phished, redirected or intercepted. Use them when stronger methods are unavailable, then move high-value accounts to a phishing-resistant option when the service supports it.

Authentication method Resistance to fake sign-in pages Compatibility and recovery considerations Best use
Password only Low; a captured password can be reused Works almost everywhere; recovery depends on the service Never for an important account when MFA is available
SMS or email code Limited; a user can be tricked into revealing the code Broad reach, but depends on phone or email access Fallback when stronger MFA is not offered
Authenticator-app one-time code Better than SMS, but still phishable in real time Requires enrollment and protected backup or recovery Accounts that do not support FIDO/WebAuthn
FIDO/WebAuthn authenticator Designed to resist phishing by binding the sign-in to the genuine site Check account and device support; plan for a lost or replaced authenticator Email, financial, administrator and other high-impact accounts

Phishing-resistant authentication protects the sign-in step; it does not prevent a user from installing malware or giving personal information to a scammer. Keep the other layers in place.

Secure email and messaging

  • Enable the provider’s spam and phishing filters, and make sure users can report a suspicious message with one action.
  • For domains you control, configure available email-authentication controls that check message origin and can reject spoofed mail. Have an administrator monitor failures and legitimate senders that are being blocked.
  • Mark messages from outside the organization where practical, restrict risky attachment types and scan links and files before delivery.
  • Use data-loss prevention or outbound review for sensitive records when the organization’s risk warrants it.

Harden devices and networks

  • Keep the operating system, browsers, applications and security software updated. Turn on automatic updates where they are reliable.
  • Maintain antivirus or endpoint protection, allow it to update, and schedule scans. Security software can miss new malware, so do not use a clean scan as permission to ignore suspicious behavior.
  • Use standard user accounts for everyday work, block unnecessary scripts or macros and restrict software installation to approved sources.
  • Back up important data, keep at least one backup separated from the device and test that you can restore it.
  • For a small organization, segment critical systems and limit administrative privileges so one infected workstation cannot reach everything.

Reduce the information an impersonator can use

Review public social profiles, staff biographies and exposed contact details. Remove unnecessary personal information, avoid publishing direct lines used for verification and teach employees to be cautious about connection requests that collect organizational details. Strong, unique passwords stored in a reputable password manager reduce damage when one service is breached.

How should a small organization train and respond?

Training works best when it explains the decision employees must make and gives them a blame-free way to report. Show realistic examples of payment changes, shared-document invitations, MFA fatigue and voice requests. Ask staff to describe the independent verification step they would use, rather than rewarding them only for spotting a suspicious-looking design.

Yubico - Security Key NFC - Basic Compatibility - Multi-Factor Authentication (MFA) Key, Connect via USB-A or NFC, FIDO Certified
  • POWERFUL SECURITY KEY: The Security Key NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key NFC secures 100 of your favorite accounts, including email, password managers, and more.
  • FAST & CONVENIENT LOGIN: Plug in your Security Key NFC via USB-A and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.

  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.

Create a simple reporting path

  • Provide one visible button or address for reporting suspicious messages.
  • Tell employees what to do if they clicked: disconnect from sensitive work, call the security contact and preserve the message or alert.
  • Define who can freeze a payment, disable an account, isolate a device or contact a customer.
  • Review reports for patterns and update filters, procedures and training without shaming the reporter.

Require stronger checks for high-impact actions

Use two-person approval for new payment destinations, payroll changes, bulk data exports, administrator creation and password-reset requests. The second approver should verify through a channel chosen before the request arrived. This control addresses account compromise and convincing impersonation alike.

What should I do if I clicked a phishing link?

A click alone does not prove that malware installed, but it is a reason to stop and assess. The next steps depend on whether you entered information or opened a file.

If a page opened and you entered nothing

  1. Close the tab or app and do not download anything it offers.
  2. Record the message, destination and time, then report it through your organization or service provider.
  3. Check for unexpected downloads, browser extensions or prompts. If anything installed or behavior changed, follow the malware path below.

If you entered a password or one-time code

  1. From a device you trust, change the exposed password immediately. Change it anywhere else you reused it, using a unique password for each service.
  2. End active sessions, remove unfamiliar devices or recovery methods and review recent sign-ins.
  3. Enable MFA; choose FIDO/WebAuthn where the account supports it. Do not approve unsolicited MFA prompts.
  4. Contact the affected bank, payment service or administrator if financial or business data may be exposed, and ask what transactions or access should be frozen.

If you downloaded, opened or ran a file

  1. Stop using that device for sensitive logins and disconnect it from networks if your organization’s procedure says to isolate it. Do not attempt to “test” the malware by opening the file again.
  2. Tell your IT or security contact. On a personal device, update trusted security software and run a full scan; follow its quarantine or removal instructions.
  3. Use a separate, trusted device to change affected and reused passwords and enable MFA.
  4. Watch financial and account activity, contact providers promptly and preserve relevant alerts or files for investigation.

Businesses should activate their incident-response plan, involve the appropriate internal responders and notify affected parties when required. Do not wipe a business device before responders advise you; evidence may be needed to determine scope.

What signs suggest malware may be present?

The Federal Trade Commission lists unexplained slowdowns or crashes, changed browser settings or redirects, new toolbars, repeated pop-ups or operating-system errors, disabled security tools and messages sent from your accounts without your knowledge as possible signs. These symptoms are clues, not proof: a failing hard drive, an unwanted extension or a software bug can look similar, and security software may not detect brand-new malware immediately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Look for several changes that began after the suspicious event, check account activity from a clean device and let qualified support or an incident responder examine the system. Avoid entering passwords on the possibly affected device while the cause is unknown.

Where should I report phishing and related crimes?

Report suspected phishing messages to your mail or messaging provider and to the organization being impersonated. In the United States, the FTC accepts consumer reports at ReportFraud.ftc.gov; suspected phishing texts can be forwarded to 7726. NIST’s small-business guidance points organizations to the FBI’s Internet Crime Complaint Center for phishing crimes. Use the reporting channel appropriate to your country, and include the original message, headers, phone number or URL when the form allows it.

Reporting helps providers block infrastructure and can support recovery, but it does not replace changing exposed credentials, contacting a bank or isolating a potentially infected device.

What does a practical defense plan look like?

Use this checklist to turn the guidance into routine controls.

  • Today: enable MFA on email, financial and administrator accounts; replace reused passwords; save known contact numbers and official web addresses in a password manager or trusted address book.
  • This week: verify that operating systems, browsers and security software update automatically; turn on spam and phishing reporting; review public profile information and recovery methods.
  • This month: test a backup restore, document payment-change verification, restrict risky attachments and run a short, no-blame phishing exercise focused on independent verification.
  • After every incident: preserve the message and timeline, reset credentials from a safe device, scan or isolate affected systems, notify the right people and record what control should change.

The goal is not to identify every AI-written sentence. It is to make an unverified request fail safely, even when the imitation is excellent.

Frequently Asked Questions

Can AI-generated phishing messages get through spam filters?

Yes. Filters score sender reputation, message patterns, links and attachments, but a compromised legitimate account or a newly created domain may not look suspicious immediately. Treat filtering as a reduction in exposure, not proof that an inbox message is safe, and keep independent verification for high-impact requests.

Is it safe to open a link if I do not type my password?

A link click does not automatically mean an infection, but a page can still prompt a download, exploit an unpatched browser or collect identifying information. Close unexpected pages, check the device for downloads or changes, report the message and install pending security updates.

Are authenticator apps completely phishing-proof?

No. Time-based codes and push approvals can be relayed or socially engineered, and an attacker may pressure you to approve a prompt. FIDO/WebAuthn is designed to bind authentication to the genuine site; use it for important accounts when supported and still verify unusual requests.
