Check the current syllabus and the exact instructions for the assignment, exam, or other assessment first. Then check any department or program rule and your institution’s academic-integrity policy. AI permission is often set at the course or assignment level, so a tool allowed for studying may be forbidden in submitted work, and permission in one class does not transfer to another. If the wording does not clearly cover the tool and activity you plan to use, ask the instructor before using it and keep the answer. When use is permitted, follow the stated limits and any disclosure, citation, or record-keeping requirements.

How can I tell whether I can use an AI tool for my course?

There is no reliable universal answer. Your course documents and instructor’s directions control the decision for your work. A practical test is whether you can identify all four of these items in writing:

  • Scope: Is the permission for the whole course, a particular assignment, or only a named activity?
  • Activity: Does it cover studying, brainstorming, editing, coding help, translation, summarizing, or generating content?
  • Conditions: Do you need prior approval, have to use a specified tool, or avoid entering certain information?
  • Accountability: Must you disclose, cite, attach prompts or outputs, or keep a usage log?

If any of those points is missing or ambiguous, do not infer permission. Ask the instructor before using AI on the assessed work.

Where should I look for the rule?

Start with the current syllabus

Download or save the version for the current term. Read the academic-integrity section, technology rules, grading policies, and any separate statement about generative AI or automated tools. A syllabus may contain a course-wide default, but it can also tell you to follow rules published with each assignment.

Read the exact assignment or assessment instructions

Open the prompt, rubric, project brief, lab sheet, exam directions, and any announcement in the learning-management system. Assignment instructions may narrow a course-wide permission or allow a use that is not permitted elsewhere. Florida Atlantic University, for example, tells students that AI is prohibited for coursework unless it is explicitly allowed for a specific assignment; that is that university’s stated policy, not a rule for every college.

Check updates and attachments

Look for revised PDFs, instructor announcements, rubric notes, and links inside the assignment. A rule posted after the syllabus can apply to the particular task. Save the version you relied on, including the date, so you can show which instruction was in effect when you worked.

Search for the terms instructors use

Use your browser’s find function for AI, generative AI, ChatGPT, automated tools, machine translation, writing assistant, code completion, and names of tools or features you intend to use. Do not stop at the first sentence containing a keyword; read the definitions, exceptions, examples, and documentation requirements around it.

What do common AI-policy phrases actually permit?

Policies often distinguish activities rather than declaring that AI is simply “allowed” or “banned.” The following interpretations reflect the kinds of categories used in university guidance, including the University of Chicago Biological Sciences Division’s examples.

Wording or category What it normally means What you still need to verify
No use Do not use the named AI tools or the prohibited activity for that work. Whether ordinary spelling, accessibility, translation, or search features are covered; ask if the wording is broad.
Use only with prior authorization You must obtain the instructor’s approval before using AI. Whether approval must be written, which tool and purpose it covers, and whether it applies to collaborators.
Bounded permission A specified use is allowed within stated limits, such as brainstorming or debugging. Whether generating prose, replacing your own analysis, or using a different tool falls outside the limit.
Permission for a named task The allowance applies to one assignment, stage, or component. Whether the same permission applies to drafts, final submission, exams, or later assignments.

A sentence such as “AI may be used responsibly” is not a complete instruction by itself. Find out what “responsibly” means in that course: permitted purpose, prohibited output, attribution method, and any review you must perform.

Do department and college policies override the syllabus?

Check them, but treat them as another layer rather than a substitute for the assignment rule. Official guidance from several universities emphasizes that instructors can set expectations tied to learning objectives, while institutional policies may establish minimum academic-integrity requirements.

  • Course or program level: The University of British Columbia describes AI decisions as course- or program-level. Its Vancouver and Okanagan campuses require syllabi to include a generative-AI statement beginning September 1, 2026; that dated requirement applies to those campuses and should not be generalized to other institutions.
  • Institutional default: The University at Buffalo states that it has no universal student AI policy and that instructors decide which tools fit their course learning objectives.
  • Instructor clarification: Columbia University’s Provost advises students to discuss expectations with each instructor through office hours, email, or other academic support.
  • Course-specific consultation: The University of Maryland encourages course-specific policies and tells students to consult the instructor about a particular course or assignment.

Use your institution’s academic-integrity policy to understand consequences and baseline definitions, then apply the stricter or more specific instruction that governs the task. If two documents appear to conflict, ask the instructor or department for a written resolution before proceeding.

What should I do when the syllabus or assignment is silent?

Pause and ask before using AI for coursework that will be assessed. Simon Fraser University’s student guidance says the only way to know whether generative AI is permitted for course assignments is to check with the course instructor, who will likely communicate the rule in the syllabus. Columbia Business School, UBC, and University of Chicago guidance likewise direct students to seek clarification when expectations are unclear.

Describe the exact use, not just the tool

“Can I use AI?” is too vague to produce a useful answer. State the tool or embedded feature, what you will provide to it, what it will produce, and where the result will appear. For example: “May I use a text generator to suggest three possible outlines, then write the paper myself?” or “May I use an AI code assistant to explain an error in my own program, without copying generated code into the submission?”

Ask in writing when possible

Email or the course’s approved messaging system creates a dated record of the question and answer. Columbia Business School specifically suggests asking in writing when clarification is needed. Keep the reply with the assignment files; do not rely on a classmate’s recollection of an informal conversation.

Use a concise clarification message

A useful message contains four parts:

  1. Name the course and assignment, including the due date.
  2. Name the tool or feature.
  3. Explain the precise activity and whether any output would appear in your submission.
  4. Ask what disclosure, citation, or record the instructor requires.

Wait for a response before using the tool on that assessed work. If the instructor refers you to a department rule, read that rule and retain the referral.

Does permission for one AI activity cover other activities?

No. A permission statement should be matched to the actual workflow. Embedded AI functions can make the boundary easy to miss: UBC notes that AI is integrated into translation, writing, citation, and search tools. Ask about the feature you will use, not only the brand name of the application.

Studying and practice

A course may allow an AI tutor to explain concepts or generate ungraded practice questions while prohibiting it for a take-home problem set. Confirm whether “study use” excludes uploading lecture slides, answer keys, patient data, or other restricted material.

Brainstorming and outlining

Some instructors permit idea generation but require you to create the argument, evidence, and wording yourself. Check whether the outline or prompt must be disclosed and whether generated ideas count as a source that needs attribution.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Editing, grammar, and translation

Proofreading may be treated differently from rewriting. An AI translator or style assistant can alter meaning or supply new phrasing, so ask whether it is allowed and what portion of the work must remain your own. Accessibility tools may have separate institutional guidance.

Coding and technical work

Permission to explain an error does not necessarily permit generated code in a graded submission. Clarify whether you may use completion, debugging, refactoring, test generation, documentation, or only conceptual explanations. Be prepared to explain every line you submit.

Summarizing or generating content

Summarizing a source, producing a first draft, and generating final paragraphs are distinct uses. A policy that permits one may prohibit another because the assignment is measuring reading, analysis, or writing ability.

What must I do if AI use is allowed?

Permission is usually conditional. Follow the instructor’s specified method rather than choosing a citation style on your own.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Requirement What to preserve or provide
Disclosure or acknowledgement A statement identifying the tool, date or version if requested, and the purpose for which you used it.
Citation The format named by the instructor or course guide. Some policies distinguish citing generated text from acknowledging editing or brainstorming.
Usage record Prompts, outputs, revision history, or a log if the assignment requires evidence of your process.
Scope limits Only the permitted tool, input, stage, or amount of generated material; do not substitute a different service without approval.
Verification Your own fact-checking, source review, calculations, and explanation of submitted work.

Columbia Business School, Simon Fraser, Maryland, and Florida Atlantic guidance all indicate that permitted use may require acknowledgement, documentation, or citation. The exact format remains course-specific. If no format is supplied, ask before submitting rather than inventing a disclosure that might omit information the instructor expects.

How do official university examples differ?

These examples show why a generic internet answer cannot decide your case. They illustrate approaches, not a universal college rule.

Institution or unit Published emphasis Practical lesson
Columbia Business School Faculty set expectations in syllabi and individual assignment instructions; students should ask professors when unclear, preferably in writing, and cite permitted use as directed. Read both documents and keep written clarification.
Simon Fraser University The course instructor determines whether generative AI is permitted for assignments; students should not assume permission and should cite when allowed. Instructor confirmation is decisive for assignment use.
University of British Columbia AI decisions are course- or program-level; students should review course guidelines and seek permission when unclear. Vancouver and Okanagan syllabi must include a GenAI statement from September 1, 2026. Check your campus and the effective date of any statement.
University of Maryland Course-specific policies are encouraged; students should consult instructors and acknowledge or cite permitted use. Do not treat a general campus page as the assignment’s full rule.
University of Chicago Biological Sciences Division Examples include no use, prior authorization, and defined use with limits. Identify the activity and conditions, not merely whether AI is “allowed.”
University at Buffalo No universal student AI policy; instructors decide which tools align with course learning objectives. Expect variation among courses and instructors.
Florida Atlantic University AI is prohibited for coursework unless explicitly allowed for a specific assignment; allowed use must be documented or cited. Do not apply this institution-specific default to another college.
Columbia University Provost Students should discuss expectations with each instructor through office hours, email, or academic support. Use the available course communication channel to resolve uncertainty.

What is a reliable step-by-step check before I use AI?

  1. Collect the governing documents. Open the current syllabus, exact assignment or assessment instructions, rubric, announcements, department or program guidance, and academic-integrity policy.
  2. Search and read in context. Find references to AI, generative tools, automated assistance, named applications, translation, writing, coding, and citation. Read exceptions and examples, not just the headline sentence.
  3. Map your intended workflow. Write down the tool, input, purpose, output, and whether any output or transformed text will enter the submission.
  4. Compare your workflow with the rule. Mark the scope, activity, conditions, and accountability requirements. If one element is not covered, treat the use as unresolved.
  5. Check for higher-level constraints. Look for department, program, campus, and institutional rules, including restrictions on confidential, personal, copyrighted, or examination material.
  6. Ask the instructor before use if needed. Send a specific written question and wait for an answer. Include alternative workflows if you can complete the task without AI.
  7. Save the permission and source documents. Keep the instructor’s response, the applicable version of the assignment, and any required prompts or outputs.
  8. Use only within the approved boundary. Do not switch tools, add a new purpose, or extend permission to another assignment without checking again.
  9. Disclose and cite exactly as instructed. Complete the required acknowledgement, citation, appendix, or process log before submission.
  10. Review the final work yourself. Verify facts, sources, calculations, quotations, code behavior, and compliance with the assignment’s learning objectives.

What mistakes cause the most problems?

  • Assuming silence means permission: Silence means you need clarification, not that the tool is automatically allowed.
  • Relying on a campus-wide webpage alone: Course and assignment instructions can be stricter or more specific.
  • Confusing study permission with submission permission: An AI tutor allowed for practice may not be allowed for graded work.
  • Using a different tool than the one approved: Approval for one application or feature does not automatically cover another.
  • Asking only whether “AI” is allowed: A broad yes can hide limits on generated text, coding, editing, or data inputs.
  • Failing to document the process: If disclosure is required, reconstructing prompts and dates after submission may be impossible.
  • Submitting unverified output: Permission does not make generated facts, citations, calculations, or code accurate.
  • Uploading protected information: Course files, personal data, unpublished research, or examination material may have separate confidentiality restrictions even when AI use is otherwise permitted.

What if I already used AI before checking?

Stop using it on the assignment until you know the rule, and do not submit the output as though the question were settled. Preserve what you used and what the tool produced rather than deleting the record. Contact the instructor promptly, explain the exact use, and ask whether you should revise the work, disclose the use, restart, or follow another remedy. The instructor or the institution’s academic-integrity process—not a generic online policy—determines the appropriate next step.

How can I keep permission from becoming a future problem?

Make a small record for each assessed task: the syllabus or assignment version, the instructor’s answer, the tool and feature, the purpose, and the disclosure method. Recheck when the term, assignment stage, instructor, or tool changes. This prevents a legitimate allowance for one context from being mistaken for standing permission across your college work.

Frequently Asked Questions

Can I use an AI grammar or spelling feature if the syllabus only bans ChatGPT?

Not necessarily. Embedded AI can appear in writing, translation, citation, search, and accessibility tools, and a ban naming one application may not explain how those features are treated. Ask whether the specific feature is covered and whether it changes wording or meaning.

Does permission carry over to a group project?

Do not assume it does. Group members may have different course rules, and the instructor may require every contributor to disclose AI use or may prohibit it for the project even if individual study use is allowed. Get a project-specific answer before sharing generated material.

Can I paste my draft or classmates’ work into an AI tool?

Check both the course rule and confidentiality requirements first. Student records, unpublished research, peer reviews, client information, and examination content may be restricted from external services, so permission to use AI does not automatically authorize those inputs.

What happens if the instructor changes the AI rule midterm?

Follow the newest instruction for work not yet submitted and ask how it applies to drafts or work already completed. Save the announcement or revised syllabus so you can show which rule governed each stage.
