How to Choose Mortgage Software for a Brokerage

Choose mortgage software by mapping your brokerage’s full loan workflow, then testing whether each candidate can handle it with the lenders, vendors, staff, and compliance processes you actually use. For most brokerages, the loan origination system (LOS) is the operational core—but it has to work with borrower intake, a point-of-sale (POS) experience, CRM, pricing, credit, automated underwriting, e-signature, document tools, and lender delivery. Compare the complete implementation and contract cost, security evidence, data portability, and support as carefully as the subscription price.

What should a mortgage brokerage software system do?

A brokerage platform should help move a loan from an initial lead or application through disclosures, document collection, lender submission, conditions, closing, funding, and file retention. That does not mean every function must come from one vendor. It does mean the handoffs between the LOS and connected systems must be dependable, visible, and testable.

The LOS is generally the system that organizes the loan file and its origination workflow. A POS is the borrower-facing intake and interaction layer; a CRM manages relationships and sales activity; a PPE supports pricing and product eligibility. Credit, automated underwriting, appraisal, verification, e-signature, document management, closing, and lender-delivery services may be separate products or integrations. Before evaluating software, decide which tool owns each step and which system is the authoritative record for the information created there.

  • Borrower and lead intake: capture information, convert prospects into applications, and reduce unnecessary rekeying.
  • File processing: organize application data, disclosures, documents, tasks, conditions, and status changes.
  • Decision and delivery: connect to the pricing, credit, AUS, and wholesale lender workflows used by the firm.
  • Oversight: provide permissions, auditability, reporting, and records management that fit the brokerage’s operating and compliance responsibilities.

A long integration list is not proof that the tools your team needs are connected in the way you need them. Confirm the specific providers, products, workflows, and fees before treating an integration as a requirement met.

How do I define what my brokerage needs before comparing LOS platforms?

Start with the brokerage’s operating model, not a vendor feature list. The same software may suit one firm and create extra work for another depending on whether it brokers loans, lends on a non-delegated basis, or operates as a lender, and on the states, branches, loan volume, staffing, and lender relationships involved.

Write down the firm’s scope

Document the following in a short requirements brief. Use ranges where exact figures are sensitive, but be specific enough to test capacity and workflow:

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Business model: broker, non-delegated lender, or lender.
  • States and branches served, including any planned expansion.
  • Approximate loan volume, number of loan officers and processors, and expected growth.
  • Wholesale lenders and loan products in scope.
  • Whether servicing, secondary-market, or other lender-oriented functions are needed.
  • Current systems for CRM, pricing, credit, AUS, documents, e-signature, accounting, and reporting.
  • Current file formats, volume of records to migrate, and any retention or export needs.

Licensing workflows vary by jurisdiction. State agencies use NMLS for licensing-related activity, but do not assume that an LOS itself determines or satisfies every state requirement. Mississippi says mortgage licensing is handled through NMLS; Washington directs applications, branch changes, call reports, and related documents through NMLS; Massachusetts says NMLS license information is updated nightly on business days. These are jurisdiction-specific examples, not a single nationwide workflow.

Turn needs into must-haves and preferences

Separate requirements that would disqualify a product from features that would merely be convenient. For example, a required connection to a particular wholesale lender, support for the firm’s broker workflow, usable audit history, and a workable data-export method may be non-negotiable. A particular dashboard layout may be a preference. This distinction keeps a polished presentation from outweighing a genuine operational gap.

What features should mortgage broker software have?

Evaluate each platform against a complete loan path, not an isolated screen. A credible demonstration should show how a file moves through intake, disclosures, document requests, task assignment, underwriting or AUS handoff, lender submission, closing, and retention—and what happens when information changes.

LOS and borrower-facing workflow

Check how the system captures 1003 application data, creates or updates a file, requests documents, tracks outstanding conditions, assigns work, and records milestones. Test whether borrowers can see a clear needs list, upload documents, and understand what remains outstanding. Ask whether corrections or updates are reflected in downstream systems or must be keyed in again.

As vendor-described examples, LendingPad’s broker offering includes a POS, a real-time borrower needs list, document uploads, wholesale delivery, concurrent file collaboration, tasking, dashboards, compliance visibility, and integrations. Calyx describes Point as supporting end-to-end broker origination, templates, pre-application data, prospect and pipeline conversion, document management, e-signature, and more than 200 vendor partners. Calyx also describes Zenly as a cloud-oriented option with mobile borrower interviews, document requests, e-signature, lead-to-loan conversion, lender submission connectivity, and 3.4-file import/export. These descriptions are starting points for a demo, not independent assessments of product performance.

Compliance operations and audit history

Look for configurable rules, disclosure and milestone tracking, role-based permissions, audit trails, reportable activity, and a defined way to retain and export records. Ask the vendor to demonstrate a change to a file and show who made it, when it happened, what changed, and whether the history is available to the roles that need it.

Software can support compliance operations; it cannot decide the brokerage’s legal obligations or replace legal review. The Consumer Financial Protection Bureau’s 2021 Small Entity Compliance Guide for Mortgage Servicing Rules advises identifying affected products and staff, mapping process and technology changes, and assessing impacts on service providers and records management. That guidance is specific to mortgage servicing rules, but its implementation themes are useful when assessing the operational impact of software changes.

Texas Department of Savings and Mortgage Lending guidance in its 2024 Mortgage Compliance Guide, Version 8, says companies and originators must maintain complete and readily accessible records. Its examples include a current and complete mortgage transaction log, policies and procedures, required booklets, advertising and marketing materials, compensation agreements, vendor contracts, and complete loan files. A Texas requirement should not be treated as a universal statement of every state’s rules; use the states where the brokerage operates to define its obligations.

Reporting, roles, and collaboration

Test the reports the firm will actually use: pipeline status, aging files, assigned tasks, missing conditions, and activity by branch or user, as applicable. Confirm whether managers can see the right information without granting broad access to everyone. If multiple people need to work in one file at the same time, demonstrate that workflow rather than relying on a general claim of collaboration.

How can I compare LendingPad, Calyx Point, and Calyx Zenly?

These products are candidates to investigate for different workflow needs, not interchangeable products with a universally best choice. LendingPad reported 400+ integrations on its 2026 product information. Its corporate page reported $80 billion or more in annual loan volume, 36,000 or more active users, and a monthly average of 21,000 loans in 2026. Calyx reported more than 200 vendor partners in 2026. These are vendor-reported figures, not independent performance measures or a guarantee that a particular connection is available to a given customer.

There is no basis in the available public information to rank these products by independently measured speed, reliability, or total value. Put your own workflow, data, and integrations into each demonstration, and use the same scoring criteria for all shortlisted vendors.

Which integrations should a mortgage brokerage test?

Build the required-integration checklist before scheduling demonstrations, then test actual data flow for each priority connection. A connector’s existence is not enough: establish whether it is available for the relevant product edition, provider, lender, and workflow, and whether it carries a separate cost.

Integration area Questions to resolve
POS and CRM Does lead and borrower information transfer in the needed direction? Are duplicate records, ownership, and status changes handled clearly?
Pricing and product eligibility (PPE) Can staff obtain the required pricing and eligibility information in the file workflow? What data must be entered twice?
Credit and automated underwriting Are the firm’s providers and intended AUS workflow supported? How are results and required follow-up recorded?
Appraisal, valuation, verification, flood, and fraud Are the required providers available, and can staff track orders, results, exceptions, and related documents?
Title, closing documents, e-signature, and document services Can the file move to the right service at the right milestone? Where are signed and final records stored?
Wholesale lender delivery Can the system deliver to the actual lenders used by the brokerage? Test submission, condition updates, and any return or correction workflow.
MERS, reporting, and accounting Are MERS, HMDA/NMLS reporting, and accounting connections relevant to this firm, and what responsibilities remain outside the platform?

LendingPad lists POS, PPE, CRM, credit, e-signature, AUS, document, verification, title, flood, fraud, mortgage insurance, and lender connections. Calyx reports more than 200 integrated vendor partners for Point. Neither count establishes that a particular required integration is included, current, or available on the quoted terms. Request a written list of the exact connections being sold and demonstrate the ones that matter most.

How do I test security, access, and data ownership?

Ask for evidence and contract language, not just a feature statement. The brokerage should understand how the service is hosted, how users authenticate, what controls apply to access and file changes, how incidents and recovery are handled, and what happens to the data during and after the relationship.

  • Hosting architecture and any relevant subcontracted services.
  • Multi-factor authentication (MFA), encryption, and role-based permission controls.
  • Audit-log coverage and how long logs remain available.
  • Incident-response process and how the brokerage is notified.
  • Backup, disaster recovery, and service availability commitments.
  • SOC 2 or equivalent security documentation and the scope and date of the report.
  • Data ownership, retention, return, deletion, and export procedures, including format and fees.

LendingPad states that LP Originate is AWS-hosted and browser-based, supports role-based access, MFA, simultaneous users, secure document management, audit logs, and SOC 2 Type 2 certification. Treat those as vendor claims to validate in the brokerage’s security review and contract. Ask for the current applicable report and details of what it covers; a certification claim alone does not answer every security or data-handling question.

Clarify who owns uploaded documents and loan records, which parties can access them, how long they remain after termination, and how quickly the firm can retrieve a complete export. Confirm whether an export includes the underlying documents, audit history, and usable file data, rather than only a summary or a format that requires continued access to the vendor’s system.

How should I run a useful mortgage software demo?

Give every shortlisted vendor the same scripted, representative file and the same tasks. A demo should expose the number of handoffs, duplicate entries, unclear status changes, and exceptions that a polished overview can hide.

  1. Prepare a realistic case. Use a representative real file only if approved and appropriately protected; otherwise use a sanitized file that reflects the brokerage’s actual loan and workflow needs.
  2. Start at intake. Have the presenter capture borrower information, create or convert the prospect into a file, and show the borrower-facing application or interview experience.
  3. Request and upload documents. Ask the presenter to issue a needs list, upload a document, and show how staff can see receipt and outstanding items.
  4. Change a condition or file detail. Observe who can make the change, how it is recorded, and whether relevant users and connected systems see the update.
  5. Correct a disclosure or milestone. Ask how the system records the correction and what steps remain for staff. Do not accept a static screen in place of the workflow.
  6. Demonstrate lender submission. Use a lender the brokerage actually works with, if available, and show how submission status, conditions, and returned items are handled.
  7. Review oversight and reporting. Ask a manager to find a delayed file, inspect activity, and generate a report the firm relies on.
  8. Export a completed file. See what a usable file export contains, how it is initiated, how long it takes, and whether the vendor charges for it.

Record clicks, handoffs, rekeying, elapsed time for each task, mobile usability, and points where the presenter needs to explain a workaround. Ask for references from brokerages of similar size and state footprint. LendingPad markets broker onboarding and first submissions in days; treat that as a vendor claim and ask what work, prerequisites, and staffing are included in the timeline for a firm like yours. Calyx describes Zenly as supporting 3.4-file import/export; test the exact records the brokerage needs to move rather than assuming that this resolves every migration requirement.

How much does mortgage broker software cost?

Ask for a dated, written quote that covers the full cost of operating the system, not just the base subscription. Public information in the 2026 available data does not establish comparable all-in prices or contract terms for the platforms above.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Cost category What to include in the quote
Licenses User, branch, edition, or other recurring license charges and any minimums.
Setup and migration Implementation, configuration, data conversion, file import, and any required consulting.
Support and training Included support tier, after-hours coverage if offered, training costs, and any service-level commitments.
Connected services Integration fees and third-party pass-through charges for credit, verification, e-signature, or other services.
Usage and storage POS transaction fees, per-file or per-transaction charges, storage, and reporting costs.
Exit Termination charges, export fees, access during transition, and any costs to retrieve records.

Calyx’s Point page listed ZIP POS at $3 per loan application and e-sign packages at $1.50 per transaction in 2026. These are listed component prices, not a complete system quote; confirm whether they remain current and how they apply to the brokerage’s intended use. LendingPad’s lender page directs prospects to sales for pricing and does not publish a comparable all-in amount: LendingPad lender pricing information.

Compare the same assumptions across vendors: number of users and branches, expected file volume, integrations, support level, migration scope, and contract length. Calculate a three-year total using the written quote and include one-time and usage-based charges. Check renewal terms, price changes, minimum commitments, cancellation notice, and the cost and format of data export before signing.

How should I score and shortlist vendors?

Use a consistent scorecard so that an attractive price or a large feature count does not obscure a poor fit in a critical workflow. Score each category against the brokerage’s requirements, and note whether the evidence came from a live demonstration, written documentation, or an unverified vendor statement.

Evaluation area What a strong fit looks like
Broker versus lender workflow The platform supports the firm’s actual business model and its wholesale submission process without forcing irrelevant steps.
Borrower experience Intake, document requests, status, and follow-up are understandable to borrowers and practical for staff.
Compliance and auditability Rules, permissions, milestone history, reporting, retention, and export align with the firm’s reviewed requirements.
Integrations and lender delivery The exact providers and lenders needed are demonstrated, with scope and fees documented.
Team collaboration Roles, tasks, concurrent work, and management visibility fit the team’s real division of labor.
Deployment and mobile use Cloud or installed deployment and mobile capabilities fit the firm’s access and operating needs.
Migration and implementation Responsibilities, timeline, data conversion, training, and first-production milestones are explicit.
Security and support Evidence, incident and recovery commitments, support coverage, and service levels are documented.
Economics and exit The three-year cost is clear, and the brokerage can retrieve its records on workable terms.

For each candidate, mark a requirement as demonstrated, documented but not demonstrated, unresolved, or not supported. Do not average away a disqualifying gap: if a required lender connection or export capability is unresolved, get a written answer and test it before selection. Ask the vendor to state exceptions and additional charges in the quote rather than relying on verbal assurances.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I confirm before signing?

Make the vendor’s commitments specific enough to check later. A final review should reconcile the demonstration, proposal, security review, and contract rather than treating them as separate conversations.

  • The exact edition, modules, integrations, lender connections, and limits included.
  • Implementation responsibilities, milestones, migration scope, and training.
  • Support availability, escalation path, uptime commitment, and service-level remedies, if any.
  • Data ownership, retention, audit history, export format, access after termination, and fees.
  • Security documentation, incident notification, backup and recovery terms, and subcontractor disclosures.
  • All recurring, one-time, usage-based, third-party, renewal, and termination charges.
  • How state, branch, reporting, and records processes will be handled by the system versus the brokerage.

Vendor features, integration counts, prices, and regulatory workflows change. Put the quote date and relevant product edition in the decision record, and re-confirm material capabilities and terms at contracting.

Frequently Asked Questions

What is the difference between a mortgage LOS and a POS?

A POS is usually the borrower-facing intake and interaction layer, while the LOS organizes the loan file and staff origination workflow. Some platforms combine both, so ask which system owns each record and how updates pass between them.

Can I switch mortgage LOS platforms without losing old loan files?

Do not assume that an import feature transfers every historical record or audit detail. Before switching, request a sample export and migration plan that specifies documents, structured data, and history, then confirm how long the old provider will keep records accessible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should a small brokerage use one all-in-one mortgage platform?

A consolidated platform can reduce handoffs, but it is not automatically simpler if it lacks a required lender or vendor connection. Compare the all-in-one workflow with the actual combination of tools your team would otherwise operate.
