To find out whether an AI chatbot is sharing your personal information, audit the exact account and workspace you use, then check four separate areas: model-improvement settings, saved history and memory, connected services or public links, and the provider’s retention and human-review rules. A setting that stops training does not necessarily erase chats, prevent safety processing, or revoke copies already sent to another service. Use the provider’s export, deletion, and privacy-request tools after reviewing what was submitted. The steps below use current consumer-product disclosures from OpenAI, Google, Anthropic and the Office of the Privacy Commissioner of Canada (OPC); menus and policies can change, and managed work or school accounts may add administrator rules.
What does “sharing” mean for an AI chatbot?
“Sharing” is not one switch. A chatbot can retain a prompt in account history, use it to improve models, expose it to a limited human-review process, send it to contractors that operate the service, pass it to a connected application, publish it through a share link, or use it to carry out an action you requested. Each route has different controls and retention periods.

The OPC warns that chatbot information may be collected and stored, used to train systems, used for profiles or decisions, or disclosed to other users. It recommends that people “limit the personal information that you share about yourself” and “review and adjust your privacy settings.” Those precautions matter because a chatbot interface may not clearly show every downstream recipient or internal copy.
How do I perform a privacy audit of my chatbot account?
Work through the following checklist for each chatbot, device and account type you use. Record the date and the setting you found; a personal account, a signed-out browser session and an employer-managed workspace can follow different rules.

- Identify the exact context. Write down the product, signed-in or signed-out status, personal versus work or school account, subscription tier, region, browser or mobile app, and any administrator-managed workspace. Policies and controls can vary across those contexts.
- Find the model-improvement control. Look for wording such as “Improve the model,” “model training,” or “Keep Activity.” Note whether the choice applies only to future conversations, only to certain modalities such as voice, or only to the current browser or device. Do not treat this switch as a deletion command.
- Inspect history, activity and memory separately. Check saved conversations, archived items, personalization or memory, and any temporary-chat mode. Also look for a list of public or shared links. Turning off model improvement can leave ordinary chats visible in history.
- Inventory what you sent. Review uploaded documents, images, recordings, screen or browser sessions, location and device context, and prompts containing another person’s information. Remove files or revoke permissions that are no longer needed.
- Check connected applications. Open the integrations or connected-app page and list every service that can receive chatbot content. Read each recipient’s privacy terms; deleting a chatbot record cannot automatically erase data that another service already received.
- Read the current privacy notice. Search for sections on human reviewers, contractors or service providers, safety investigations, feedback, legal holds and retention after deletion or opt-out. Capture the publication or update date because these terms change.
- Export records before deleting them when necessary. An export can preserve dates, conversation text, feedback and account information needed for a complaint or access request. Save it in a protected location.
- Delete or submit a formal privacy request. Use the product’s deletion controls, then ask the provider specifically what data was deleted, which copies remain, the purposes for any retention, the recipients, and the expected completion date.
- Reduce future exposure. Replace names, account numbers, addresses and confidential work details with generic placeholders. Do not submit another person’s personal data unless you have a valid reason and authorization.
Settings are useful evidence of your choices, not independent proof of every internal access event or transfer. If the answer remains unclear, use the provider’s formal privacy-request channel rather than assuming the interface tells the whole story.
Which controls should I check first?
Model improvement is different from storage
A training or model-improvement opt-out generally governs whether eligible future content is used to improve models. It may not remove saved chats, memory entries, safety logs, abuse investigations, or information already sent to a connected service. OpenAI’s ChatGPT documentation states this distinction explicitly: turning off “Improve the model for everyone” does not delete or hide saved chats.

History, activity and memory have separate effects
History or activity controls determine whether conversations remain available in the account. Memory or personalization features can store selected facts for later responses even when a particular chat is removed. Temporary modes usually change several behaviors at once, so read the product’s description rather than inferring what “temporary” means.
Public links are a separate disclosure
A shared conversation link can let anyone who obtains it read the included content, subject to that product’s link behavior. Locate the public-link manager, revoke links you no longer need, and avoid placing sensitive material in a conversation that you intend to share.
What does ChatGPT currently retain or use?
For personal Free, Plus and Pro workspaces, OpenAI’s surfaced controls say model sharing is enabled by default. In Settings → Data controls, turn off Improve the model for everyone to prevent new conversations from being used to train OpenAI models. For signed-in accounts, the choice applies across web and mobile; for signed-out use, the choice is saved in that browser. Availability can differ by plan and workspace.

Voice mode has a separate training control, so review it independently if you use audio. Turning off model improvement does not remove saved chats from history. Review Memory separately and delete individual memories or disable the feature if you do not want personalization based on stored facts.
Temporary Chat stays out of history, does not create or update memories, and is not used to improve OpenAI models while temporary. OpenAI says temporary chats may nevertheless be retained for up to 30 days for safety. Clearing ordinary chat history is a separate action; OpenAI says cleared chats are deleted from its systems within 30 days unless they were previously de-identified or disassociated, or must be retained for security or legal reasons.
OpenAI also says a limited number of authorized personnel and service providers may access content for specified purposes. It says content is not shared with advertisers for marketing. These statements describe policy categories, not a record of whether a particular employee viewed your conversation.
What does Google Gemini currently retain or share?
In Gemini, inspect Gemini Apps Activity and the Keep Activity setting, then review connected-app permissions, public links and device access. Google describes inputs that can include prompts, uploaded files, recordings, device or app context, connected-service information and location.
With Keep Activity off, future chats do not appear in Activity and are not used to train Google’s AI models unless you submit feedback. Google still says those chats can be retained for up to 72 hours for response delivery, safety and feedback handling. Temporary chats are also retained with the account for up to 72 hours and are not used to train Google’s AI models.

Google says some chats are reviewed by trained human reviewers. A reviewed chat can be retained for up to three years after it is disconnected from the account. Turning off Keep Activity prevents future chats from being reviewed to improve services, but it does not eliminate all safety processing or human review. Deleting Gemini activity does not delete information saved by another connected Google or third-party service, and those recipients apply their own policies.
What does Anthropic Claude currently retain?
Anthropic’s consumer retention notice dated July 1, 2026 says deleted conversations disappear from chat history immediately and are deleted from backend systems within 30 days. This description concerns consumer products, not Claude for Work or the Anthropic API.
If a consumer user allows chats or coding sessions to improve Claude, Anthropic may retain the resulting data in de-identified form for up to five years in model-training pipelines. The setting applies to new or resumed conversations after it is enabled. Incognito chats are not used to improve Claude.
Anthropic describes additional retention categories for conversations flagged by automated trust-and-safety systems, submitted feedback, legal requirements and disputes. Those categories are separate from ordinary chat-history deletion, so consult the live notice when a specific exception matters.
How long can chatbot data remain after I turn a setting off or delete a chat?
The following are provider-published maximums or target windows, not independent deletion tests. They apply only to the product, account type and circumstances described.

A retention window does not tell you whether a particular prompt was reviewed, copied, exported or included in a legal hold. Ask the provider about the specific record and purpose if that distinction affects you.

Possibly, depending on the product, account and purpose. Providers describe limited access for safety, abuse prevention, quality improvement, feedback handling, legal compliance or service operation. Google specifically describes trained human review for some Gemini chats; OpenAI describes limited authorized personnel and service providers; Anthropic lists trust-and-safety and feedback-related categories.
An opt-out that stops model improvement is narrower than a ban on all human access. Safety systems, legal obligations and support processes may still operate. Work or school administrators can also impose access, retention or monitoring rules that are not present on a personal account.

Yes. A file, recording, location signal or prompt sent through an integration can be processed under both the chatbot’s terms and the connected service’s terms. The recipient may retain its own copy even after you delete the original conversation.
During an audit, disconnect unused apps, revoke device permissions, remove public links, and check whether an integration can read an entire conversation or only a specific result. For an important deletion request, contact both the chatbot provider and each recipient that may have received the data.
How should I compare two chatbot privacy settings?
Compare like with like: the same region, account type, plan, device and work or personal context. Avoid a single “most private” ranking because a product can offer a short history window but broad integrations, or strong training opt-outs while retaining safety records.

What should I do if a chatbot has already received sensitive information?
- Preserve evidence. Export the conversation, note the account and date, and capture the relevant settings without copying sensitive content into another service.
- Stop further disclosure. Disable model improvement where appropriate, turn off memory or activity, revoke integrations and remove public links.
- Delete the source record. Delete the chat, uploaded files, memories and activity entries using the product’s own controls.
- Contact downstream recipients. Ask connected services to delete any copy they received and to explain their retention period.
- File a specific privacy request. Ask the chatbot provider to identify the data held, purposes, recipients, retention and deletion status. Include the relevant account and approximate dates.
- Protect affected accounts. If the prompt contained passwords, recovery codes, payment details or identity documents, change credentials, revoke tokens and contact the relevant institution. Chat deletion cannot undo a credential that has already been exposed.
How can I reduce exposure in future chats?
- Use a generic description instead of a name, address, customer number or exact workplace.
- Remove metadata and unnecessary pages from files before uploading them.
- Keep voice, screen sharing, location and connected-app permissions off unless the task needs them.
- Use temporary or incognito modes for genuinely short-lived work, while checking their stated safety-retention rules.
- Review memory and activity monthly, and revoke old public links.
- Do not paste another person’s private information without a lawful, necessary reason.
- For regulated, confidential or high-risk material, use an organization-approved system with a written data-processing policy rather than a consumer chatbot.
Prevention is more reliable than trying to retrieve every downstream copy. Settings and deletion tools reduce exposure, but they cannot independently prove that no person, system or recipient ever accessed a prompt.
Frequently Asked Questions
Does turning off AI training delete my previous conversations?
Usually not. Training or model-improvement controls govern eligible future use, while history, memory and deletion are separate features; check each one in the account you actually use.
Can my employer or school see chats I make with an AI assistant?
A managed workspace can apply administrator retention, monitoring or access rules that differ from a personal account. Ask the administrator for the workspace policy and avoid mixing confidential work with a personal account.
What should I ask in a formal privacy request?
Request the categories of data held, processing purposes, recipients, retention period, deletion exceptions and the status of a specific conversation or upload. Include the account identifier and approximate dates so the provider can locate the record.
Does deleting a shared link delete the conversation itself?
Not necessarily. Removing a public link can stop that link from exposing the conversation, but the underlying chat, exports, memories or copies held by connected services may require separate deletion actions.
