Choose an AI assistant by the privacy behavior of the exact account you will use, not by the brand name alone. Check five things before uploading sensitive material: whether chats can improve models, how long conversations and deleted data are retained, what memory stores and forgets, who can administer or access the account, and whether the assistant can do useful work with limited context. Personal plans and managed workspaces can have different defaults. Turning off model training does not erase chat history or guarantee that no one can access a conversation. The practical approach is to verify the current settings, run a low-risk test, and then share only the minimum information needed for the task.
What should you compare before choosing an AI assistant?
Use the same questions for every product and for every account type. A polished privacy label is less useful than a specific answer about your plan, region, workspace policy, and the kinds of data you intend to send.

Training and model improvement
Find out whether your conversations, uploaded files, voice sessions, coding sessions, feedback, or other content may be used to improve models. Ask whether the setting is on by default, whether an opt-out covers all of those surfaces, and whether safety review or another explicit exception remains.
Retention and deletion
Separate ordinary chat history from backend retention. A conversation can disappear from your visible history while copies remain for safety, legal, security, or operational reasons. Look for the deletion timeline, what “temporary” or “incognito” means, and whether the provider describes a maximum period.

Memory and context
Memory is the assistant’s saved profile of facts or preferences; chat history is the record of conversations. Check whether you can inspect, edit, and delete remembered items, and whether disabling memory affects only future personalization or also existing entries. Neither setting should be assumed to erase history.
Account and administrator controls
A personal account is governed mainly by your settings. A business, education, healthcare, or other managed workspace may add organization-level retention, access, compliance, connected-source, and memory rules. An administrator can sometimes control settings that an individual user cannot.

Context fit without oversharing
Choose an assistant that can work from the smallest useful context. That might mean a short project brief, a redacted document, or a controlled connection to a source system rather than an entire mailbox or customer database. Privacy is partly a product policy question and partly a workflow-design question.
How are training, memory, history, and retention different?
These terms answer different questions, so changing one does not automatically change the others.
| Control or concept | What it governs | What it does not promise |
|---|---|---|
| Model training or improvement | Whether eligible content may be used to improve future models or systems. | It does not necessarily delete saved chats, memories, logs, or safety-retained copies. |
| Chat history | Conversations shown in your account and available for you to reopen. | It does not describe every backend copy or administrator-access rule. |
| Memory | Specific details the assistant saves for future personalization. | Disabling it does not automatically mean existing memories or history are erased. |
| Retention | How long data may remain in backend systems, including after deletion or in temporary modes. | A retention period is not a statement that every employee can read the data. |
| Safety, legal, and security handling | Special uses or preservation that may apply to flagged, abusive, or legally relevant material. | An opt-out from model improvement may not block these other uses. |
OpenAI explicitly treats model-training controls separately from chat history and memory. Anthropic likewise describes safety-review handling as distinct from a user’s ordinary model-improvement choice. Microsoft’s consumer Copilot documentation separates training controls, personalization, memory, deletion, and other product or safety uses.
Does a personal account or a managed workspace provide better privacy?
Neither is automatically safer for every task. A managed workspace generally gives an organization stronger contractual and administrative controls, while a personal account gives you more direct control but may have consumer defaults that use content for improvement.
Personal plans
Personal settings are usually controlled from your own account, but they can vary by plan, sign-in state, region, and product surface. Confirm the setting immediately before sharing confidential material; a setting you changed in one application may not apply to voice, a coding tool, or another assistant surface.

Managed workspaces
OpenAI states that data from ChatGPT Business, Enterprise, Edu, Healthcare, and the API Platform is not used to train its models by default. The organization can still impose its own retention, memory, compliance, access, and connected-source policies. Ask your administrator what is logged, who can retrieve it, and when it is deleted.
Questions for an administrator
- What retention period applies to prompts, files, outputs, and audit logs?
- Can administrators or security staff read conversations, and under what process?
- Are connected drives, email, code repositories, or ticket systems indexed or copied?
- Does the workspace disable memory, allow users to delete it, or keep organization-wide memories?
- Do contractual terms prohibit model training and cover subprocessors?
What do the documented controls say about ChatGPT?
For personal Free, Plus, and Pro workspaces, OpenAI says data sharing is enabled by default. You can turn off “Improve the model for everyone” and keep chat history; conversations created after the change are not used to train OpenAI models according to its help documentation.
Settings to check
- Open ChatGPT and select your profile menu.
- Open Settings, then Data Controls.
- Review Improve the model for everyone and switch it off if you do not want new conversations used for training.
- Open the memory controls separately. Review, edit, or delete saved memories rather than assuming the training switch changes them.
- Check voice-specific data controls if you use voice; OpenAI documents voice as a separate control.
Temporary Chat
Temporary Chats do not appear in history, create or update memories, or train models while temporary. OpenAI may retain a copy for up to 30 days for safety. That is a limited-retention mode, not an immediate-erasure guarantee and not a promise that nobody can access the content for safety purposes.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsBest fit
ChatGPT can suit private, context-heavy work when you verify the personal-workspace controls or use a managed workspace with the required organization policy. Treat the model-training switch, memory controls, history, and temporary mode as separate checks.
What do Anthropic’s consumer Claude terms say?
Anthropic’s consumer retention article, dated July 1, 2026, says you can delete chats; deleted conversations leave your history immediately and are removed from backend storage within 30 days. Those statements apply to consumer products, while commercial users are directed to separate terms.
Model-improvement choices
Anthropic’s consumer training article, dated March 16, 2026, says chats and coding sessions may be used for model improvement when a user allows it, when a conversation is flagged for safety review, or when the user otherwise explicitly opts in. Therefore, opting out of ordinary improvement should not be described as blocking every possible safety-related use.
Longer training-pipeline retention
If a consumer user allows chats or coding sessions to improve Claude, Anthropic says it may retain qualifying data in de-identified form for up to five years in model-training pipelines. “De-identified” describes the form and purpose of that retention; it is not the same as deleting the original conversation from your account.

Best fit
Claude is a reasonable candidate when the ability to delete consumer chats within a stated period matters, provided you understand the safety-review exception and the much longer potential retention for users who allow model improvement. Verify the commercial terms separately if your work account is managed by an organization.
What controls does Microsoft Copilot provide?
Microsoft’s support documentation for signed-in personal Copilot users describes controls for personalization and memory, training on conversation activity, and deletion of individual or all conversation history. It states that personal Copilot conversation history is retained for 18 months.
Controls to review
- Sign in to the personal Copilot account you actually plan to use.
- Open the account or privacy settings and review personalization and memory.
- Inspect what Copilot remembers and remove entries that are no longer appropriate.
- Find the control for using future conversation activity for model training and opt out if that matches your requirement.
- Use the history-management option to delete individual conversations or all history, then confirm what the retention notice says.
Important limitation
Microsoft says opting out of training does not exclude conversations from other general product or system improvements, or from advertising, digital-safety, security, and compliance uses described in its Privacy Statement. The cited controls concern consumer Copilot; business products and individual app surfaces can have different terms.
Best fit
Copilot may work for context-aware personal tasks when its 18-month history period and broader non-training uses are acceptable. For company data, evaluate the exact Microsoft 365 or organizational product rather than relying on consumer Copilot documentation.

Current consumer details for Gemini’s retention, human review, memory, and model-improvement controls were not established in the available provider documentation. Do not infer Gemini’s behavior from another Google service or from a different account type.
Before using Gemini with confidential material, open the privacy and activity controls for the exact account and region. Confirm whether activity is saved, how deletion works, whether humans may review samples, how temporary modes behave, and whether workspace administrators set different rules. If those answers are unavailable, classify the account as unverified and use redacted, low-risk material only.
How do you configure an assistant before sharing sensitive context?
Use this sequence for any provider. It prevents the common mistake of uploading first and looking for privacy controls afterward.

- Classify the information. Separate public, internal, personal, confidential, regulated, and trade-secret material. Decide what categories are prohibited before a prompt is written.
- Identify the exact account. Record the provider, product surface, subscription, region, sign-in identity, and whether the account is personal or managed.
- Read the current data-use controls. Check model improvement, voice or coding coverage, feedback handling, safety review, and connected-source terms.
- Set training preferences. Opt out where appropriate, then verify whether the change covers new chats only and whether existing data is treated differently.
- Configure memory. Inspect existing remembered details, delete anything unnecessary, and decide whether future personalization is worth the exposure.
- Choose the right session mode. Use a temporary or incognito mode only after reading its retention and safety behavior; do not equate it with instant deletion.
- Test deletion. Create a harmless test conversation, delete it, and note what the provider says about visible history and backend removal.
- Minimize the prompt. Redact names, account numbers, addresses, secrets, and unique identifiers. Replace them with stable labels such as
Client AorProject Delta. - Document the decision. Keep the account, setting, date, and policy version in your team’s records so a later product change does not silently invalidate the workflow.
How can you preserve useful context without exposing unnecessary data?
Use a compact project brief
Provide the objective, constraints, audience, preferred format, and a few representative examples. A two-page brief often gives an assistant enough context for drafting without exposing an entire document repository.
Redact identifiers consistently
Replace names and identifiers with stable labels so the assistant can reason across a conversation without receiving the real values. Keep the mapping offline and restrict it to people who need it.
Summarize source documents
Ask a trusted local process to extract requirements, decisions, and open questions, then send only that summary. Preserve quotations or figures only when they are essential to the answer.
Separate instructions from secrets
Never place passwords, private keys, authentication tokens, recovery codes, or access links in a prompt. If the task requires a system connection, use an approved integration with explicit access and retention rules rather than pasting credentials.
Control feedback and exports
Feedback buttons, shared links, exports, and copied transcripts can create additional destinations. Decide who may receive an output and whether the assistant’s interface sends feedback content for improvement before using those features.

The following matrix uses documented policy characteristics, not a ranking of answer quality. “Fit” means the privacy model may match the scenario after you verify the exact account.
| Scenario | Useful starting point | Condition to verify |
|---|---|---|
| Personal brainstorming with no confidential facts | A personal assistant with training controls enabled or disabled according to your preference. | Understand history, memory, and any voice or file-specific settings. |
| Private notes that should not improve models | A personal account with model-improvement sharing turned off, or a temporary mode. | Temporary mode may still retain a copy for safety; disabling training does not delete history. |
| Client or employer information | A managed workspace with contractual no-training terms. | Confirm administrator access, retention, connected sources, and deletion policy. |
| Work requiring consumer-chat deletion timing | Claude consumer accounts document removal from backend storage within 30 days after deletion. | Safety review and optional model-improvement retention can still apply. |
| Tasks inside a Microsoft consumer ecosystem | Personal Copilot with personalization, memory, training, and history controls configured. | History is documented as retained for 18 months, and other product or safety uses may continue after a training opt-out. |
| Gemini with confidential information | Use only after reviewing the current official terms for the exact account. | Consumer retention, review, memory, and improvement details require confirmation. |
What privacy claims should you treat with caution?
- “Not used for training” does not mean “never stored.” Retention, backups, safety investigations, and audit logs can be separate.
- “Deleted” does not always mean “gone immediately.” Look for the provider’s backend-removal period and exceptions.
- “Private” does not mean “inaccessible to administrators.” Managed workspaces can permit authorized access under organizational policy.
- “Memory off” does not mean “history off.” Check both settings and remove existing remembered details where necessary.
- “Temporary” does not mean “zero retention.” OpenAI’s Temporary Chat documentation allows up to 30 days for safety.
- “De-identified” does not mean “deleted.” Anthropic describes up to five years of de-identified retention for qualifying consumer data when improvement is allowed.
- A consumer policy may not cover a business product. Recheck terms when moving from a personal app to an employer-managed service.
- Policy is not a performance comparison. Nothing in these retention terms establishes which assistant gives better answers, coding, writing, or reasoning.
How should a team review an assistant before adoption?
Run a small governance review instead of approving a brand generally.
Best Value
Define acceptable data
Write a short allow-list and deny-list. For example, permit public information and synthetic examples; prohibit credentials, regulated records, unreleased customer data, and material covered by a legal hold unless an approved workspace explicitly supports it.
Test each data path
Check ordinary chat, file upload, voice, coding, feedback, browser or connector features, exports, and shared links. A provider’s training setting may not cover every path in the same way.
Measure deletion behavior
Use non-sensitive test content, delete it, and record what disappears from history, what the policy says remains, and whether an administrator can retrieve it.
Assign ownership
Name the person responsible for reviewing policy changes, account settings, and offboarding. Recheck after a plan change, a new integration, or a material update to the provider’s terms.
Record dates and scope
Policy durations are provider statements, not independent statistics. Record the publication or access date and the exact product scope so an 18-month history statement or a 30-day deletion statement is not misapplied to another service.
What is the practical decision?
Start with the strictest data category you expect to handle. If you need organizational confidentiality, choose a managed workspace whose contract and administrator policy answer retention, access, training, and connected-source questions. If you are using a personal plan, disable model improvement when appropriate, configure memory separately, understand history and temporary-session retention, and redact aggressively. Claude’s consumer documentation offers a 30-day backend-removal statement after deletion but also describes safety exceptions and up to five years of de-identified retention when improvement is allowed. OpenAI documents separate training, memory, history, and temporary-chat behavior, while Microsoft documents an 18-month consumer history period plus other non-training uses. Gemini should remain an unverified choice until its current official consumer terms are checked for the account and region you will use.

Frequently Asked Questions
Can my employer read conversations in a managed AI workspace?
Possibly. Administrator access, audit logging, legal holds, and retention are organization-level questions, so ask for the written policy before treating a workspace as private from your employer. A no-training promise addresses model improvement, not who may access data inside the organization.
If I turn off memory, will an assistant forget everything immediately?
Not necessarily. Memory and conversation history are separate systems; inspect the saved-memory list and delete entries you do not want retained. Also verify whether the provider keeps historical chats independently of personalization.
Is a temporary or incognito chat safe for regulated information?
Do not assume so. Temporary modes can exclude history and training while still permitting limited safety retention, and they may not satisfy contractual or regulatory requirements. Use an approved managed environment when your policy requires defined controls.
What should I do when a provider’s privacy terms are unclear?
Treat the account as unsuitable for confidential material until the provider states its retention, review, deletion, and training behavior for that exact product. Use synthetic or redacted examples while you seek clarification, and record the unanswered question for your risk review.
