To create an invoice in Sage, first identify your product and country edition, then open its sales-invoicing screen, choose or add the customer, enter each product or service line, verify tax and totals, and save or process the invoice. The menu is different in each major edition: Sage 50 U.S. uses Tasks > Sales/Invoicing, Sage Accounting uses Sales > Sales Invoices > New Invoice, and Sage 50 Accounts U.K. uses Invoices and credits > New invoice. After saving, you can print or email the invoice when that edition provides the option. The checks that matter in every edition are the customer, invoice date, descriptions, quantities, prices, tax, payment terms and delivery details.
What is the correct Sage invoice workflow?
The screen names vary, but the underlying process is consistent. Work through the following sequence, using the edition-specific instructions below for the exact menu path.

- Open the sales or invoicing area. Start a new invoice rather than editing an unrelated transaction.
- Select or add the customer. Confirm the legal name and billing details shown on the invoice. For email delivery, the customer record must contain an email address.
- Enter the invoice date and terms. Use the date that should appear on the document and complete any payment-term, notes or footer fields your edition provides.
- Add every product or service line. Enter the item or description, quantity, unit price or amount, and the applicable tax information.
- Review the document. Check the customer, date, line descriptions, quantities, prices, tax, subtotal, total, payment terms and any order or footer information before posting it.
- Save or process the invoice. This records the transaction. Use the edition’s print or email command to deliver a copy after it has been saved or processed.
A useful control is to compare the finished invoice with the customer order or service agreement before you click Save. Correcting a typo in a description is easy; correcting the wrong customer, tax treatment or amount after posting can require a separate adjustment process that differs by edition.

Step-by-step in Sage 50 U.S.
- Choose Tasks from the main menu, then select Sales/Invoicing.
- In Customer ID, select the customer who should be billed. Stop and add or correct the customer record if the displayed name or address is wrong.
- For each charge, enter the Quantity, Item, Description, Tax and Unit Price or Amount requested by your invoice.
- Review the calculated lines and total. Make sure taxable and non-taxable lines have the intended tax selection; do not assume that every line uses the same treatment.
- Choose Save to record the invoice, or Print when you need a paper or print-ready copy at that point.
The Item field is useful when the charge corresponds to an item already maintained in Sage. The Description field should still be clear enough for the customer to understand what was supplied. If you bill a service or a one-off charge, use the field arrangement provided by your company file and describe the work precisely rather than leaving a generic line.
What to verify in the U.S. window
- The selected Customer ID belongs to the intended account, not merely a similarly named customer.
- Quantities and prices agree with the quotation, order or timesheet used to calculate the charge.
- Tax selections are correct for the transaction and the regional settings in the company file.
- The invoice date and any terms, notes or reference information required by your process are present before saving.
How do I create an invoice in Sage Accounting?
In Sage Accounting, go to Sales > Sales Invoices > New Invoice. Select or add the customer, choose a product or service (or enter a description), add the lines, and complete optional notes and terms and conditions when they apply.
Step-by-step in Sage Accounting
- Open Sales, select Sales Invoices, and click New Invoice.
- Select an existing customer or use the available option to add the customer. Check the billing details that will be carried onto the invoice.
- Choose the relevant product or service for each line. If the charge is not represented by a saved item, enter a specific description that identifies the work or goods.
- Enter the quantity and price or amount for each line, then apply the tax choice presented by your configuration.
- Complete the invoice date and any optional Notes or Terms and Conditions that the customer needs to see.
- Review the preview or on-screen totals, then save or process the invoice using the command shown by your account.
Use notes for information that belongs to this particular invoice, such as a delivery reference or scope clarification. Put recurring payment expectations in Terms and Conditions when that field is available and your organization has approved wording. Keep descriptions, notes and terms consistent so customers can match the invoice to the underlying work.
When a product or service is missing
If you cannot find the product or service you expected, do not select an unrelated item merely to complete the line. Enter a precise description if the screen permits it, or pause to update the customer, product or service records through your normal Sage administration process. The correct choice depends on how your account is configured and on the tax treatment attached to the item.

Step-by-step in Sage 50 Accounts U.K.
- Open Invoices and credits and select New invoice.
- Choose Product format as instructed for the documented invoice workflow.
- Enter the invoice Date and select the correct Customer account.
- For each line, select the appropriate Product code and check the resulting description, quantity, price and tax information.
- Open the Order, Footer or Payment tabs when you need to add the supported order reference, footer wording or payment details.
- Review the complete invoice and select Save.
Product codes can carry standard descriptions and pricing, but you should still read the rendered invoice. A code that looks familiar may be attached to an old price or tax setting. If the line does not describe the supplied item accurately, stop before saving and use the correct code or follow your company’s master-data correction process.

Order, Footer and Payment tabs
These tabs let you keep related information with the invoice when your company uses those fields. An order reference can help the customer match the bill to an approved purchase order; footer text can carry document wording; and payment details can explain how the balance should be settled. Complete only information that is accurate for this customer and transaction.
What should I check before saving or sending a Sage invoice?
A short review prevents most avoidable invoice disputes. Use this checklist immediately before you save, process, print or email.
- Customer: Verify the account, name and billing address. Similar customer names are a common source of misapplied invoices.
- Date: Confirm the invoice date is the date your accounting and payment terms require.
- Line items: Read every product code, item name and service description. Remove blank or duplicate lines.
- Quantity and price: Recalculate quantities, unit prices, discounts or amounts against the source order or agreement.
- Tax: Check the tax selection on each taxable line and confirm that the total reflects the intended regional setup.
- Totals: Compare subtotal, tax and final amount with your expected calculation.
- Terms and references: Confirm payment terms, order numbers, notes, footer text and payment instructions where your edition supports them.
- Presentation: Preview or print when possible so you can catch clipped descriptions, missing fields or an incorrect customer-facing layout.
- Delivery address: If you plan to email the invoice, confirm the customer record contains the intended email address.
Do not treat a successful save as proof that the invoice is correct. Saving records the transaction, but it does not validate your commercial agreement, tax decision or recipient.
How do I send an invoice from Sage?
Sage’s documented email process requires an email address in the customer record. From the Sales/Invoicing window, use the Email command and then choose Send. The exact placement of the command can vary by edition, so use the email option associated with the invoice you just saved or processed.

Emailing from Sage 50 U.S.
- Open or return to the invoice in the Sales/Invoicing area.
- Confirm that the customer record has the recipient’s current email address.
- Choose Email, review the message and attachment details presented by Sage, and select Send.
If Email is unavailable or the message cannot be addressed, return to the customer record and correct the email field before trying again. Sending to an old address is a delivery failure and a privacy risk, even when the invoice itself is accurate.
When printing is safer
Print or export through the option your edition provides when the customer has requested paper delivery, when the email address has not been verified, or when your organization requires a human review before electronic delivery. A printed copy is not a substitute for saving the transaction; save or process the invoice first so the accounting record exists.
Can I create recurring invoices in Sage?
Recurring invoices are available in supported Sage 50 editions, but the feature and controls are not universal across every Sage product, country or version. Check that your edition exposes a recurring-invoice function before promising an automatic billing schedule to a customer.
How to decide whether recurrence is appropriate
- Use recurrence only when the customer, description, price, tax treatment and billing interval are stable enough to repeat safely.
- Set a review point for contracts whose price, tax or scope can change; a recurring template should not silently carry an outdated amount.
- Confirm how the edition records, dates and delivers each generated invoice before enabling the schedule.
Sage’s U.S. documentation states a limit of 500 line items per invoice. That figure is stated for the documented Sage 50 Sales/Invoicing window and should not be generalized to Sage Accounting or every other Sage product. A recurring invoice with many lines should therefore be checked against the limits and behavior of the specific edition you use.

Tax labels, regional settings, invoice templates, payment processing and delivery controls can differ even when two products use the Sage name. Do not give a colleague a click path from another country edition and assume it will match their screen.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What should I do when an invoice is wrong or will not send?
Diagnose the failure by separating data problems from delivery problems. The following branches cover the issues most directly related to the documented workflow.
The customer, item or product code is wrong
Cancel or leave the new invoice unposted while you correct the selected customer or line. Recheck the account name, product code, description, quantity and price, then review the total again. In Sage Accounting, add the customer or enter a description only when that is the appropriate choice for your account; in Sage 50 Accounts U.K., select the correct product code rather than a near match.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The tax or total does not match expectations
Inspect the tax field on each line instead of changing the final total manually. Confirm that the transaction is using the correct regional and company-file settings, then recalculate quantity and price. If the tax result still differs from your approved calculation, stop and ask the person responsible for your Sage tax setup before saving.
The invoice saved but the customer did not receive it
First verify that the invoice was saved or processed and that the customer record contains the correct email address. Reopen the invoice, choose Email and then Send when those commands are available. If the address is correct but delivery still fails, use the edition’s print option while your administrator checks the mail configuration.

The menu path in this article does not match
Check the product name, country edition and release shown in your Sage account or application. A path for Sage 50 U.S. will not match Sage Accounting or Sage 50 Accounts U.K.; use the corresponding section above and the labels actually displayed in your installation.
How can I make Sage invoicing more reliable?
Reliability comes from repeatable checks rather than from entering invoices quickly. Keep one approved sequence for your team: identify the customer, enter the date, add lines, verify tax and totals, complete terms or references, save, and only then deliver the document. Require a second review for unusual tax treatment, a new customer, a large amount or a recurring schedule.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Use the fields your edition already provides instead of hiding key information in free-text descriptions. Sage Accounting’s Notes and Terms and Conditions, and Sage 50 Accounts U.K.’s Order, Footer and Payment tabs, can keep customer-facing context in predictable places. In Sage 50 U.S., make the Item, Description, Tax and Unit Price or Amount fields unambiguous on every line.
Finally, document which edition and region your internal instructions cover. A one-line note such as “Sage 50 U.S.” or “Sage 50 Accounts U.K.” prevents someone from applying the wrong menu path and is especially important when a business operates more than one Sage product.
Frequently Asked Questions
Can I add a new customer while creating a Sage invoice?
Sage Accounting’s New Invoice workflow allows you to select or add a customer from the invoice process. In other editions, the customer may need to be created or corrected in the customer records first; use the option your screen provides and verify the resulting billing details before posting.
Why does my Sage invoice show a different tax result from my calculation?
Tax is applied from the line selections and the regional or company-file configuration, not from the final total alone. Recheck each line’s tax choice and the customer or item setup; if the result remains unexpected, have the person responsible for your Sage tax configuration review it before saving.
Should I enter a product code or a written description on an invoice?
Use the structured product or item field when the charge corresponds to an existing record, because it can supply the standard description and pricing. When the charge is not represented by a saved item and the edition permits it, enter a specific description that explains the work or goods instead of choosing an unrelated code.
What information should be in the customer record before I email an invoice?
At minimum, confirm the recipient’s current email address and the billing identity shown on the invoice. Sage’s documented email flow uses the address stored in the customer record, so correcting that record is the first step when Email or Send cannot address the message correctly.
