Do not judge a suspicious message by grammar, spelling, or image quality. AI can produce polished, personalized emails, convincing websites, cloned voices, and realistic video. The reliable test is whether the sender’s identity, the message context, the destination you are being sent to, and the requested action all hold up when checked through a separate trusted channel.

Pause before responding, inspect the complete sender and reply-to addresses, read link destinations, treat unexpected attachments and requests for passwords or money as high risk, and independently call or message the supposed sender. For voice, video, or images, visual artifacts are clues rather than proof; confirm the person and the request using contact details you already trust.

Why is AI-generated phishing harder to recognize?

Generative AI removes many traditional warning signs. A criminal can produce fluent copy in a target’s language, personalize it with public information, create a matching fake login page, and send thousands of variations. The FBI says criminals use generative AI for believable text, fraudulent websites, images, cloned voices, and videos. It also warns that AI-generated content has advanced to the point that it is often difficult to identify.

That means a clean layout, correct spelling, familiar branding, or a voice that sounds like someone you know cannot authenticate a message. Treat those features as presentation, not identity. Authentication comes from an independent check of who contacted you and what they are asking you to do.

The FBI uses “spoofing” to describe disguising an email address, sender name, phone number, or website URL so it appears trusted. AI makes the disguise more persuasive, but the underlying attack still depends on getting you to click, disclose a secret, send money, install software, or change an account.

How can I check whether an email or message is phishing?

Use the following sequence before clicking, replying, opening an attachment, or approving a payment. Stop at the first failed check; you do not need to prove that a message is malicious before declining to act.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Pause on pressure. Urgency, fear, secrecy, unusual authority, or a demand to act while someone else is unavailable are risk signals. Put the message aside long enough to verify it.
  2. Expand sender details. View the complete From address and the Reply-To address. Compare the domain character by character with the organization’s known domain. A familiar display name is not evidence that the underlying address is genuine.
  3. Inspect every destination. Hover over a link on a computer or press and hold it on a phone to preview the destination without opening it. Watch for misspellings, extra words, deceptive subdomains, shortened links, unexpected country domains, or a destination that does not match the claimed organization.
  4. Classify the requested action. Treat requests for passwords, multifactor-authentication codes, gift cards, cryptocurrency, wire transfers, bank-detail changes, tax information, or other credentials as high risk. Companies generally do not ask for usernames or passwords through an unsolicited message.
  5. Check the context. Ask whether the timing, sender, amount, file type, and wording fit the person’s normal behavior. A real project can still be used as the pretext for a fraudulent request.
  6. Verify elsewhere. Use a phone number from an existing contact, a previously trusted chat thread, an in-person check, or a second colleague. Never use the phone number, reply address, or link supplied by the suspicious message.
  7. Report and preserve. Submit the message through your organization’s phishing-report mechanism. Keep the original message, including its headers and attachments, if a security or fraud investigation may be needed.

Which warning signs deserve the fastest stop?

Signal Why it matters Safe response
“Act now,” secrecy, or threats Pressure prevents independent checking and makes unusual requests feel routine. Stop and verify with a known contact method.
Display name matches a colleague but the domain differs Display names are easy to copy; the real address may belong to an attacker. Compare the full address with a known address character by character.
Unexpected attachment or login link Files can deliver malware and links can lead to credential-harvesting pages. Do not open it; confirm the sender and purpose separately.
Password, MFA code, gift card, crypto, wire, or account-change request These actions transfer access or money and are common objectives of impersonation. Decline the request until independently confirmed.
Shortened or unfamiliar URL The visible text may conceal the real destination. Navigate to the organization’s known site or app yourself.

How do I verify a request from my boss, a supplier, a bank, or a government office?

Use a trusted channel that existed before the suspicious contact. Verification should confirm both the person and the specific action, not merely that the person’s account or voice can be imitated.

Executive, payroll, and supplier requests

Do not approve a wire, change bank details, buy gift cards, or disclose payroll data from an email alone. Call the executive or supplier at the number in your address book or an established contract, or ask a second authorized colleague to confirm the request. For high-value transactions, use the organization’s normal dual-approval process even when the request appears to come from the chief executive.

Bank and payment-service messages

Do not follow the message’s link or call its number. Open the bank’s official app or type its known web address yourself, then review alerts and contact support through the published channel. Never provide a one-time code to someone who contacted you; a legitimate support worker does not need you to read that code back to them.

Government or law-enforcement claims

Unexpected demands for immediate payment, secrecy, or a password are incompatible with a safe verification process. Find the agency’s contact information independently and ask whether the notice is genuine. Do not rely on caller ID, which can also be spoofed.

Family or friends in a crisis

A cloned voice or video may use a real person’s name and personal details. Hang up and call the person’s known number, or contact another family member. A private family phrase agreed in advance can help authenticate an unexpected emergency call, but it must not be posted publicly or shared with the caller.

How can I spot a deepfake image or video?

Look for several independent inconsistencies, then verify the person and request outside the recording. No single visual artifact proves that media is synthetic, and high-quality deepfakes can evade casual inspection.

  • Face and body: irregular facial proportions, distorted hands or feet, unrealistic teeth or eyes, and accessories that merge into hair or skin.
  • Lighting and reflections: shadows that point in incompatible directions, highlights that do not match the scene, or reflections missing from glasses, windows, or shiny surfaces.
  • Edges and motion: flickering hair or jewelry, halos around the face, background geometry that bends, unnatural head movement, or abrupt changes in detail.
  • Audio-visual fit: lip movements that do not match speech, a voice that seems detached from the room, inconsistent echo, or a delay between words and facial movement.
  • Behavior and setting: a person acting unlike themselves, a location that does not fit the claimed event, or a watermark and caption that appear to change between frames.

For a live call, ask a context question the impersonator would be unlikely to know and request a simple action that fits the situation. Do not treat a correct answer as conclusive: public posts and stolen messages can supply personal facts. Complete the check by calling the person through a known number or using a pre-existing conversation.

What are the signs of an AI-cloned voice?

Audio deepfakes may sound natural for short phrases, especially when the criminal has a clear recording of the target. Listen for timing, cadence, unusual word choice, emotional flatness, clipped consonants, unnatural pauses, or a request that conflicts with the relationship. Background noise and call quality can create similar artifacts, so audio clues are not authentication.

End the call and dial the known number yourself. If the caller claims the normal number is unavailable, use another independent route such as a trusted colleague, family member, or the organization’s official app. Never disclose an MFA code, transfer funds, or reveal private information merely because the voice sounds familiar.

What should I do if I clicked, opened an attachment, or replied?

Act quickly, but do not panic or continue interacting with the sender. The right response depends on what happened: a click without data entry, an opened file, submitted credentials, or a completed payment each requires different containment.

If you only clicked a link

  • Close the page and do not download software or enter information.
  • Report the message and tell your security team or service provider what you clicked and when.
  • Watch for new sign-in alerts, browser prompts, or unexpected account changes.

If you opened an attachment or installed something

  • Disconnect the device from sensitive networks, including corporate Wi-Fi or a VPN, while leaving it powered on if your security team needs to examine it.
  • Contact your security team or provider immediately and describe the file and actions taken.
  • Do not use the potentially affected device to change passwords until it has been assessed; use a clean device instead.

If you entered a password or MFA code

  • From a clean device, change the exposed password anywhere it was reused.
  • Revoke suspicious sessions and review recent sign-ins, recovery details, forwarding rules, and newly authorized applications.
  • Tell your security team or provider that credentials and possibly a token were exposed. An MFA approval or code does not make a fraudulent login legitimate.

If money or identity information was sent

  • Contact the bank, card issuer, payment service, or identity provider through its official channel and ask what reversal or account-protection options are available.
  • Report the fraud to the relevant authority in your jurisdiction.
  • Preserve the original message, full headers, URLs, attachment names, call records, screenshots, transaction details, and a timeline of events.

How organizations should contain an incident

Microsoft’s phishing investigation playbook describes six stages that can be adapted to an organization of any size:

  1. Identify and confirm: determine whether the message, account, or media is malicious.
  2. Scope affected users: find every recipient, device, mailbox, and account exposed.
  3. Assess activity: check clicks, attachment opens, credential submissions, sign-ins, token use, mailbox rules, and endpoint activity.
  4. Contain: remove messages, reset accounts, revoke sessions, block malicious indicators, and isolate affected devices.
  5. Recover: restore normal access with multifactor authentication, filtering, and verified clean devices.
  6. Improve detection: update detections, training, reporting routes, and response playbooks based on what happened.

Which protections reduce phishing and deepfake risk?

Controls should make an attacker’s request fail even when a person is fooled. Multifactor authentication is important, but users must never give an MFA code to an unsolicited contact or approve a prompt they did not initiate.

For individuals

  • Use unique passwords and multifactor authentication on email, financial, and social accounts.
  • Keep operating systems, browsers, messaging apps, and security software updated.
  • Limit public exposure of voice recordings, high-resolution face images, travel plans, workplace details, and family relationships where practical.
  • Set a private family phrase for unexpected crisis calls and change it if it is exposed.
  • Bookmark or type important service addresses instead of following links in unexpected messages.

For organizations

  • Mark external mail clearly and maintain gateway, URL, and attachment filtering.
  • Provide a simple phishing-report button and train users to report without fear of punishment.
  • Require independent verification and dual approval for payment or bank-detail changes.
  • Monitor sign-ins, token use, mailbox forwarding rules, and unusual data access.
  • Review controls as file-based and AI-assisted attack methods change.

Microsoft reported that its defenses thwarted USD 4 billion in fraudulent transactions and rejected 49,000 bogus partner-enrollment attempts in its Digital Defense Report 2025. Those figures describe Microsoft’s own defensive activity, not the probability that any individual message is malicious, and they do not replace local verification.

FinCEN reported in 2024 that suspicious activity involving deepfake media was increasing, particularly fraudulent identity documents used to bypass identity verification and authentication. That trend is a reason to strengthen identity checks, not a reason to assume every unusual image or video is fake.

Should I trust an AI deepfake or phishing detector?

Detectors can provide an additional warning, but they should not make the final decision. Synthetic media changes quickly, false positives can disrupt legitimate work, and a detector may not have access to the evidence needed to authenticate the sender or request.

When evaluating a tool or service, ask whether it can independently verify identity, resist spoofing, inspect headers and URLs, analyze media provenance and artifacts, integrate with incident response, protect submitted data through clear privacy and retention controls, support accessible workflows, and receive timely updates. A tool that only labels an image or scores text is advisory; a known-channel confirmation remains the decisive control.

Capability Question to ask What it cannot establish alone
Identity verification Can it confirm the person through a trusted, independent factor? That the request is authorized or appropriate.
Email analysis Can it inspect full headers, reply-to data, links, and attachment behavior? That a legitimate account was not compromised.
Media analysis Can it examine provenance, frame artifacts, audio timing, and context? That a real recording was used for a legitimate purpose.
Incident response Can it help remove messages, revoke sessions, and document affected users? That no other account or device was exposed.
Privacy and updates What data is retained, and how are detection models updated? That the service is suitable for confidential material without a policy review.

What does a safe decision look like in common scenarios?

“The CEO” asks for gift cards

The display name and writing style may be perfect. Do not buy anything; call the executive or an established delegate using a known number and report the message.

A “bank” asks for an MFA code

Do not read the code or click the supplied link. Open the bank’s app yourself, check alerts, and contact support through the published channel.

A video call shows a relative in trouble

End the call and contact the relative or another family member through a known number. Use the private family phrase if one exists, but do not reveal it to the caller.

A supplier sends new bank details

Keep the existing payment instructions until the change is confirmed through the established contract contact and your normal approval process. A convincing email is not sufficient evidence for a financial change.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is the most reliable rule for suspicious digital identity?

Separate appearance from authentication. Grammar, logos, caller ID, a familiar voice, a live video feed, and a plausible personal detail can all be manufactured or stolen. Verify the identity and the requested action through a channel you already trust, and treat any request for secrets, money, or unusual account changes as unapproved until that verification succeeds.

Frequently Asked Questions

Can perfect grammar prove that an email is safe?

No. AI can produce fluent, correctly spelled messages, and a criminal can copy a legitimate organization’s tone and branding. Judge the address, destination, context, and requested action instead of writing quality.

Are online deepfake scores enough to clear a video or voice call?

No. A score is an advisory signal and can be wrong in either direction. Confirm the person and the request through a known number, existing conversation, or another independent factor.

Should I reply to a suspicious sender to ask whether the message is real?

Do not use the suspicious thread as your verification channel. A reply confirms that your address is active and leaves the attacker in control of the conversation; start a new contact through details you obtained independently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How much personal audio and video should I post publicly?

Share only what is necessary and review old public posts for clear voice recordings, high-resolution face footage, and details that reveal relationships or routines. Reducing the material available for cloning lowers exposure, although it cannot prevent every impersonation.

Is there one visual clue that always exposes a deepfake?

No. Artifacts such as odd eyes, hands, shadows, or lip movement are useful prompts to investigate, not universal tests. High-quality synthetic media may hide them, so independent identity confirmation is still required.
