To make a PDF smaller without sacrificing readability, first identify what is making it large, then reduce image data conservatively and inspect the saved copy. A photo-heavy or scanned PDF may benefit from image optimization; a text-and-vector document may not shrink much without changes that risk its fonts or fine details. Keep the original, choose settings for how the recipient will view or print the file, and verify both appearance and searchability before sharing it.
What should you check before compressing a PDF?
Start by making a separate working copy. Compression can permanently discard image information, and removing fonts or changing other PDF objects can alter a document even when its pages still open normally. Keeping the original gives you a reliable fallback if the optimized file is too blurry, no longer searchable, or incompatible with a required workflow.

Before choosing a setting, answer three questions:
- What is the file for? An attachment that will be read on screen has different image needs from a document intended for desktop printing or professional print production.
- What is taking up space? The PDF may contain photographs, page scans, embedded fonts, vector artwork, or a mixture. Image controls can help a scan or photo-heavy file more than a mostly text-and-vector document.
- What must remain intact? Note any small labels, charts, thin lines, clickable links, searchable scan text, accessibility requirements, PDF/A or PDF/UA needs, print requirements, or version compatibility constraints.
Record the original file size and the actual upload or email limit you need to meet. This gives you a concrete target without assuming that the smallest possible file is the best result. PDF optimization is not guaranteed to reduce size; the outcome depends on the source document and settings.
Why diagnosis matters
A PDF is not a single picture: it can contain text, fonts, images, vector objects, and other components. Reducing image resolution or recompressing images can make a substantial difference when those objects dominate, but aggressive reductions can erase fine detail. If the file is mostly native text or vector artwork, there may be little image data to reduce, so pushing image settings harder may bring a quality penalty without meeting your size target.

Which compression settings keep images readable?
Use a conservative image setting, matched to the content and destination, and judge the resulting pages rather than relying on a preset name. Downsampling reduces image resolution by combining pixels, while lossy recompression permanently removes pixel data. Both can reduce file size, but either can make small text embedded in an image, fine lines, or photographic detail harder to see.
Choose compression for the kind of image
- Photographs and gradual color transitions: JPEG or JPEG2000 can be suitable. Their quality controls use lossy compression, so inspect faces, textures, gradients, and any small text or symbols overlaid on photos.
- Illustrations with flat colors: ZIP compression may suit this content. A diagram, map, or chart can contain crisp edges that deserve closer inspection even if the color areas look unchanged.
- Mixed pages: A PDF with photos alongside diagrams, fine labels, or charts needs a compromise. Check each kind of content; a photo that looks acceptable at ordinary size does not prove that a nearby chart label remains readable.
Adobe’s PDF Optimizer settings guidance describes the different image controls and notes that JPEG and JPEG2000 quality choices remove pixel data. It also cautions that anti-aliasing can make small type and thin lines look blurry. When exact detail matters, compare representative pages both at ordinary reading size and enlarged rather than judging only the file-size change.
Do not apply aggressive downsampling to fine text, diagrams, maps, or print-bound work without checking the output. A page may appear acceptable when fitted to a screen but reveal lost detail when zoomed or printed. The destination, not just the file-size target, should guide how much image reduction is acceptable.
How should you think about resolution?
Resolution guidance depends on the printer and workflow; it is not one universal setting for every PDF. Adobe’s 2025 PDF settings overview gives examples of image-to-output relationships: 120 ppi for a 300 dpi laser printer, 170 ppi for a 600 dpi laser printer, 240 ppi for a 1200 dpi imagesetter, and 300 ppi for a 2400 dpi imagesetter. These are examples in Adobe’s settings guidance, not a guarantee that a document at those values will look right in every workflow.
If the recipient will print professionally, do not assume that a screen-oriented preset preserves the detail needed for that job. Confirm the printer or production workflow’s requirements before reducing images. If you cannot confirm them, preserve the original as the print-ready source and make a separate, clearly identified smaller copy for sharing.

How do you compress a PDF in Acrobat?
Adobe documents a desktop route through All tools → Compress a PDF. For more control, use Advanced Optimization and review the Images panel and other relevant panels before saving the optimized output. Availability of Advanced Optimization is documented for Acrobat Pro, Premium, or Studio desktop; interface labels and plan availability may change, so check the current application.

- Open the compression tool. In the desktop application, go to All tools → Compress a PDF. If you need finer control and your edition provides it, choose Advanced Optimization.
- Review image settings. In the Images panel, consider the page content and destination. Avoid assuming that a lower resolution or smaller-file preset is safe for every page.
- Check other relevant panels. Preserve fonts if consistent typography matters. Review settings that affect compatibility or other required document features rather than treating image size as the only consideration.
- Choose compatibility deliberately. Adobe’s documented workflow lets you retain existing PDF compatibility or select a version. Use the version required by the recipient or workflow; do not change it casually to pursue a smaller file.
- Save the optimized output separately. Do not overwrite the source until you have checked the new file’s size, appearance, and required functions.
Adobe also documents a web route with selectable compression levels. If using it, the same checks apply: a selectable level does not tell you whether the resulting text, image detail, or compliance status is suitable for your document. Review the current product interface because online and desktop feature availability can differ and may change.
How should you handle scanned PDFs?
A scanned PDF is built from page images, so image optimization may be especially relevant. But reducing image data can also make the words in those images harder to read. If the scan needs to be searchable or selectable, verify OCR after optimization instead of assuming that the text layer remains usable.
Preserve legibility in scan workflows
Adobe’s scanned-PDF settings guidance recommends 300 dpi for grayscale or color scans and 600 dpi for black-and-white scans when applying adaptive compression. These are documented starting points for scanning workflows, not a universal instruction to resample every existing scan to those values. The right choice depends on the content and intended use, especially where faint marks, small type, handwriting, or fine linework matter.
Adobe’s scan settings include image optimization, sharpening, and OCR options. OCR (optical character recognition) converts text in a page image into searchable and selectable content. If OCR is needed, retain or rerun it as appropriate for the application and verify the result: search for a known word and try selecting text on scanned pages. A page that looks legible can still have a missing or unusable text layer.

What to do if the scan becomes hard to read
- Compare the optimized page with the original, especially small print, light text, stamps, handwriting, and thin strokes.
- If important features have disappeared or blurred, return to the original and use less aggressive image reduction rather than trying to repair a degraded copy.
- If search or selection no longer works, check OCR settings and rerun OCR if appropriate, then test a known word again.
- For a scan that must support printing or close inspection, prioritize legibility and the workflow’s required resolution over meeting an arbitrary file-size target.
Should you remove embedded fonts to make a PDF smaller?
Usually not when the document’s exact typography matters. Embedded fonts help preserve the document’s appearance across systems; if they are removed and a recipient’s system lacks the original font, a substitute may be used and the layout or appearance may change.
Font removal is therefore a trade-off, not a risk-free size setting. Avoid unembedding fonts simply to meet a target if line breaks, tables, labels, or brand typography must remain consistent. After optimization, check that fonts and text still appear as expected on the systems or viewers that matter to the recipient.
Can Ghostscript make a PDF smaller without reducing quality?
Not reliably. Ghostscript’s documentation lists /screen, /ebook, /printer, and /prepress presets in a progression from smaller, lower-resolution output toward larger, higher-quality output, but it explicitly warns that pdfwrite can produce a larger file instead of a smaller one.
That makes the presets starting points, not promises. Select a preset only after considering the intended output, then inspect the generated file for the same detail and functionality you would check after any other optimization. The available documentation does not establish a universal preset that guarantees both a smaller file and unchanged quality.
Ghostscript is a command-line option for users comfortable with that kind of workflow. The supplied documentation supports those preset names and the limitation above, but not a claim that a particular command or preset will suit every PDF. Keep the original and test the output rather than treating the preset label as proof of quality.

How do you verify that the compressed PDF still works?
Compare the optimized file with the original across size, appearance, searchability, and any constraints the document must satisfy. A smaller file is useful only if it still serves its reader and workflow.
- Check the size. Confirm that optimization actually reduced the file and that the result meets the real upload or sharing limit. If it did not, return to the source and reassess what is driving its size instead of blindly increasing compression.
- Open the output in a standard PDF viewer. Confirm that the document opens and that pages render in the correct order and orientation.
- Inspect representative pages at two scales. Look at ordinary reading size and zoom in on small type, thin rules, photos, charts, diagrams, map labels, and other fine detail. Include the most demanding pages, not just a cover or a text-only page.
- Test important functions. Check links or other page elements the reader needs. For scanned documents, search for a known word and try selecting text on the page.
- Confirm required properties. If PDF/A, PDF/UA, print production, or a particular PDF version is required, verify that the optimized output still meets it. Do not assume an optimization setting preserved compliance.
- Keep the source until the checks pass. If the output fails, revise settings using the original rather than repeatedly compressing an already degraded copy.
Adobe’s PDF properties tooling can report information including file size, PDF version, OCR/searchability, compliance levels, fonts, and permissions. These checks help identify properties to review, but they do not replace looking at the pages or confirming a recipient’s specific workflow requirements.

Why might a compressed PDF be larger or less readable?
Compression tools rewrite parts of a PDF, and the result depends on its existing objects and selected settings. A preset that generally targets smaller output cannot guarantee a smaller file for a specific document; Ghostscript specifically cautions that pdfwrite may increase size. Compare the actual result rather than assuming the operation succeeded because it completed.
If the file got larger
Keep the original and compare the output size. Reconsider whether the source is mostly text and vector objects rather than images, and try a different conservative approach only if the required output allows it. If the existing file already contains efficiently stored content, rewriting it may not help.

If text or lines look blurred
Check the pages at ordinary size and zoom. Adobe notes that anti-aliasing can blur small type or thin lines; image downsampling or lossy recompression can also remove detail. Return to the source and reduce the aggressiveness of image changes. Avoid solving a visual-quality problem by repeatedly recompressing the degraded output.
If fonts look different
Check whether embedded fonts were removed. If a recipient’s system does not have the original font, substitution can change the appearance. Preserve the original font embedding when consistent typography is important, then test the file again.
If scanned text is no longer searchable
Check whether OCR is present and usable. Preserve or rerun OCR as appropriate, then search for a known word and test text selection on scanned pages. Visual inspection alone cannot confirm that OCR works.
If required compliance or compatibility is uncertain
Check the output’s PDF version, compliance level, fonts, and permissions in PDF properties where available, and verify any specific PDF/A, PDF/UA, or print requirement in the relevant workflow. If a requirement cannot be confirmed, do not treat the compressed copy as a compliant replacement for the original.
Frequently Asked Questions
Can I make a scanned PDF searchable after compressing it?
Yes, if the PDF has a usable OCR text layer or you run OCR on it. OCR can misread some characters, so for documents where exact wording matters, compare extracted text with the scan rather than assuming every recognized word is correct.
Does compressing a PDF delete the original file?
That depends on how you save the result and which application you use. Save to a new file name or location so the source remains available if the optimized copy fails a quality or workflow check.

One-click scans. No signup required.
Will password protection or permissions survive PDF compression?
Do not assume they will: Adobe’s PDF properties tooling can report permissions, but the result should be checked in the optimized file. If access restrictions matter, confirm them in the copy before sending it.
Why is a PDF still large after compressing its images?
Images may not be the only significant components; the file can also contain fonts and other PDF objects. If the document is mostly native text and vector artwork, image changes may have little effect, and rewriting the PDF is not guaranteed to reduce its size.
