Connect an AI agent to ERP, inventory, and order systems through the platforms’ supported APIs or MCP tools, but keep authorization, validation, pricing, tax, payment, and workflow rules inside the systems that own them. Start with narrowly scoped, read-only tools such as product lookup, available-to-promise inventory, and order status. After permissions and audit behavior are proven, add write operations such as order creation or cancellation with explicit authorization, confirmation, idempotency, and error handling. MCP standardizes how compatible agents discover and call tools; it does not provide your organization’s governance model. A gateway can centralize policy enforcement, while a managed connector can reduce authentication, mapping, and maintenance work.

What does it mean to connect an AI agent to an ERP or order system?

A useful connection is a governed operation path, not a database shortcut. The agent receives a user request, selects a narrowly defined tool, and sends validated inputs through an API, MCP service, connector, or gateway. The ERP, commerce, inventory, or order platform then applies its own identity checks, business rules, and transaction logic before returning a result.

A typical request path looks like this:

  1. Agent: interprets a request such as “Where is my order from last week?”
  2. Tool surface: exposes an operation such as get_order_status with a defined input and output contract.
  3. Policy layer: authenticates the caller, checks permissions, filters tools, and applies organization-specific controls.
  4. System of record: executes the authoritative ERP or commerce operation, including inventory, pricing, tax, payment, and order rules.
  5. Response path: returns only the fields the agent and its audience are allowed to see, with an audit record of the call.

Application programming interfaces remain a valid integration surface. Model Context Protocol (MCP) gives compatible agents a standardized way to discover and invoke tools, but MCP itself does not decide who may call a tool, which customer data may leave the system, or whether a cancellation needs approval.

Which integration pattern should you choose?

Choose the simplest surface that covers the exact workflows you need while preserving the target platform’s application logic. Compare direct vendor access, a managed connector, and a policy gateway against the same operational requirements rather than assuming that MCP support means every ERP operation is available.

Pattern What it provides Main trade-offs Best fit
Vendor API or vendor MCP service Native business operations, authentication, validations, and workflow behavior from the ERP or commerce product. You own agent integration, monitoring, schema handling, and any cross-system orchestration. Coverage is limited to the vendor’s published operations. A single platform or a small number of systems where native behavior is the priority.
Managed connector service Prebuilt connector actions plus support for authentication, API integration, schema mapping, error handling, and maintenance. Coverage, data mappings, release cadence, and deployment choices depend on the connector provider. Unsupported operations still require another path. Teams that want to reduce custom connector code across several enterprise systems.
MCP gateway A governed endpoint that can authenticate callers, filter available tools, evaluate policies, and control responses before traffic reaches MCP servers. Adds a policy and operations layer to run. Poorly designed policies can block legitimate work or expose more tools than intended. Organizations with multiple servers, agent clients, tenants, or centralized security requirements.

Evaluate each option on six axes: coverage of the required operations; delegated-user versus autonomous-service identity; preservation of native validation; tool and response controls; mapping, observability, and maintenance effort; and version, environment, preview, client, and runtime constraints.

How do you inventory the workflows before building anything?

Begin with business questions and actions, not with a protocol. Write down every request the agent must answer and every state change it might make, then map each one to an authoritative operation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate reads from writes

  • Read examples: product details, available-to-promise quantity, warehouse availability, order status, shipment events, recent orders, customer-specific pricing, and promotion eligibility.
  • Write examples: create an order, reserve stock, change a shipping address, cancel an order, issue a return, or update a customer record.

Do not infer that an operation exists because a product supports MCP generally. Confirm that the target edition, environment, feature, and client actually expose the operation. A product-search tool may exist while order cancellation or customer-specific pricing is unavailable.

Record the system of record

For each field and action, identify the authoritative owner. Inventory availability might come from an ERP warehouse module or a commerce availability service; order status may come from order management; tax and payment decisions may belong to a commerce engine or payment service. The agent should call the owner’s business operation instead of calculating a competing answer from copied tables.

Define the audience and data boundary

Mark whether a result is public, employee-only, customer-specific, or restricted. “Show me my recent orders” requires an identity that can be tied to the correct customer account. A support agent may need broader visibility than an end customer, but that difference must be enforced by roles and policy rather than by prompt wording.

How should you choose the API, MCP service, connector, or gateway?

Use the vendor-supported API or MCP service when it already performs the needed business operation. Add a managed connector when its supported systems and actions match your inventory and maintenance needs. Put a gateway in front when you need centralized caller authorization, tool filtering, policy decisions, or response controls across multiple servers.

  1. Check native coverage. List the required operations and verify their availability in the exact product version, tenant, region, and environment tier.
  2. Check identity behavior. Determine whether the call runs as the requesting user or as an autonomous service identity, and how downstream roles are evaluated.
  3. Check policy needs. If different agent clients or business units need different tool sets, a gateway can enforce those differences centrally.
  4. Check operational ownership. Decide who will maintain schemas, credentials, retries, alerts, and upgrades. A managed connector may reduce that work, but it does not remove the need to verify mappings and support boundaries.
  5. Check lifecycle status. Treat preview features, retirement notices, client allowlists, and platform-specific timeouts as deployment prerequisites.

How do identity and permissions work?

Decide explicitly whether the agent acts on behalf of a signed-in person or as an autonomous service. Delegated access preserves the user’s permissions and makes customer-specific data easier to scope; a service identity is predictable for background work but must be tightly restricted and monitored.

Delegated user identity

The tool call carries the authenticated user context. The ERP evaluates that user’s roles, organization access, customer relationship, and data permissions. This model is appropriate for requests such as order history or inventory lookup in a support conversation, provided the agent client and downstream systems preserve the same identity.

Autonomous service identity

A service account performs scheduled or unattended work, such as reconciling stock or creating replenishment orders. Grant only the privileges required for those workflows, separate read and write roles where possible, and require an auditable business owner for the account. Never use a broad administrator identity merely because it makes initial testing easier.

Review the agent client as part of the trust boundary

Authentication at the ERP is only one control. Administrators should also review which agent clients are allowed, where prompts and tool results are retained, whether data may be moved to another region, and which logs contain customer or order details. Microsoft’s Finance and Operations guidance states that MCP requests use the existing security foundation; the client’s own data-handling policy still needs review.

How do you design tools around business operations?

Expose bounded, named operations with validated inputs and predictable outputs. Keep pricing, inventory, tax, payment, and order rules in the applications that own them instead of asking the language model to reproduce those rules.

Use narrow names and explicit inputs

A tool such as get_available_to_promise should require a product identifier, fulfillment location, and requested quantity or date range. A separate create_order operation should accept a validated customer, line items, shipping method, and payment reference rather than a free-form paragraph.

Return decision-relevant fields

Include the values the agent needs to explain an outcome: availability status, quantity, warehouse, promise date, order state, shipment event, or a platform error code. Exclude internal notes, payment credentials, and unrelated customer records. A gateway can enforce response filtering when several servers return different levels of detail.

Preserve native validations

Call the platform’s supported operation so it can enforce credit limits, reservation rules, sales-order status transitions, tax calculation, promotion eligibility, and payment requirements. Do not write directly to ERP tables or bypass the commerce engine to make an agent appear faster.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make writes idempotent

Every consequential operation needs a request identifier or equivalent idempotency key. If the agent retries after a timeout, the platform should return the original result instead of creating a second order or cancelling the same line twice. Record the key, caller, timestamp, arguments, result, and platform correlation ID.

How do you pilot the connection safely?

Start with read-only calls against known records and deliberately test permission boundaries. A pilot should prove that the agent reaches the intended environment, sees the intended fields, and fails closed when a user lacks access.

  1. Verify the environment. Confirm tenant, legal entity, warehouse, region, product version, enabled feature, and endpoint before connecting the agent.
  2. Verify identity. Log the delegated user or service principal and confirm that the ERP sees the expected roles.
  3. Test known records. Query a product, inventory position, and order whose correct values are already documented by the business team.
  4. Test negative cases. Try an order belonging to another customer, an unauthorized warehouse, an invalid product, and a missing record. The expected result is a controlled denial or not-found response, not leaked data.
  5. Inspect the returned payload. Check personally identifiable information, internal notes, payment fields, and precision. Remove fields the agent does not need.
  6. Measure operations. Capture latency, error codes, rate limits, retries, and correlation IDs without storing full sensitive prompts unnecessarily.

Use a small group of representative users and realistic records before expanding the client allowlist. Read-only success does not prove that a write operation is safe; writes need a separate approval and rollback plan.

How do you add order, inventory, and customer writes?

Design the approval and failure behavior before enabling a tool that changes business state. The reviewed platforms do not establish one universal requirement for human approval, so follow your organization’s policy and the target product’s controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Specify authorization at the operation level

State which role can create, amend, reserve, cancel, refund, or release an order. A user who may view order status should not automatically inherit cancellation rights. For service identities, bind permissions to a narrowly defined workflow and business owner.

Use confirmation for high-impact actions

Show the final customer, items, quantities, price, taxes, shipping method, and total before submitting an order or cancellation. Require the user to confirm the exact action when policy calls for it. Do not treat a vague instruction such as “take care of that order” as sufficient confirmation.

Handle partial success and retries

Define what happens if payment succeeds but shipment creation fails, or if one line is available and another is backordered. Return a structured status and next action rather than allowing the model to invent a completion message. Use idempotency keys and platform transaction semantics to prevent duplicate orders.

Audit the business event

Store the initiating identity, tool name, validated arguments, approval state, platform response, and correlation ID. Keep audit records long enough for financial, customer-service, and regulatory needs, while applying the same retention and access controls as other operational logs.

What do current platform examples show?

Dynamics 365 Finance and Operations MCP

Microsoft describes its ERP MCP server as an interface to Finance and Operations application data and business logic. Requests are governed by the same authentication, authorization, business logic, and data controls used by other application experiences; Microsoft summarizes this principle as The security model doesn’t change. In practice, verify the authenticated user, roles, environment, supported application version, enabled features, and allowed agent clients before deployment.

Microsoft’s current documentation also identifies prerequisites for the Finance and Operations MCP experience and notes that an earlier static server is scheduled to retire on October 1, 2026. Treat that date as a lifecycle check for existing deployments, not as a general MCP deadline. Confirm the current endpoint and migration guidance in the target tenant.

Dynamics 365 Commerce MCP

Microsoft documents Commerce workflows for product discovery, inventory availability, promotions, carts, checkout, and order activity. Authentication state changes which operations and customer-specific data are available, so an anonymous shopping assistant and an authenticated customer service agent should not receive the same tool set.

The Commerce page labels this capability as a preview. Preview behavior, supported clients, and operation names can change; validate the feature in a nonproduction environment and recheck its status before a production rollout. The design is useful because it reuses the existing Commerce engine for pricing, availability, cart, checkout, and order logic rather than duplicating those rules in the agent.

Oracle MCP gateway

Oracle describes an MCP gateway as a governed endpoint that can authenticate and authorize callers, filter tools, evaluate policies, and control responses before requests reach MCP servers. This pattern is helpful when several ERP, inventory, and order servers must present different capabilities to different agent clients. The gateway does not replace the downstream systems’ authorization; it adds a central enforcement point in front of them.

Boomi Connect

Boomi describes Connect as a managed MCP connector service that exposes prebuilt enterprise connector actions as tools. It addresses authentication, API integration, schema mapping, error handling, and ongoing maintenance. Check that the target ERP, inventory platform, and required operations are supported, and decide where the connector will run and how its logs and credentials will be governed.

Amazon Connect Customer and AgentCore Gateway

AWS documentation provides an example of platform-specific controls: MCP tools can retrieve data and perform actions, third-party MCP servers can be integrated through AgentCore Gateway, and Amazon Connect reuses security profiles for agents. The documented MCP tool invocation timeout is 30 seconds for Amazon Connect Customer. That is a limit of this AWS product context, not a universal MCP or ERP timeout; long-running work should use an asynchronous job and status tool when the platform supports one.

What should the production architecture contain?

A production design separates conversational behavior from transaction control. The following components can be deployed together or by different teams:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Agent runtime: plans a response, selects an allowed tool, and explains results without inventing fields.
  • Tool registry: publishes names, descriptions, input schemas, output schemas, risk levels, and client eligibility.
  • Gateway or policy service: authenticates the caller, checks tenant and role, filters tools, applies data-loss and rate policies, and records correlation IDs.
  • Connector or vendor endpoint: translates the tool call to the supported ERP, commerce, inventory, or order operation.
  • Business system: remains authoritative for validation, availability, pricing, tax, payment, fulfillment, and state transitions.
  • Observability layer: records latency, errors, denials, retries, and business outcomes with sensitive fields redacted.

Keep secrets out of prompts and tool descriptions. Store credentials in an approved secret manager, rotate them, and grant network access only to the endpoints required by the workflow. Separate development, test, and production tenants so an agent cannot accidentally create or cancel live orders during schema testing.

How do you test, monitor, and troubleshoot the integration?

Test functional behavior

  • Valid product, inventory, and order lookups return the expected records and units.
  • Unavailable stock produces a clear status and promise date or an explicit no-availability result.
  • Unauthorized customer, warehouse, and order requests fail without revealing hidden fields.
  • Duplicate submissions with the same idempotency key do not create duplicate business events.
  • Platform validation errors are returned as actionable messages rather than generic success text.

Monitor operational signals

Track tool-call volume, latency by operation, timeout rate, authentication failures, authorization denials, connector mapping errors, and downstream business errors. Alert on unusual cancellation or refund volume, repeated retries, and a sudden rise in responses with missing fields. Keep a correlation ID from the agent through the gateway and ERP so support staff can trace one request without searching raw prompts.

Use a failure decision tree

  1. Authentication failure: confirm token audience, expiry, tenant, service identity, and client allowlist.
  2. Authorization denial: inspect the effective role, legal entity, warehouse scope, and gateway policy; do not solve it by granting administrator rights.
  3. Tool not found: check feature enablement, MCP server registration, client compatibility, and whether the operation exists in that product edition.
  4. Validation error: compare the tool schema with the platform’s required fields, units, status transitions, and allowed values.
  5. Timeout: inspect downstream latency and platform limits. Use pagination, narrower queries, or an asynchronous job rather than unlimited retries.
  6. Incorrect business result: identify the system of record and confirm that the connector called the supported business operation instead of a stale cache or copied table.

Which prerequisites and lifecycle checks are easy to miss?

Before production approval, record the exact values for the deployment rather than relying on a product-level statement that MCP is supported.

  • ERP or commerce application version and update level.
  • Environment type, tenant, legal entity, warehouse, region, and data residency requirements.
  • Enabled feature flags, preview status, and required server components.
  • Allowed agent clients, authentication flow, delegated scopes, service roles, and token lifetimes.
  • Supported tool list, input and output schemas, pagination behavior, rate limits, and maximum payload size.
  • Timeout and retry behavior for every platform in the path; the 30-second value documented for Amazon Connect Customer must not be generalized to other systems.
  • Product lifecycle notices, including the scheduled October 1, 2026 retirement of the earlier static Dynamics 365 Finance and Operations MCP server.
  • Data-retention, logging, redaction, and incident-response rules for prompts, tool arguments, and results.

What is a practical rollout sequence?

Use a staged release so a mistaken tool description cannot become a financial or fulfillment incident.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Document workflows and ownership. Name the business owner, system of record, allowed audience, and risk level for each operation.
  2. Connect one read-only operation. Start with a known product, inventory, or order-status lookup and verify identity and field filtering.
  3. Add policy controls. Configure client allowlists, role checks, tenant restrictions, rate limits, and audit logging in the gateway or platform.
  4. Expand read coverage. Add related operations such as shipment events or promotion eligibility only after each one has a documented owner and negative test cases.
  5. Introduce one low-risk write. Define idempotency, confirmation, rollback, and monitoring before enabling it for a limited user group.
  6. Review real failures. Tune schemas, error messages, and policies from observed denials and validation errors, not from model guesses.
  7. Promote gradually. Expand tenants, warehouses, clients, and write permissions in separate changes with a rollback path.

This sequence keeps the agent useful early while preserving the ERP’s authorization and business logic as the scope grows.

Can MCP replace an ERP integration strategy?

No. MCP standardizes tool discovery and invocation for compatible clients, but it does not define your identity model, approval policy, data-retention rules, transaction semantics, or system of record. Treat MCP as one access surface in an integration architecture that still needs API ownership, permissions, monitoring, and lifecycle management.

Frequently Asked Questions

Can an AI agent read ERP data without MCP?

Yes. An agent can call a vendor-supported REST, SOAP, GraphQL, or SDK-based API through a controlled tool wrapper. MCP is useful when the agent platform supports it and you want a standard tool contract, but the ERP’s authentication and business rules still apply either way.

Should I use a user token or a service account for order automation?

Use delegated user access when the action must reflect the person’s permissions and customer relationship. Use a service identity for unattended workflows only when its roles, business owner, rotation process, and audit trail are explicitly defined; it should not be an administrator account by default.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can an agent handle an ERP operation that takes longer than the tool timeout?

Expose an asynchronous submit operation that returns a job or correlation ID, then provide a separate status tool. The agent can report that processing is in progress and poll within a bounded interval instead of retrying a synchronous call until it duplicates the transaction.

Is the Dynamics 365 Commerce MCP capability production-ready?

Microsoft’s documentation labels the Commerce MCP feature as a preview, so operation coverage and behavior may change. Test it in the intended tenant and client, confirm its current availability, and keep a fallback supported API path for critical checkout or order workflows.

What should be logged when an agent cancels an order?

Record the initiating identity, tool and operation name, validated order and line identifiers, confirmation or approval state, idempotency key, platform response, and correlation ID. Redact payment data and limit access to the log according to the same privacy and retention rules as the order system.
